MESSAGE FROM THE BERMUDA RUN GARDEN CLUB PRESIDENT

Growing  Gardens,  Cultivating  Community

Dear Bermuda Run Garden Club Friends,

What a privilege it was to serve as your president during the past year; and what a privilege it is to be asked to serve a second term! Last year we “made a beautiful difference through gardening and friendship” by continuing our tradition of learning together and reaching out to others in our community. What amazing things we accomplished together!

As we celebrated the 30th Anniversary of the Bermuda Run Garden Club, we honored the past and looked toward the future; and we focused on giving back to our community. While continuing to support our on-going programs and projects, we also initiated new projects such as our Shredding Event and the community-wide “blanket drive” for A Storehouse for Jesus. We envisioned being an on-line resource for the community, so we began to design our own website.

Some might wonder how a Garden Club of our size has been able to make such an impact. The answer lies in our remarkable members! I congratulate each of you for the incredible gifts of your time and talents that you have so generously given! I thank you for the “Energizer Bunny” in each of you whose enthusiasm and dedication contributes so much to the success of our programs and projects!

As we look forward, we will see that the coming year is full of more opportunities to learn and give, more fun, more friendship. We will visit fascinating places and hear from experts that, although they’re in our own “backyard,” we’ve never visited or heard from before. I’m excited to begin a new year of “Growing Gardens and Cultivating Community!” I hope you are too!

BIG FLOWER/ LITTLE BUD: Big Flower (Sponsor) - Little Bud (new member) is a sisterhood mentoring program intending to help new members quickly understand the activities of the Garden Club. It is suggested the “Flower” support, nurture and invite the “Bud" to accompany her committee meetings where she can observe and learn the purpose of the committee. • Attend garden club meetings on the first Wednesday of each month when scheduled.

• Use your skills and abilities as an Officer, Project or Committee Chair if requested to do so.

• Show your talents as a meeting hostess when scheduled.

• Water the plants at the post office and trim roses at Tanglewood when scheduled.

• Commit to a minimum of three additional activities or projects during the year.

• Find a substitute when unable to fulfill an assignment.

• Notify the hostess when planning to bring a guest to a meeting.

• Pay annual dues promptly at the beginning of each year.

• Help the club grow through a positive and willing attitude.

• Participates in the Dixie Classic Fair by entering horticulture, container plants, floral designs or other category.

ProjectsBermuda  Run  Garden  Club

Projects  2015-­‐2016

1. BeauDficaDon  of  the  NeighborhoodAs  a  service  to  the  neighborhood,  members  water  and  prune  two  large  planters  at  the  Bermuda  Run  Post  Office.  The  club  coordinates  new  planDngs  in  the  spring  and  the  fall.  Garden  Club  members  are  scheduled  on  a  rotaDng  weekly  basis  to  water,  deadhead,  and  ferDlize  the  plants

Bermuda  Run  Garden  Club  Endowment  Fund  –  Community  FoundaDon  of  Davie  County  The  Bermuda   Run   Garden   Club   Endowment   Fund   is   a   Donor-­‐Advised   Fund   administered   by   the  Community  FoundaDon  of  Davie  County.  Income  from  the  Endowment  Fund  may  be  disbursedannually  and  is  supplemented  by  revenue  generated  from  fund-­‐raising  by  the  Bermuda  Run  Garden  Club.  The  Children’s  Reading  Fund  and  Pearls  of  Empowerment  are  two  charitable  projects  which  Bermuda  Run  Garden  Club  has  chosen  to  focus  on  for  2015-­‐16.The  Children’s  Reading  Fund  provides  summer  reading  camps  for  Davie  county  elementary  students  whose  reading  skills  are  below  grade  level.  The  giX  of  reading  can  be  life  changing  for  these  children.  At  a  cost  per  child  of  $100,  we  hope  to  be  able  to  increase  parDcipaDon  annually.  In  addiDon  to  our  budgeted  amount  of  $350,  we  will  have  a  50/50  raffle  at  meeDngs  to  raise  extra  funds  for  this  Project.  Pearls  of  Empowerment  is  a  group  of  women  contribuDng  to  programs  which  benefit  women  and  children  in  the  Davie  community.  This  is  the  Garden  Club’s  fiXh  year  of  membership  in  Pearls.

