Introduction This document describes how to use additional and changed features that have been introduced to SAP Business One 2007 A in response to legal requirements or legal changes. These features are available only when you have installed SAP Business One 2007 A SP01.

If a feature applies to specific countries or regions, these are specified in the main section heading.

SBO Mailer Signature Enhancements The SBO Mailer is used for sending e-mails from SAP Business One.

As of SAP Business One 2007 A SP01, if you are running more than one productive company database on one SAP Business One server, you can share one generic e-mail signature for all companies or you can define a unique signature for some of them.

In some countries, there are legal regulations regarding unique business information that needs to appear in the signature of all business correspondence. The SBO Mailer enhancements that are provided in SAP Business One 2007 A SP01 enable you to create e-mail signatures that comply with these regulations.

Prerequisites The following are mandatory prerequisites for configuring the SBO Mailer signature:

You have installed SAP Business One 2007 A SP01.

You have started the SBO Mailer component in SAP Business One Service Manager on your SAP Business One server.

You must have superuser status to create a new e-mail signature or modify an existing one in SAP Business One. For more information, see Defining Authorizations in the online help.

For more information, see the administrator’s guide provided with SAP Business One 2007 A SP01.

Creating or Modifying E-Mail Signatures SAP Business One 2007 A SP01 provides two e-mail signature options:

Common – for all company databases on one SAP Business One server installation

Company – for a specific company database

NOTE

You cannot create e-mail signatures for individual users in the Messaging Service Settings window.

To create or modify a common or company e-mail signature:

1. Log on to SAP Business One, and choose the company whose e-mail signature you want to create or modify.

NOTE

You must have superuser status to create a new e-mail signature or modify an existing one in SAP Business One. For more information, see Defining Authorizations in the online help.

2. In the SAP Business One Main Menu, choose Administration System Initialization Services Settings Messaging Service Settings.

3. In the Messaging Service Settings window, choose one of the following Signature To Be Used options. You can do this either now or after entering your information in the relevant tabs that are described in subsequent steps:

4. Enter an e-mail signature in one or both of the following:

Common E-Mail Signature tab

Choose this tab to create or modify an e-mail signature for all the companies that are installed on the server.

Company E-Mail Signature tab

Choose this tab to create or modify an e-mail signature for the company you are currently logged on to.

NOTE

If you choose this option, it does not affect the signatures of the other companies. Only the e-mail signature on the Common E-Mail Signature tab is valid for all companies on the same server.

On the tab you have chosen in step 4, in the text box, enter an e-mail signature having a maximum of 32,768 characters and spaces. You can use any HTML tags for formatting the text except <HTML> and <BODY>.

5. Choose one of the following Signature To Be Used options, if you have not already done so in step 3:

Common (the default)

Company

6. Choose Update and then choose OK.

Upgrading from Previous SAP Business One Releases When you upgrade from SAP Business One 2005 A, 2005 A SP01, or 2007 A to SAP Business One 2007 A SP01, your previous settings for SBO Mailer e-mail signatures are copied automatically to the Common database and appear in the Messaging Service Settings window, in the Common E-Mail Signature tab.

NOTE

As of SAP Business One 2007 A SP01, you can no longer access SBO Mailer e-mail signature settings through SAP Business One Service Manager. You can access these settings using the path provided in step 2.

Queries: Decimal Precision for Calculated Fields In SAP Business One 2007 A, the administrator can determine the number of decimals to display and save for each type of number.

To access the settings, from the SAP Business One Main Menu choose Administration System Initialization General Settings Display. There are separate settings for the following number types:

Amounts

Prices

Rates

Quantities

Percent

Units

In SAP Business One 2007 2007 A, the number of decimals for calculated fields within queries was determined by the Amount setting, even if the fields on which the calculation was based were not amounts. In SAP Business One 2007 A SP01, an additional setting – Decimals in query – enables you to set the number of decimals that are displayed for calculated fields within queries.

To access the Decimals in query setting, from the SAP Business One Main Menu choose Administration System Initialization General Settings Display.

EXAMPLE

In 2007 A, the general settings for decimal precision might be as follows:

Amounts = 0

Prices = 2

Quantities = 2

A query that calculated a subtotal by multiplying price by quantity would display the calculated field with no decimals, even though both price and quantity are to be displayed with two decimals.

