Back 2 School with a Purpose

• TheMEproject, founded by Jay Barnett, hosted their First Annual Back 2 School with a Purpose event to empower youth ages 10-18 to mentally prepare for the upcoming school year by Finding the Leader Within.

• Mr. Barnett, presented his VISION to GetLaunched! to Make It Happen

The Need

GetLaunched! Identified event needs:

• Strategic Planning

• Logistics

• Registration

• E-Marketing

• On-site Coordination

• Evaluation/Follow-up

Strategic Planning - Objectives

GetLaunched! Determined Event Goals:

• Provide 80 youth with school supplies & food

• Limited Budget

• Engage parents with voting education

• Empower youth with TheMEproject message

• Engage youth in physical activity & teamwork

• Secure sponsors we patronize regularly

Strategic Planning - Results

GetLaunched! Assisted with meeting Event Goals:

• 83 youth in attendance/80 school supply packages

• Under budget

• Registered parents to vote

• 3 Top Winners in Shoot-out Contests

• Partnered with The Noxspence Foundation

• Secured 13 sponsors – Crossover Athletics, Wal-Mart, Chick filA, Subway, Tru Meals, Great American Cookie, Vitaminwater, Baskin-Robbins, Poparazzi Popcorn, Lamik Beauty, Steven Tate, Cindy Gilkenson, Nick Kennedy

Logistics

GetLaunched! Performed the following:

• Determine all moving parts necessary to host event ie.– Welcome/Check- In Process or On-Site Registration

– Facility Layout & Crowd Flow

– Purchased & Bagged Supplies

– Created Event Signage

– Created Run of Show

– Created checklists to ensure all details were covered

– Solicited Volunteers

– Created Event Programs

Registration & E-MarketingGetLaunched! Used the following services and items below to market event

E-Marketing Highlight

GetLaunched! Used Social Media to market event with the intergration of 3 main systems

• Eventbrite, Facebook Pages, & Mailchimp

• We created a Facebook Business Page for TheMEproject and customized it for our needs– Created custom welcome page

– Embeded Eventbrite into page event registration

– Embeded Mailchimp into page for mailing list

– Managed page with updates as event unfolded

– Added Event Survey tab for follow up

Added Bonus

• GetLaunched! Takes pride in value-add• We added value to Back2School with a Purpose by

securing a PSA on Majic 102.1 – which aired 10 days priorto event.

• We also were invited to be guests on Sunday Morning Live with Val Wilson & J. Thomas Smith (a week before event)

• As a Thank You, we provided everyone with

an event T-shirt with handwritten note attached

On-Site Coordination

GetLaunched! Performed the following:

• Point of Contact on-site for all questions, concerns, & etc

• Facilitated venue set-up/Clean up– Ensured all plans were carried out

• Placed Volunteers

• Greeted guests

• Gave the welcome

• Thanked all that made event a success

• Cleared venue 30 minutes before desired end time

Evaluation/Follow-up

GetLaunched! Performed the following:

• Immediately updated Social Media with event details

• Debriefed with Visionary – Mr. Jay Barnett

• Followed up with all that requested additional info on program

• Emailed Thank You Note to all registered attendees

• Created survey to capture comments from attendees

• Ensure each sponsor/donor received a handwritten Thank You Card
