1 thank you for your recent advice to our Chainnan and on behalf of the Board [ extend our congratulations to you and your committee for your election and for accepting to conduct the 48!h Australian National Square Dance Convention in South Australi a.

As the Board noted in our previous correspondence for your reference, I am pleased to include a copy o f the current Constitution, Operational Manuals and a draft three year plan (which will need to be adjusted noting your timeframe) along with a list of all current members of the Advisory Board.

To further assist your committee the Board has begun appointing Liaison Officers (generally the past convenor of the area) to assist committees with the enormous task of preparing for the convention and assisting your committee to over come any perceived problems as they come to notice, in your case South Australia, this is Jan Woodget (with Jeff Seidel as proxy), This role, whilst still being developed, is to provide assistance with the Consitution and Guidelines along with monitoring your progress to ensure that adequate provision is made on all issues required for National Conventions. To faciliate this procedure it would be appreciated if you could arrange for a copy of your minutes to be forwarded to Jan al the same time as your committee and allow her to attend appropriate committee meeting. This position reports directly to the Board to ensure that the Board is kepted well informed of your progress,

Nominations are called from financial members of the South Australian Square Dance Society for the following positions on the

Committee to organise and conduct the 2007 National Square Dance Convention in Adelaide.

(Anyone nominating must be prepared to serve for 2 3M years prior to the Convention and up to 12 months after the Convention]

• CONVENOR Applicants should ideally have management experience, be capable of leading and motivating committee mem­bers, able to negotiate at management levels, and oper­ate database and word processor software

• SECRETARY Applicants should have access to a computer, word processing and database skills and an ability to work in a team atmosphere

• TREASURER Applicants should be well versed in the handling and processing of cash, cheque and EFrPOS transactions. Must have access to a computer, an excellent under­standing of financial database operations, and word processing.

• REGISTRATION OFFICER Needs good organisational skills, access to a com puter, understand of database and word-processing. This may be combined with the Treasurer's position

• PROGRAM MANAGER Must be an experienced caller with previous experience in Convention Programming.

• CUER MANAGER Must be an experienced Round Dance Cuer with previ­ous experience in Convention Programming.

• VENUE MANAGER Needs good management skills. Organise and liaise with Venue Management, coordinate marshals, decora­tions, banners, car parking, security etc.

OTHER COMMITTEE POSITIONS Various other positions will need to be filled including HOSPITALITY AND PUBLICITY. Any members interested in being part of the committee should complete a nomination form but leave the position blank, After the election these positions will be allocated at the first committee meeting. Where necessary the committee will have the right to recruit other members on an as needs basis.

Nominations close last mail, Monday September 27, 2004 All nominations must be made on the Printed Nomination Form and should be forwarded to The Returning Officer, 2007 National Square Dance Convention Committee, GPO Box 408, Adelaide 5001, The Box will

be cleared at 8 pm on Monday, September 27,

An election for the Committee Members will be held during a short meeting at the Society Dance on Saturday, October 9, at the RSB Hall, Gilles Plains. Voting will be by secret ballot.

Where two people nominate for a particular position, each person will be given the opportunity to briefly address the meeting prior to the vote.

Country members or metropolitan members who are ill or absent from Adelaide will be entitled to a postal vote. Contact the Returning Officer by letter or phone 08 8265 7654,