Davie  County  Schools  Lunch  Buddies  ProgramThis  project  is  a  Davie  County  public  schools  program  that  is  designed  to  provide  a  child  with  an  adult  friend.  Garden  Club  volunteers  go  to  Pinebrook  Elementary  School  at  least  once  a  month  or  more  to  have  lunch  with  their  “special”  buddy.  Because  we  wanted  to  share  our  love  of  plants  and  flowers  with  the  children,  we  added  a  gardening  acDvity.  Volunteers  give  their  buddies  gardening  books  wriben  especially  for  children,  such  as  the  book,  “From  Seed  to  Plant.”  These  books  describe  the  fascinaDng  process  of  how  plants  grow.  Even  some  of  our  Garden  Club  volunteers  learn  things  they  didn't  know.  There  are  two  lunches  during  the  year  where  the  volunteers  and  their  lunch  buddies  gather  to  enjoy  lunch  together  as  a  group.  At  the  end  of  the  year,  a  lible  planDng  project  is  planned  so  the  buddies  can  plant  their  own  plants  to  take  home  and  watch  them  grow  over  the  summer.  This  is  a  most  rewarding  program  for  both  Garden  Club  volunteers  and  their  lunch  buddies.

4.  Davie  County  Senior  Center  Bouquets  (Meals  on  Wheels)Four  Dmes  a  year,  Garden  Club  members  meet  to  assemble  fresh  flower  bouquets  which  are  placed  on  the

lunch  trays  of  all  Meals  on  Wheels  recipients  in  Davie  County.  The  Project  Chairwomen  obtain  and  prepare  the  necessary  supplies,  including  seasonal  fabric  and  ribbon,  to  decorate  the  bouquets.  A  local  grocery  store  helps  by  generously  donaDng  some  of  the  flowers  for  the  Project.

5. Dixie  Classic  FairTo  encourage  more  gardening  and  designing  of  our  backyard  flowers,  the  Garden  Club  parDcipates  annually  in  the  Design,  Container  Plants,  and  HorDculture  segments  of  the  Dixie  Classic  Fair.  To  raise  funds  for  our  projects,  members  may  also  submit  entries  in  a  variety  of  compeDDons  of  their  choice  at  the  Fair.

6. Geranium  plant  sale  to  promote  community  beauDficaDonThe  Garden  club  conducts  the  sale  of  Geraniums  in  April  to  encourage  community  beauDficaDon.  Profits  from  the  sale  help  fund  our  various  community  projects.  The  Project  Chairwomen  make  arrangements  with  a  local  nursery  regarding  the  price  and  delivery  date  of  the  plants  and  oversee  publicity  for  the  sale.  Garden  Club  members  pre-­‐sell  the  plants  and  provide  all  assistance  for  pick-­‐up  of  the  geraniums  on  the  delivery  date.

7. ConservaDon  of  our  Natural  Resources:As  a  service  to  our  surrounding  community,  the  Bermuda  Run  Garden  Club  conducts  a  shredding  event  each  year  in  April  and  October.  Documents  are  shredded  on  site  by  a  mobile  shredding  truck  in  a  safe  and  secure  manner.    The  shredded  material  is  then  recycled  into  paper  towels  andnapkins.  Proceeds  go  to  various  Davie  County  community  programs  that  the  Garden  Club  supports.

8. Hospice  Golf  and  Tennis  ClassicThe  Garden  Club  creates  approximately  28  floral  table  arrangements  each  year  for  the  Hospice  Golf  and  Tennis  Classic  awards  dinner.  This  is  an  annual  fund-­‐raiser  for  the  benefit  of  the  Kate  B.  Reynolds  Hospice  Home.  A  porDon  of  the  proceeds  are  used  to  create  and  maintain  a  garden  for  the  residents  and  their  families.

9. Public  Library  of  Davie  CountyThe  Garden  Club  makes  an  annual  donaDon  to  the  Davie  County  Public  Library  for  the  purchase  of  books  on  horDculture  and  floral  design.

10. ExcepDonal  Children  Program  of  Davie  County  Public  SchoolsIn  November,  the  Garden  Club  provides  a  Thanksgiving  Luncheon  at  the  Bermuda  Run  Country  Club  for  students  and  staff  of  the  ExcepDonal  Children  Program  of  Davie  County  Public  Schools.  Members  of  the  Garden  Club  provide  seasonal  table  decoraDons  for  the  event  and  arrange  for  musical  entertainment  for  our  guests.  Garden  Club  members  and  staff  from  Bermuda  Run  Country  Club  assist  in  preparing  and  serving  a  tradiDonal  Thanksgiving  menu  for  the  Luncheon.  Last  year,  approximately  175  students  and  staff  members  abended  the  event,  which  is  a  highlight  in  the  children's  school  year.

