Bridging the Gap Welcome to the ARMA San Antonio 2012-2013 season. The chapter’s theme this year is “Bridging the Gap”. The theme fits very well in a few ways. 1. ARMA will be providing its members with education-

al opportunities in between monthly educational lunches by making Managing Electronic Records (MER) Conference educational sessions available to you. MER is a national conference exclusively fo-cused on addressing the key operational, technical, and legal issues associated with the life-cycle manage-ment of electronic records. Members will be able to view topics of interest via the ARMA San Antonio new and improved Website. More details will follow as the chapter builds its membership outreach web site.

2. Clint Wentworth, CRM, ARMA Board VP, has built

the chapter’s new website armasanantonio.org. You will find that this website is user friendly and will al-low members to access additional educational pro-grams, view a calendar of events and register online for monthly chapter education events. Please visit the site and give us your feedback on its functionality and any improvements you would like to see.

3.  We are proud to announce that we have a solid edu-

cational program already scheduled for this year, thanks to Ed Barba’s (VP Programs) proactive effort this past year to schedule the upcoming luncheon programs. This year’s educational luncheon speakers bridge the gap between various disciplines of records management. Topics include – Compliance in the Cloud, Disaster Recovery, Social Media, E-Discovery,

and Project Management. The chapter is continuing this year to offer a discounted package which will provide you with 8 monthly educational events for the cost of 7. See the bottom of this page for more details and the schedule of chapter events on page 14 for a list of programs.  

 4. We are going to be offering a “Bring the Boss” pro-

gram. This program is intended to close the gap be-tween a boss who simply supports your participation with ARMA and one who has actually had an oppor-tunity to experience an event. Look at the scheduled events and pick one that would be of interest to your boss, and invite your boss to join us. The cost for your boss’s attendance will be covered by your chap-ter. This is the chapter’s way to say Thank You to the bosses who support us. More information is pro-vided on page 1 under the September program de-scription.

5. Our chapter is hosting (bringing to you) the South-

west Region CRM Conference in May. The CRM Study Group is active and currently studying Part 4: Records Appraisal, Retention, Protection and Dispo-sition.

Thank You to

San Antonio Credit Union (SACU) staff have worked hard for the ARMA chapter for many years to help with both Shred Day events in April and the golf tournament in May. Chris Jacobs has worked untiringly to coordinate both of these events, which allow our chapter to donate to local community organizations such as the San Antonio Police Department, the Credit Union for Kids support of Santa Rosa Children’s Hospital, and the Women’s Shel-ter while at the same time earning money for chapter scholarships and educational activities. SACU has provided the lion’s share of publicity for Shred Day with press releases and WOAI announcements and has allowed the use of numerous SACU branches as collection centers. SACU staff and their families have donated their time and en-ergy to help man the collection centers, hauling boxes of records to shred trucks and handing out information on identify theft. SACU has also generously provided meeting space for monthly Board meetings. All ARMA chapter members are eligible for membership in SACU.

MEET THE NEW ARMA SAN ANTONIO CHAPTER BOARD MEMBERS

The ARMA San Antonio Chapter has three new Board members this year. Lisa Pichardo—Vice President, Professional Development Lisa has been on the Board before but is returning this year. Since 2003, Lisa has been responsible for establishing, implementing, and managing all the records for Port San Antonio. Lisa is the primary point-of-contact for the Port’s records and is responsible for managing the electronic Records Management System. She pro-vides training to all employees in the use of the electronic records management system, records management policy, and file plan. In 2007, Lisa earned an A.A.S. in Records Management degree from San Antonio College. Lisa will be responsi-ble for developing the chapter’s annual seminar that will be held in February and is the chair of the Seminar Committee. She looks forward to serving you and the chapter. Melissa Wallis—Director Melisa is a manager at Southwest Research Institute where she has worked for twenty years. She has a BS in Computer Science, MBA in Management, MS in Electrical Engi-neering and is a certified PMP. She is married and has two daughters, one who attends Churchill High School and one who attends Keystone School. Throughout her years at Southwest Research Institute, Mellisa has worked on many different types of projects that included satellite track-ing systems, business applications, and space applications. Now one of her current tasks is to work on developing and im-plementing an electronic document management system for the Institute. Carri Wiggins—Director Carri Wiggins returns to the ARMA Board as a Director, after a six-year hiatus from the board. Carri has worked in rec-ords management for more than two decades and currently serves as the Boards and Commission Coordinator in the Of-fice of the City Clerk for the City of San Antonio. She joined the CRM (Certified Records Manager) study group this sum-mer to continue her professional development in Records Management. Carri first became involved with ARMA San Antonio in 1998 as a vendor. She exhibited at the annual conferences while employed as a sales person for a San Antonio-based imaging company. After a couple of years as a member of ARMA, she was invited to serve as Secretary, then Newsletter Editor, Vice-President, President, Chairman of the Board, and a Di-rector. Carri’s involvement in records management goes back to the early 1990s when she and her husband had a small microfilm-ing business in the Houston area. She remembers pulling endless staples from documents with her three daughters playing at her feet. She saved the document indexing for nap time and their school hours. The Wiggins family’s relocation to the San Antonio area came when Will took a job as a sales representative for a large imaging company, which was leading edge technology in those days. When Carri re-entered the work force, she took a position selling imaging services and systems as well as COLD conver-sion services. The three years as an imaging specialist provided Carri with new knowledge of electronic conversion, elec-tronic document management and workflow. From there, Carri spent a year working in a private archive processing and cataloguing personal papers and mementos. The diverse items and history of the items as well as some of the history and