Food for thought-Well! Yes we are going to be busy, but what a challenge, commitment and a sense of achievement when we stage a great 48th National Square Dance Convention in 2007 that every one will be talking about for a long time! On behalf of our Convenor, David - Here is a Preliminary Monthly Planner as a guide to tasks we need to undertake over the next couple of years. I am sure there will be alterations and we will find more tasks to polish the final outcome. Today [Sunday] David and I toured some of the Venues and their surrounds. It would appear that The Basketball Dome with possible second venue The Macedonian Hall would be one good choice. An other choice would then perhaps be The St Claire Convention Centre with perhaps the Woodville Town Hall or Skating Rink as second venues. I have not contacted the second venue ideas as yet. At the 2005 Meeting afthe Board. some members expressed concern that the combined/portfol io ofTreasurerNenue Manager would be too much for the one person. We Rre pleased to advise The Board thaI these concerns should now be alleviated with theappointmcm of Alan Tuckfield to the position ofVenuc Logistics Officer, and the move of Murray Dempsey from Publicity Assi~tanllO Venue CCKlrdinalion. As well since the previous meeting we have been delighted to welcome Jenny Battersby to [he comminee as Dancer Represefllalive. and Danae Dandridge as me Youth Representative. He is currently in his second tenn as President of ille SmIth Auslralian Square Dance Sociery. He was a member of the Adelaide Outlaws Club committee for two years. David has attended 7 Australian National Convenlions and I Canad ian Nalional Convention in 2000, at which he and his wife Lynette were guest speakers and co-conducted/presented a sem inar on $quare Dancing in Australia. He was Convenor for the 2004 and 2005 South Australian Stale Conventions. Prior 10 his reliremenl in 2003 David was Training and Quali ty Assurance Officer coordinating bOlh the training and work ofJOO St John Ambulance Trainen throughout South Australia. He has wide experience in the organization of training seminars and workshops for $t John, both intra-state and nationally. Prior to working for St Joh.n Ambulance, David was Press, Print, Radio and TV Production Manager with a number of Advertising Agencies in Adelaide. He has also written and directed the production of a CD on First Aid procedures.

She is a current member of JR Squares Club comm itt ee and has been honorary secretary ofa number of professiona l organizations. Jan was Secretary, and Co-Hospilality Manager for me 2004 and 2005 South Australian State Conventions. Jan, now retired, was previously employed as 2 IC in the maternity sect ion of Calvary Hospital and is actively involved with husband John as Joint Commun ity Care Coordinator with Clovercrest Baptist Church .

Lyn has had wide organ isational experience, ranging from organising mass vaccination campaigns to directing and staging concerts.

Now retired , he has been involved in running a family business and was also President and a member of the executive committee ofa trades association. John was Regislration Officer, and ex-officio Decorations Manager for the 2004 and 2005 South. Australian Square Dance Conventions. He has spent many years involved in scouting, including staging of their annual Gang Shows and Comedy Capers. Apart from square dancing. John who describes himself as a Prolessiona l Volunteer, is a Board member and Treasurer with Citizens Advocacy SA Inc. a Tax Help Volunteer and with wife Jan is Joint Community Care Coordinator with the Clovercrest Baptist Church .

James has attended 9 National and 21 State Conventions. He has been CallerlProgram Manager for a number of State Conventions, and has Convened I State Convention

in Melbourne in 1986. He moved to Adelaide in 1995 and founded Sunset a club which dances both and Rounds. The club dances Rounds up to Phase 5. Les is on the committee of the South Australian Round Dance and is his 4th year as President. Les has attended 17 National Conventions and cued at 13 of them. He has attended 19 consecutive State cued at 18 and programmed Rounds for three in I 200 I and 2004. He has also attended and cued at one New Zealand Convention. As well, in conjunction with his wife Anne, Les has l'h"I''''lf>Oy'l'tninf'n and presented showcase dances at both the SA Festival and the National Square Dance Convention, three of these dances are on the national List.

KAREN DEMPSEY Phone: (08) 8283 0876 Karen has been for six years, and is on the committee of JR Squares. She has attended a number of National and State Conventions. Karen is in the retail industry. Karen has taken on the Hospitality portfolio, and will be ,,,,,,,Vi.,,,,, in close cooperation with the Convenor and Venue IVJi:l11U1lgCl in this OO~>ltl,on.