11. Storehouse  for  JesusGarden  Club  members  bring  canned  goods  and  other  food  and  household  items  to  Club  meeDngs  that  are  held  at  the  Bermuda  Run  Country  Club  for  donaDon  to  A  Storehouse  for  Jesus.  The  Garden  Club  also  sponsors  an  annual  “restock  the  shelves”  food  and  fund  drive  each  year  at  the  Bermuda  Run  Post  Office.  In  addiDon,  the  Bermuda  Run  Garden  Club  joins  with  the  Bermuda  Run  Ladies  Golf  AssociaDon  to  host  an  annual  luncheon  at  BRCC  by  providing  centerpieces  for  each  table.  Proceeds  from  the  Luncheon  benefit  the  Storehouse  for  Jesus  clients.  Other  services  include  providing  meals  for  qualified  families  at  Thanksgiving  and  Christmas  and  collecDng  school  supplies  each  fall  for  needy  children.

12. Tanglewood  RosesOur  oldest  project,  which  began  more  than  30  years  ago,  is  helping  with  maintenance  of  the  Rose  Garden  at

Tanglewood  Park  in  Forsyth  County.  Each  summer,  along  with  volunteers  from  the  Clemmons  Garden  Club,  our  members  conDnue  this  tradiDon.  We  are  pleased  that  the  Advance  Garden  Club,  which  we  helped  establish  in  2010,  now  also  parDcipates  in  the  project.  Our  members  are  divided  into  teams,  on  a  rotaDng  basis,  to  prune  and  deadhead  over  300  rose  bushes  each  week  during  the  months  of  July  and  September.

TANGLEWOOD  ROSE  GARDEN  SCHEDULE

Monday  mornings  during  the  months  of  July  and  September  at  8:00am  all  Garden  Club  members  prune  and  deadhead  the  roses  at  Tanglewood  Rose  Gardens.  Bring  clippers,  gloves,  and  plas/c  bags  for  disposal  of  clippings.  If  you  are  unable  to  work  on  your  assigned  day,  trade  with  someone  for  another  day  or  check  with  one  of  the  “  Friends  Emeritus”  Members  (page  12)  who  m  ay  be  able  to  subs/tute.    No/fy  one  of  the  project  co-­‐chairwomen  (page  8)  of  the  change  in  schedule.  If  you  are  unavailable  to  work  at  all,  no/fy  one  of  the  project  co-­‐chairwomen  (page  8)  since  she  may  need  to  subs/tute  for  you.

Tanglewood  Park  issues  yearly  passes  to  each  member.  They  require  that  each  Garden  Club  member  give  them  the  license  plate  number  of  the  car  the  pass/s/cker  is  on.  Co-­‐Chairwoman,  Fran  Shelton,  will  collect  these  numbers  and  do  the  paperwork  for  you.

CONSTITUTION OF THE BERMUDA RUN GARDEN CLUB

ARTICLE I: NAME AND PURPOSE OF THE CLUB

Section 1 The name of this Club shall be the Bermuda Run Garden Club.

Section 2 The purposes of this Club are to promote interest, study and practice in the various phases of gardening, landscaping and flower arranging and to promote education, conservation, restoration and beautification of the community.

ARTICLE II: MEMBERSHIP

Section 1 The membership of the Club shall be open to all Bermuda Run residents living within the gated area of Bermuda Run, Bermuda Run West, and to any member of Bermuda Run Country Club. Active members in good standing as determined by the Executive Board shall be grandfathered to continue membership should their Bermuda Run Country Club membership or residence status change.

Section 2 Total number of members is limited to 39.

ARTICLE III: OFFICERS AND METHOD OF ELECTING OFFICERS

Section 1. The elected officers of this Club shall be the President, First Vice-President, Second Vice- President, Secretary and Treasurer.

Section 2 Officers shall be elected by a majority of votes cast by members at the December meeting. The treasurer is elected for a two-year term. Other officers are elected for a one-year term. All officers may serve consecutive terms. Officers shall be installed at the February meeting and shall take office March 1.

