Financial JGS Management
Basics• Check book in society name-not individuals name• Two signatures required on checks—3-4 authorized to
sign checks. For electronic banking who has authority should be several board members
• Minutes reflecting who may have access to account; reflection in minutes when removing people from access-these may be required to be provided to financial institution (check your country’s requirements)
• When treasurer goes on vacation the check book goes to another signatory

Financial Management Cont’d501 (c) (3) US-Only
Consider becoming a 501 (c)(3) under IAJGS Umbrella
In order to qualify, a society must:
1) be a member of IAJGS in good standing
2) be eligible for exemption from Federal income taxes as a non-
profit educational organization under section 501(c)(3)
3) Not be a private foundation
4) Have a fiscal year ending on December 31st

7) Authorize IAJGS in writing to submit a request to IRS
www.iajgs.org © 2013 International Association of Jewish Genealogical Societies 24
ByLaws/Governing Doc/Constitution• Every organization needs one• Not everything needs to go into the bylaws-keep them
“bare bones” as difficult to amend• Size of board may vary e.g. 7-13 • Companion document- Policy and Procedure Manual-
items determined by the board and membership• Review Bylaws and P&P Manual every X number of years• Roberts Rules of Order—also state “not in conflict with
bylaws or any special rule adopted by the Society”• IAJGS Membership Development Committee preparing a
model for use that is adjustable for each society needs
www.iajgs.org © 2013 International Association of Jewish Genealogical Societies 25
Board Composition• Board size should be workable-keep size to a minimum• Officers: president, VP-programming; VP-membership;
treasurer; secretary (one or two –corresponding and recording) some committee chairs or members at large
• Important functions can be but need not be board positions: Webmaster/blog poster, social media coordinator, publicity,
• Not all functions need be on the board- i.e. hospitality, librarian etc.
www.iajgs.org © 2013 International Association of Jewish Genealogical Societies 26
Communications
Important to have several communication vehicles to membership to keep them engaged and informed• Newsletter/blog/facebook/emails• Society’s own discussion group• Website• Use of digital tools-free

Problems With Getting Volunteers

Survey Results

Publicity/Outreach
Comments from the survey show concerns about reaching out to potential new members:
• “Outreach to new people”• “Outreach; we have 20% annual "natural" attrition rate so
we must constantly attract new members”• “Outreach; just moved appointed Publicity Chair to VP for
Communications by By-Laws change”• “Attracting new blood to membership”• “Reaching a wider audience on regular basis”
www.iajgs.org © 2013 International Association of Jewish Genealogical Societies 51
Publicity/Outreach
Successful strategies for attracting new people included:
• Facebook• Varied speakers programme• Outreach to other Jewish organizations• Workshops• Attending or running large genealogical events• Wide-ranging publicity in the Jewish community
www.iajgs.org © 2013 International Association of Jewish Genealogical Societies 52
Attendance at meetings “What can we offer that they can’t get on the internet?”
What works:
• A good location• Timing that meets the majority of people’s needs• Quality of speaker and topic• Selling the learning aspects of all lectures, ask an expert and
access to libraries• Conversation is important – personal contact and workshops• Basics of genealogy• “Learn, Share, Connect”
www.iajgs.org © 2013 International Association of Jewish Genealogical Societies 53
Attendance at meetings
What doesn’t work varies from organization to organization and location to location:
• The wrong time of year, particularly when people leave an area
• Too specific topic that has no general interest• Weather and travel issues• Lack of technical "how I did it" information in lectures• People talking about their personal research

JGS’s Response to Trends
• We’re not.• We are passive
because those trends are out of our control.
• Working at it – but making slow progress – trying to keep up.
• Helping board members learn new tools.
• Lower membership fees.
• Outreach to young & new through new venues (fairs) & topics (DNA).
• Monthly mentoring• Involving the kids &
parents will follow.• Partnerships for
programming.• Creating richer Internet
presence.

• Promote and Market Your Society
Societies can advertise their activities in many ways, as this article demonstrates.
Promoting and marketing your society sends a strong message to others in your community. These are people who may not know there is a society, have never considered genealogy as an interest, and who may be considered potential society members.
The society must have either an individual or a committee responsible for Marketing and Public Relations. A detailed contacts database is essential, including print and other media contacts, synagogues, schools and other Jewish community institutions.

• IAJGS Ethics for Jewish Genealogists
Ethics are crucial in genealogy and as the preamble to this tool says:
“All human endeavors are capable of corruption and it is therefore appropriate to institute mechanisms to safeguard against behavior that is inimical to the common good. It is felt that the IAJGS should give the lead in setting standards of behavior as applied to the world of Jewish genealogy.”

• Guidelines for Effective Brainstorming
The purpose of a brainstorming session is, through group participation, to generate as many ideas as possible to address an issue or opportunity, and then decide on the best ideas for follow-up action. Consider substituting a brainstorming session for one society board meeting each year, and then setting aside some time at subsequent meetings to discuss implementing the best ideas.
