To Our Members

SENIOR PRESIDENT’S REPORT It is with a sense of satisfaction I write this annual report sharing some of the activities and successes of the past season. While I draw attention to these activities I am sure that I shall miss some so please accept my apology for any missing detail. However, this doesn’t mean anything more than a poor recollection by me.

On behalf of The Glen Waverley Hawks I should begin by offering a sincere thank you to our Club Secretary Andrew Newey for what he has done over this last season in particular. It would be remiss of me not to draw the attention of the Club members to Andrew's unbelievable work ethic and desire to improve our football Club. Andrew provided service above and beyond any reasonable expectations to the needs of and the promotion of our Club and our players during these past 12 months. Andrew was always there to make sure that, off field, things were looked after and anything I missed he was right there behind me to ensure it was done. I must also thank Nicole Newey for the sacrifices she has made, supporting Andrew in the many hours he spends weekly doing work for the Glen Waverley Hawks Football Club.

While I am offering thanks for services rendered on behalf of our football club there are so many of our Club Committee and volunteers, often in the background, who keep our little Club functioning. None more so than Sharon Dancey who has this year decided to hang up the apron as head of our canteen at the end of this season. Sharon has been a cornerstone of the Glen Waverley Hawks since the very beginning and her dedication and love for the Football Club can never be questioned. She will be greatly missed. To Steve Potts, Matt Munari, Andrea and Gary Hocking, Graham Dancey, Paul Hewitt, Richard Janssen, Greg and Stevie Whitehead, Drew Withers and Daniel Eastman your efforts throughout the year are greatly appreciated and the Club could not have functioned without you.

On the field it is very pleasing to record the success of our Division 5 Netball Champions. Led by Captain Erin Anderson, the team finished atop the ladder and then recorded a heart-stopping victory in the grand final by a single goal. It was the first year in our history having multiple netball squads and we hope this part of our Club continues to grow.

On the football field, our senior team had its ups and downs. A slow start, losing our first two games by a kick put us immediately behind the eight ball and to their credit the team led by Ryan Flack (Coach) and Jesse Dunne (Captain) managed to not only right the ship but score signature victories over eventual premiers Donvale and a top four side in Coldstream. Unfortunately, finals weren't to be this season as a tough three game away stretch at the back end of our season proved our undoing, as losing all three had us out of finals contention. We have shown in 2017 that our best is good enough but that our depth needs to be built so that we can be at our best more often.

We also need to acknowledge the performance of our reserves side for the year. Whilst a lack of depth affected the senior side throughout the year, it was something that Coach Brad Matthews had to deal with all year long. We commend Brad and the players who turned up and gave their all week in week out, often against more talented opposition. Their two wins for the year were well deserved and is something we must build on in 2018.

As President, I attended a number of meetings with EFL officials regarding the future of the Eastern Football League. The most important change that will affect the Glen Waverley Football Club is the move to a five division league in 2019. Whilst an eight team division will provide greater opportunity for more clubs to play finals we must remain vigilant to ensure that with less teams our revenue stream stays solid and does not drop away. Like all not for profits we must adhere to a tight budget and any potential drop in revenue is cause for caution.

My first year as President was as eventful one. I was privileged to receive tremendous support from the committee and the playing group and I certainly have many areas of management which I can improve. It is every President’s wish that when they come to the end of the year that the Club is in a better position than when you started. In many ways we have achieved that with some important capital investments and the prospect of brand new rooms, canteen and bar for 2018. I look forward with only positivity at what is ahead of the Glen Waverley Hawks Football Club and I have total faith that the quality people we have here will ensure success on and off the field sooner rather than later. JUNIOR PRESIDENT’S REPORT We started the season with 37 players and ended it with 76 including a whole new team of under 8's.

The 8's and 9's went from strength to strength learning new things about teamwork and football each week. Celebrating each win with gusto.

Our two competitive teams had a tremendous home and away season with the U11A's securing 3rd and the U13C's first on the ladder.

While the finals didn't go as we'd hoped, the boys and everyone involved with these teams are proud and excited to see what happens in season 2018

As a football club, we only work with the support of our volunteers and parents, it would be wonderful to see some more junior input into the 2018 committee.