With SAP Business One 2007 A SP01, the general settings for decimal precision might be as follows:

Amounts = 0

Prices = 2

Quantities = 2

Decimals in query = 5

A query that calculated a subtotal by multiplying price by quantity would display the calculated field with 5 decimals, even though both price and quantity are to be displayed with two decimals.

Queries and User-Defined Values

If a calculated field in a query is bound to a field in the user interface, the settings for the user-interface field determine the decimal precision.

EXAMPLE

The general settings for decimal precision might be as follows:

Prices = 2

Decimals in query = 5

On the Items Master Data form, you could create user-defined values for the Base Price field based on a query that returns a calculated value. The query returns a value with 5 decimal places because it is calculated, but the Base Price field uses only 2 decimal places because it is bound to a field of type price.

Queries That Return Constants

The additional setting also affects the number of decimals that are returned in a Select statement that returns a constant.

For example, if Decimals in query is set to 3, the query statement Select 1.637436 returns 1.637.

SAP Business One Software Development Kit Changes

The additional setting for calculated fields in queries is exposed in the DI API and, therefore, its value can be set in the code.

Withholding Tax in Journal Entries Changes have been made so you can enter withholding tax when you make manual journal entries.

Journal Entry Window Additional fields are available in this window. To access the window, choose Financials Journal Entry.

Manage WTax This checkbox is enabled only if the Automatic Tax checkbox is selected.

If you select this checkbox:

The WTax Amount field and the WTax Liable column are displayed.

You can enter only one business partner in the journal.

WTax Amount Displays the amount of withholding tax for the document, calculated according to the withholding tax definitions.

WTax Liable Specify whether the line is liable to withholding tax.

Journal Vouchers Window Additional fields are available in this window. To access the window, choose Financials Journal Vouchers.

Payments Window For journal entries with a WTax code in the Payment category:

The application displays the WTax Amount for each line and deducts it from the balance-due amount.

After the document is added and reconciled internally, the WTax journal entry is created.

Open Transactions in the General Ledger The general ledger report has been enhanced to allow the display of the cumulative balance due by business partner and G/L account at the individual transaction level. As a result, users can also see for which transactions they have not received any payments yet.

General Ledger Window This window displays the general ledger report according to your selection criteria.

Additional columns are available in this window. To access the window, choose Financials Financial Reports Accounting General Ledger, specify the selection criteria, and choose OK.

Field Description

Cumulative Balance Due (LC)

Total due from business partner or G/L account, recorded cumulatively with each posting, in the national currency, reflecting the payment and account activity.

Cumulative Balance Due (FC)

Total due from business partner or G/L account, recorded cumulatively with each posting, in the foreign currency, reflecting the payment and account activity.

Converting Monetary Amounts to Text in Words: Chile In SAP Business One Print Layout Designer, in the Properties - Field window, the Sum in Words option enables converting a numerical monetary amount to a text version in words using Chilean Spanish. The Latin-American Spanish words un billón (billion in English) are not used by the Chilean localization. Instead, in SAP Business One 2007 A SP01, the Chilean-Spanish words mil millones appear in text versions of monetary amounts, as shown in the example below.

Enabling the Sum in Words Option in Print Layout Designer (PLD) ...

1. Open a sales or purchasing document.

2. In the SAP Business One toolbar, choose the Print Layout Designer icon.

3. In the Layout Designer – Selection Criteria window, select a template and choose Edit Layout.

Print Layout Designer opens.

4. In the main window on the left (the window name varies depending on which document you chose in step 1 and which template you selected in step 3), place your cursor in the field where you want to change a monetary value to text.

5. In the Properties window, on the Format tab, choose the Sum in Words option.

6. Save your changes.

The next time you print a document of the type chosen in step 1, the monetary amount for the field you chose in step 4 appears in text as words.

NOTE

In Chile, decimals are not used for local peso currency amounts; that is, peso amounts are set to be rounded to the nearest digit. Even if the amount in words is defined for decimals, they do not appear in transactions in pesos.