She gained a working knowledge of acid free folders, box-es, sleeves, preservation of newspapers, photographs, and handwritten notes. The next chapter of her career was spent at the Bexar County Auditors Office. There she headed up the relocation of an office with a staff of 50 that had been in the same location for 27 years, and found that the office had never thrown any-thing away. The first six months were spent looking for documents worth saving. Carri then planned and managed another project to convert the accounts payable files for the County and converted more than 2 million documents from paper to images. Now at the City of San Antonio, Carri encourages her team to embrace similar changes in their business operations. Her knowledge of records management has helped to inform her role as an office administrator, and the experience she’s gained from her association with ARMA and previous jobs has informed her practice. Carri and her husband Will live in Boerne. They are the proud parents of three adult daughters and one son-in-law, and a one-year-old grand daughter.

Email ‘vacations’ decrease stress, increase concentration U C I F I N D I N G S C O U L D B O O S T O N - T H E - J O B P R O D U C T I V I T Y

— Irvine, Calif., May 03, 2012 — Being cut off from work email significantly reduces stress and allows employees to focus far better, accord-ing to a new study by UC Irvine and U.S. Army researchers. Heart rate monitors were attached to computer users in a suburban office setting, while software sensors detected how often they switched windows. People who read email changed screens twice as often and were in a steady “high alert” state, with more constant heart rates. Those removed from email for five days experienced more natural, variable heart rates. “We found that when you remove email from workers’ lives, they multitask less and experience less stress,” said UCI infor-matics professor Gloria Mark. The study was funded by the Army and the National Science Foundation. Participants were computer-dependent civilian employees at the Army’s Natick Soldier Systems Center outside Boston. Those with no email reported feeling better able to do their jobs and stay on task, with fewer stressful and time-wasting interruptions. Measurements bore that out. People with email switched windows an average of 37 times per hour. Those without changed screens half as often – about 18 times in an hour. The findings could be useful for boosting productivity and suggest that controlling email login times, batching messages or other strategies might be helpful. Getting up and walking to someone’s desk offered physical relief too. Other research has shown that people with steady “high alert” heart rates have more cortisol, a hormone linked to stress. Stress on the job, in turn, has been linked to a variety of health problems. The Army is examining use of smartphones and such applications as email for soldiers on battlefields.

2013 Certified Records Manager (CRM) Examination Preparation Workshop Committee — Jenny Barker, CRM, Chair [email protected] or (830) 980-9453 The CRM Examination Preparation Workshop is a joint effort between the San Antonio Chapter of ARMA and the Southwest Region of ARMA. Two committees coordinate their efforts. The Region Team is led by Everis Mollon, and the Chair of the San Antonio Chapter Committee (Local Committee) is Jenny N. Barker, CRM. It will be held on May 21-22, 2013 at the Emily Morgan Hotel in San An-tonio, TX. The Local Committee is responsible for the hotel flyer, name tags/badge holders, speaker gifts, vendor sponsor-ships, hotel transportation, AV equipment, tickets for door prizes, and the reproduction of handouts if needed. Both the Local Committee and the Region Team work to obtain bios, develop conference bags, confirm dates, select the hotel, select the meeting venue, choose an optional event, draft a schedule, arrange for session evaluations, confirm speakers, produce a final schedule, and handle on-site regis-tration. Other duties are the sole responsibility of Everis Mollon, Nick Oudie or the Region Team and include email to Presidents, menu selection, registration forms, chapter sponsorships, reports email to Presidents, the budg-et for the conference, an agenda for the President’s meet-ing, an agenda for the Region Officer’s meeting, purchase of hospitality suite items, hospitality suite set up, receipt of presentations, and confirmation of session set up arrange-ments. Audit findings are presented at the Sep-tember Board of Directors meeting. The