MURRA Y DEMPSEY - Venue Coordination Phone: (08) 8283 0876 Murray has been for six years, and is on the committee of JR Squares. He has attended a number of National and State COllventions, A retired member of the armed is currently within the area of traffic control. Murray has been involved for the past 17 months as Assistant Publicity Officer and in the immediate future will be

these responsibilities and moving his efforts and concentration to Venue Coordination. He will be with the Venue Manager and Venue Liaison Officer in the task of setting up and the

functions of the three venues during the Convention.

She has attended 3 National Conventions, Coloundra and Warrnambool) and was elected SA National Youth to the Coloundra Convention, a she has held since. Danae has also attended most State Conventions since she started dancing, and in 2005 the opening ceremony on behalf of "Square Dancing's Future Dancers" at the 31 st State Convention.

Now retired as a TPI pensioner as a result of war wounds, Alan was for 30 years the Principal ofa Conveyancing Practice, and brings considerable business experience and expertise to the committee. He has been heavily involved in the Surf Lifesaving movement for many years, and has been a Lifesaver, Junior Instructor, First Aid Officer and Carnival Official. He was involved with St John Ambulance for many years, had 6 years experience as an Ambulance Officer and also spent 12 years as a First Aid Training Officer.

She has also attended numerous State Conventions. Jenny is a member of Wild Frontier Square Dance Club, has served on the committee, held the position of vice­president, and is currently president of that club's committee. She is employed in the administration area of Te)stra, where she has worked for the past 27 years. Jenny brings many years of dancing experience to the committee and as an astute observer and listener, is well suited to represent and voice the needs and wants of dancers during meetings.

During discussion at our recent inaugural committee meeting the question of potential sponsors was raised; a necessary subject this early in our plans as potential corporate sponsors allocate their funds some years ahead.

South Australia is renowned world wide for its wines and we consider there could be a potential sponsor for the convention within the local wine industry. The Constitution however expressly forbids any sponsorship associated with alcohol.

It is our belief that in this day and age the community, as a normal part of social life, readily accepts the sensible consumption of wine, and in fact many square dancers can be seen enjoying a glass or two at restaurants throughout any convention (and at afterparties).

We are asking therefore that the Advisory Board offer dispensation to allow the committee of the 48th Australian National Square Dance Convention to approach the wine industry in South Australia with a view to seeking a sponsor from within their organisations.

We will await your reply with interest.

In reference to your letter dated 30th November 2004 re dispensation of clause 15.01 of the Constitution for the Operation of Australian National Square Dance Conventions.

The Executive Board members have discussed this matter at length and I have to inform you that dispensation is not granted. The Committee were in full agreement that as this is a Constitutional matter a decision should be made by a full Board meeting.

One of the delights of square dancing is that it is carried out in a smoke-, alcohol- and drug-free environment. Moreover, the wine industry is also significant in other areas and once a dispensation is granted in one instance, it would be dM1cult to refuse in another. It also then brings up Wduty of care&. There are far too many ramifications for allowing special dispensation on this issue.

Following our election to form a committee to conduct the 48" Australian National Square Dance Convention in Adelaide in 2007, we have recently held our first committee meeting.

On behalf of the committee I would like to request a booth at Warrnambool in 2005 at which we can give advance notification of the 48th Convention in Adelaide in 2007. We would require that the booth have access to at least 10amps power supply and whether a table and chairs are supplied or could be arranged.

Are the booths backdrops able to lake posters etc and are they flat or does the backdrop have wings i.e division between booths.

We would al80 like to have a full page advertisement in the program. What are the necessary printing requirements in particular logo, photographs

etc, also the deadline of copy for printing.

Could you also advise what hours the booth would be accessible to other dancers, what security arrangements are made for other hours and the insurance of articles in the booth.

Would you please advise us of the costs involved in the above requirements and also what dimensions the booth would be including the height.

Thank you for your letter dated 29th November. It was discussed at our meeting on December 20.

We have plenty of room for your committee to hold its Static Display booth in accordance with National Convention regulations.

