I. General Description: Participants maintained the row of trees adopted by UCI TBP at Shadetree

Nursery. They removed weeds from the soil in and outside of the pots, raked fallen leaves, pruned

and added soil to trees for 2 hours.

II. Organization & Administration: (In conjunction with another group? Yes No )

III. Steps taken to plan the event: 1. Write newsletter blurb and create interest form in Google Docs

2. Arrange carpools

IV. Purpose & Relationship to Objectives of TBP: This event maintained TBP's positive

relationship with the community. By volunteering at Shadetree, we were able to show our support

for the stewardship of trees and promotion of livable communities. Nurturing a row of trees in our

name reflects positively on the organization's perception. Moreover, physically laboring alongside

initiates provided an opportunity to become more familiar with their own values.

V. Problems Encountered: The scheduled event day was also the same day as the nursery’s

community event, causing initial confusion among TBP initiates as to where to start helping. While

our group was there for the sole purpose of maintaining our adopted row of trees, we were mistaken

several times for the other volunteer groups there for the community event.

VI. Overall Evaluation/Results and Suggested Improvements: This event allows initiates and

members to closely interact and bond by sharing labor. It allows the officers to get to know the

initiates and their dedication better as well.

VII. Index of Exhibits: (Pictures, List of Expenses, Flyers, Handouts, etc.)

I. General Description:

Tour of the facilities of the Irvine Ranch Water District

II. Organization & Administration: (In conjunction with another group? Yes No )

III. Steps taken to plan the event: 1. Talk with Chi Epsilon about events that can be inter-related

2. Keep in contact with Chi Epsilon and their officers on members and participates

IV. Purpose & Relationship to Objectives of TBP:

Professional Development, at the IRWD facilities we explored the water filtration process for

recycled water. The secondary treatment was viewed and smelled in detail and then the water

membrane process that was added to create an additional 9 MGD supply was viewed.

V. Problems Encountered:

None that wasn’t simply bad luck. My phone needed updating and some of my apps failed,

therefore some messages I didn’t receive.

VI. Overall Evaluation/Results and Suggested Improvements:

It was enjoyable, small, and generally went off without a hitch. No suggested improvements, but

these type of development events appear to be less desirable to initiates and so if offered should

be inter-club activities because a minimum number of students is needed to put this on.

I. General Description: Volunteers helped with moving registration and cheered for participants

at the Walk for Alzheimer’s in Laguna Niguel, CA.

II. Organization & Administration: (In conjunction with another group? Yes No )

III. Steps taken to plan the event: 1. Called event coordinator and registered

2. Created interest form for initiates

IV. Purpose & Relationship to Objectives of TBP: By volunteering and representing TBP at

community events with a substantial cause, TBP initiates make an impact on the community as

well as maintain the venerable image of the organization.

V. Problems Encountered: No other officers helped give rides to the event so when the

community service chair fell short there was no safety net and several of those who signed up did

not get to go to the event.

VI. Overall Evaluation/Results and Suggested Improvements:

This event required volunteers to be present at 7AM, which is generally unfeasible. Thus, 6 hours

of service were awarded instead of the 5 spent at the event.

I. General Description: Initiates worked one-on-one with permanent residents to fill out their N-

400 application for naturalization.

II. Organization & Administration: OCCORD

(In conjunction with another group? Yes No )

III. Steps taken to plan the event: 1. Contacted event coordinator

2. Made interest form for initiates with Google Sheets

3. Promoted event at general meetings

IV. Purpose & Relationship to Objectives of TBP: By furthering naturalization efforts in

underprivileged areas, TBP is serving the community as well as broadening the prospective of its

initiates and members.

V. Problems Encountered: None.

VI. Overall Evaluation/Results and Suggested Improvements: This event was incentivized by

awarding initiates with 6 hours even though the time commitment was only 5 hours. This resulted

in a large turnout of 8 initiates, which was desired since this event is relatively more impactful

than the other community service events this quarter.

I. General Description:

Networking and recruitment event for Applied Medical, featuring alumni of Tau Beta Pi

II. Organization & Administration:

(In conjunction with another group? Yes No )

III. Steps taken to plan the event:

1. Discuss with Applied Medical Staff about putting on an event

2. Reserve room for event

3. Advertise to mechanical, electrical, and biomedical engineering departments

4. Advertise to members and other clubs (Pi Tau Sigma, IEEE, Race Car)

5. Buy food

6. Set up event

IV. Purpose & Relationship to Objectives of TBP:

Professional Development, Applied Medical is a local company that seeks to get its name out there

and find more potential employee candidates. Since they wished to show what the job entails and

some of what they do to students, this became a demonstration and recruitment event.

V. Problems Encountered:

SImple set-up, ensure that the computer being utilized for the projector can work with the

projector.

VI. Overall Evaluation/Results and Suggested Improvements:

It was simple to put on, received great turn out, including at least six outside Tau Beta Pi members

to come to the event. In the end this was probably the easiest event to organize and put on that I

have dealt with, outside of guest speakers for meetings.

III. Steps taken to plan the event:

1. Talk with Materials Science and Engineering club about possible event

2. Keep in contact with Materials Science and Engineering club on members and participates

IV. Purpose & Relationship to Objectives of TBP:

Professional Development, this seminar discussed materials selection and processing of smooth-

on and additive manufacturing applications, with a mix processing demo and Q&A/open

discussion.

V. Problems Encountered:

None, I was contacted due to the event planner’s prior knowledge of TBP and being a member.

VI. Overall Evaluation/Results and Suggested Improvements:

No suggested improvements, but these type of development events appear to be less desirable to

initiates and so if offered should be inter-club activities.

I. General Description:

A large scale BBQ for the entire engineering community at UCI, hosted by Tau Beta Pi. Multiple

organizations signed up to bring supplies to the event and we all met in a nearby park to grill

burgers and hotdogs and have a good time on a nice Saturday afternoon.

II. Organization & Administration: (In conjunction with another group? Yes No )

AAEES, SWE, SGT, AICHE

III. Steps taken to plan the event:

1. Bring up the event to presidents of other Engineering Student Organizations (ESOs)

2. Coordinate the responsibility of supplies with other organizations

3. Encourage other ESOs’ presidents to invite their members to the event on social media sites

4. Buy supplies that Tau Beta Pi was slated to bring

5. Arrive at the park early to secure a grill

6. Enjoy the Event

Page 41: CA-Tau Project Reports · The Tau Beta Pi Association Chapter: CA Tau Chapter Project Report Project Number: 6 Walk for Alzheimer’s Volunteering (New) 10/24/2015 PROJECT AREA Meeting

41

IV. Purpose & Relationship to Objectives of TBP:

For Tau Beta Pi initiates and members, this was a social event. Beyond this, it was an

opportunity for Tau Beta Pi to reach out to the entire Engineering Community and spread its

presence all while having a good time with fellow engineers.

V. Problems Encountered:

Since this event was held during the weekend before finals week, the number of attendees was

limited and a lot less than we expected. Due to this we ended up with extra materials and had

some leftover food.

VI. Overall Evaluation/Results and Suggested Improvements:

This was an excellent event for our chapter. We managed to reach out to the Engineering

Community as a whole and spread the understanding that Tau Beta Pi is an active group with the

ability to plan things and get them done. This event scales easily with an increasing number of

organizations, as every added organization means more supplies and more helping hands, so

getting as many as possible involved is critical.

I. General Description:

After the informational session meeting, officers, members, and initiates walked across campus to the on

II. Organization & Administration: (In conjunction with another group? Yes No )

III. Steps taken to plan the event: Check availability of ZotZone

Walk over to ZotZone after meeting

Provide enough Officer ID cards to reserve enough Pool tables for all initiates and members

IV. Purpose & Relationship to Objectives of TBP:

This event was the first social for all spring imitates and the first for the members of Spring Quarters. It

also helped the initiates bond with the other initiates that they will be satisfying their requirements with.

V. Problems Encountered:

None encountered.

VI. Overall Evaluation/Results and Suggested Improvements:

This is always a good option for the first social of the quarter. It is on campus and free. Students can play

pool, eat, sit and talk, or play games. It is the simplest to plan and easily executed.

I. General Description:

Officers, members, and initiates spent the evening at the UCI Bren Center watching the

Anteaters play round 1 of playoffs. Students are able to attend any sporting events for free so

there was no external costs for this event.

II. Organization & Administration: (In conjunction with another group? Yes No )

III. Steps taken to plan the event: Check when games were being held

Make sure that specified date did not interfere with any mandatory engineering events

Meet TBP initiates and members outside of the Bren

Walk in and enjoy the game.

IV. Purpose & Relationship to Objectives of TBP:

This event made it possible for initiate and members to support the UCI men’s volleyball team

during the playoffs and spend some time with fellow members outside of classes and

schoolwork.

V. Problems Encountered:

None encountered.

VI. Overall Evaluation/Results and Suggested Improvements:

It was a good event. Since it was on campus no rides needed to be arranged and the game was

over in a reasonable amount of time. Plus we won so that is always good.

III. Steps taken to plan the event: Made interest form with Google Forms

Promoted event in newsletter

Directed members/initiates to OCCORD’s volunteer sign-up form in newsletter

IV. Purpose & Relationship to Objectives of TBP: By promoting naturalization and

citizenship, TBP served the community and helped expose initiates/members to under-served

areas of the community that can benefit from their contributed efforts.

V. Problems Encountered: Lack of transportation due to suddenness of event

VI. Overall Evaluation/Results and Suggested Improvements: This event allowed

members/initiates to serve an underprivileged community and leave visible impact. Given that

this event was planned for Week 3, shortly after initiates received their invitation, the small

turnout of 3 initiates was anticipated. Nonetheless, each initiate contributed more than 5 hours to

the event and so, compensated for lack of manpower with good work ethic. The small turnout

can be attributed to the lack of arranged transportation to the event. In the future, transportation

can be arranged by officers for events that are earlier in the quarter.

