Dear Readers,
Healthcare is a field in constant change: the focus
is increasingly on the needs of patients, while digital
transformation is having a significant influence
on sales and distribution channels. Another factor
that continues to have a significant effect on our
businesses is the ever-increasing internationalisation
of distribution and logistics structures.
These trends determine our actions as a service
provider, since our task is to support our customers
with their transformation and their growth. Interna-
tionalisation and innovative solutions at the point
of care are the focus points here. One prominent
example is our activities in Spain. This issue of our
healthcare news contains a special feature on Spain
and we take a closer look at the country with the
highest life expectancy in Europe.
I’m also delighted to present our expanded site in
Hamburg which we opened in September together
with our long-standing customer Olympus. You can
also find an update on the international roll-out of
our STOK inventory management services in and en
route to hospitals. See what else this issue contains
in the following table of contents.
Happy reading!
Yours,
Dr Thorsten Winkelmann

BUENOS DÍAS ARVATO!Trends and solutions for the Spanish healthcare market
COVER STORY

As an international partner, Arvato Healthcare
has significantly expanded its service
portfolio in Spain in recent years to react
to market trends. In addition to an online
platform for the treatment of depression, a
logistics and distribution centre was opened
in October for the shipment of medical
products. Arvato also supports manufacturers
worldwide in the fight against falsified
medicines with a special software solution
which is now also available in Spain.
Treating depression with a laptop
Arvato has developed the “Caring me” online platform which
provides support for the treatment of depression. Patients
can use their computer, tablet, or smartphone to access
documents and other information that is provided by Arvato
in close cooperation with doctors. The Arvato service centre
connects doctors and patients via telephone and e-mail. “Ini-
tial evaluations are already showing the positive effects of the
project: values indicating the level of severity of depression
have been reduced and the costs incurred for medicines, doc-
tors’ visits, sick days and hospital stays have been significantly
decreased. In addition, adherence was increased and higher
patient satisfaction was achieved”, enthuses Jan Schwietzke.
Supply chain management: logistics for sensitive medical products
Logistics and supply solutions must adapt to changing market
developments and constantly pose new challenges for manufac-
turers of medical products. Increasing internationalisation, the
persistent trend toward outsourcing and digital transformation
call for integrated, market-specific solutions. With the opening
of the logistics and distribution centre in Alcalá near Madrid in
October 2016, Arvato has added a new site to its network in
Spain.

Patient relationship management: care that focuses on the patient
“The development of the Spanish healthcare market is influenced
by three main trends”, says Jan Schwietzke, Healthcare Manager
at Arvato Iberia. The average life expectancy in Spain has risen as
in the rest of Europe; in the last ten years alone, it has increased
by three years. With an average life expectancy of 83.3 years
(women: 86.2 years, men: 80.4) in 2014, Spain is at the top
of the European table.* The market is negatively influenced by
complex macroeconomic framework conditions, however, due
to the economic crisis. “At the same time, new technologies
are enabling innovative approaches in patient care”, Schwietzke
points out. In view of these market conditions, Arvato has been
working for years in the area of Patient Relationship Manage-
ment to improve patient care on the one hand and make more
efficient use of resources on the other. Customers such as health
insurance companies, hospitals and pharmaceutical companies
are already benefiting from the offerings in Occupational Health
Management, patient monitoring or programmes for chronically
ill patients.

Thanks to its central location, the new facility is ideal for the ship-
ping of sensitive and time-critical products such as medicines and
medical equipment from and within the entire Iberian Peninsula.
“We handle order acceptance, warehousing and transport, and we
also take care of invoicing and accounts receivable management”,
says Emilio Juaranz, General Manager of Arvato SCM Solutions in
Spain. For cold products which must be kept at between 2° and
8 °C, there is a GDP-compliant warehouse. The products are
transported in refrigerated vehicles or in special insulated
boxes. “The Spanish weather is no problem for us at all”, says
Juaranz with a smile. Thanks to the new regional warehouse, the
pharmaceutical products can now be shipped to end customers
much quicker than before. For 2017, there are also plans to
introduce STOK inventory management solutions (see Page 12).
These support manufacturers with efficient consignment stock
management and handle all logistics issues in and en route to
the hospital.
IT solutions offer protection against counterfeiting: serial numbers to be mandatory from 2019
In addition to managing the logistical requirements involved
in the shipping of medicines, the international pharmaceutical
industry is also concerned with the legal framework conditions
which protect against falsified medicines. To offer patients
improved protection against falsified medicines, Regulation (EU)
2016/161 came into force in February 2016. This has amended
the Falsified Medicines Directive of 2011 to include technical and
organisational details. The regulation stipulates that, in future,
each prescription medicine must always have a serial number as a
unique identifying feature. Now the countdown has begun: these
regulations must be implemented by all parties by February 2019.
Arvato is providing support to pharmaceutical companies as
they adapt their processes to comply with the new regulations.
Arvato IT experts have developed the “Corporate Serialization
Database” (CSDB) solution. With this software, serial numbers
can be generated, managed and fed directly into the production
systems where they can then be printed on to the folding boxes
for the medicines. The software also enables communication with
pharmaceutical companies, contract manufacturers and other
production sites. In addition, the serial numbers can be reported
via the CSDB to national verification systems and the relevant
reports can be produced. “In Germany, the Arvato offering is
already in use at many companies and we have presented the
CSDB solution at various round table events in Spain, too”, says
Schwietzke.
With an average life expectancy of 83.3 years (women: 86.2 years, men: 80.4) in 2014, Spain is at the top of the European table.*

Cool! – all the way to the Far East with active coolingArvato Healthcare is growing – in new markets and also in existing markets.
In mid-2015, Arvato commissioned its new logistics warehouse in Harsewinkel
near Gütersloh. Since then, more than 200,000 shipments of medical products
have been delivered to 75 different countries and underline the increasing
demand for integrated supply and logistics solutions in the health sector.
8 | Supply chain management: growth in Harsewinkel
Customer support in Harsewinkel
The 4,500 square metre warehouse has a total
capacity of 9,000 pallet spaces, of which 5,000 are
for ambient products and 4,000 for cold products.
For a tour of the cold area (between 2° and 8°C)
in the facility in Harsewinkel, Stefan Lippmann, the
warehouse manager, recommends a warm jacket:
the products are moved from the cold high-bay
warehouse through the cold picking zone and are
transported via special ramps into the refrigerated
trucks so that the entire goods flow takes place
within the prescribed temperature range. To ensure
that the temperature is regulated at all times, 140
temperature and humidity sensors are installed in
the warehouse.
Warehouse is growing together with its
customers
The new building is already filling up: six customers
have already moved in or have relocated from other
warehouses in Harsewinkel. Another new customer
joined them at the end of 2016, and two more are
scheduled for 2017. “Since the warehouse opened,
we have shipped a total of 200,000 packages to
approximately 75 different countries. That includes
all the European countries, the Far East, South
America and Australia”, says Lippmann excitedly
regarding the continuous growth.
International customer service
This growth is being felt by customer support
too: to ensure the full range of logistical services,
the international team has a competent contact
person responsible for each country. As you enter
the modern office area, you can sense the inter-
national flair – different national flags hang above
the desks. “Whether it’s in English, Italian or even
Finnish, whether it’s a return, a purchase order or
a query – we now have a team of 20 linguists here
who look after all the needs of our customers”,
explains Lippmann.

Olympus and Arvato: a Hamburg growth story
Construction of the modern facility began in
November 2015. Over the last ten months, floor
space has been created for 12,000 new pallet spaces.
The twelve-metre high warehouse offers optimal
conditions for state-of-the-art logistics concepts:
the humidity in the warehouse, for example, is
regulated automatically. As well as a hazardous
goods warehouse, the site also has the capacity
and expertise for print-on-demand solutions that
are perfectly integrated into the logistics pro-
cesses. Up to now, more than 90 employees were
involved in processing approx. 326,000 packages
annually and shipping over 2.5 million articles. The
distribution capacity can now be doubled. 80 new
jobs are being created at the site as a direct result
of the expansion.
Olympus extends portfolio with 2,000 additional ENT products
In Allermöhe, Arvato provides comprehensive
distribution solutions for the medical equipment
industry and ships products all over the world – as
single packages or full pallets. One of the site’s
long-standing customers is Olympus, a leading
manufacturer of optical and digital precision tech-
nology. Arvato operates the distribution centre
for the pan-EMEA Olympus marketing and sales
company and also the central warehouse for its
regional Olympus Surgical Technologies Europe
(OSTE) production centre in Allermöhe.
10 | Supply chain management: Hamburg site expanded
The network of Healthcare sites is expanding: in September 2016, the Arvato site in
Hamburg Allermöhe opened its new warehouse. The logistics space has been extended
by 10,150 square metres and has more than doubled its capacity. 6,000 square metres
of this space is already in use by Olympus for its medical systems products.
Left to right: Dr Thorsten Winkelmann (Arvato), Matthias Jakob (Olympus), Joachim Schmidt (Olympus), Astrid Jennen-Kleinhaus (Arvato), Dr André Roggan (Olympus) and Dr Christian Meyer (Olympus) open the new logistics centre.
Our current logistics space of
17,200 m2 is the size of approx. 2.5
football pitches. If we were to allocate
a seat to each of our approx. 70,000
current pallet spaces, we could almost fill
the Olympic Stadium in Berlin.
If you were to place all 18,000 pallets that we ship each year end
to end, you could cover the complete
distance from our site in Hamburg-
Allermöhe to Hamburg Airport.
If you were to stack all 300,000 packages that we ship each year on
top of one another, assuming an average
height of 30 cm per parcel, you would
have a tower 90 km tall – that’s as tall
as 10 Mount Everests.

Supply chain management: Hamburg site expanded | 11
The centre’s portfolio includes over 5,000 medical
products such as endoscopes, laparoscopes and
electrosurgical devices. The move to the new
warehouse has created space for 2,000 additional
ENT products.
Olympus is very enthusiastic about the cooperation
with Arvato: “We are delighted to be expanding our
warehouse space at Arvato just four years after the
move to Allermöhe. The company gives us opti-
mum support so we can also meet the logistics
requirements of our role as EMEA headquarters”,
says Joachim Schmidt, General Manager Supply
Chain Management, Olympus Europa SE & Co. KG.
Arvato has operated the site since 2012, initially
with 7,200 square metres of usable space. Over
22,000 articles – including large medical devices
and small spare parts – are stored at the site.
“Thanks to our close cooperation with our custom-
ers, we can continue to grow, adapt our processes
to meet our customers’ requirements even more
closely and offer tailor-made service solutions”,
says location manager Astrid Jennen-Kleinhaus.

12 | STOK inventory management solutions
In spring 2015, the STOK team began to implement their inventory
management solutions in Germany. For this purpose, the STOK
employees visit the medical facilities in their assigned regions
at intervals that have been pre-agreed with the manufacturers.
There, they record the usage of the manufacturers’ products in
the hospitals and clear up any variances that occur. This way,
not only each manufacturer but also each hospital has defined
contact persons within the STOK team, who are familiar with the
situation on site and who can assist the care staff and employees
with questions relating to logistics topics such as subsequent
deliveries or invoicing. Initially with eight regions, the STOK
external sales force began implementation of cycle counting (see
info box) in German hospitals in 2015. “Since last year, we have
continuously increased the number of counts in Germany and are
currently increasing the number of regions to 13 so that we can
continue to meet the requirements of our customers”, explains
Matthias Klütt, Country Manager STOK DACH & Benelux.
Growing demand
Following a pilot phase in each case, STOK assumed the inven-
tory task for two major medical technology companies in 2016
for several consignment warehouses in German hospitals. In total,
approx. 9,000 inventories are carried out for these customers
annually. “The volume has continued to grow – we expect that
the number of inventories we will conduct in Germany in the
coming year will exceed five figures. We work closely with the
customers and we see the relationship as one among business
partners. In this way, we benefit mutually from our experience“,
enthuses Matthias Klütt.
Implant kit services for Germany
“Implant kits” (see info box) represent a component of inventory
management and transport services and have been deployed
successfully in the UK for many years. As of early 2017, Arvato
will also offer this service in Germany. Using implant kits, manu-
facturers can sustainably reduce their stocks, as all the products
and components required for an implantation are assembled
by STOK and delivered to the hospital in accordance with the
operation to be carried out. After the operation, any products
that have not been used are collected again and, as a follow-up
step, the necessary steps for invoicing of the products actually
used are initiated. With the introduction of implant kits, it is not
only possible to reduce the quantity of products held in consign-
ment warehouses but in some cases, it is possible to reduce the
number of consignment warehouses themselves.
Establishing in-house transport solution
In order to improve the delivery of, for example, urgently required
implant kits or high-value products to medical facilities, STOK
is currently setting up its own transport capacity. Set-up of its
in-house transport solution is expected to begin in the spring of
2017. The goal is, for the manufacturers who avail of the service,
to be able to reach all clinics within a few hours, both for delivery
and collection of products and equipment. With this flexible
transport solution and with the use of forward stocking locations
which will be deployed as satellite warehouses, the STOK team
will enable deliveries to hospitals and also material movements
between the facilities.
Since the beginning of 2015, Arvato has also been carrying out stock counting in hospitals
in Germany for medical technology manufacturers, and documenting the consumption
of the products for efficient accounting. Its employees now support more than 1,500
hospitals as well as medical care centres all over Germany and are thus active in almost
all the clinics in the country. The concept of cycle counting is the basis of the STOK
inventory management solutions that have been successfully implemented in the UK
and Ireland for a decade. The solutions are currently being rolled out in several additional
European countries in order to offer manufacturers a pan-European service.

Internationalisation strategy for STOK
Arvato intends to offer the STOK services not only in the UK,
Ireland, Germany and the Benelux countries, but also further
afield on an international level. At the end of 2016, Arvato
assumed cycle counting for the products of an international
medical technology manufacturer in Austria. Other customers
are expected to follow. In addition, a pilot project is planned in
the near future in Poland and this will see STOK assume cycle
counting for roughly one third of the country. In France too, the
first project is scheduled to begin at the year-end and this also
involves cycle counting. In this case, the client is a globally active
medical technology manufacturer and inventory is to be counted
in 160 hospitals spread throughout the country.
In these countries, after cycle counting has been established, the
next step will see further services added to the service portfolio.
In addition to the inventory check, Arvato will also replenish
stocks up to a level defined by the manufacturer and remove
products that are close to their expiry date so that they can be
used in implant kits before the expiry date (see info box). “The
hospital just has to unpack the products and implant them, and
then they receive the invoice as a follow-up, the STOK employ-
ees take care of all other tasks”, summarises the STOK Country
Manager.
The STOK services are currently offered in the UK, Ireland,
Germany, Belgium, the Netherlands, France, Austria and Poland.
In 2017, this will extend to Italy and the Iberian peninsula, which
means that manufacturers can take advantage of the STOK
services throughout Europe.

Arvato is the new partner of the KVN.
The associations in all federal states were
called on to introduce an appointment
service by the end of January 2016 that
patients could contact to get a specialist
medical appointment within four weeks.
From our location in Berlin, we have
linked an appointment booking system,
we have recruited and trained the nec-
essary employees, and we have defined
all the work processes – all within the
specified time period of two months.
Accessible to eight million
insurance policy holders
The appointment service operated by
Arvato is now available to the approx.
eight million statutory insurance policy
holders in Lower Saxony. On presentation
of a coded referral slip which indicates
the necessity or urgency of the case, the
patients are given their appointment.
Appointments with eye specialists or
gynaecologists are an exception where
referrals are not required.
Already 20,000 medical
appointments made
The Arvato team coordinates an appoint-
ment for treatment within a week using
the data in the booking system of the
National Association of Statutory Health
Insurance Physicians (KBV) in which
consultants enter free time slots using
online software. The Arvato employees
can see all available time slots. They use
the postal code to search for the closest
specialist doctor and they can book
the appointment directly in the system
for the patient. This should ensure that
the waiting period for an appointment
does not exceed four weeks. The service
employees have already booked more
than 20,000 specialist medical appoint-
ments in this way.
With the passing of the Act to strengthen the provision of healthcare by the German Bundestag
at the end of 2013, the introduction of a specialist medical appointment service was agreed on.
This was intended to reduce waiting times of several months for an appointment with a consultant
to a maximum of four weeks. Since January 2016, Arvato has supported the doctor’s appointment
service for the Association of Statutory Health Insurance Physicians in Lower Saxony (KVN).