We are able to supply you with two trestle tables, however it is our understanding that chairs do not need to be at your booth as booths for conventions more than 12 months in advance are not permitted to be manned as this is seen to detratct from the following National Convention in 2006.

We are unable to guarantee security of your booth and recommend that all valuable items are taken by one of your comnlittee menlbers in between sessions. The venue may not be locked between sessions as it is under the control of the venue management and therefore their employees may be in the building prior to sessions.

There will be no charge for your booth, however if you would like us to make up a pinboard for your use it will cost $50. The specifications of the board are as follows:

For your infonnation-Today [Tuesday 19/4/05] David, myselfand Les Tulloch were able to meet with the 'Distinctive Homes Dome' Basketball Assoc of SA Inc. personnel. The amendments discussed by this committee and written by me were discussed at length and agreed upon. BASA are now in the process of drawing up a contract - which includes most of the amendments - to be signed in the near futute. This will then enable us to move on to other areas towards the 'Best Aust Nat Sq Dance Convention' . Some items you were particularly interested in were -

All of their sponsor signs able to be removed - will be •• some additional expense would be if we should need to call in their electrician and a fork lift driver. .. copies of our registration forms, advertising, flyers etc will be provided to BASA prior to printing .. there are no restrictions to basic adjustments to air conditioning. •• BASA do have emergency backup of ' intercom and basic lighting' in the event of a power failure • * Copyright clause is not an issue for our event *. Distinctive Homes Dome premises include the car park and it's entrances, for Insurance purposes .. The $20,000,000 Indemnity Insurance requirements are to be negotiated with BAS A Insurance company to hopefully make our $10,000,000 coverage suitably acceptable. I am currently seeking further information on this myself, from our Insurer . •• some keys will be made available to The Venue Manager 48th Aust Nat Sq Dance Convention as needed. BASA personnel will however be available at all times! •• BASA 'Distinctive Homes Dome' personnel will be on the premises at all times and clearly identifiable in uniform. *'" The committee of 48th Australian National Square Dance Convention will meet with the BASA personnel prior to the event and be infonned about BASA evacuation procedures which we will follow, be instructed by and work with them to ensure an effective evacuation in the unlikely event of same. * * The bond of $2,000 will be returned to us on BASA's normal 30 day financial basis .. Sound Levels [95 decebels] are a guide only and not actually monitored * * Percentage of proceeds of sales to SASA not applicable for our event .. Rubbish Disposal is very well catered for and covered under the terms of the contract *. Dancers using mobile homes will be able to negotiate for over night stays on the property but will not have any facilities available outside of the normal openingllock up hours - being roughly 8.00 AM - Midnight each day of the Convention. •• Subject to our programme needs - SASA cafeterias will stay open as we

Car Parking Pricing is still open for negotiation at this stage FurtherbMonnarion-The initial quote for the Dome was given to me as $3,300 per day and $1,100 per set up and set down day. I have managed to secure $3.000 per day and $100 per hour for the Tuesday 12th set down day. Unless an urgent need arises there will be no further negotiations apart from clarification of the Indemnity Insurance and the final cost for Parking - the contract will be signed and accepted when it is completed. I wish to infonn you that the 48th National Square Dance Convention has b~n awarded to South Australia for 2007. subject to certain conditions being satisfied.

Planning by a committee of dancers here has now been underway for approximately I year, planning for the dates of June t h to and including the 11th 2007.

The 47th National at Gosford on Anzac weekend next year has at this stage approximately 1000 dancers registered.

There has been a search conducted to find a suitable venue here in Adelaide which has now been narrowed to the Distinctive Homes Dome - unless you can suggest another suitable venue.

This is where we the organising commHtee have found a stumbling block and need some assistance. lbe "Dome" requires in their contracllo hire an insurance policy to cover tbern for $20 miition, public liability.

The South Australian Square Dancing Society already has a standard cover of $S million and has no problem to have it increased to $10 milJion for this convention. But here is the problem; after some months now of trying / negotiating / looking around / etc to locate a company that will offer coverage of the larger amount.

