Welcome to the Center for Life Sciences Building This tenant manual has been prepared in order to acquaint you with procedures, systems, and operations of the Center for Life Sciences (CLS) building leased by Beth Israel Deaconess Medical Center (BIDMC). Your familiarity with the contents of this manual will allow you to operate safely and efficiently within the CLS and provides a directory of services and contact information. These procedures will be continuously reviewed and revised to ensure all of the procedures and information stays current. This manual is also located on the Research web portal of the BIDMC home page. Your comments and suggestions are appreciated and welcomed. Directions to Beth Israel Deaconess Medical Center Campus - CLS

There will be no unescorted public visitors in the CLS building. Visitors may park at the Carl J. Shapiro parking garage (off of Binney Street), the 333 Longwood parking garage, or the Children’s Hospital parking garage at 283 Longwood. Please note that BIDMC validation stickers will only be honored at the Carl J. Shapiro parking garage. Driving: From Harvard Square: Take John F. Kennedy Street out of Harvard Square and across the river. Turn left onto Soldiers Field Road (this turns into Storrow Drive). Continue on Storrow Drive approximately 2 miles to the Kenmore Square/Fenway exit. Take Fenway side of the exit to Boylston Street outbound following the signs for Brookline. Follow Brookline Avenue (Beth Israel Deaconess Medical Center will be on the left) turn left onto Longwood Avenue. Take a left onto Blackfan Circle. The CLS Building is on your left. From North of Boston: Take 1-93 South to exit 26 A (Leverett Circle/Cambridge). At end of ramp turn left onto Storrow Drive. Continue on Storrow Drive approximately 2 miles to Kenmore Square/Fenway exit. Take Fenway side of the exit to Boylston Street outbound following the signs for Brookline. Follow Brookline Avenue (Beth Israel Deaconess Medical Center will be on the left) turn left onto Longwood Avenue. Take a left onto Blackfan Circle. The CLS Building is on your left. From West of Boston: Take 1-90 (Mass Turnpike) east to exit 22 (Copley/Prudential) take the Prudential side and that will put you on Huntington Ave. Follow for approximately 1 mile turn right onto Longwood Ave. Take a right onto Blackfan Circle. The CLS Building is on your left. From South of Boston: Route 93 North to exit 18 (Mass. Ave). Follow exit and cross over Mass. Ave onto Melnea Cass Boulevard to the end. Take a left onto Tremont Street. Take the next Right onto Ruggles Street. Drive approx.5 miles and take a left onto Huntington Avenue. Access Cards / Visitor Badges In order to obtain an access card, an Access Card Request Form must be signed by the authorized departmental approver. Access cards are issued to building occupants through the BIDMC Public Safety Office. Visitor badges are available at the security desk. Unescorted visitors will need to call from the security desk and leave a photo ID to ensure the return of the visitor badge. Keys In order to obtain a key, a Key Request Form must be signed by the authorized departmental approver. Keys are issued to building occupants with prior written departmental approval through BIDMC’S Locksmith. For keys - fax completed form to: (617)-975-5107 All lockouts, requiring Security to open any office/lab space, will require positive identification prior to permitting access. Should you require access to an office or lab, prior written authorized departmental approval will be required. BIDMC takes security very seriously and is concerned about your safety. Keys and access cards are not intended to be used by anyone other than the original person issued under any circumstance. Request forms are in the APPENDIX of this document or can be found on the BIDMC web site under Public Safety You are responsible for the card and key and for the consequences of their misuse. Please report lost or stolen cards/keys to (617) 632-8331.

Lockers The assignment of lockers is coordinated by a designated department administrative person for that floor. The people listed below for conference room scheduling will also assist with locker assignments in conjunction with the BIDMC locksmiths.

