0. Purpose The purpose of this guide is to get you started with BIS. It will

• Show how to sign onto BIS • Present high level information about the various reports that are available • Walk you through in detail about running your first report. The example we present will pull

year-to-date sales and inventory information at item/SKU level for a particular category • Once you’ve generated this report to familiarize yourself with the tool, you will be able to run

other reports, with different prompts and enjoy the power of information that BIS can provide about your company’s performance within Hbc

1. BIS will be available to vendors on:

• Monday - Saturday 7:00 AM - 8:00 PM • Except Thursday 7:00 AM - 7:00 PM • Sunday 12:00 PM - 7:00 PM

Vendors will be unable to access external website on Mondays Note that reports must finish executing by 7PM or they will be cancelled The website to remotely access BIS is: https://bis.hbc.com/VendorsMstr/asp/main.aspx Please note the “s” on the http portion and the case sensitivity of the “V” and “M”

2. Logging onto BIS You will be prompted for a username and password when trying to access the link. This will be provided to you upon receipt of a completed copy of the Request for Network Connectivity to Hbc. For Windows XP, users must logon as follows:

Note: xxxxxxx is the user name and password that have been assigned to you

For Windows 98, users must logon as follows:

If the following screen appears, please delete the “bis.hbc.com\” portion and proceed as instructed. Username and password in format, other than those shown above, will NOT work

Once you are signed in, click on the icon to access the BIS Vendor Production project

The next screen is the home page. It displays a summary of the folders and options available

• Shared reports: Displays and links the user to default reports that are shared with others • My Reports: Displays and links the user to reports that have been created by the user • My subscriptions: Displays and links the user to reports that have been requested to run on a

schedule • History List: Displays and links the user to messages about reports executed and sent to the

History List or that are scheduled to run

4. Running a report – An example We will run MXD-IA010.4 as an example. The path to access the report is as follows: Shared folder Inventory MXD-IA010.4 Sales and Inventory Status

The initial screen will look as follows:

(a) Report on and Filter on The left-hand menu shows the various prompts that are available. Some are required while others remain optional

• ‘Report on’ will add an additional column on your report • ‘Filter on’ will constraint what information appears in the column of the report.

Required prompts are mandatory, and if skipped, will show the following error message:

There are 3 fundamental attributes to report and filter on:

• Merchandise (e.g. Item level) • Organization (e.g. Store level) • Time (e.g. Year to date)

In this report, you will be required to choose options for prompts 1,3,4,5 and 6; A sample combination is shown below:

Here, we will select “Item”. This will add an “Item” column to the report. If you wish to report on say, category also, please select accordingly.

The combinations are quite self-explanatory. Choosing the 2nd option allows us to pick a maximum of 5 categories and one chain or store. Please note that the restrictions apply to minimize the risk of the result set exceeding 400,000 rows or 300,000 cells

If you wish to have your style number on the report, please select to report on “Primary VPN”. Otherwise, proceed to option 3

(b) Executing your report Once you have answered all the required prompts, scroll to the top or click on he “Return to top” arrow as shown above and click on “Execute Report”

You can select to report on time frames from “Year” to “Day” level.

• Static Time Filter is used when you would like to run a report on a specific timeframe. E.g. Week 33 or July 12th etc.

• Dynamic Time Filter is used when you want to see the report as of say yesterday, last completed week, year to date etc. It is especially useful when running subscriptions.

Option 6 allows you to customize the metrics that are to be displayed on your report. Choose accordingly. For the definition of the metrics, refer to our FAQ METRIC DEFINITION sheet.

Note: Please ensure that the metrics are selected in the order that you would like them to appear on the report

(c) Filtering your report The next screen will allow you to filter on the Dynamic time, Category and Chain

A sample combination:

This option is defaulted to “Last Completed day”. Make sure you only have ONE selection Filtering on Category:

Type in your category number, each followed by a space bar in the

“Search for” box and click on to search

Note: Do NOT press the ENTER key to search!!

For each category, there is an option for Bay and Zellers.

Please ensure that you select the banner that applies to you.

E.g. if you sell to Zellers and try to pull data for the Bay, no data will be returned. The choice here should also match option 4, i.e. Chain has to be Zellers if a Zellers category is selected

Note: Option 1 is not required. Please proceed to Option 2 – It has been included as a search engine should you want to understand Hbc’s merchandise hierarchy. You could also use it to search for your category number

- Then scroll up again and click on “Execute Report”. The following screen will appear:

(d) History list (Note that you are allowed a maximum of 10 reports) Click on “Add to my History List”. This will send the report to your History list and allow you to pull other reports while waiting for the report to generate. To go back to the History list and check the status, click on either of the following: HISTORY LIST on the top menu OR “Go to my History List” Because BIS times out after 10 minutes of inactivity, it is highly recommended that you add all of your reports to the history list while waiting for them to run. If you are timed out before the report is returned, you will lose it and will have to re-create the report again. The history list acts as a storage space for your reports.

- The status will show “Executing SQL” while data is being extracted.

- Once the report is ready, it will show as follows:

To check the status again, click on “Refresh my History List”

(e) A sample report – We have thus created a current Year to date Sales and Inventory report, showing data at item level for a particular category.

5. Exporting your report to Excel: - Click on the Export button as shown below and select the appropriate options

• Excel with plain text is mainly for further analysis on an excel sheet

• Excel with formatting is mainly for presentation purposes.

6. Exporting your report to PDF: - Click on the PDF button as shown below:

- Select the applicable menu options and click Export

7. Saving your report: This option allows you to save personalized versions of any given report, (similar to OLR Personal Views), thereby facilitating the running of key reports.

- Once you run a report, open the report from the History List - Select ‘Save as…’ from the Report menu

In the ‘Save report as’ box, you can type in the report title that you wish. However, the report number, here “MXD-IA010.4” MUST be retained. You have 3 options as shown below:

• Save the report as a static definition o This option does not allow for any modifications to prompts and will run exactly the

same report the user ran the first time • Save the report with any prompts embedded in the filter

o This option saves the report with all the filter on prompts whether selected or not. Upon re-execution, only the filter on selections will appear for re-prompting and are able to be altered

• Save the report with all the embedded prompts o This option saves the report with only the report on and filter on prompts that were

selected

To retrieve your saved report, go to MY REPORTS

Once you have selected your option, click on the save button.

8. Subscribing to your report (Note that you are allowed a maximum of 10 reports) My subscriptions allow you to request a report to run automatically on a given schedule. You can either subscription to a report from the Shared Reports or My Reports locations. It is however recommended to select from My Reports to allow the user to view the report prior to subscribing to the report.

- To subscribe to a report, click on ‘Subscriptions’

- Then ‘Add subscription’

- Choose a schedule and click ‘OK’

Subscriptions will ONLY run if there is space in the History List (HL) to accommodate them. Recall that you are allowed a maximum of 10 reports in the HL. For instance, if you currently have 7 reports in the HL and are subscribed to, say 5 reports, the subscribed reports will NOT run due to insufficient space in the HL and no error messages will be displayed to warn the user.

Please make it a habit to clear your HL every Friday afternoon to accommodate your scheduled reports