TItis coverage ($20 million) must be a signed and sealed deal for us to sign the contract with the "Dome" & hence attain ratification of our Federal Body to be able to continue wlth planning and hold the 48 111 Convention in Adelaide.

As you can see ~""'the above infonnation this is to be a major event in the tife of Adelaide Square dancers [and the State], and has not been held in South Australia since 1998. With the attraction of a considerable number of interstate and overseas dancers to this state there will be a tourism spin off that will assist our economy.

Promotion of this event as a "bealthy lifestyle" for all age groups [10 t090] is another reason why we want to hold this event & promote square dancing to the general public of S. A.

Dear Sir

South Australia is to host the 48 th Australian National Square Dance Convention, to be held in Adelaide from June 7 to 11 , 2007.

This convention is held in a different State in Australia each year, and this will be South Australia's first opportunity to host this event since 1998.

We expect to have between 800 and 900 dancers present from all States of Australia, as well as dancers from New Zealand, and a number of other overseas countries, possibly including Canada, Japan and Germany.

As part of the program an official opening will be conducted on the evening of Friday June 8, and during this ceremony we wish to have a 20-30 minute presentation featuring a South Australian icon or group.

The committee can think of no better South Australian organisation to feature than the South Australian Police Band; this letter therefore is enquiring as to the following:

• Does the Police Band present/perform at a ceremony such as this, which is featuring South Australia to many potential future tourists?

• If so, what fees are payable to have the band perform?

The Convention is being held under the auspices of The South Australian Square Dance Society Inc; both the Society and the Convention Committee are volLmtary, not for profit organisations, which work for the good of square dancing as a leisure activity for the community.

While it is really too early to discuss programming details, if the band was able to participate we would envisage a presentation of approximately 15 to 20 minutes from the band, and then if it could be arranged a 10 minute (approx) bracket where we could have 1 OO's of dancers on the floor surrounding the band, and with callers directing the dancing to music from the band.

Further to our telephone conversation a few weeks ago about the attendance and participation of the Band of the South Australian Police as the main feature of the Opening Ceremony of the 48th Australian National Square Dance Convention, the Program Committee has now prepared the first major draft of the Ceremony and the details, which include the criteria for the Police Band is as follows:

Friday, June 12,2007,7.30 pm: • Opening Ceremony commences • On cue, the Police Band enter the stadium either through one or two

entrances, direct onto the floor (3 basketball courts) of the Distinctive Homes Dome)

o Band gives a brief demonstration of marching and drill skills • MC Requests everyone to stand for the National Anthem (music by the band,

singing led by the Cabra School Choir) o Band plays an opening fanfare o Band and Choir present/lead singing of full National Anthem

• Official Opening Ceremony takes place o [This will be a minimum of talking and speeches, and will be kept to a

maximum of 5 minutes (no Politicians)]. • At the conclusion of the speeches the Band gives a performance which we

would like to include: o A demonstration of marching and drill skills o If possible a humorous performance, such as the presentation given at

a previous Police Tattoo of Gilbert and Sullivan's Pirates of Penzance "When A Felon's Not Engaged ... (A policeman's lot is not ... )"

o The drill and other presentation to take approximately 10 minutes, finishing with the band forming up into the National Square Dance logo (2 interlocking squares depicted at top of this letter)

• Dancers invited onto the floor and take part in two dance brackets with the music provided by the Police Band.

o This music can be either 4/4 or 2/4 tempo at 126 beats per minute o Our Caller Manager James Reid will make direct contact with you and

work with you to select the appropriate tunes for this segment

• At the conclusion o f the dance brackets, the Pol ice Band plays "Colonel Bogey", the ca ll er will take dancers through a series of moves wh ich wil l clear them from the floor. While band is still playing the Me will extend thanks to the band~ and the band still playing Colonel Bogey performs final dri ll movements and e:<its the stad ium.