Mail and Receiving Services

The CLS Mail and Receiving Services Office are located on the loading dock at 3 Blackfan Circle. The address for truck or courier delivery to the CLS loading dock is 3 Blackfan Circle. The hours of operation for Mail and Receiving Dock Services are the following: Monday through Friday 7:00 am - 3:00 pm CLS Loading Dock Supervisor, Robert “Rocky” Rockwood Tel. (617) 754-2248 Receiving Services accepts all vendor deliveries, United Parcel Service (UPS), Federal Express, DHL, etc. Receiving Service also handles outgoing UPS and other vendor returns. Mail will be delivered to the floors between 1:00 – 3:00 each day. Outgoing mail will be picked up at this time as well. When ordering any large piece of equipment or materials please observe the following rules: 1. There is a (100) pound limit to any one package to be delivered by receiving personnel. 2. Please have exact measurements of the pieces you are ordering to be sure that they will

fit through doorways and onto elevators. 3. All equipment should be delivered directly to the office/laboratory by the vendor in which it

will be used/installed. The area available for off loading on the receiving dock cannot accommodate storage of large crates. Any equipment arriving that does not have instructions for “in place delivery” will be refused delivery to the dock. Interior hallways must be kept clear by order of the Boston Fire Department and therefore no packing materials may be left in the hallways or service elevator lobbies. Labs must ensure that vendors remove these items after uncrating/unpacking equipment.

Building Maintenance & Service Requests All maintenance or service requests should be called into: ABLE Engineering (617-73) 5-4399. All calls will be properly routed to the appropriate maintenance group to handle the call. All work requests made to the CLS Facilities Manager or ABLE Engineering will be logged into an automated work order system and tracked (please request a work order number for tracking purposes). Once the work-order is completed, it is closed in the system. A complete and comprehensive record is maintained in the data base. Should your work request not be addressed within a reasonable period of time, feel free to call the (617-73) 5-4399 for an update on the status of your order.

Heating & Air Conditioning For your comfort and convenience heating and cooling thermostats are located in various areas on each floor and can be adjusted to the desired room temperature. Please allow at least 10 minutes for the temperature to adjust to the setting. If you are experience difficulty in obtaining a desired room temperature, please call ABLE Engineering at (617-73) 5-4399.

Custodial Services Housekeeping: • A Monday through Friday cleaning schedule will be maintained for the building. In

addition, 1st and 2nd shift day porters will be provided for the needs of the building. Weekend skeleton coverage will be provided The areas to be cleaned will include entrances, common areas, labs, classrooms, washrooms, offices, lounges, kitchenettes and conference rooms.

• Standard daily cleaning services will be provided: emptying trash, horizontal dusting, spot cleaning, floor washing as required and vacuuming as required. Included will be periodic floor stripping/waxing and rug shampooing.

• Housekeeping will provide all labor, equipment, supplies including hand soap, paper towels, toilet tissues, sanitary products, plastic bags for waste paper baskets and all cleaning materials.

• BIDMC has a full recycling program on campus and in conjunction with CLS will be using Janitronics for materials management. Within this program we handle the following: paper, cardboard, plastics, bottle/cans, animal waste, bedding, computer equipment and light bulbs.

• Appropriate recycle containers are provided for all the offices, labs and common areas. The Janitronics workers will handle the recycle pickup as part of their cleaning routine.

• A specific recycling list is available in the APPENDIX of this document. Bio Hazard Removal:

• BIDMC has contracted with an external vendor (SteriCycle) for bio hazard waste removal program. See Biohazardous Waste Section for further details.

Radiological Waste Removal:

• BIDMC Radiation Safety Office has a separate waste removal program. Not all labs are on a period waste pick-up schedule, by request waste pick-up’s take place on Thursdays. Radioactive waste must be properly disposed of in bags and well labeled containers provided by the Radiation Safety Office. Once the waste is ready to be removed from the lab space, it must be appropriately tagged and one must request a waste pick-up by emailing [email protected] by Wednesday evening. See Radiation Safety Section for further details.

Telecommunications

Information Technology Policies, Procedures & Standards Introduction The CLS Building contains state-of-the-art facilities for voice and data communications. For data communications, all building tenants have access to a fully integrated wiring system consisting of Category 6E (copper) wiring to the Desk Top, with a back bone infrastructure of both Single and MultiMode Fiber connecting to Ortronics patch panels. This entire system has been installed, tested, and certified by Ortronics-certified installers and is capable of transmitting data at gigabit speeds. Voice services are provided by Beth Israel Deaconess Medical Center Telecommunications via new AVAYA survivable cabinets. This will allow all BIDMC occupants to have 5 digit dialing to the main campus and our affiliated locations. Your voice mail system will remain the same.. Policies and procedures for telephone moves, changes and procurement remain unchanged from your previous locations: New Requests (Phones, voice mail, jacks, etc) 1. Complete a Telecomm work request form – (below) fax to Telecommunications at 4-8199.