16 | Events: Capital Congress 2016
Arvato at the Capital Congress in Berlin! No fewer than four Arvato business units were represented at the Capital
Congress of Medicine and Healthcare in Berlin where they presented their
solutions. Digital transformation in the healthcare sector was the focus
of the presentations and of the entire fair which was attended by some
8,000 visitors from the fields of politics, clinics, medicine, care and business.
We asked our experts how the trend toward networking and digitisation
can be implemented successfully.
Jan Wemmel, Director e-Health & Public Sector,
Arvato Systems, discussed various e-health
applications such as telemedicine, health apps
and the digital patient file. In times of scarce
resources and increasing cost pressure, the
use of IT is important for digital and secure
networking. “As far as digitisation is concerned,
the healthcare market is undergoing a global
transformation. From an IT perspective, we see
huge potential in supporting the parties involved
in digital transformation”, says Wemmel.

Occupational health management up close
The futuristic spherical “Health Cockpit” from the Occupational Health Man-
agement division attracted numerous curious glances: “What is the device
for?”, the trade fair visitors wanted to know. During a 45-minute virtual bike
ride, the preventiometer collects an individual’s most important health data.
The entire administration takes place digitally: “The Health Cockpit is a unique
concept that networks, informs and – with just a few clicks – provides an
overview of data about one’s own health”, explains Emek Altun, Head of Occu-
pational Health Management at Arvato. Visitors were invited to take a seat in
the device, turn the pedals or take an eye test, for example.
Patients seek information online
Thomas Leitner, Director Healthcare E-Commerce, presented the online plat-
form “JaLife”. This “Internet of Health” is a platform for networking, pooling and
providing high-quality content relating to health topics. It also facilitates the
targeted presentation of related products. JaLife provides users with precisely
the information, services and products that they need. And for those who
prefer not to visit the pharmacy in person, they receive links to appropriate
web shops where they can order the product online. In this way, JaLife takes
account of the increased procurement of information via online channels in the
health sector; after all, over 70 per cent of internet users check the internet
prior to a doctor’s appointment. “The information is available through various
channels such as forums or videos”, says Leitner.
Digital finance solutions
The Arvato finance experts determine the best billing solutions for doctors and
health insurance companies. With the transfer of administrative activities such
as invoicing or risk management, there is less of a burden on employees. “Many
service providers or health insurance companies do not have digital solutions.
We offer comprehensive results, such as a web portal to which all participants
are connected and where data flows are managed. With customised tools, we
support doctors, for example, with the optimal deployment of their resources
for the patient. In this way, we create time and freedom”, explains Dr Carsten
Schulz, Authorised Officer and member of executive management of BFS health
finance, a subsidiary of Arvato.

Communication in the health sector becoming more secure
Arvato has gone online with a central directory service.
The service links service providers such as doctors, dentists,
pharmacists or psychotherapists with each other and
enables convenient and secure exchange of electronic data.
The directory service for communication between service providers
(KOM-LE, or also electronic referral letter) has been completed. The service
represents the central checking authority for the certificates used in the
telematics infrastructure of the healthcare sector and serves the same
function for all holders of an electronic identity card for the medical/
healthcare professions. Arvato has now released the service following
successful implementation.
Doctors can, for example, digitally sign sensitive patient reports and
exchange them in encrypted form via an e-mail interface directly from the
patient management system. The previous, rather insecure route via the
internet or via fax is now obsolete.
The telematics infrastructure for the electronic health card (eGK) has
thus taken another important step. In accordance with the e-Health Law,
“secure communication among service providers” is to become mandatory
from mid-2017; the initial test phases began on 1 July 2016. The directory
service is now being tested by Gematik, a telematics applications company.