With regard to the Nat ional An them. the Cabra School Choi r obviously need to rehearse for this ceremony. They have asked if they can have a tape/CD of the band's performance of the Nati onal Anthem to allow them to practice their presentation.

As weJl the Convention Committee would like to set up a full rehea rsa l of the Opening Ceremony incl udi ng the band and the choir. This rehearsa l, to be held in the earl y part of 2007 will be important to ensure that all facets of the ceremony arc able to work completely in concert, will enable us to check sound systems and ensure that the presentation runs smoothl y. Obviously the dale will need 10 be negotiated with both the Band and the Cabra Choir.

We wou ld anticipate that we will be able to bri ng in a number of square dance sets to this rehearsa l to allow the band and our ca ll er 10 eval uate just how each performs.

I hope that this information for the proposed presentation meets with your approval, obvious ly there will be facets that need to be d iscussed face to face . and possib ly some potential problems that need to be ironed out.

AI this time we have dancers anend ing from all over Austra lia, a group of at least 45 comi ng from Japan, a large contingent coming from New Zea land, and other dancers will be present from the USA and Europe, so we have a qui le internationa l group participating in what promises to be a very successfl11 Na ti ona l Conven ti on, and wh ieh will give good promotion to South Australia.

The 48th Australian National Square Dance Convention is to be held in Adelaide from June 7 to 11 2007.

The Official Opening of the Convention is to be held on Friday, June 8 2007 at approximately 8 pm CST.

Macca on behalfofthe Committee I would like to extend to you an invitation to attend as our Guest Of Honour and perform the Official Opening Ceremony.

We realise that the date is well ahead, but the committee unanimously voted for you as our number one choice for this special function. We fel t that if we approached you at this early stage, it could give you time to arrange your very busy schedule so that you could be in Adelaide for the event.

To add spice to this invitation, we have made a booking with the South Australian Police Band to perform as part of the ceremony immediately after the official opening takes place, and we are hopeful that at one point we will also have a large number of dancers on the floor to dance at least one bracket to the music of the band. As an ex-brass bandsman myself, and knowing your attachment to the trombone, we felt you and the Police Band would make a powerful and memorable contribution to this special occasion. (Details of the Police Band is subject tofinal confirmation, and is not being publicised as we want to create a spectacular visuaL and sound effect when the band bursts on to the floor in doubLeforte mode).

Peter Goers team, from ABC Adelaide 891 has indicated that they may well be interested in doing a live broadcast from the event on one of the nights of the event.

Square dancing has a large following, not only throughout Australia but in many other parts of the world. We are hopeful of an attendance of around 1000 participants, including dancers from New Zealand, Japan, England, Europe, the United States and/or Canada.

Modern Square Dancing is an activi ty pursued by a wide range of age groups, the majority of dancers come from the 40 plus demographic group. but there is also a smaller but ve ry enthusiasti c youth component among the dancers as well. Dancers ages range from 8 to 80 plus.

Square Dancing gives people an activity to pursue that helps keep them bo th physical ly cllld mentally active. Contrary to popular opi nion, ve ry linle Country and Western music is used. most modem square dancing is done to much more popular style music . but the music can vary from AI .I o lson·s "Swanec" through Elvis Presley songs such as "Love Me Tender" to that very Australian "Give me A Home Among The Gum Trees". Callers are consrantly develop ing. new choreography as suitable songs or music are published.

The 48 th Australian National Square Dance Convention is to be held in Adelaide from June 7 to 11,2007. This convention, which is held annually in different States of Australia, is being organised and run by a completely voluntary and not for profit committee elected by the square dancers of South Australia, under the auspices of the South Australian Square Dance Society Inc.

This is the first opportunity South Austral ia has had to conduct such a Convention since 1998. Planning is well under way, and we intend to give all present the opportunity to see that South Australia CAN present a Convention equal to those presented in the more populous States of Australia. We have a tentative booking with the SA Police Band to perform at the opening ceremony, and are endeavoring to include other events featuring South Australia and South Australians where they can be funded within the budget.