Thank you to everyone who helped this year, it is much appreciated.

TREASURER’S REPORT

Overview

The season opened with the committee reviewing the previous year’s accounts. Consolidation of the bank accounts with NAB helped to stream line the accounting process moving forward.

The Club also integrated the accounts into the online portal web site TidyHQ which gave us the ability to better manage the Club’s income and expenses. This system also allows the Club to integrate its web site with the daily management of memberships, Club events and the introduction of an online shop. This means our members got to pay online direct into our bank account. Moving forward, the Club will further utilize TidyHQ to improve processes and systems.

The 2016 season had a number of outstanding accounts with the EFL, ESP (club merchandise) and the Clubs senior coaching staff. We paid out a total of $8,197.36.

Investment in the Club’s account processes saw us purchase three touch screen Point Of Sale systems. This allowed the Club to put in place cash controls as well as the ability to report on sales by departments as well as down to individual products. This information will allow the Club to future plan and budget on the various areas from bar, canteen and merchandise.

Other investments saw the Club purchase a two door fridge, fryer and freezer for the kitchen/canteen. The reintroduction of beer on tap saw the bars, both outside and inside, get a makeover which was well received by the Members. The Springvale RSL was a great support as the supplier of kegs for the Club, sponsoring a total of four over the season. A trailer was also purchased to assist the trainers in transporting the medical supplies to all of our away games. In total the capital investments came to a total of $5,316.08

Football Department

With the introduction by the EFL and AFL Victoria of the Player Points and Salary Cap under the Community Club Sustainability Program, all clubs were entering new territory. Division four had a financial salary cap of $75,000 with player points capped at 50 points to select 22 players each round. Full details about this system can be found on the EFL web site.

Having said that, our player budget came in at $63,670.00.

Hosting the first two weeks of the EFL Junior and senior finals series saw the Club put in a large number of hours in preparation leading up to and on the day.

The work generated over the four days produced the following figures

Bar/Canteen/Merchandise

With the introduction of the POS, the Club has been able to introduce a members pricing structure. Again, well received by the Members. The committee will need to analysis the results as they set the pricing structure for season 2018.

Bar ran at 51% and the canteen at 56%.

The Club needs to appoint a Merchandise Manager to better track the sale of items and improve the overall bottom line. An area which needs improvement.

Looking Ahead

With the introduction of the new pavilion for season 2018, the Club will be able to host a number of functions and events both on game days and in the evening. This has the potential to generate additional income not currently enjoyed.

Sponsorship must remain a focus for the committee. It must be ensured that all sponsors get value and recognition for their investment.

Due to my work commitments I will not be standing for Club Treasurer for season 2018. I wish the incoming Treasurer every success and as always will be available to support and assist in this transition.

The Club

CLUB SECRETARY This has been my first year as the Club Secretary. I must say that I have found it to be a rewarding position, without the support of the committee and my family, I sure it would be a different story. My wife Nicole has played an important role helping keep the daily correspondence in check and generally being the Secretary to the Secretary.

Monash Council

The Parks and Recreation department of the Monash council, for the most part, have played a supportive role in making sure the ground and facilitates are in fine working order.

Ken Calder has played an important role liaising with Council on a number of matters including keeping a watchful eye on the progress of the new pavilion. It is expected to be completed in the coming months and will see us start season 2018 in the new facility.

EFL – On Field/court

The Senior Football department has been running well over the season with Steve Potts as the Football Operations manager doing a great job. The Club will be looking to expand this department with new coaching staff for season 2018.

The Junior Club will be looking to expand its support for the President, Bec Snape, in season 2018. We will be looking for help from Members to assist in roles like Team Managers, a Fundraising / Functions team and the role of Club Registrar.

EFL Netball is growing at an exceptional rate within the League and the Hawks will be looking to host a third team in season 2018. The Blue team, Grand Final winners, will welcome Dan Eastman as their Team Manager and for the Yellow team, Rebecca Mazzarella will do the same. These two key roles will see the club better manage the teams and will help to control the finances.

Administra on

The Club moved all of its management into a centralized online web based management system called TidyHQ. This software has helped the committee mange the day to day operations of the club in areas like:
