Business Process Procedure

Purpose

Use this procedure to display and analyze information related to the creation and existence of material documents. A material document is created anytime there is one or more material movements which are relevant at the plant level. Any material movement into (such as goods receipt), out of (such as goods issue), or within a plant (such as a change in stock status) should result in a material document. Material movements that are strictly within a warehouse (such as a transfer order) are not relevant at the plant level and will not result in the creation of material documents.

Trigger

Perform this procedure when there is a need to look at stock/material movements within a plant, which resulted in the creation of one or more material documents. IM (inventory management) movements will result in the creation of material documents while WM (warehouse management) movements by themselves will not. There are often instances where WM movements occur at the same time as IM movements, but WM movements themselves are not affiliated with material documents.

Prerequisites

One or more material documents must exist which meet the selection criteria that is entered on the initial screen.

MB51 cannot be directly used to look at given material document(s) as the field "material document" does not appear on the selection screen.

Helpful Hints

MB51 can be used to look at a wide range of stock or material movements, but either MIGO or





MB03 should be used to look directly at a specific material document as MB51 does not provide material document as a selection criterion.

Become familiar with the most popular movement types that are used in the "distribution center" plants such as 2000 (Stores DC) and 3000 (Foods DC). Movements 101 (goods receipt against a purchase order), 551 (scrapping), 641 (posted goods issue for outbound deliveries), 711 (inventory adjustment to remove stock) and 712 (inventory adjustment to add stock) are common and will account for much of the relevant stock movement for a given plant.

Use the selection screen criteria to narrow down the search, resulting in faster processing time by SAP and a smaller and hopefully more relevant amount of data to analyze.

Use the "Detail List" functionality to display results in an ALV format, which looks like a spreadsheet with one line item or record per row.

Use the "Current Display Variant" (works with both standard and ALV views) to add additional fields for viewing/analysis. You can also create and save your own variant to display the information that is most relevant to you for future use.

In the field description tables, R indicates the action is required, O indicates the action is optional, and C indicates the action is conditional.

The following notes maybe used throughout this work instruction:





Procedure

1. Start the transaction using the menu path or transaction code. In this demonstration, we will look only at inventory adjustments based upon annual or cycle count physical inventories (both plus and minus) performed within Stores DC plant 2000.

Note in this example we are only searching by plant and two different movement types which are adjacent to each other, therefore we will enter our selections as a range.

11. Click Execute button to view results.

Note that there are many useful and different selection criterion which can be used to narrow the search results, as well as improve system performance and runtime.

This example is not using very much limiting criterion, so would not be recommended for real use. Try to limit search as much as possible to reduce the system lag and resulting entries which may not be relevant to your needs.

14. Click button after finished viewing the displayed material document.

Try clicking this "Detail data" button, then clicking on the "WM" tab. There, you will see the field "Storage Bin" which actually provides the physical inventory document that resulted in the posting of this material document.






15. Click Choose Detail button to look at all relevant details for this material document that MB51 provides in one snapshot.

16. Click Overview list button to return to the previous view.

Note additional information that was not displayed on the previous (default) display such as Time of Entry, User Name, and many others.






17. Click Detail List button to change the display appearance to an ALV (spreadsheet).






18. Click Current Display Variant button to add additional available fields to the current display, then...

Note that many SAP reports and displays do not display all available fields as a default. Try to make a habit of exploring all available fields, some of which may be very helpful to your specific analysis.

Here, the fields on the left are already displayed and the fields shown on the right are available and can be selected for display.

23. Click Transfer button to complete the display change and see the new results.

Try highlighting an item from the "Displayed Columns", then change its column position by moving it further to the left of the display (up arrow at top of window) or moving it further to the right of the display (down arrow).

Also, try saving your own display variant for future use in the transaction by clicking on the save icon at the bottom of the Change Layout window.