It is anticipated dancers will attend, not only from all Australian States but also from New Zealand, England, Japan, Canada and the USA. Promotional advertising is already appearing in these countries. As well it is not unusual to have dancers present from various European Countries where square dancing is popular.

Modem Square Dancing is an activity that has been conducted in South Australia for the past 50 years; it is a family based entertainment enjoyed by all age groups; we have dancers as young as eight and as old as 80, and all can mix and enjoy square dancing on the same level. Demographically the majority of dancers are aged from 40 upwards, and are keen motoring enthusiasts.

This Convention is an ideal opportunity to showcase all areas of South Australia not only to residents of other States of Australia, but also to people from a number of world countries. It is being held in winter, which means we will be bringing visitors into the State during a low season in tourism. We are hopeful that we will see 1000 plus dancers in attendance.

This 48 th National Convention is to be launched at the 4ih Convention in Gosford commencing April 20th

. Under National regulations we have not been permitted to adve11ise the 2007 Convention in Australia until the current year's convention commences. We have however been advertising in the UK, USA, Japan and America for the past 9 months.

South Australia has been awarded, and is to conduct the 48th Australian National Square Dance convention in Adelaide from Thursday June 7 to Monday June 11, 2007. The venue is the Distinctive Homes Dome (home of the Adelaide 36ers).

The organizing committee is dedicated to ensuring we uphold South Australia's reputation for conducting world-class conventions and events. We are currently advertising overseas in square dance magazines in Japan, England, USA and New Zealand and also have an entry on the Canadian Square Dance Society web site. In each of the overseas advertisements we mention Kangaroo Island as a specific location to visit while in South Australia. Copies of these adverts are enclosed for your information.

Being held in June, the Convention will bring visitors from all States of Australia and overseas to South Australia during winter, a low time for tourism in this State.

We are currently finalising the registration form, a proof copy of which is enclosed for your perusal. We will be printing 2000 copies of the Registration Form, and as well it will be available on our web site (currently being developed) in both a PDF and Word format.

As you can see from the enclosed proof, there is space on the front page for one advertisement. T have discussed your proposal with a number of the committee members and in principle we are happy with your offer. However there are a few points we would like clarified.

• The voucher for two people in lieu of paying full price for the cover adven; can/wi ll thi s be viable from, say April 22, 2006 to June 30, 2007.

• Should we offer thi s as a raffle prize (most likely scenario) we would stan selling in SA next month, but the major sales thrust would be during our actual Registration Sales launch at Gosford from April 20 to 24 this year. We would most likely draw the prize at the end or that Convention and present it to the winner on the night. Obviously if the winner was from SA they might like to use it at any time thereafter, whereas if the winner was from interstate, they would be most likely to use it during our Convention in June next year. As many dancers stay in the host city fo r up to 14 days post Convention a temlination dale up to the end of JWle would give them a chance to use it after the Convention and before returning home.

• The leaflets giving a 10% disCOlUlt for Convention dancers was also well received. we would have no problem faxing them, e-mailing them or including them either wi th the Registration forms or including them with tbe mail-out of details after initial registration, this mailout will commence in late June early July this year to aJ l registered delegates. However one question asked was whether Sealink wou ld pay for the printing of the fl iers or were yOll asking the Convention comminee to meet thi s cost.

If you could c larify these two points for me, I fee l we can finalise arrangements and "put the wheels ill motion".

Once the committee give the OK. I will speak to you also about possible display material you might nave available which could be used on our stand in Gosford.

Many members of The Board would be aware by now that the SA Government have dismissed the Board of the South Australian Basketball Association and appointed an administrator who has in tum placed the 36ers and Lightning Basketball teams, and the Distinctive Homes Dome up for sale in an endeavor to redeem some of the $12,000,000 plus which is owed to the government by the Association.

This is the equivalent of a bankruptcy sale.