Section 3 The Executive Board shall consist of the President, First Vice-President, Second Vice-President, Secretary, and Treasurer.

Section 4 The Executive Committee (hereinafter referred to as the Board) shall consist of the Officers, Standing Committee Chairwomen, and past President. They shall meet prior to regularly scheduled Club meetings. Other meetings will be held as deemed necessary by the President.

Section 1 Regular Club meetings shall be held the first Wednesday of each month except June and July.

Section 2 A quorum for all meetings (Executive Board, Board and Regular Club Meetings) shall be a majority of the members present.

Section 3 The fiscal year shall end January 31.

ARTICLE V: ADMENDMENTS

Section 1 The Constitution may be amended at any regular meeting by a two-thirds (2/3) vote of those present only if notice of the proposed amendment has been submitted in writing to the membership prior to the regular Club meeting.

Section 2 The By-Laws may be amended at any Club meeting by a two-thirds (2/3) vote of those present.

BY-LAWS OF THE BERMUDA RUN GARDEN

CLUB ARTICLE I: MEMBERSHIPSection 1 The active membership of this Club shall not exceed thirty-nine (39).

Section 2 Excessive absences, non-payment of dues or failure to participate in Club projects by a member are actions which may result in a request for resignation by the Executive Board.

Section 3 The name(s) of prospective new member(s) shall be presented by a Club member to the Second Vice-President. The Second Vice-President will mail or email an Application for Membership to the prospective member(s) and process it upon receipt. Prospective member(s) who submit an application will be invited to attend a meeting (other than the picnic or the Annual Christmas Dinner) as a guest of the Club. When a vacancy occurs, the Second Vice-President will present at the Board meeting the application of the prospective member(s) for a vote of approval.If more than one application is received on the same date, priority shall be determined by the applicant’s birth month and day (not the year) beginning with the month of February through January (February is the beginning of our club’s calendar year).

Section 4 A written invitation shall be sent by the Second Vice-President to prospective member(s) after the vote of approval.

Section 5 Members may bring a guest to any regular Club meeting. The member bringing a guest will make arrangements with the Second Vice-President to cover any costs involved.

Section 6 A member shall notify the Second Vice-President in writing of her intention to resign from the Club. Resignations will be reviewed and approved by the Executive Board.

Section 7 Should there be a death of a member in the Club or in the immediate family (husband or child) the Club will provide a memorial not to exceed $25.00 to the Bermuda Run Garden Club Endowment Fund or to a worthy cause as specified by the family.

Section 8 Members who are ill at home shall receive a card and members who are hospitalized shall receive flowers.

Section 9 Members who have been active for ten (10) years or more who feel they can no longer participate actively in the Club may become one of ten (10) “Friends Emeritus.” Their ten (10) years of active service entitles them to join the Club at any meeting, project, field trip, or social function (annual picnic, Christmas gathering, pot luck luncheon) they may wish to attend at their own expense.

Requirements for Friends Emeritus statusa. Being an active member for ten (10) or more years.b. Submitting, in writing, a request for Friend Emeritus status, including age disclosure.c. Being willing to maintain Friend Emeritus status by attending a minimum of three (3)

activities per year; this could include Club meetings, field trips or Club projects as listed in the Club’s Yearbook

d. Paying $35 per year to cover snack costs at regular Club meetings.

If the membership is full and a Friend Emeritus wishes to become an active member, her name will automatically be placed at the top of the waiting list. If a former member who resigned in good standing wishes to become an active member, her name will automatically be placed ahead of other prospective new members by not ahead of a Friends Emeritus member who wishes to rejoin the Club as an active member. Neither the former Club member nor the Friends Emeritus member shall be required to attend a regular Club meeting before the application for membership is submitted to the Board for a vote of approval.

ARTICLE II: NOMINATIONS AND ELECTION OF OFFICERS

Section 1 The Executive Board shall serve as the Nominating Committee. They shall present to the Club a slate of officers at the December meeting and the election shall follow.

Section 2 The new officers will assume office March 1.ARTICLE III: DUTIES OF OFFICERS

Section 1 Duties of the Presidenta. Preside at all Club meetings.b. Fill any vacancies occurring in the offices, with the approval of the Board.c. Appoint the Chairwoman of all Standing Committees.d. Attend District 4 meetings.e. Complete and submit the appropriate annual reports.f. Serve as ex-officio member of all committees.g. Appoint special committees as deemed necessary. These committees will be dissolved

when their responsibilities are completed.

