BT Managed Event Premium Services are the ideal audio conferencing solutions for high-profile meetings and important announcements, such as investor relations calls, all-hands calls and HR announcements.

With BT Managed Events, you get the services of an expert events-management team to help you before, during and after the conference making sure everything runs smoothly. This gives you greater control over your meetings, with features like Q&A sessions, WebEx Event Centre and conference call recordings looked after by a BT Event Coordinator.

Global Access Telephone Numbers Simplify access to your meetings by providing local, in-country telephone numbers for participants from over 50 countries.

Meeting Entry Tailor your participants’ entry into your meeting to your needs, using Automated Access, Automated Access with Pre-registration or Meet and Greet entry.

Speaker Sub-conference

Allow speakers to convene prior to the start of the meeting, so they can discuss details of the call with the Event coordinator and other speakers.

Pre-registrationTrack conference registration and attendance, with the options to download a participant list before and after the event and collect additional information about individuals who register for your conference (subject to the Data Protection Act 1998) — helping you to plan your message and the number of lines required.

Restricted List Enhance the privacy of your meeting by having BT admit only those participants identified on a list you provide. Feature available for calls with up to 50 lines booked with Premium Meet & Greet.

Audio Streaming Broadcast your live or pre-recorded meeting to a wider audience by streaming (webcasting) your event over the internet. For more information, please refer to the Streaming data sheet.

Communication Line Communicate with your Event Coordinator over a separate and discrete telephone line during your meeting to coordinate the flow of your meeting.

Interpretation Provide live interpretation of your meeting in English into another language during your event.

Lecture Mute all lines, apart from the speaker’s, to reduce background noise.

Interactive Allow all participants and speakers to talk into the call. Participants can mute their own phone line to eliminate background noise.

Playback Play audio recordings during your meeting.

Question and Answer Manage question and answer sessions using an Event Coordinator to moderate the order and pace of questions. You can also enhance this with the Vantage Point feature.

Breakout Rooms Conduct a private, secure meeting away from your main meeting, where small groups can have detailed discussions. This feature is ideal for breakout sessions.

Vantage PointView all aspects of your BT Managed Event with a real-time, web-based application. With Vantage Point, you can view a list of the participants in your meeting; prioritise the Q&A queue and text chat with the Event Coordinator (not available with Premium Automated /Premium Instant service).

Voting / Polling Ask for feedback during your meeting by having participants use their telephone key pad to give instant answers based on multiple-choice questions. You can manage this on an audio or web conference.

WebEx Collaboration Add a visual element to your meetings by using BT WebEx Event Centre Conferencing to complement your BT Premium call, e.g. display speakers’ web cams (up to five), documents and presentations.

WebEx Support Give your speakers advice, help to upload slides and any other assistance during your call from a BT Event Coordinator.

Audio Participant List Obtain a list of the participants who attended your meeting (not available with Premium Automated/Premium Instant service). With the Pre-registration feature, the meeting organiser can download a participant list themselves.

Web Participant List Obtain a list of the participants who attended your web conference.

Digital Web Recording Have your audio meeting recorded digitally and made available for future reference.

Replay Have your recorded conferences made available for replay over the telephone. Available within 24 hours of the call finishing.

Transcription Obtain an English text version of your meeting. (only for meetings using language source as English). Available within 24 hours of the call finishing.

Translation Have your English transcripts translated into any common business language in the world.

Managed Event Premium dial-in entry options.All Managed Event Premium Services provide real-time support from a dedicated BT Event Coordinator during your call.

The three types of meeting-entry services are:

The Premium Automated Service (also known as Premium “Instant”), which allows participants to enter a passcode and join the event quickly and efficiently.

The Premium Automated Service with Pre-registration, which requires participants to enter a pre-registration PIN code in addition to a passcode to join an event. This is also known as Premium Instant Service with Pre-registration.

The Premium Meet & Greet Service gives you Event Coordinators to answer and greet guests who dial in to the conference — taking their names and passcode details.

Highly trained Event Coordinators manage the broad array of meeting features available with BT Managed Event Services.

Because Premium Services have everything you need to guarantee a smooth, high-quality business event, you should choose it for you most critical meetings.

Additional services for pre-booked calls.If you’d like to hold pre-booked calls for smaller meetings with no need for an Event Coordinator, you may wish to choose BT Express (Scheduled Automated Service is a similar service in the US).

The quickest and simplest form of booked phone conferencing, BT Express is useful for meetings with up to 20 participants globally, allowing them to dial into a conference using a unique passcode.