This has occurred in direct reversal of the information that was given to us prior to my report to The Board at Gosford in April.

To keep the Board up to date, the following information is pertinent at the time of writing, based on Information from our contact at the Dome and from information released to the public:

• The preferential method of sale is for a purchase of all 3 elements (2 teams and the Dome)

• The time for registration of Expressions of Interest was extended from May 30 to June 9

• When these expressions closed last Friday, the major expressions were from: o A syndicate which wished to purchase the 36ers and the Dome if possible o A church group (to purchase The Dome only) o A real estate developer

• Negotiations are now taking place between the administrator and these three groups to finalise a sale

• It is hoped to finalise the sale by June 30 or mid July at the latest

Once the sale is finalised we will know within a very short time where we stand in relation to The Dome's availability and therefore the location of the convention.

Obviously this has put a major cloud over our plans, particularly in relation to construction of the Stage and other decorations. We have put these activities on hold, but are proceeding with all facets of design appropriate to the Dome.

However, our Venue Manager and I have also negot iated a right of first refusal for the use or the SI Cla ir Recreation Cen tre in the event that the Dome is not available. This ri ght of first refusa l extends to July J 1 thi s year.

While there are a number of problems assoc iated with the use of SI C lair, these can be overcome with some judiciolls planning on o ur part; and we ha ve tentative plans in hand should a transfer of venues become necessary.

This very unwelcome occurrence is sO lllcthin~ that we can do without, but J assure The Board that we are work ing ass iduously to ensure Ihatthe 481 Australian Nat ional Convention will be a success no matter what the outcome. No problem is insurmountabl e.

REPORT TO NATIONAL AGM - 2005-06

The Committee of the 48 th National Square Dance Convention has been meeting monthly since November 2004, with a break only for the Christmas period and the National Convention at Warrnamboollast year.

Our committee has now grown to 12 with the addition of a Dancer Representative and a Venue Logistics Officer.

All Convention sites have been booked, the major venue is the Distinctive Homes Dome, which those dancers who attended the last Convention in Adelaide in 1998 will know as the Clipsal Powerhouse, same venue, but a different venue sponsor.

An extensive program of advertising overseas has seen adverts appear in England, America, New Zealand and Japan. All internet responses from this advertising have been replied to with a PowerPoint presentation, and this has generated considerable interest. We understand that this PowerPoint presentation has been circulating among many clubs in the USA.

Advertising will commence in Australia immediately after this Convention.

We have also received a request from a company who handle inbound Japanese travel, they have a group of Japanese dancers who have indicated their intention to travel to Adelaide, so we are keeping our fingers crossed that this eventuates.

The stage design is finalised, hall decoration plans are being prepared, and work will proceed apace when we return from Gosford. It is pleasing to note the number of SA dancers who have offered to help with stage construction and other preparation work.

Registration forms are printed and available here at Gosford. As well, we have forwarded an electronic version of the Registration form to all overseas dancers who have enquired about the convention.

So all in all we are proceeding at a satisfactory rate and are looking forward to hosting many dancers from Australia and overseas at the 48 th Australian National Square Dance in Adelaide, Your Square Dance Heaven in 2007.

We have received the copy of the Japanese Square Dance Magazine and Advert and the invoice for same, which they would like paid by the middle of October (about now in other words).

On today's currency rate, the price is $A 193.4 74. This is close to the price quoted earlier in the year. They have given us a pride of place position on the lower half of page 5 with no other adverts competing. This would be regarded as a prime spot which would entail considerable loading costs in any Magazine or Newspaper in Oz.

Can I have an indication of agreement from committee members that Lyn gets a bank draft (which will cost another $25.00 to $30.00) and remits it immediately. This payment can then be ratified at the next meeting.

I would prefer that we immediately forward payment as I would like to insert a couple more adverts in the future, and good fajth now will ensure co-operation for future insertions.

Could you please respond ASAP to this message.