Committees — Continued from page 6 Golf Event—Chris Jacobs, Chair [email protected] (210) 258-1263 Swing & “Bear” It is an annual golf tourna-ment held on the Monday after Mother’s Day as a fund raiser for ARMA’s Educational Fund and the San Antonio Police Department’s Sex Crime and Family Violence Prevention Division. Proceeds from the tournament are used to provide ARMA educational luncheons, seminars and workshops as well as provide much needed items for SAPD. Volunteers are needed to assist with finding golfers, collecting door priz-es and silent auction items and assist with coordination and registration on the day of the event.  ICRM Study Group—Jenny Barker, CRM, Chair [email protected] or (830) 980-9453 Responsible for educational preparation of potential candi-dates for the ICRM certification exam. The committee will identify and provide support to chapter members interested in learning more about RIM and/or applying for, studying for, and taking the ICRM Certified Records Manager Exami-nation. So if you attend both days and give two original presentations you can earn 21 Certification Maintenance Credits. If you are on a budget and the two day conference fee is $150, this is only $7.15 a credit hour! Since not everyone loves present-ing, if you give one original presentation and attend both days you can earn 16.5 Certification Maintenance Credits, which costs $9.09 a credit hour! OK, you just don’t want to present alone or with a co-presenter? Then if you attend both days, you will get 12 Certification Maintenance Credits at the cost of $12.50 a CMP. I consider this to be an inexpensive way to get Certification Maintenance Credits, learn, and network with some pretty amazing people. Do you have a passion you want to share? How to preserve records? How to wrestle with Social Media in the work place? How to connect the dots between electronic and paper records? How you survived a disaster? All of these are great topics for Track 2. Track 1 is based on the new outline. The 8 tracks are Introduction to the CRM Examination, Part 1, Part 2, Part 3, Part 4, and Part 5 (2 sessions). The new ICRM power point presentation will be available for the speakers’ use. Since there is a fairly long history for this conference, prior presenters can share their wisdom and approach to each part. My goal is to have all the speaker spots filled by the middle of September. You do not have to be a CRM to present in Track 2.

The Southwest Region CRM Conference is being held in San Antonio on Tuesday, May 21, 2013 and Wednesday, May 22, 2013 downtown at the Emily Morgan hotel. Speakers are needed for both the CRM Examination preparation track and the Advanced track. Each track has 4 sessions and each session is 1.5 hours. Therefore every CRM in San Antonio and surrounding areas has an opportunity to easily and economically obtain their Certification Maintenance Credits. If this is the first time you have given your presentation you are eligible for a total of 6 hours of Certification Maintenance Credits! And, if you share the presentation with an-other speaker then you receive half of this amount. You can give more than one presentation. For example, if you present during one of the CRM Examination preparation sessions in Track 1 and then also present at one of the Advanced Track 2 sessions you can earn up to 6 hours for that presentation.

Lieutenant Carian, of the Special Victims Unit of the San An-tonio Police Department, has been promoted to Captain. The San Antonio Chapter of ARMA International supports the Special Victims Unit with our care bear collections and the annual golf outing. In the past, we have provided thousands of care bears for the police officers to hand out to child vic-tims of domestic crime. With funds earned from the Swing and Bear It golf outing coordinated by Chris Jacobs, we have also purchased new cameras for the unit to help in their inves-tigations and contributed money last year towards furniture for the newly redesigned Special Victims Unit area. Lt. Rene Gallegos is replacing Captain Carian as head of the Special Victims Unit. Congratulations to both Captain Carian and Lt. Gallegos!

MINIMUM QUALIFICATIONS • High school graduation or equivalent • Graduation from an accredited four year college or university • Nine years full-time records management or closely related experience • Experience working with electronic records and applying records management principles and best practices • Extensive knowledge of records management principles and best practices • Extensive knowledge of state laws, regulations and standards related to records management • Analytical skills to resolve issues in a variety of complex situations with moderate supervision • Skill in effective written and oral communication • Skill in planning, organizing and prioritizing work assignments with a high volume workload • Skill in developing and implementing procedures and evaluating their effectiveness • Skill in analyzing risks and providing recommendations for solutions • Skill in providing training and instructions to staff regarding records management policies and procedures • Skill in using a computer for word-processing and data entry/retrieval to include the use of various spreadsheet software applications such as Excel and Word • Ability to convey complex records management policies and procedures to a diverse group • Ability to effectively interact with all levels of employees including management regarding records management policies • Ability to lift and move items weighing up to 35 pounds