I. General Description: Initiates help raise money to fund cancer research in addition to raising

awareness for the group’s assigned cancer: Thyroid cancer.

II. Organization & Administration: UCI Engineering Student Council (ESC), American Cancer

Association

(In conjunction with another group? Yes No )

III. Steps taken to plan the event:

1. Advertised event in email listing upcoming community service events

2. Promoted event in newsletter

3. Cooperated with ESC to assign shifts for shared booth

IV. Purpose & Relationship to Objectives of TBP: To give members/initiates the opportunity

to contribute to a charitable cause. By participating in Relay for Life, members/initiates were able

to learn more about the issue of cancer and its consequences while promoting awareness of it.

V. Problems Encountered: Confusion regarding who to report to due to mixed presence of ESC

and TBP board members.

VI. Overall Evaluation/Results and Suggested Improvements: Given the 24 hour nature of the

event, Relay for Life provided a large window in which 6 initiates were able to fulfill their

community service requirement. As such, Relay for Life was a successful event in that initiates

made progress in their initiation while contributing to a charitable cause. Working in conjunction

with ESC was beneficial because by having a shared booth, we were able to ensure that our booth

was constantly manned. The turnout, though average, can be considered to be unexpectedly low

for such an open and long event. In the future, it may be beneficial to advertise this event much

earlier and emphasize its uniquely large window in comparison to other more strictly scheduled

events.

III. Steps taken to plan the event: No steps taken, just coordinating walking over together after meeting.

IV. Purpose & Relationship to Objectives of TBP:

This event was another social for all spring initiates the members. It helped the initiates bond

with the other initiates that they will be satisfying their requirements with and for the new

initiates to get to know the members already apart of TBP and discuss exams coming up.

V. Problems Encountered:

III. Steps taken to plan the event:

1. Promoted event in newsletter

2. Set up interest form to arrange rides

3. Contacted those interested and organized transportation

IV. Purpose & Relationship to Objectives of TBP: By participating in the Big Corona Beach

Clean Up, TBP left visible impact through the removal of trash from the beach and gave

members/initiates a chance to contribute to an environmental cause.

V. Problems Encountered: None

VI. Overall Evaluation/Results and Suggested Improvements: This event allowed

members/initiates to leave a visible impact while contributing to a global cause. Given that the

event was planned for the end of Week 5, which is midterm period, the Beach Clean Up was a

success with a turnout of 7 participants. Two initiates also stayed after to converse with an officer

and were able to have their questions regarding TBP’s other activities answered. Transportation

was arranged smoothly, but there was no backup plan in place and it was finalized uncomfortably

close to the day of the event. In the future, officers will be alerted at least 1-2 weeks in advance

regarding their ability to provided transportation should prior arrangements fall through.

Transportation will also be finalized at least 3 days before event.

Attendance List:

Members: Marlen Tagle Rodriguez

Initiates: None

I. General Description: Initiates helped to serve meals to the homeless, unemployed, and working

poor.

II. Organization & Administration: Someone Cares Soup Kitchen

(In conjunction with another group? Yes No )

III. Steps taken to plan the event:

1. Promoted event in newsletter

2. Set up interest form to arrange transportation

IV. Purpose & Relationship to Objectives of TBP: By serving in Someone Cares Soup Kitchen,

TBP helped to provide meals for the underprivileged members of the community.

V. Problems Encountered: Initiates cancelled last minute

VI. Overall Evaluation/Results and Suggested Improvements: This event allowed members to

have impact in the lives of the underprivileged while fulfilling hours. However, despite responses

to the interest form, Professional Development Officer Marlen was the only one in attendance.

This is due to last minute cancellations from those who responded. As such, though transportation

arrangements were in place and the event was prepared, it was ultimately unsuccessful as there

was insufficient turnout. In the future, to prevent last minute cancellations, a mandatory

confirmation form will be sent out to those who responded to the interest form. Barring exceptional

circumstances, consequences or punishments may be put in place for last minute cancellations.

VII. Index of Exhibits: None (Pictures, List of Expenses, Flyers, Handouts, etc.)

Attendance List:

Members: Janelle Harkous

Initiates: Jared Wilson, Bernardita Stitic, Kenny Huynh, Victor Hung

I. General Description: We went to the UCI Baseball game as a group, and were able to socialize

outside of the typical classroom environment.

II. Organization & Administration: (In conjunction with another group? Yes No )

III. Steps taken to plan the event: 1. Looked up when games were playing at our stadium

2. Saved the date on the Calendar

3. Made the event known to initiates

IV. Purpose & Relationship to Objectives of TBP:

This event made it possible for initiates and members to support the UCI Baseball team while

being able to spend some time with fellow members outside of classes and schoolwork.

V. Problems Encountered:

None.

VI. Overall Evaluation/Results and Suggested Improvements: It was a great event, and a lot of

fun. It would have been better if more initiates were present, but due to the late hours of the game

it was understandable that not many people were able to attend.

Yes No )

AAEES, ESC, AICHE