Upon receipt, a Telecommunications coordinator will contact you for additional information should any be required, and provide you a work order number so you can track your order at any time by calling telecommunications at 4-8181. Work requests generally take between 5-7 business days to complete unless new cable is required. Jobs needing new cable installation may take substantially longer depending upon the amount of cabling necessary/size of the project, etc. Some requests may need prior authorization of the Facilities move committee for completion.

Repairs 1. Repairs of telephones or tele/data jacks are made by calling the IS Help Desk at 4-8080

and reporting the problem. You request will be put into the Telecommunications repair queue and be responded to in the order it was received. Most repairs are completed by the next business day or sooner. Some complex issues may require outside assistance and will take more time to complete. If this occurs you will be advised of the problem and our expected time to resolution.

Elevator Services The CLS building contains eight passenger (5 low rise and 3 high rise) elevators and two service elevator, and parking garage has three elevators, and BIBMC ARF has a dedicated service elevator. Passenger Elevators: An access card must be used in all passenger elevators to gain access to the floors in the building. If an access card is not programmed for that specific floor(s) access will be denied. BIDMC Staff will have access to all BIDMC floors. No deliveries are allowed in the passenger elevators at any time, security strictly enforces this policy. Vendors should coordinate access with the loading dock staff. Contact Public Safety if an access card is not working in the elevators. Email Dan Kendall at [email protected] or call (617) 632-8331, and he will liaison with the building security group for proper clearances. Service Elevator: The service elevator is designated for all building deliveries. All deliveries to the building must be brought up to the tenant's premises via the service elevator. The BioMed Realty management office must be notified of any large moves or deliveries in order to notify the security desk, aid in scheduling the freight elevator, and to notify any tenants that may be indirectly involved or affected by such a move or delivery.

Conference Center There is currently no planned Conference Center within the CLS Building. Individual conference rooms in CLS are scheduled by administrative staff for that specific floor – see page 10 for contact staff. BIDMC’s Service Response has an on line conference room booking service for all publicly booked conference rooms within the BIDMC campus, or you may call (617-63) 2-0070 for assistance in booking a conference room on campus.

Harvard University has Conference space available for rent in the New Research

Building (NRB) at 77 Ave Louis Pasteur and in the Harvard Institute for Medicine (HIM)

Cafe and Catering Services There is currently no planned Café or Catering Services within the CLS Building. BioMed Realty is currently marketing retail space in the building. The East Campus Cafeteria, Ullian Dining is easily accessible via the Stoneman

Connector Bridge to the CLS building on the second floor.

Fitness Center There is currently no planned Fitness Center within the CLS Building. Please contact the BIDMC Be Well! Tanger Center for Health Management (Fitness Center & Health Education) at (617) 667-4695 for locations of fitness centers and programs. There is also a fitness center in the New Research Building (NRB).

Bicycles

For your convenience, covered bicycle racks are provided in CLS on the first level of the garage. Card access will be required to gain access into the covered bicycle cage. Access for the bike storage room is granted through BioMed (BMR) property management office. Call (617) 225-2440 to arrange access. Bicycles may not be stored or left anywhere on the premises other than on the bicycle racks provided. In addition, bicycles are not permitted in any interior areas of the building (corridors, lobbies, offices, etc.) at any time. It is recommended that bikes be locked at all times. Bikers need to supply their own lock. Neither the building management nor Laz Parking Service Company is responsible for stolen or damaged bicycles on the premises.

