    Section A: - Introduction

    Business Continuity Plan

    PURPOSE

    The purpose of this Plan is to formulate and document the process for effectively

    identifying, responding to, and recovering from incidents/event that may have the

    potential to become a disaster for the organization.

    BCP GOALS

    The goal of PGS Business Continuity Plan is to effectively manage incidents and

    prevent crisis through:

    1 Maintaining or restoring business operations as soon as possible

    2 Protection of people, property, and other Corporate assets

    3 Effective communications internally and externally

    4 Flexible but clearly defined processes and responsibilities

    5 High level of readiness for a wide range of incidents/events

    6 Protection of the Corporate brand, image and reputation

    SCOPE

    The scope covers response for all current line of businesses performed at PGS in the

    event of any incident which contains a potential threat to disrupt business.

    Definitions

    For the purposes of this plan the following definitions will be used:

    ________________________________________________________________Disaster An incident/event, series of incidents/events, or set of circumstances that

    disrupt normal business operating procedures.Emergency An incidentthat threatens human life, safety, health, property or the

    environment if not controlled, contained or eliminated immediately.

    Business Interruption An incidentthat threatens the delivery of products, services,

    or commerce transactions.

    Emerging Issues - Growing controversy or negative climates that threaten the

    reputation, brand, organizational or financial stability of the Corporation.

    Crisis A circumstance or situation that threatens to imminently alter or

    fundamentally affect the way the PGS conducts business.

    PERT PGS Emergency Response Team is group of people who will act for employee

    and infrastructure safety incase of any event affecting office or business. Team

    details in section 14.

    BCP Core Team is group of people representing various business and support

    functions at PGS who are responsible for this document and implementation of

    recovery of business operation incase need arises due to unforeseen event disrupting

    the business operation. As mentioned in Section 15.

    General Recovery Issues

    1. Based on the information received from reliable sources PERT Incidence controller(or alternate), BCP leaderA Contacts PGS Management and BCP Leader and if needed a meeting is

    convened. These are fixed locations for meeting :

    1. Primary Location 1: Lobby of the Taj Blue Diamond, Koregaon Park,Pune. In case this location is not accessible or available the BCP leaderwill inform meeting at alternate location.

    2. Alternate Location 2: Caf coffee day, Fatima Nagar, Pune.Incase of change of meeting location due to unforeseen circumstancessame will be communicated.

    B Calls the BCP Core team members - primary contacts (or alternates) and tellsthem:

    The disaster declaration

    Management Team location and phone number _____________________

    PERT location and phone number ______________

    Initial evaluation report

    Deaths/injuries, if known

    When/where the team will meet

    C Calls the Corporate BCP team and lets them know where and when the PGSManagement Team and BCP Core team is meeting and details of the event.

    C At the request of the QRT, help evaluate/assess the damage ofequipment/furnishings and the contents of files, desks, etc. Pre-disasterinventory lists and instructions will be provided if this is necessary.

    D Using the HR Staff List and Internal Business Contacts determine appropriatestaffing levels and establish schedules.

    3. During the recovery period, the BCP Core Team members will coordinate thefollowing:

    Business Specific Recovery Issues

    First Priority Concerns1. Identify who is filling the following roles:

    Decision Maker Responsibility for decisions with respect to the event.The person filling this role will vary based on type of event.

    Scribe Responsible for taking notes on our event response.

    Communicator Responsible for communication of event tostakeholders like Internal Business Contacts, PERT and Corp BCP Team

    Appropriate Communication to the employees.

    2. Evaluate extent of disaster Initial impact to infrastructureReport from PGS IT Infrastructure Head and F&A Head in consultation withrespective service owners.

    3. Identify communication needs.Whos been communicated to so far?Who needs to be communicated to?

    4. Account for staff and report to PGS HR. This is done by HR Generalist primary(or alternate contact) part of BCP Core team.

    Second Priority Concerns5. Monitor progress of recovery/transfer of critical mass of Businesses conducted

    by PGS to Home Office.Monitor declaration of disaster by PGS BCP Core Team to determine time tofully activate recovery plans.

    Third Priority Concerns6. Establish a meeting schedule of PGS BCP Core team with Home Office BCP

    Business contacts for status updates.7. Establish communication schedule to stakeholders.

    NOTE: Do NOT discuss the situation with anyone other than the employee.

    Employee Communication Scenario

    There are two possible scenarios from employees perspective when disasterstrikes.

    a) Employees are in office

    PERT will take a lead to look after safety of each and every employeepresent in office. Depending on situation make appropriate arrangementto reach them their home safely.

    b) Employees are not in office

    In this situation BCP Core team along with PERT will work tocommunicate to all employees and then automated communicationsystem will be updated for employees to get the appropriate informationupdate on the developments.