Deferred Tax and Exchange Rate Differences: Costa Rica, France, Guatemala, Italy, Mexico, South Africa, Spain If your company uses deferred tax, you report collected or paid tax according to the date on which the tax is actually paid and not according to the date on which the marketing document is created. If the document has been created using a foreign currency, it is likely that the exchange rates differ on these dates.

If tax is reported in the local currency at the exchange rate applied when the marketing document is settled and not at the exchange rate applied when the document was created, the resulting differences need to be accounted for.

Therefore, the amount of VAT or any other deferred tax calculated in the original document is only of a provisional nature. It is not considered as the basis for the amount of tax to be paid or reported to local tax authorities.

In 2007 A and 2007 SP01, you can post currency exchange rate differences in documents where deferred tax is applied to an additional G/L account.

The documents relating to deferred tax are A/R and A/P invoices, A/R and A/P credit memos, and A/R and A/P down payment invoices.

NOTE

Exchange rate differences are not liable to tax.

Activating Exchange Rate Difference Handling for Deferred Tax Exchange rate difference handling for deferred tax can be activated at any time, but once it is activated and transactions have been processed, it cannot be disabled. It is not activated by default for either an existing or a new company.

Prerequisites The deferred tax method must be in use.

To activate the deferred tax method in an SAP Business One company:

In Administration System Initialization Company Details Accounting Data, you have determined to manage deferred tax for customers, vendors, or both.

In Business Partners Business Partner Master Data Accounting Tax, you have set up deferred tax for each business partner.

Since the reporting according to the deferred tax method is done by using special G/L accounts, in Administration Setup Financials Tax Define Tax Codes:

You have set up each tax code you want to include for deferred tax.

You have set up a deferred tax account.

Procedure ...

1. From the SAP Business One Main Menu, choose Administration System Initialization Company Details Accounting Data tab.

2. Choose the Apply Exchange Rate on Deferred Tax option.

Result An additional G/L account, Realized Exchange Diff. Gain/Loss on Deferred Tax, is added at the company level. Exchange rate differences from marketing documents where deferred tax is applied are posted to this G/L account. To see this account, from the SAP Business One Main Menu, choose Administration Setup Financial G/L Account Determination.

Example An A/R invoice was created in U.S. dollars with an exchange rate of 10 Mexican pesos per U.S. dollar. This is for one transaction row item of USD 1000 and VAT of 15% deferred (USD 150 is the tax amount). The G/L account postings are as follows on the date the A/R invoice is created:

Folio Numbering: Chile, Costa Rica, Guatemala, Mexico Use this function to create legal documents such as invoices and credit memos that include the fiscal document number known as Folio.

Documents created with a Folio number have two numbers:

The internal number defined in document numbering (see Administration System Initialization Document Numbering).

The Folio number that you can define using folio numbering function or when you create the document.

In addition to Chile and Mexico, the Folio numbering function is available for new installations of SAP Business One 2007 A SP01 of the Costa Rican and Guatemalan localizations.

The information in this section replaces the information on this topic in the online help.

Activating Folio Numbering To be able to use the folio numbering function, it has to be activated when the company database is set up.

For new installations of the Costa Rican and Guatemalan localizations, you can choose to activate or deactivate the folio numbering function.

For the Mexican and Chilean localization, the folio numbering function is always activated.

Procedure ...

1. To activate folio numbering, from the SAP Business One Main Menu, choose Administration System Initialization Company Details.

2. Select the Use Folio Number checkbox.

You can now assign folio numbers to A/P and A/R documents.

Checking Folio Numbering You can review which folio numbers have already been used and which numbers are still available.

Prerequisites Folio numbering has been activated.

For more information, see Activating Folio Numbering.

Procedure ...

1. From the SAP Business One Main Menu, choose Administration Utilities Check Folio Numbering.

2. In the Check Folio Numbering window, select the folio numbering range, the date, and the document types you want to review.

The Document Serial Numbering List window displays the folio numbers per document type that have not been assigned yet.

Assigning Folio Numbers SAP Business One offers several ways of assigning folio numbers to documents. According to your needs, select one of the procedures described below.

Prerequisites The folio numbering function must be activated. For more information, see Activating Folio Numbering.

Assigning Folio Number for One Document While Printing ...

1. Display the document to which you want to assign a folio number.

2. To print the document, choose File Print.

The Print – Document window appears.

