St. James Episcopal Church Vestry Minutes

March 24, 2015

The meeting was called to order by Fr. Jim Trimble. In attendance: Fr. Jim Trimble presided over the meeting with vestry members: Tim Beamer, Skip Bentley, David Gleason, Ed Heymann, Susan Hinkel, Gabriela Keemer and Corky Webb. Absent were: Shane Ball, Joe John, and clerk, Ann Schatzinger. OPENING PRAYER AND DISCUSSION OF THE VESTRY RESOURCE GUIDE Fr. Trimble opened with prayer and led the members in a brief study from Chapter III of the Vestry Resource Guide (VRG), “Being on a Vestry Means . . . “ At the next meeting the Vestry will Discuss Chapter IV of the VRG. Member are asked to be familiar with the material. CONSENT AGENDA The Consent Agenda (attachment) was presented with no changes. Susan Hinkel made a motion that the Consent Agenda be accepted, motion was seconded, vote taken, and the motion passed. OLD BUSINESS Bylaws Committee update: Skip Bentley and Susan Hinkel reported that they are making good progress on the updates. Painting/Carpeting update: Ed Heymann reported that mid-April is the target date for completion. Stewardship Update: 53 pledges for 2015. “Planned Giving” brochures will be mailed out with the quarterly pledge statements. Ed Heymann further reported that there will be a Parish Breakfast on April 19th. Treasurer’s Report was presented by David Gleason. Ed Heymann made a motion to accept the report, motion seconded, vote taken, and the motion passed. Attached to minutes. Fundraising Update: Corky Webb reported that $88 was raised at Gustavo’s Parish Night, and that $285 was raised from the NCAA Brackets.

NEW BUSINESS St. James Calendar was presented, through August, and is attached to the minutes. There was discussion of hiring the Rev. Jerry Cappel as Priest Associate at the rate of $3,000 a year, plus paying his pension fund (18% of $3,000). This discussion will continue at the April Vestry meeting. Rev. Cappel’s letter of introduction and proposal, along with letter pledge to St James, is attached. FOLLOW UP Members need to acquaint themselves with Chapter IV of the Vestry Resource Guide for discussion. Our next Vestry meeting will be held on April 24th at 6:30 ADJOURNMENT There being no further business, the meeting was adjourned. Fr. Dear Mr. John,

It is with the most sympathetic understanding that I, on behalf of F.W, Owens Company, apologize for the unfortunate occurrence involving a pre-school student this past week. F.W. Owens Company instructs all construction employees with respect to on the job safety, which is especially critical when working at occupied facilities.

The direction of our construction mission has often placed our operations in operating hospital environments, and our intended approach is to avoid accidents by consideration of all projects to be just as critical as working in a hospital environment. However, there can be hazardous moments on any project we have worked to avoid.

We had been working with the pre-school staff to avoid such an incident as occurred. At the time of the incident, regardless of the overhead protection that was in place, our employees had not notified the pre-school staff of the expected short time overhead operation, and failed to respect the possibility of someone being below the protection to prevent such an unlikely occurrence. What seemed to be a matter of most non-hazardous construction to employees on the job, became an unfortunate learning experience for them, and the misfortune of a surprised young victim.

F.W. Owens Company is sincerely sorry for the circumstance producing the incident. It was an occurrence we will continue to strive to prevent, and thank God it did not produce greater harm to more unsuspecting children. We will continue to work with the pre-school staff through the remaining construction activity to insure conditions remain safe for any and all persons exposed to the environment.

Vestry Meeting April 21, 2015 Presented by Ed Heymann Stewardship Father Jim has mailed personal notes to the latest parishioners who made a pledge for 2015. This gives 54 pledges for 2015 compared to 44 pledges for 2014. Father Jim will home visiting a designated list of parishioners in coming months. I want to applaud Father Jim for his initiative in recognizing those who have pledged. Father Jim and I have met to outline a road map for 2016 Stewardship that will be launched in late September. Breakfast will be served Sunday April 19 and May 17 between services. Breakfast will consist of egg/sausage casserole, sausage gravy and biscuits, fruit and sweet items. Debbie Hanna will assist me for breakfast. Hand written notes were mailed by Father Jim and several vestry members to Robin Leake and sister Helena Gleason for preparing the Sedar Meal. Endowment Brochure “Planned Giving” Stewards of God’s Bounty will be included with first quarter pledge statement. Additional brochures will be included with upcoming quarterly statements. I have an upcoming meeting with Stock Yards Bank in relationship to Endowment. We have a trust in the “Lizzy Dulaney Fund” and want to garner their knowledge locally regarding Endowment Planning. There is an additional resource with the National Endowment Council and State Street Investments in Boston Mass, that works with the Episcopal Church Endowment Council. Will bring follow up information to an upcoming vestry meeting. Paint and Carpeting This will begin after front of Gleason Hall is completed and following ECW yard sale April 10-11.. Painting and carpeting will begin the week of April 27. Green Space Maintenance To implement phase II of the Green Haven Tree Care plan for our campus. Money for phase II was built into the 2015 budget. This is the plan outlined in 2014 and presented at a vestry meeting. Phase III would be implemented in 2016.
