BANNER 9 ADMIN PAGES PERMIT OVERRIDE INSTRUCTIONS Online Registration Override Request Overview Students have a centralized place to request all of their registration overrides online through myBanner. They can access the registration override request page via the “Add or Drop Classes” or “Look Up Classes” pages in Self Service Banner. BANNER 9 ADMIN PAGES PERMIT OVERRIDE INSTRUCTIONS

Online Registration Override Request Overview

Students have a centralized place to request all of their registration overrides online through myBanner. They can access the registration override request page via the “Add or Drop Classes” or “Look Up Classes” pages in Self Service Banner.

These requests are stored in the Banner 9 Admin Pages form SZASRPO and your department will be notified via email when there are pending requests that need to be reviewed.

Log in to SZASRPO

1. Go to the GVSU homepage (www.gvsu.edu), then click the Faculty & Staff navigation link:

3. Then select Banner 9 Admin Pages

4. Log in to Banner 9 using your Network ID (the login used to log into the computers on campus, not your Gnumber) and your Network Password.

If you need to reset or change your Network Password, please following the Reset/Change Your Network Password link.

5. After you log in, enter the form name SZASRPO into the “Search…” box and click the Enter key on your keyboard.

6. Enter the student G# and term for which they are seeking an override, then Next Block by clicking “Go”, by clicking the arrow at the bottom of the form, or by using the keystroke Alt + Page Down:

7. To view each request, click the arrows at the bottom of the Student Permit and Overrides section.

SZASRPO Form

The SZASRPO form consists of two blocks: Primary Request and Student Permits and Overrides. The Primary Request block contains both class section and student information to help you to make your decision.

1. Override Requests – This tab contains the details of the override request including the request number, the CRN, the date submitted, and the reason for the request.

*Please note that the course is listed at the bottom of the first column of the Primary Request section.

2. Link/Full Sess Courses – this tab lists any linked sections requested by the student.

3. Restrictions – this tab includes any field of study, attribute, class, level, degree, program, and college restrictions.

4. Prerequisites – lists the course’s prerequisites. You may need to click the scroll bar to read all of the prerequisite information. You can also hover over the scroll down arrow to see all prerequisites.

* Please note that the Prerequisites Met box is NOT always checked when the prerequisites have been met. Please look at their record to determine if they have completed all prerequisites.

5. Enrollment – displays section capacity, number of enrolled students, number of remaining seats, and room capacity (if the section meets in multiple rooms then the capacity of the smaller room is listed).

6. Program – displays the student’s current program of study.

Approving a Request 1. Click the ellipsis next to the Status field to view status types and select “A - Approved” on the Override Request tab. Note: If you wish to approve a request but do not want an automatic email to be sent to the student (ie. orientation), change the status of the request to “O - Orientation – Approved.” Click Save (F10).

2. Click the ellipsis under the Permit field to view the permit.

3. Please note that if you Click Save (F10) before entering a permit, a text box will appear reminding you to enter the override. Click Proceed.

4. Double-click the permit type. Then enter the CRN or Subject and Course. Please note that entering the CRN will only allow the student to register for that specific section. By entering the Subject and Course Number (with no section number), the student will be allowed to register for any section of the specified course. Expiration dates are optional. You do not need to enter one.

5. To add additional override permits for the same course, simply hit the down arrow key on your keyboard while your cursor is in the Permit box.

6. To save the override, hit the Save icon or the F10 key on your keyboard. An email will automatically be sent to the student informing them of the decision. If approved, the student will then be able to register for the course.

***Helpful Hint: If you receive the following error “Invaild CRN: The CRN you have entered is invalid. Please revise.” This error occurs when an additional override request was accidentally created. An additional override can be created by click on the down arrow key on your keyboard while you are viewing an override. Below you can see that there are two override requests. However, one was entered by accident.

1. Click OK. Once you click OK, the screen will automatically bring you to the override request that was accidentally generated.

2. Click on the X to close the screen.

3. After you click the X you will receive the message: “Do you want to save the changes you have made?” Click NO.

4. This will bring you back to the homepage. You will need to enter SZASRPO and re-do the steps you have previously completed.

Denying a Request

1. Click the ellipsis next to the Status field and select “D - Denied”.

2. Click the ellipsis next to the Denial Reason field and select a reason.

3. Any additional notes to the student should be entered in the Message to Student field.

4. To save the override, hit the Save icon or the F10 key on your keyboard. An email will automatically be sent to the student notifying them that their request has been denied.

Deleting an Override To delete an override, place your cursor in the field with the permit type, then click on Delete or shift F6, then F10 to save.

Special Note for CAP Overrides 1. Once the student has been issued a ‘CAP – Closed Capacity Override’ for a closed class, the student will need to register using the Add or Drop Classes menu option in myBanner rather than performing a Class Search to register. 2. After selecting Add or Drop Classes the student will need to scroll to the bottom of the screen and enter the CRN (course reference number) directly under the Add Class Worksheet, then click Submit Changes.

3. If the student uses the Search for Classes function, they will see a C (for closed) next to the course even after being issued a CAP override. (See example below.)

How to Grant an Override if the Student has Not Applied Online 1. Log in to Banner and go to the SZASRPO form

2. Enter the student G# and term for which they are seeking an override, then Next Block by clicking “Go” or by clicking the arrow at the bottom of the form, or by using the keystroke Alt + Page Down

3. If a request for the course already exists in the system, follow the instructions for Approving a Request above.

4. If there is no request in the system for that student and term, the following error message will pop up: Query caused no records to be retrieved. Re-enter.

5. Click “1” in the upper, right hand corner and the error message will disappear. A new request will be generated by the system and the Request Number field will automatically populate with a new request number. The status will automatically be set to Approved and the Reason will also automatically be set to “Requested on behalf of the student”.

6. Click the ellipsis next to the Course field and enter the course subject and number in the Criteria box to search for sections, click on the course, and click OK. If you already know the CRN, you can enter the CRN directly into the Course field.

7. Type a message to the student in the Message to Student text box (optional) and click on the permit box.

8. Double-click the permit type. Then enter the CRN or Subject and Course. Please note that entering the CRN will only allow the student to register for that specific section. By entering the Subject and Course Number (with no section number), the student will be allowed to register for any section of the specified course.

Expiration dates are optional. You do not need to enter one.

10. To save the override, hit the Save icon or the F10 key on your keyboard. An email will automatically be sent to the student informing them that the override has been approved and that they can now register for the course.
