1. Background of the Item being Procured1.1 General Overview of the Procurement Project

The modular workstations at the ICTO 2F HCDG room that is currently being used by the iGovPhil project will be turned over to DepEd this year as part of the iSchools project closeout. In this regard, the room will be needing workstations/furniture/equipment to continue the operation of the iGovPhil project.

1.2 Brief description of the Item being procuredSince the project requires its employees to work collaboratively, an open space layout plan is suggested. The new office space shall have modular workstations and furniture for flexibility and possible new configurations. It should fit comfortably and accommodate a large number of employees. The supply, delivery and installation of office furniture include visitor/lounge seating, staff workstations, executive area, conference tables, meeting room furniture, wood storages and equipment/appliances or associated products.

2. Purpose of the ProcurementThe main objective of the proposal is to procure, improve and refresh office atmosphere, re-arranging current office space to accommodate more employees, maintenance of the office; investment into office interior to make it optimal, functional energy and cost-efficient work environment.

6. Duration of the Contract 6.1. The Contractor/winning bidder shall complete the delivery

and installation of work within 60 calendar days from the date of receipt of Notice to Proceed.

7. Warranty7.1. Warranty Certificate shall be issued in favor of the

Department of Information and Communications Technology Office covering the Furniture/fixtures/equipment delivered for iGovPhil Project space.

7.2. Replacement of defective fixtures/furniture/equipment/appliances and materials to be used for repairs and repainting jobs within the duration of the warranty.

7.3. The Contractor further warrants that all Goods supplied under this Contract shall have no defect, arising from design, materials, or workmanship or from any act or omission of the Supplier that may develop under normal use of the supplied Goods in the conditions prevailing in the country of final destination.

7.4. Bidder shall be responsible for all the cost related to the warranty period.

7.5. Supplier should provide spare parts as needed within the warranty period.

8. Other Requirements8.1. Site Inspection

Prospective bidders are required to conduct site inspection at the iGovPhil Project Office before bid submission between August 10 – 21, 2016. This is to ensure the reliability, security and efficiency of the required services that the contractor shall perform. Kindly give a 1-day notice before your site visit. A certificate shall be given to the supplier as proof of their site inspection.

8.2. During the post qualification, the winning bidder is required to submit:8.2.1. actual materials to use including specifications 8.2.2. actual fabric swatches for approval8.2.3. actual wood stain swatches for approval8.2.4. Must provide photo or brochure and technical

specifications of actual items to be delivered8.2.5. Floor Plan- Interior design/3d rendered

Drawings/Blueprint8.2.6. Contractor must provide an as-built

drawings/diagrams/layout of the fixtures, furniture, equipment/appliances that will be supplied, delivered, installed in the HCDG Room in hard and e-copy

8.2.7. Implementation or Work Schedule A work breakdown structure (WBS) must be submitted by the winning bidder as soon as they

8.2.8. Documentation of financial breakdown/cost for items (in unit prices and total prices) including assemble/installation, repainting/repair services and others.

9. Payment Terms 9.1. Payment shall be made upon issuance of Certificate of

Final Acceptance from the head of Procuring entity.9.2. Supply, delivery, installation must be done within 60 days

from the receipt of NTP.10.Timelines for Implementation of the Project

10.1. Allowable work schedule for the supplier for delivery and installation:
