    The purpose of this white paper is to show how you can make sure the appraisals

    are created with all the required functionality and permissions needed when they

    are part of a Performance Management Plan, or when created in mass using the

    concurrent process of Mass Appraisal Creation.

    When troubleshooting appraisals created as part of a Performance ManagementPlan to see why they are not giving the expected permissions, first check to see

    what was flagged in the appraisal template that was used when they were created.

    If the appraisal template name is not known, you can get the name used by

    reviewing the Performance Management Plan.

    The Performance Management Plan administration is located under the HR

    Professional v4.0 responsibility. From this responsibility, select the function for

    Performance Management. In the section for Administration, the Performance

    Management Plans link can be selected.

    Next screen, search for the Performance Management Plan name that was used and

    select the Update icon.

    Click Next through the first and second pages of the plan until the Update Plan:

    Process page is shown. In the Appraisal region, the appraisal template that was

    used to create all the appraisals is displayed.

    Once the appraisal template name is known, or if it is known already, navigation to

    the appraisal template is located in the Performance Management function under

    the HR Professional v4.0 responsibility. Located in the Setup region is a link toManage Appraisal Templates.

    Search for the Appraisal Template that is used in the Performance Management

    Plan.

    Click on the Details icon for the appraisal template. This will show how the

    template was setup when the appraisals were created as part of the Performance

    Management Plan.

    The Share Options region is divided into two sections. The first section beingDetails to Share with Appraisee and the second section being AppraiseePermissions. When main appraisers share appraisals with appraisees, they specifywhich information the appraisee can view and whether the appraisee can updatethe appraisal. For example, to share competency ratings and comments, the mainappraiser selects the Competency Ratings and Comments check box. By default, nosharing option isselected, but you can change this initial setting for appraisals that use thistemplate.

    Please Note: The main appraiser can override these initial appraisal-sharingoptions in appraisals that use the template.

    In the section for Details to Share with Appraisee the valid selections are:

    Overall Comments

    Participant Details

    Participants Comments

    Objective Ratings and Comments

    Overall Ratings

    Participant Names

    The next region is the Learning Path. In the Learning Path region of an appraisal,you can identify training courses for the appraisee. You select the Include LearningPath option to include the region inappraisals.

    The next region is the Competency Profile. To see the competency details, select

    the tab for Competency Template. This will display the competency template that

    was included in the appraisal template and which competencies will be created as

    part of the appraisal.

    The next region is the Offline Template Details. To enable the appraisal participantsto complete the appraisals offline, you must select an offline appraisal template foreach appraisal participant type (main appraiser, appraisee, and other participant) inthe Offline Appraisal Template Details region.

    The next region is the Access Appraisals of Terminated Workers. There are 2checkbox selected in this region. One is if appraisals for terminated employees are

    to be shown and updated. The other is if appraisals for contingent workers are to

    be shown and updated.

    The last region is the Access Appraisals of Future Terminated Workers. This

    checkbox allows appraisals to be updated if there is a future termination date

    pending for an employee.

    You can roll back plans from the Performance Management Plans page. You may

    accidentally publish a plan with incorrect dates or details, or to the wrongpopulation. You can take a corrective action by rolling back such a plan. You canroll back plans that are at any status except at the Draftstatus. However, youcannot roll back completed plans. Rolling back a plan is an irreversible action.When you click the Roll Back icon for a performance management plan, theapplication displays the Monitor Plan page with a warning message.

    Note:You must monitor the scorecard and appraisals details before you choose toroll back a plan.

    When you rollback a plan, the application removes all the transactional data relatedto the plan including scorecards, objectives, appraisals, and sets the plan status to

    the Draft status. A notification is sent to all members of the plan population whenthe performance management plan is rolled back.

    To roll back a published Performance Management Plan, select the HR Professional

    v4.0 responsibility and navigate to Performance Management. Click on the link for

    Performance Management Plans.

    Search for the Performance Management Plan to be rolled back. As long as the end

    date of the plan has not passed, the Roll Back icon will be enabled.

    Click on the Roll Back icon for the appropriate plan.

    You can use the Criteria / Filter option to display how many appraisals will bedeleted during the roll back process.

    Once a plan is rolled back, the status of the plan becomes Draft.

    To republish a plan, select the Publish icon for the appropriate plan after all updates

    and corrections have been made.

    When you republish a performance management plan, the application does notdelete appraisals and scorecards of workers if they are no longer part of thepublished plan population, for example, because of termination or transfer toanother plan. The application changes the status of these appraisals andscorecards to Transferred from Plan. This status is displayed for all scorecards andappraisals of workers who are either terminated or transferred from the publishedplans. You can view the scorecards and

    appraisals with the Transferred from Plan status on the Monitor Plan page using theHR Professional or HRMS Manager responsibilities. You cannot view or access thescorecards or appraisals with Transferred from Plan status using Employee orManager Self-Service responsibilities.