Section 2 Duties of the First Vice-Presidenta. Assist the president in the business of the Club.b. Assume all duties of the president’s office, in her absence.c. Serve as Program Chairwoman for all Club meetings April through March.d. Select a gift for the outgoing president.

Section 3 Duties of the Second Vice-Presidenta. Chairs all aspects of membership to the Club as outlined in the By-Laws of the Bermuda

Run Garden Club, Article I: Membership Guidelines, Section 1-9.b. Chairs and appoints four (4) Telephone Callers whose responsibility are to inform

Club members of the date, time and place of Club meetings and activities. The callers also report the number attending monthly Club meetings to the Second Vice-President prior to each Club meeting and/or activity.

c. Make the necessary arrangements (number in attendance, room set-up, etc.)with the Bermuda Run Club Manager for all Club meetings in cooperation with the Hostess Chairwoman and the First Vice-President.

Section 4 Duties of the Secretarya. Keep the minutes of all meetings (Executive Board, Board, and Regular Club Meetings)

and forward a copy of the minutes to appropriate members.b. Maintain a record of attendance at all Club meetings.c. Attend to any correspondence that is necessary.

Section 5 Duties of the Treasurera. Collect dues.b. Collect and hold all the monies belonging to the Club.c. Pay all bills authorized by the Executive Board.d. Present a written Treasury report at all regular meetings.e. Prepare an annual budget with the assistance of the Boardd. Present a proposed budget to the membership at the March meeting.e. Determine the cost of luncheons and/or snacks with the BRCC manager.f. Keep the cost of food within the Club’s approved budget.g. Ensure that the Treasurer’s books and reports are closed as of January 31.

ARTICLE IV: DUTIES OF THE STANDING COMMITTEE CHAIRWOMEN

Section 1 Duties of the Awards Chairwomana. Identify and define all state and national awards for which the Club may wish to compete.b. Obtain, share and complete official entry forms and enter all pertinent data prior to the

due date.Section 2 Duties of the Historian

a. Maintain an archival record of data pertinent to all activities and functions of the Club.

Section 3 Duties of the Photographer/Scrapbook Chairwomana. Take photos at all Club activities and functions.b. Maintain a scrapbook of data pertinent to all activities and

functions of the Club.c. Present the scrapbook to the presiding President at the February meeting.

Section 4 Duties of the Publicity Chairwomana. Notify the newspapers of Club projects and/or actives deemed newsworthy as

directed by the President.b. Serve as back-up to the Club’s Photographer in her absence.

Section 5 Duties of the Hostess Chairwomana. Arrange for Hostesses at regular monthly meetings which will

be held at the Bermuda Run Country Club unless otherwise indicated.

b. Secure Snacks/Buffet Hostesses to provide the table décor for the monthly meetings held at the Bermuda Run Country Club.

c. Secure Luncheon Hostesses to decide on the food to be served and to provide the table décor for all luncheons.

d. Secure Field Trip Hostesses to provide the beverages and submit the bill to the Club Treasurer for functions held away from the Club

Section 6 Duties of the Invocation Chairwomana. Prepare, present and deliver a short inspirational message and invocation at the beginning

of each Club meeting and/or event.

Section 7 Duties of the Social Chairwomana. Secure a location for the annual Holiday dinner and annual picnic.b. Determine a menu and plan for food.c. Decide on a cost per member for each event.d. Arrange for entertainment if desired.e. Obtain approval of Executive Board for any expenses to be incurred.

Section 8 Duties of the Ways and Means Chairwomana. Be responsible for fund-raising.b. Determine items for sale and other fund raising activities to allow for sufficient funds to

Section 9 Duties of the Year Book Chairwoman

a. Secure information necessary for updating the Garden Club Yearbook each year.b. Compile contents and arrange for reproducing a copy of the yearbook for each Club

member.c. Keep costs within the Yearbook budget.d. Distribute new yearbooks at the April meeting of the Club.

ARTICLE V DUES

Section 1 The annual membership dues and hostess fees of the Club shall be $60.00 payable at the March meeting. (The membership dues include the cost of snacks at regular Club meetings.)