3. Select a printer and choose Print.

4. To assign a folio number in the Print – Document window, choose OK.

If this is the first time you are printing a document of this type, enter a folio prefix and a number to initialize a series for this type of document. For example, IN – 000001 for an A/R invoice. If you have already printed documents of this type, you can no longer change the folio prefix.

The Folio Number Confirmation window appears, in which you can confirm the folio number after you have checked whether your printout was successful. If the printout was not successful, for example, due to a paper jam, assign a folio number at a later stage. For more information, see Assigning Folio Numbers After Documents Are Printed.

5. If the printout was successful, make sure that the number and prefix are correct and choose OK.

Assigning Folio Number for Many Documents During Printing ...

1. Choose Sales – A/R or Purchasing – A/P Document Printing. Make the required selection in the Document Printing – Selection Criteria window and choose OK.

2. In the Print Documents window, select the documents you wish to print and the first folio that will be used. Then choose Print.

3. Select the printing format for the documents.

The Folio Number Confirmation – Printed Document Selection window appears.

4. Select the documents you wish to print and choose Next.

5. The Folio Number Confirmation – Folio Number Determination window displays the selected documents and their folio numbers assigned by SAP Business One. Edit the folio numbers if required and choose Finish.

Assigning Folio Numbers After Documents Are Printed ...

1. Choose Sales – A/R or Purchasing – A/P Folio Number Assignment.

2. Make the required selection in the Folio Number Assignment – Selection Criteria window and choose OK.

The window Folio Number Assignment – Printed Document Selection appears. This window displays only documents that have already printed but have no folio numbers.

3. Select the documents for which you assign folio numbers and choose Next.

4. The Folio Number Assignment – Folio Number Determination window displays the selected documents and their folio numbers assigned by SAP Business One. Edit the folio numbers if required and choose Finish.

NOTE

You can assign folio numbers to purchasing documents by displaying the documents and filling in the folio prefix and number.

Folio Numbering Windows The following section describes the windows that are involved in different steps of the folio numbering process.

Folio Number Assignment – Selection Criteria Use this window to define the parameters for the documents to which you want to assign folio numbers.

Field Description

Document Type Specify the type of document to which you want to assign a folio number.

Series Specify an internal numbering series of the documents to which you want to assign folio numbers.

Posting Date From...To Enter a range of posting dates for the documents to which you want to assign folio numbers.

Internal Number From...To Enter a range of internal numbers for the documents to which you want to assign folio numbers.

Folio Number Assignment – Printed Document Selection This window displays the documents that match the selection criteria you specified and to which folio numbers should be assigned.

Field Description

Selection Column Select the documents to which you want to assign folio numbers.

Document No., Posting Date, Due Date, BP Code, Total (LC)

General information regarding the documents that match the selection criteria you specified.

Folio Number Assignment – Folio Number Determination This window displays all documents you select in the Folio Number Assignment – Printed Document Selection window.

Withholding Tax in A/P and A/R Credit Memos: Australia, Austria, Belgium, Chile, Costa Rica, Cyprus, Denmark, Germany, Finland, France, Guatemala, Ireland, Italy, Mexico, Netherlands, Norway, Portugal, South Africa, Spain, Sweden, Switzerland, United Kingdom Changes have been made to the withholding tax in A/P and A/R credit memos.

A/P and A/R Credit Memos You can edit the WTax Liable field on the A/P and A/R credit memo General tab.

When you choose No, SAP Business One does not calculate withholding tax for the document.

When you choose Yes, SAP Business One calculates withholding tax for the document.

The withholding tax report also includes A/P and A/R credit memos not based on invoices for which withholding tax has been calculated. To access the report, choose Financials Financial Reports Accounting Tax Withholding Tax Report.

In incoming or outgoing payments, for credit memos that are not based on invoices and have the withholding tax type Payment, SAP Business One displays the withholding tax amount for each line and deducts it from the balance due amount. After the document is added and internally reconciled, the withholding tax journal entry is created.

Prerequisites The WTax Liable field is displayed only if the following applies:

For A/P credit memos, you have selected Withholding Tax in Administration Setup Financials G/L Account Determination Purchasing Tax.

