A step-by-step guide for continuing and fixed-term contract staff to login to myDevelopment

myDevelopment – Assigning Training in Bulk

Preparation There are a number of different ways of assigning training in myDevelopment. Depending on your admin permissions, you can assign training to freelancers or groups of staff and freelancers who may not display properly in myTeam You can assign course/s or curricula to individuals or multiple people at the same time. Although it is possible to search for Users and Courses whilst Assigning Training, it is not recommended as it can be time-consuming and adds complexity to the process. Tips to save time

Understand what training is required for each role e.g. for each producer. Have a list of names and SAP/staff numbers for the people who need training assigned. Having the list of curricula codes available can save time if you are assigning curricula.

As an example we are going to assign Media Law Online, Fair Trading Online and Anti-Bribery to 5 employees. You can assign or remove curricula or courses to staff or freelancers or a combination of both. Read the Helpcard Curricula v Courses to understand why you must assign curricula for mandatory training. To illustrate what happens, here is the user records for the employee with staff number 308048 BEFORE the assignment of the training. Four curricula show as being complete. Never un-assign curricula that have been automatically assigned by the system.

Navigate to Administration Centre > Training Administration > Users.

Under Tools select User Needs Mgmt.

Click Add Curricula.

Click Next.

Add in the users (to whom you are assigning the training) one-by-one



Add the SAP/Staff number of the first user.

Click Add.

You can also click add one or more from list and choose to search for the user by first name/last name etc.

Add in the users (to whom you are assigning the training) one-by-one



Check the name of the person you added is correct.

Add the SAP/Staff number of the second user.

Click Add.

Repeat these steps to add all the additional users one-by-one.

Confirm the names of all the users added and Apply Changes.

Confirm the names of all the users added.

Click Next.

There is no need to click Apply Changes unless removing someone from the list.

Type the code for the curriculum.

Click Add.

Check the curricula are correct.

Click Next.

Repeats steps 1 and 2 until all the curricula are added.

There is no need to click Apply Changes unless removing someone from the list.

Click Search.

Typing a search term in the Keyword field and searching will produce no results. You need to Add/Remove Criteria, add Course Title and then search by Course Title to get a result.

Tick all the curricula that you require. Click Add.

Set the Assignment Date for the Curricula



Click Next.

You cannot set how long someone has to complete the curricula. This is already defined centrally on each curriculum.

Confirm the assignment details are correct and process

Confirm the names of all the users added.

Confirm the names of all the curricula to be assigned.

Click Run Job Now.

You will see the confirmation screen

Find the user and check the assignment has taken place



If you have previously looked at the user’s training records then click the yellow star (recent activity).

Click on the record of the user you want to view again.

Fair Trading has been assigned, course has been completed previously, curricula shows as Complete.

Hostile Environments and Media Law Online show as Incomplete.

Assigning a curriculum AUTOMATICALLY takes into account if the course has already been completed.

You can also Remove curricula. Add courses. Remove courses. in a similar way. When adding or removing courses you can trigger the full course list or you can search for an individual course in a similar way to searching for curricula.

Never remove curricula that have been automatically assigned by the system.

An alternative approach to adding user SAP/Staff numbers This may be useful if assigning training to large numbers of staff and freelancers (maximum 500 in one entry).


At the User Needs Management > Select Users screen, click add one or more from this list.

Change the User ID setting to Any.

Enter all the SAP/Staff numbers in one entry separated by commas (maximum 500 SAP numbers).

Click User Status to be Both if you want to assign to both active and inactive users.

Click Search. The system will return all the users but will validate and remove users for whom you do not have permission to assign training e.g. in another division

Change the User ID setting to “Any”.

If User ID does not appear as a field

Click Add/Remove Criteria to customise what fields appear on your screen.

Ensure User ID is ticked (you can also “tick” any other fields you want to display).

Click Select.

The screen will update will the selected fields.

Click Add against each name to include or click Select All.

An Excel formula to insert the commas in a list of SAP/staff numbers

Write your staff/SAP numbers in a column starting in cell A1 of a spreadsheet (213425 in this example).

Copy cell A1 into cell B1

Copy this formula into cell B2 =CONCATENATE(B1,",",A2)

Drag the formula in step 3 down as far as the final staff/SAP number.

You will now see all of your numbers in one cell HOWEVER as this is a formula not the actual values so copy this cell. Select Paste (top left) then Select Paste Values

Copy this list of numbers separated by commas into the User ID entry field on myDevelopment.