Parking Welcome to the CLS and the BIDMC parking facility. The CLS parking facility is located at 3 Blackfan Circle. The parking area consists of a 750 car underground garage. The attended hours of operation are 24 hours a day and attendants are available to assist you with your parking needs. Each authorized parker will be issued an access card (through the BIDMC Parking Office), which will allow only one car into the facility at any time. When using the card, place the striped side of the card towards the reader and swipe it through the card readers (located at the entrance and exit) to the parking facility. It is important that you keep your access card with you at all times, especially to gain access to the facility during off hours, if attendants are not available. Garage clearance is 6'8". In case of emergency, please contact USI Security at (617) 232-0102. There are house phones located in the elevator lobbies of the garage that can be used to contact security. Please do not park in fire lanes or handicap spaces (unless permitted). Parking anywhere on CLS property other than designated areas will be subject to towing, at the owners expense. The BIDMC Parking Office, located at 330 Brookline Ave., is open 7:00 a.m. to 5:00 p.m. Monday through Friday. Smoking Policy CLS is a smoke free building. Smoking is not permitted anywhere inside or outside of the facility. Note: Security strictly enforces this policy.

Emergency Backup Freezers Research Facilities has located three emergency back up freezers in the CLS building in CLS-0623, CLS-0723, CLS-09L3 and CLS-10L3. Each freezer will have a sign on it with the following information: Be advised that this freezer is the property of BIDMC and is designated as a “back-up” unit for temporary emergency needs. All contents must be properly labeled and recorded on the log sheet. Failure to do so may result in disposal of the product. This freezer is monitored once a month. This equipment is restricted to BIDMC staff. If you have any questions, comments, and/or concerns, contact one of the following individuals. (Contact info will be listed on the sheet). These back up units are meant for emergency situations only i.e. if a freezer in your lab fails and you need to move your product for safe keeping. The product will need to be moved back to your lab once your freezer is repaired or a new unit is brought in. We will monitor these freezers and once a month will clear them of any unauthorized product. Loading dock staff may use these freezers in case of a package delivery that requires freezing when lab staff is not available to take receipt of package.

Environmental Health and Safety INTRODUCTION The following information is designed to familiarize you with the health and safety policies and procedures specific to the Center for Life Sciences (CLS). The BIDMC Environmental Health and Safety (EH&S) office can be reached at (617) 667-3088. All staff at CLS are responsible for protecting themselves, their coworkers, visitors, and contractors working in their area by following safe work practices and by being alert to hazardous conditions or practices and bringing them to the attention of their supervisor. Health and safety at CLS is everyone's responsibility. HEALTH AND SAFETY RESOURCES The following references provide useful information on EH&S policies and procedures for the CLS facility:

• Emergency Response Guides (flipcharts) are posted near all laboratory exits and provide useful information for handling spills of chemical, biological, or radioactive material, responding to a personal injury, and responding to a fire emergency.

• BIDMC Chemical Hygiene Plan summarizes health and safety policies and

procedures for all BIDMC labs, including those in the CLS Building. The CHP is available to you through the EH&S section of the BIDMC Research Portal website.

EMERGENCIES-GENERAL INFORMATION In the event of an emergency, such as a chemical, biological or radiological spill, call a Code Orange by dialing (617) 632-1212. For personal injuries, report to BIDMC Employee Occupational Health Services at (617) 632-0710, LMOB 6th floor, during normal business hours. After hours or in the case of a sever injury, go to the BIDMC emergency room or dial 9-1-1 for an ambulance. EMERGENCIES - FIRE (CODE RED) In the event of a fire, follow the RACE steps: Rescue, Alarm, Contain, and Evacuate. From a safe location, place a telephone call to 9-1-1 and a back up telephone call to the BIDMC emergency line at (617) 632-1212. This back up call alerts BIDMC staff to respond.

If you smell smoke or see a fire, follow these four steps: R RESCUE - anyone in immediate danger, if you can do so safely

A ALARM – pull nearest fire alarm and call out “code red” of “fire” to alert others in the area, if possible dial 9, 9-1-1 and when possible a back up call to (617) 632-1212

C CONTAIN – the fire, close doors /windows in the area when leaving E EVACUATE – using the nearest exit stairwell. DO NOT USE Elevators Assume all alarms are real, unless you have been previously notified. To familiarize yourself with your new laboratory, take a self-conducted tour of the area. Pay particular attention to the location of emergency equipment and exits. • Locate the exits: Refer to the posted fire evacuation route and locate at least two of

the exits nearest to your work area. Determine the quickest and safest way to get to each exit stairwell and become familiar with where each exit opens on the ground floor.

• Know your neighbors: If someone near you is unable to readily walk down the stairs

to evacuate, be prepared to help them. • Plan your escape: Think about an alternative route, if the first exit route is blocked.

