Query Commands

• LIST – Produces a list of records.• TOTAL – Produces a count but no actual records.

• CHANGE -- DO NOT TOUCH!• Seriously… don’t touch the Change command!

Before we practice…

• To get records from here:• What did you need to know?• Which file cabinet drawer.

• In Aeries the records are kept in tables or Screens.• Each table has a 3 letter abbreviation.• STU = STUdent records• MST = MaSTer Schedule

Query Steps - List

1. Log in2. Select QUERY

Query Steps - List

3. Select the LIST command.4. Select the table.5. Select the Fields.6. Select the field to sort BY (type BY in the

window).7. Select run.

Example:List all the students in the school with name, id

number, and grade by grade level.1. Click on LIST in the commands menu.2. Click on STU in the table menu.3. Click on NM, then ID, then GR in the fields menu.4. Type “BY GR” now the entire query should read:

LIST STU NM ID GR BY GR5. Click on RUN.6. Click NEW to clear out the query window and

start fresh.

Practice - List the following:• Students with name, id, sex, grade by sex.• Students with last name, state ID, and Race code by

race code.• Students with first name, last name, language fluency,

state ID, and birth date by last name.

Bonus: • Teachers with name, teacher number, ID number, and

room number by room number.

Query Steps - TOTAL

1. Log in2. Select QUERY

3. Select the TOTAL command.4. Select the table.5. Select the Fields and sort BY which field.6. Select RUN.

Example:Total all the students in the school by grade and sex.1. Click on TOTAL in the commands menu.2. Click on STU in the table menu.3. Click on GR and SX in the fields menu.4. Type BY GR SX.5. THE entire query should read

TOTAL STU GR SX BY GR SX6. Click on RUN.

Practice – Get a total for the following:• Students by sex, grade and language fluency.• Students by language fluency and race code.• Students by birth date, then grade, then sex.• Students by grade, then birth date, then sex.• Students by sex, then birth date, then grade.

Two Types of Sorting:

• Sorting the order of the output using the BY command.

• Sorting records by using the IF command.

Sorting using BY:

• What is the difference between these three queries? Enter them and see…

1. LIST STU LN FN ID GR SX BY LN2. LIST STU LN FN ID GR SX BY ID3. LIST STU LN FN ID GR SX BY GR 4. LIST STU LN FN ID GR SX BY SX GR LN

Sorting by using IF:List all the 1st grade students in the school with

name, id number, and sex.1. Click on LIST in the commands menu.2. Click on STU in the table menu.3. Click on NM, then ID, then SX and then GR in

the fields menu.4. Click on IF then GR from the fields list.5. CLICK “=“ then type 16. Click on RUN.

Sorting with IF

Practice - List the following:• Female students with name, id, sex, grade.• 3rd grade students with last name, state ID,

and Race code.• EL students with first name, last name,

language fluency, state ID, and birth date

Modify IF with AND / OR:List all the 3rd or 4th grade students in the school with

name, id number, and grade.1. Click on LIST in the commands menu.2. Click on STU in the table menu.3. Click on NM, then ID, then GR in the fields menu.4. Click on IF then GR from the fields list.5. CLICK “=“ then type 36. Click on OR7. Click on GR from the fields list.8. CLICK “=“ then type 49. Click on RUN.

Query Steps

List the following using comparisons that are not equal:

Students by ID, last name and grade who are EL and not Hispanic.

Students by ID last name and grade who entered school after September and are not EL.

• CHANGE -- DO NOT TOUCH!• Seriously… don’t touch the Change command.

KEEP

• The KEEP command allows users to run all the built-in Aeries reports but limits the records to a certain group.

• The query steps are the same structure.1. KEEP2. TABLE3. FIELDS4. IF

KEEP Practice:

• Print the “Class list by Teacher” report for only 2nd grade students.

To remove KEEP and SKIP:• Return to the DASHBOARD screen and click

the reset button.

SKIP

• The SKIP command allows users to run all the built-in Aeries reports but eliminates some records from the reports.

• The query step are the same structure.1. SKIP2. TABLE3. FIELDS4. IF

SKIP Practice:

• Print the “Class list by Teacher” report for everyone but 2nd grade students.
