At GiveIndia, we value the trust and faith you have placed in us while making a donation. To ensure that we live up to this trust, we have a stringent selection process for the NGOs profiled on our site. The process ensures that your donation reaches the right people and is utilised appropriately. Objectivity of the selection: Since the selection process is based on an entirely objective set of criteria, no person can influence the selection. The process is methodical and every organisation has to clear each step to be finally profiled on our site. Organisations that meet all the criteria get listed automatically. Criteria we use for selection: REQUIREMENTS 1 You are registered as a Trust/Society/Sec. 25 Company 2 Your organisation has been in existence for a minimum of 1 year from date of registration 3 The address given by the organization is physically verifiable 4 You are registered under Sec.12A of Income Tax Act. (If you are not sure, please confirm with your Chartered Accountant). 5 You have filed your returns for the assessment year 2009 -‐ 2010. (Income Tax, FCRA and other statutory bodies) 6 100% of beneficiaries of donations received through GiveIndia are poor. For a better understanding of what constitutes poor beneficiaries, please get in touch with our team 7 You are unbiased in carrying out the activities of the organisation. For e.g. beneficiary selection, employee recruitment, etc. 8 Your organization will not use donations through GiveIndia for Political purposes 9 Your organization will not use donations through GiveIndia for Religious purposes 10 You are willing to create specific donation options and to provide individual feedback to donors (sponsor a child, help build a community centre, etc.) 11 You are an implementing agency, i.e., you actually carry out programmes on the ground, and are not only an intermediary or funding agency 12 You will prepare and send timely feedback reports within 4 months of receiving donations. 13 You will submit a Fund Utilization Certificate for funds received in the financial year, through GiveIndia, by June 30 of next financial year certified 14 You will submit a submit an Impact Report showing that all funds raised through iGive pages for your organization have been utilized only toward: 1. **Education AND/OR 2. Medical relief AND/OR 3. ***Relief of poor AND/OR 4. Preservation of environment As defined by or understood in the Income Tax Act, 1961. GiveIndia's own mandate is limited to only these areas, and hence if you don’t work in these areas, we would not be able to channel any funds to you. Since the selection process is based on an entirely objective set of criteria, no person can influence the selection. The process is methodical and every organisation has to clear each step to be finally profiled on our site. Organisations that meet all the criteria get listed automatically.

Criteria we use for selection:

REQUIREMENTS1  You are registered as a Trust/Society/Sec. 25 Company

Listing Norms1 Your organisation has a vision statement articulated beyond the registration document, which drives the organization.

2 Your organisation has defined and measurable indicators which will measure its performance against its stated objectives

3 Your organisation has a Governing Board, by whatever name called.4 Your organization discloses name, age, gender, occupation, and position of its board members.5 At least 2/3 of Board members are unrelated by blood or marriage6 Not more than half the Board members of your organization have remunerative roles

7Your Board has at 2 meetings in a financial year, suitably spaced (at least 3 months), with quorum as stipulated in its own articles of Association.

8 Minutes of Board meetings are documented and circulated9 Your organization has a policy related to Board Rotation. This may even be a policy of having no rotation.10 The Board approves and reviews programmes, budgets, annual activity reports and audited financial statements11 The Board ensures the organization’s compliance with applicable laws and regulations12 Activities are in line with the vision/purpose/objective of the organization

Your organization has appropriate systems are in place for: • Periodic programme planning/ monitoring/ review • Internal control• Consultative decision making

14 Clear roles and responsibilities for personnel (including volunteers) exist

15 All paid personnel are issued a letter of contract/ appointment16 Your organization has an appropriate Personnel Policy is in place

17The organisation has a written Board Policy for Purchase or Sale of Assets / Investments to gain Comparative Advantage for the Organization

Signed audited statements are available (for at least the latest completed financial year): 

• Balance sheet • Income & Expenditure statement • Receipts and Payments account • Statutory Auditors’ Report (The Auditor’s Report should not contain adverse comments) • Schedules • Notes on accounts

19Statement of Accounts should indicate whether they have been constructed on a cash basis (account for expenses and income at the time of actual payment and receipt) or accrual basis (at the time of earning or incurring).

20 There are no material transactions involving conflict of interest between a board/ staff member and the organization

Annual Report Disclosure Norms (NGO can undertake to fulfill these Norms from next financial year)

1The organization’s Annual Report carrying abridged financials (Balance Sheet, Income & Expenditure, Receipts & Payments Account or Fund Flow Statement) be disseminated/ communicated to key stakeholders and available on request every year, within 8 months of the end of the organization’s financial year.

2The organisation must disclose in its Annual Report, the salary and benefits of its Head, the highest paid staff member and the lowest paid staff member

3 The Annual Report contains information on the board members names and position on the board.4 All remuneration and reimbursements to Board members are to be disclosed in your Annual Report.5 The Annual Report contains information on the objectives of the organization, and a description of the main activities of the year.6 The Annual Report contains a review of progress and results achieved in the year.7 The distribution of staff according to salary levels and gender breakup must be disclosed in the Annual Report.

8The organisation must disclose in its Annual Report the total cost of international travel by all its personnel (including volunteers) – segregating those incurred on organizational expense and those that were sponsored, along with the name and designation of the person(s) who traveled, and the purpose(s) of travel

9 The organization discloses in its Annual Report the total cost of national travel by all its personnel (including volunteers) & Board members.