Always use the stairs and not the elevators during an emergency. Get acquainted with the entire building.

• Fire extinguishers: Fire extinguishers are wall-mounted in all of the laboratory areas

and in the outer corridors. Determine the locations of several fire extinguishers near your work area. Fire extinguishers should only be used to get out of the area safely in the event of a fire. Do not attempt to fight a fire!

• Emergency Shower and Eyewash Stations: Know the location of the nearest

emergency shower and eyewash stations to your work area. Never block access to these areas.

Boston Fire Department (BFD) regulations require that all corridors remain free of all materials to ensure safe access during an emergency evacuation. Do not store items (e.g., equipment, carts, animal cages, etc.) in the outer corridors or exit stairwells. Do not restrict access to emergency equipment such as fire extinguishers, emergency showers, eyewash stations, and fire alarm pull stations. EMERGENCIES - CHEMICAL SPILLS (CODE ORANGE) Emergency Spill Kits: these are mounted throughout the lab areas; employees should familiarize themselves with the location of the nearest kit. These contain spill containment/cleanup materials, personal protective equipment, acid/base neutralizer, and other materials useful in remediating small-scale chemical spills. These spill kits are available for your use during a chemical spill. Please call a Code Orange by dialing (617) 632-1212 if you require assistance in cleaning up a spill. If you clean up a spill on your own, please report the spill to the BIDMC EH&S Office at (617) 667-3088. This will

ensure that the materials in the spill kit are restocked and that all cleanup materials are disposed of properly. CHEMICALS Chemical Storage: All chemicals used in the lab must be stored safely (within proper guidelines). Flammable liquids should be stored in UL-approved flammable liquid cabinets, such as the cabinets beneath most chemical fume hoods. The amount of flammable liquids in the laboratory must not exceed the BFD's flammable storage guidelines. Limit the quantity of chemicals in your lab: order supplies for only two or three weeks and dispose of unused chemicals as hazardous waste. Separate Incompatible Chemicals: For example, separate acids and bases, and also organic acids from inorganic acids. For more information on incompatible materials, contact the BIDMC EH&S Office at (617) 667-3088 if you have additional questions or concerns. Mercury Thermometers: Mercury thermometers are not allowed in the CLS building. Contact BIDMC EH&S to obtain alcohol thermometers. Formaldehyde: Individuals using formaldehyde are subject to certain Occupational Safety and Health Administration (OSHA) regulations. If you use formalin or formaldehyde containing materials, contact the BIDMC EH&S Office. Material Safety Data Sheets (MSDSs): MSDSs are documents that summarize health and safety information about hazardous chemical products. They may be accessed on-line through the BIDMC EH&S web portal. On the portal’s Research tab, click on “Environmental Health & Safety,” then “Material Safety Data Sheets (MSDSs),” then scroll down the the link to MSDS Source, where you can search by chemical name. If you need assistance in locating an MSDS, contact the BIDMC EH&S Office at (617) 667-3088. Chemical Hazardous Waste: All hazardous chemical waste must be properly collected and disposed. Waste containers must be stored in the designated area in the laboratory. Containers must be individually labeled with the following information: • The words "Hazardous Waste." • The contents of the container (no abbreviations). • The predominant hazards (Toxic, Ignitable, Corrosive, Reactive) must be checked. .

The date the container became full. To have full containers removed from the laboratory, or to obtain hazardous waste labels, call the BIDMC hazardous chemical waste pickup request line at (617) 667-5143. Never dispose of chemical waste in the sinks. Chemical Fume Hoods: The Maintenance Department inspects chemical fume hoods annually. The certification label indicates the maximum sash height at which you should

