Running the Xbench QA check

Launch the Xbench application In the Project menu select New The following dialog box will open Click the Addhellip button

Select a relevant file type

If you are working with TTX files select Trados TagEditor files

If you are working with a Trados Studio 2009 or 2011 project select Trados Studio File (see the screenshot below) etc

Click Next

In the Add Files to Project dialog box choose the File List tab and click Add File Browse to the folder where your project is located Click Next

Ensure the Ongoing translation checkbox is selected Click OK

The Xbench application will start loading a language pair Once it has finished select the QA tab where the checks are displayed The QA tab lets you define the verification method First select a topic in the Check Group window then determine what you want to check in the List of Checks window By default all the checkboxes are ticked except for Target same as source It is recommended to select that option as well

After defining the checks click the Check Ongoing Translation button

The application will display a report listing the issues found

Note 1 In the report you might see some strings marked as Not translated (these might come from the translation extract which you did not translate mdash in such case these ones are OK)

Note 2 Sometimes Xbench swaps the languages For example it may treat Hungarian as the source and English as the target language If this is the case you can look for inconsistencies in the source to find errors in Hungarian

Note 3 If this method is not giving the expected results you can do the following In Transit export the Project as a TMX file Then follow the steps 1 to 9 but in Step 2 select TMX memory instead of Transit directory tree

Non-Latin scripts

If you are performing a QA check on a file containing non-Latin scripts (eg Russian Japanese or Greek languages) Xbench may encounter problems with displaying the characters In such a case you need to change the setting Language for Non-Unicode Programs in your system Regional and Language Options In Windows 7 go to Control Panel Region and Language choose the Administrative tab click on Change system localehellip select the desired language and restart your computer

The report

On the left-hand side of the report you will find the error type information and the name of the file where the error can be found The two adjoining columns contain source and target segments respectively

The window at the bottom of the page displays different types of information depending on the report line selected

Working with the report

To correct mistakes found in the file(s) select and right-click on the error you want to correct From the context menu displayed choose the Edit Source option (or simply press Ctrl+Alt+Enter)

For Transit language pair the text will open in the Notepad and you will only see the translation To view the source as well you have to open the file manually

For TagEditor files the text will be displayed in TagEditor you just have to select a relevant INI file (Tag Settings) first If you are not prompted to select a specific INI file while working with the TTX file just select Predefined HTML Setting If you are not sure what to do ask the PM

Detecting inconsistencies

In order to analyze inconsistencies itrsquos best to generate 2 reports one with the option Ignore tags selected and one without

The first report will show results of the content analysis where tags are not taken into consideration In this report you should concentrate on all issues classified as Inconsistencies in Source and Inconsistencies in Target

In the second report the number of inconsistencies detected will most probably be smaller but in this report you will find other issues that were not included in the first report (because the tags were ignored) and that also need to be checked and corrected if needed

Saving the report

To save the report right-click in the report area and select Export QA Results (or choose Tools Export QA Results) Browse for a location to save the file You can save it in three formats HTML XLS and XML (It is recommended to use the HTML format It is the most user-friendly format especially when sending the report)

After correcting the mistakes right-click again in the report area and select Check Ongoing Translation (or click the Check Ongoing Translation button displayed in the QA tab) A new report will be generated showing errors which have not been corrected yet If there are no more errors in the file(s) the report area will be empty

Launch Xbench In the Project menu select New The following dialog box will open Click the Addhellip button

Select a relevant file type Click Next

In the Add Files to Project dialog box choose the File List tab and click Add File Browse to the folder where your glossary is located Click Next Ensure Key Terms checkbox is selected Click Next

A new dialog box will open Select a relevant language pair Click OK

The glossary file will be displayed in the Glossary List area and marked with a green star

Click the Addhellip button to add files that need to be checked against the glossary Choose relevant file types Click Next

Spelling checking plug-in

There is a spelling checking plug-ins available for ApSIC Xbench (33 supported languages) You can use the plug-in if you are asked to exclude ICE (XU) segments from spelling check

Here you will find the spelling check plug-ins

Go to ldquo Spellchecking QA plug-ins NEW v20rdquo and download the spelling check plug-ins for the relevant languages

Once you have downloaded the ZIP folder for a required language copy the unzipped contents of the folder to ApSIC Xbench directory (usually it can be found here CProgram FilesApSICXbench)

You will find a new option in the Check Group area the next time you open Xbench

Working with the report

To correct mistakes found in the file(s) select and right-click on the error you want to correct From the context menu displayed choose the Edit Source option (or simply press Ctrl+Alt+Enter)

For Transit language pair the text will open in the Notepad and you will only see the translation To view the source as well you have to open the file manually

For TagEditor files the text will be displayed in TagEditor you just have to select a relevant INI file (Tag Settings) first If you are not prompted to select a specific INI file while working with the TTX file just select Predefined HTML Setting If you are not sure what to do ask the PM

Detecting inconsistencies

In order to analyze inconsistencies itrsquos best to generate 2 reports one with the option Ignore tags selected and one without

The first report will show results of the content analysis where tags are not taken into consideration In this report you should concentrate on all issues classified as Inconsistencies in Source and Inconsistencies in Target