For A/R credit memos, you have selected Withholding Tax in Administration Setup Financials G/L Account Determination Sales Tax.

The business partner is subject to withholding tax (Business Partner Master Data Accounting Tax).

You have set a withholding tax code as default. To do so, choose Business Partner Master Data Accounting Tax and choose the pushbutton next to the WTax Codes Allowed field. In the WTax Codes Allowed window, choose a withholding tax code as default for this business partner.

Changed Software Behavior If the equalization tax account is different from the normal tax account

When you add a document showing the equalization tax amount, the application creates a new entry for equalization tax in the journal.

When you internally reconcile an invoice that shows the equalization tax amount and for which the Deferred Tax checkbox selected, the application creates a new journal entry for equalization tax.

If you update a tax group already set up with an equalization tax rate in the windows Journal Entry, Journal Voucher, Posting Templates and Recurring Postings where Automatic Tax is also checked:

The current journal entry for the tax line is changed automatically to exclude the equalization tax amount.

A new equalization tax line is added automatically for the equalization tax account.

When you update a tax group that is already set up with an equalization tax rate in the Incoming Payment (payment to Account) and Retirement (SAP Business One Fix Assets Add-On) windows:

The equalization tax amount is entered automatically in the fields Total Tax and Total Amount Due.

The value in the EQ Tax Amount field is recalculated if you change the gross value.

If Automatic Tax is checked in the Journal Entry and Journal Voucher windows, and you choose a tax group that is already set up with an equalization tax rate:

The appropriate amounts of equalization tax and total tax are calculated automatically and entered in the new fields EQ Tax Amount and Total Tax.

The values in the fields EQ Tax Amount and Total Tax are recalculated automatically if you change the gross value.

These variables can be used to address the tiered tax rate structure in Tennessee, where the first $0.00 to $1,600.00 are taxable at one rate and amounts from $1,600.01 to $3,200.00 are taxable at a different rate.

NOTE

These two fields and the Flat Tax Amount field are mutually exclusive. If you specify either of these two fields, you cannot enter data in the Flat Tax Amount field.

This field and the fields Min. Taxable Amount and Max. Taxable Amount are mutually exclusive. If you specify the Flat Tax Amount field, you cannot enter data in either of the other two fields.

Tax Definition Choose this button to open the Tax Definition – Setup window, in which you can define an upcoming rate change and the date on which the new rate applies.

Single Item Tax Select this checkbox to apply the tax code calculation rule at the item level.

Calculation Rule:

If you do not select the checkbox, the system applies a threshold (Min. Taxable Amount, Max. Taxable Amount, or Flat Tax Amount), calculates tax separately for each sales jurisdiction present in the document, and then distributes the tax proportionally back to the lines.

If you select the checkbox:

For marketing documents, the system applies a threshold, calculates tax separately for the lines with the same sales jurisdiction and item code, and then distributes the tax proportionally back to the lines. (This also applies to the freight of the line.)

For manual journal entries, posting templates, recurring entries, and service type marketing documents, the system applies a threshold and calculates tax separately for each line.

NOTE

If all lines of the fields Min. Taxable Amount, Max. Taxable Amount and Flat Tax Amount are blank; this checkbox is disabled. The system calculates tax separately for each sales jurisdiction.

If freight is assigned in the header of the document, you cannot use Single Item Tax for this freight.

Min. Taxable Amount, Max. Taxable Amount

Displays the tiered taxable amounts and the corresponding rate(s) you defined for a specific jurisdiction.

Flat Tax Amount Displays the amount of flat tax you defined for a specific jurisdiction.

NOTE

If the checkbox Single Item Tax is selected, and Min. Taxable Amount, Max. Taxable Amount, or Flat Tax Amount is used, then you cannot do the following:

Use the Tax on Tax function in the Sales Tax Codes – Setup window in certain cases

Even in those cases where you can use the Tax on Tax function, the application prevents you from adding the marketing document if the tax code contains a sales jurisdiction with thresholds assigned and if Tax on Tax is applied.

347 Insurance Operation Specify if the operation you carry out with the business partner involves selling or purchasing insurance goods or services.

Your entry here is the default for the 347 Insurance Operation field on the Accounting tab of A/P or A/R documents, for example A/R invoices. You can change the entry on both the business partner master data and the A/P and A/R documents.

