1. Introduction

1.1 About the project

This is a project about stock management and all the possibilities of what may happen in

normal business management conditions such as all day-to-day operations of the business, aswell as conducted weekly accounting of the material stored in the company warehouse. All

these will be performed by the software.

1.2 About the organization

Gradi General Hardwares is a company that deals in Construction materials such as cement,

metal bars and other construction materials.

It is located in DRC , Goma Province, Mikeno Avenue , kamina street 31

2. Problem Definition

2.1 Problem description2.1.1 Existing system

The accounts department keeps ledger books where accounts information for each sold item and a

receipt is issued as proof of payment. This system is slow, tiresome, untidy and very insecure since it

can be accessed and modified by even the unauthorized personnel.

2.1.2 Problems in existing system

The problem of storage of the accounting documents such as invoices and orders would besolved.

Tedious arithmetic involved in the corresponding bookkeeping will be automated.

4. Proposed System (in brief).

The Stock Management System (SMS) assumes control over the bookkeeping and

accounting needed to operate a company specializing in retail sales. All day-to-day

operations of the company, as well as conducted weekly accounting of the products

stored in the warehouse will be performed by the software.

In my proposed system, vari ous databases which include the customers database, thesuppliers database and the various product categories of the products available in store are created for easy system maintenance.

In the proposed system, the problem of storage of the accounting documents such as invoicesand orders would be solved.

Tedious arithmetic involved in the corresponding bookkeeping will be automated in theproposed system.

A cost of maintenance of a specially trained accounting professional in the warehouse

would be saved by replacing this position with a software tool and a less costly data entry

specialist.

Accuracy: The level of accuracy in the proposed system is higher than that in the

existing system. All operations are done correctly and this ensures accurate information

being stored in the central database.

Security: Security is the main criteria for the proposed system. Since illegal access may

corrupt the database. So security has to be given in this project.

Easy to operate: The system is easy to operate in that; all details are available on a click.It also facilitates proper monitoring and at the same time reduces the workload of

employee.