In the second report the number of inconsistencies detected will most probably be smaller but in this report you will find other issues that were not included in the first report (because the tags were ignored) and that also need to be checked and corrected if needed

Saving the report

Use button to move the actual errors to Real Misspellings area Once you finished reviewing the entries click OK to close the window Segments with actual spelling errors will be displayed among other Quality Check results in the report You will be able to use the Edit Source option to correct the selected spelling errors

This is probably the most common format for storing glossaries

It has to be organized in a certain way

Headers of all columns (the first line) such as ldquoEnglishrdquo or ldquoPolishrdquo should be removed otherwise they will appear in the search results

Creating a tab-delimited text file from the MS Excel (XLS XLSX) glossary

a) Open the XLS file and remove all column headers (usually the first line) then swap the columns or remove unnecessary ones until Column A contains source terms and column B translations Additional information can be put in the adjoining columns mdash it will also be visible in the search results Example

In this case you should remove the first line (headers) column A (the codes are redundant) and column C (as it is empty) The remaining columns may be left unmodified If they contain text it will be visible in the search results

Here is the resulting file

Note Remember that the glossary file may contain only one tab If there are several tabs in the Excel file remove them before saving the glossary in the TXT format

Creating an Xbench project

a) In Xbench go to Project New

b) Click Add in the Project Properties window and add appropriate files If you have a few files of the same format located in the same folder you can add them all at once

c) The File List tab will appear in the Add Files to Project window and you will be able to add more files of the same format After you have finished click Next The Properties tab will be displayed where you may set the options for the imported files You can change these options later

Priority (Low Medium High) mdash arranges the files in order of importance Choose an appropriate option according to the actual priority eg glossaries will usually be placed higher in the hierarchy than translation memories

Remove duplicates mdash removes identical pairs Selecting the option is not recommended as you will not be able to check whether a certain phrase was translated identically in different files

Key Terms mdash you should select this option when adding reference materials such as glossaries Key terms will be additionally marked with an asterisk

Swap source and target mdash if you select this function the source language will now be the target language

Auto refresh mdash the glossaryTM will be automatically refreshed The option is useful when you add new terms to the glossary

Mnemonic processing mdash this option removes certain characters (eg amp) and may be useful in some software localization projects

d) Click OK Your file(s) will appear on the project list Click Addhellip to add files in other formats Repeat steps a)ndashd) until you have imported all the files You can change the file priority and order

e) Once you have arranged the files click OK The file import will begin After it is finished the Xbench main window will appear (Project tab)

Performing a search

To perform a search select the Project tab in the ApSIC main window In order to display the Source Term and Target Term fields click the icons ldquoSrdquo and ldquoTrdquo on the toolbar

Note The Target field might also be used to check if certain source terms have been translated in the same way in the project files Additionally by populating both Target and Source fields you can check the occurrences where a source term eg ldquoaaardquo has been translated as ldquoxxxrdquo or ldquoyyyrdquo

However it is more convenient to use the key combination Ctrl+Alt+Insert after selecting the desired word or phrase in any application You do not have to copy the desired phrase to the clipboard just select it In the Simple mode the search result must contain the phrase you searched for (if you search for ldquokeyrdquo the results will include such combinations with the phrase ldquokeyrdquo mdash ldquohotkeyrdquo ldquokey termrdquo and ldquokeyholerdquo but if you search for ldquoThats greatrdquo you will not find ldquoThats greatrdquo) The results are sorted from the most similar (in terms of length) to the least similar What is more phrases from documents marked as Key Terms will be displayed at the top of the list followed by phrases from documents which have been assigned one of the Priority categories ie High Medium and Low

It is recommended to choose Show All Matches (otherwise you will only see 20 initial results) Additional search options are clear and rather intuitive If you perform a search in ApSIC you can click Enter and the currently selected entry from the search list will be copied to the clipboard and you will automatically return to the application that was last used (eg TagEditor or MS Word)

Advanced search

Advanced search can be performed in two ways Using Regular Expressions or MS Word Wildcards They are quite similar and are both based on special characters If you have never used regular expressions it may take some time before you get to know them Here are some of the simplest ones

a) asterisk ldquordquo replaces none one or more characters Searching for ldquocoldboxrdquo will return ldquocoldboxrdquo ldquocold-boxrdquo ldquocold boxrdquo but also ldquoMy Coldrex in the yellow boxrdquo

b) full stop ldquordquo replaces exactly one character Searching for ldquocoldboxrdquo will return ldquocold-boxrdquo ldquocold boxrdquo ldquo1 cold boxing showrdquo but not ldquocoldboxrdquo

c) ldquoltrdquo and ldquogtrdquo stand for the beginning and end of the phrase respectively When you look for ldquoltfacerdquo you will find ldquofaceplaterdquo but not ldquointerfacerdquo (which would be found if you skipped this character)

Combined with asterisk it is used for decoding acronyms If you search for the meaning of ldquoMOPrdquo which was left untranslated type ldquoltM ltO ltPrdquo (including spaces) and you will get

Swap source and target mdash if you select this function the source language will now be the target language

Auto refresh mdash the glossaryTM will be automatically refreshed The option is useful when you add new terms to the glossary

Mnemonic processing mdash this option removes certain characters (eg amp) and may be useful in some software localization projects

Creating an Xbench project

a) In Xbench go to Project New