A/P and A/R Documents An additional field is available on the Accounting tab of A/P and A/R invoices, A/P and A/R credit memos, A/P and A/R down payment invoices, A/R invoice and payment documents, and A/P and A/R reserve invoices.

Field Description

347 Insurance Operation Specify if the operation you carry out with the business partner involves selling or purchasing insurance goods or services.

The default is taken from the 347 Insurance Operation field in the business partner master data. You can change the data if required.

347 Report Use this report to declare business partners with whom your company had business transactions for goods and services totaling more than a specified amount, in euros, (set in Administration System Initialization Company Details Accounting Data Minimum amount for 347 Report) during the past calendar year.

Fixed Assets Add-On: Germany From January 2008, a low-value asset (LVA) is defined in Germany as an asset valued at between 150 EUR and 1000 EUR. The Fixed Assets add-on enables you to depreciate low-value assets. You can do the following:

Define the depreciation type for low-value assets with the new range

Cancel low-value asset acquisitions and deactivate the relevant low-value asset

Retire low-value assets with three new retirement document types

In this section, value refer to net value (without tax).

Low-Value Asset Depreciation A low-value asset is required by German law to be depreciated over five years even if the asset is sold or scrapped within that time. A low-value asset acquired in any month of one fiscal year has to be depreciated for the entire year.

For example, an asset valued at €600 is acquired in September 2008. It is depreciated for all 12 months of 2008 and also subsequent four years (2009, 2010, 2011, and 2012). All LVA items acquired during one particular fiscal year are depreciated through one collective fixed-asset item.

SAP Business One enables you to depreciate low-value assets in accordance with German tax law:

2. In the Depreciation Type window, enter the name for the LVA depreciation type in the Depreciation Type field.

5. To save the new LVA, choose the Add button.

Creating a Low-Value Asset Acquisition You can create an acquisition document for a low-value asset.

Prerequisites You have created the low-value asset.

Procedure 1. From the SAP Business One Main Menu, choose Financials Fixed Assets Acquisition.

2. In the Fixed Asset Acquisition window, select one of the following:

Acquisition With Vendor

Acquisition Without Vendor

3. Specify the other required fields for the LVA acquisition.

4. To add the LVA acquisition, choose the Add button. ...

Result The LVA acquisition document is added. You can review the depreciations plan value in the fixed assets master data for the LVA. Deprecation starts in January and is calculated for the whole year.

Cancelling a Low-Value Asset Acquisition Document You can cancel an acquisition document for an LVA before the first depreciation run. If all the acquisition documents for the LVA are cancelled, you can deactivate the LVA.

Procedure 1. From the SAP Business One Main Menu, choose Financials Fixed Assets Acquisition.

2. In the Fixed Asset Acquisition window, find the LVA acquisition document you want to cancel.

3. Right-click and choose Cancel.

If all the acquisition documents for the LVA are cancelled, a dialog box opens and asks you whether you want to deactivate the related fixed asset.

To deactivate the related LVA, choose the Yes button.

Result The LVA acquisition document is cancelled. If you also deactivate the fixed asset, the Status field in the fixed asset master data for the cancelled acquisition is set to Inactive.

Retiring a Low-Value Asset Use this procedure to create a retirement document for a low-value asset. Three additional retirement document types are available for LVAs, as follows:

GC – LVA Sale With Customer

GN – LVA Sale Without Customer

GS – LVA Scrapping

The LVA retirement does not affect the acquisition and production cost (APC) of the retired LVA. Therefore, LVA retirements defined as GC – LVA Sale With Customer or GN – LVA Sale Without Customer do not add APC postings to the journal entry.

Procedure ...

1. From the SAP Business One Main Menu, choose Financials Fixed Assets Retirement.

2. In the Fixed Asset Retirement window, specify the following data:

GC – LVA Sale With Customer

GN – LVA Without Customer

Fixed Asset Specify the LVA you want to retire.

3. Enter the required data in the other fields.

4. To add the retirement document, choose the Add button.

Result The LVA is retired and the Deactivate after useful life checkbox in the fixed asset master data for the retired LVA is set automatically. The status of the retired LVA does not change to Inactive until the five-year depreciation period ends.