operate the fume hood. A lower sash generally offers more protection during hood use. For maximum protection and energy savings, the sash should be closed whenever the hood is not in use. Fume hoods at CLS have a special feature: a sash raised too high will result in inadequate airflow, and the fume hood control box alarm will sound. In addition, if there is a spill in your hood or lab area, press the button labeled "Emergency Exhaust" and the hood airflow will increase to a maximum level. For fume hood repair, please call ABLE Engineering at (617) 735-4399. GLASSWARE DISPOSAL Empty and non-chemically-contaminated broken glassware should be disposed of in a rigid plastic or metal sharps container. When the box is full, close and seal the container, and place in the designated area to have it removed. Unsealed boxes will not be collected. Unbroken glassware may be disposed of as regular trash; any questions - contact Janitronics at (781) 647-5570. BIOLOGICAL SAFETY CABINETS Biosafety cabinets, or tissue culture hoods, are certified annually on a scheduled basis with a preferred vendor. Certification is coordinated through BIDMC Research Facilities. Questions or repair needs call (617) 667-4361. BIOHAZARDOUS WASTE Approved biohazardous waste containers (burn boxes and sharps containers) are provided by a BIDMC preferred vendor (Steri-cycle) and are delivered to the floors through Janitronics at (781) 647-5570. Solid biohazardous waste must be collected in a cardboard burn box that has been lined with two red biohazard bags. Liquid biohazardous waste should be disposed according to the guidelines below. Sharps must be disposed of in an approved sharps container. Janitronics staff removes properly sealed burn boxes. To prepare a burn box for disposal, follow these steps: • Close and tape or tie the inner bag. Close and tape or tie the outer bag. • Place the cardboard cover on the box. • Seal the box with two inch wide tape across the top of the box. • Label the top of the box with the room number, date, and the PI's name. Biohazardous waste is removed from the CLS facility by an outside vendor for incineration. The cost to incinerate each of these boxes will be charged to your institution. To reduce costs, make sure that you only dispose of biohazardous waste in these boxes. • Liquid biohazardous waste: Liquid waste must be either autoclaved or disinfected

with cWorine bleach and then disposed of down the drain. For cWorine disinfection, use household bleach at full strength. Add enough bleach to yield a 10% solution of bleach in the final volume of liquid waste. Allow a contact time of at least 30 minutes, then dispose of down the sink. Other liquid blood and blood products may be disposed of directly down the sink.

• Solid biohazardous waste: Any viable organism containing recombinant DNA molecules must be rendered noninfectious by a validated method (e.g., steam

sterilization, chemical disinfection, incineration at an approved facility) prior to off-site removal. Other solid materials may be placed directly in the burn box.

• Sharps: Sharps (syringes, needles, surgical and razor blades, pasteur pipettes, etc.) must be disposed of in sharps containers.

Never put needles or other sharps in the regular trash. TRAINING All new employees are required to attend laboratory safety training within 30 days of their initial employment start date and annually thereafter. These sessions cover material required by OSHA and include the Lab Safety Standard, the Bloodborne Pathogens Standard, and the Formaldehyde Standard, as well as a variety of additional information and CLS-specific policies and procedures. Topic-specific training materials such as shipping hazardous and infectious materials are also provided. PERSONAL PROTECTIVE EQUIPMENT (PPE) Hazardous materials may enter the body through inhalation, ingestion, or skin/eye contact. CLS staff must wear proper PPE in order to prevent injuries and illnesses caused by known workplace hazards. Wearing proper PPE is everyone's responsibility. PPE should be used only when substitution, elimination, and engineering controls are not sufficient to reduce workplace hazards. PPE is worn for various tasks in the CLS facility and generally include gloves, goggles, face shields, and lab coats. Radiation Safety

Guidance for New Radioactive Material Users BIDMC's Radiation Safety Office (RSO) will be helping you use radioactive materials (RAM) in your research at the New Research Building (CLS). The following frequently asked questions will hopefully address most of your questions, but please contact us at (617) 667-2510 with any additional questions. What needs to be done so your lab can start using RAM in CLS? • Submit a Permit Application to the RSO indicating the Permit Holder for the lab and

details about the isotopes and labs you will be using. Application forms can be found at our website: <http://home.caregroup.org/templatesnew/departments/BID/radsaf/> or by calling (617) 667-2510. Permit applications must be approved before RAM may be used

• Radiation Safety Training must be approved before RAM may be used. We require

that one attends the BIDMC Radiation Safety Orientation as well as complete Harvard University Safe Handling and Use Training at :http://www.uos.harvard.edu/ehs/radsafety/tra_wbt.shtml Once the online training has been completed one must print out the certificate and fax it to the Radiation Safety Office ((617) 667-4320)

• You will receive a dosimeter badge at your Radiation Safety Orientation or you can

request on by filling out the Badge Requisition Form which is located at our website. BIDMC issued dosimeter badges should be worn when working with RAM at the CLS and returned at the end of each monitoring period.

How do I order RAM? • ALL orders for radioactive materials must be placed through the Radiation Safety

Office. Orders can be placed by faxing a Purchasing Form (found on website) to the Radiation Safety Office (617) 632-0578. Please follow guidance on the Radiation Safety Website.

How do I receive RAM? • Radioactive materials are delivered directly to your lab space as noted on the

purchasing form which you submit. You are required to be present in the lab to sign for your package when the Receiving Department Personnel drop it off.

• Immediately upon receiving any radioactive package one must complete a Radioactive Package Receipt and fill out the corresponding Radioactive Package Receipt Form (found on website) and submit it to the Radiation Safety Office (fax to (617) 667-4320) within one hour of signing for the package.

How is my RAM waste handled?

• Unless a lab has made special arrangements with the Radiation Safety Office, waste pick-ups are by request only. Waste pick-up’s take place on Thursdays. Please have the waste ready and packaged appropriately following the guidance in the Radiation Safety Manual.

• One must request a waste pick-up by emailing [email protected] by

How often will my lab be surveyed by the Radiation Safety Office?

Guidance for Radioactive Materials Users moving to CLS from BIDMC Space • The Radiation Safety Office will assist you in the move to CLS. Please reference the

2008 Research Lab Move Guidance Sheet on the website for a thorough outline of what needs to be completed prior to the move.

• Permit Holders must submit a Lab Move Amendment Form (found on website) along

with a map of their new lab space to the Radiation Safety Office several weeks prior to their move.

• The Radiation Safety Office MUST be made aware of any isotope transfer

(stock/solutions/samples containing radioactive materials) and facilitate the transfer of these items. DO NOT ATTEMPT TO TRANSFER ANYTHING CONTAINING RADIOACTIVE MATERIALS without RSO clearance.

• ALL Radioactive Waste must be disposed of prior to the move-no waste can be

transferred to your new space. • The Radiation Safety Office will affix all appropriate signage in your new lab space

and provide you with the proper radioactive waste containers as well. • Once your lab has been set-up and your permit amendment submitted and approved

you may begin working with radioactive materials in your new lab space.

Standard Operating Procedure - BIDMC CLS Pathogen Free Rodent Facilities

Center for Life Science (CLS) Animal Research Facility The CLS animal facility is a 34,000 net square foot rodent barrier located on CLS8. The exclusive purpose of a barrier facility is to maintain animals free of adventitious pathogens. Animals of this quality are essential to the production of reliable research data. A barrier facility helps protect the health of rodent colonies and validity of each investigator’s research. The barrier will house 23,000 individually ventilated cages of mice and 320 cages of rats. The Transgenic Mouse Core and a 320 cage rodent biocontainment (Biosafety Level 2) suite are also located at this site with separate entrances and restricted access. All caging is autoclaved. Animal diets are irradiated and water filtered by a reverse osmosis system is provided by an automatic watering system. Ventilated cages provide the animals with 60 exchanges per hour of HEPA filtered fresh air. Room air is 100% exhausted to the outside with no recirculation within the room. The barrier facility will only house rodents known to be free from adventitious pathogens. Animals accepted directly into CLS from:

Animals obtained from non-commercial, or otherwise unapproved sources will be considered on a case-by-case basis. All accepted unapproved source animals must undergo a NINE week quarantine in the Slosberg-Landay facility. Breeding is not permitted in quarantine and research staff will not have access to these mice. Access to the barrier is via card key. Card key authorization to the barrier will not be issued until all required animal training has been documented and protocols updated. Glasswash Services

BIDMC offers a campus wide, fee-based, Glass Washing service to all research labs. Any BIDMC lab moving into the CLS building currently using this service should not encounter disruption in service. Glass Washers are trained for the CLS equipment. Any lab not currently utilizing this service that would like to start a new service should contact their department Research Administrator (RA) for assistance. For general glass washing questions, please contact Will Decaneas vie email at [email protected] The current glasswash rate is $19.22/hour. This rate is subject to change; please check the BIDMC Research web site for updates.
