Chapter 4—Patient Information Functions

This chapter describes the Echelon MR System windows that are used to recordand display patient information and to register patients. This chapter explains thefunctions of the following windows:

• Patient Directory window, where you can view the entire patient database,including study details, and change information.

• Patient Registration window, in which you can register patients and studydetails before performing studies.

• Rapid Registration window, where you can quickly register emergencypatients with minimal or no patient information.

Patient Directory Window

The Patient Directory window allows you to view the entire patient database,including study details, and correct patient information. You can also archive andrestore the image data to the system.

To access the Patient Directory window from the Launcher toolbar, left-click onthe Patient Directory button.

The Patient Directory window will open, as shown in the example.

There are two main tabs for the window: Patient List and Modality WorklistManagement. Both tabs are described later in this chapter. When the PatientDirectory window opens, it displays the Patient List tab by default, as shown inthe example.

Tree and List Area Structure

The Patient Directory window is divided into two sections—the Tree area andthe List area—as shown in the example. This Tree and List structure is alsoused in the Protocol/Task Library window of the Echelon MR System.

Tree area List area

Definition:Task refers to a process, suchas a scan, that is defined in thesystem.

Protocol refers to a groupedseries of tasks.

Tree Area

The Tree area will provide a summary of the information being stored for eachpatient and is similar to the file structure displayed in other Windows-basedsystems.

The information in the Tree area of your window (shown in the example) will beorganized according to the view that is selected. There are two views available:

• Patient View, which displays the information organized according to patient.

• Study View, which displays the information organized according to patient andstudy.

Information is displayed in a hierarchy, as follows:

• Information storage level shows devices where information is being stored(for example, the Local Database, CD-R drive, or DVD-RAM drive).

• Patient level shows folders containing information for individual patients.

• Study level shows folders containing study information.

• Series level shows folders containing series information.

If you left-click on the + symbol beside a folder, the system will display theexpanded contents of the folder in the Tree area. If you left-click on the– symbol beside a folder, the system will collapse the folder and the contentswill no longer be displayed.

Note:Views can be selected using theView menu or toolbar buttons.For more information, refer tothe “View Menu” section of thischapter.

Definition:Series refers to the collection ofimages generated by the tasksthat have been performed.

Study refers to the performanceof a set of protocols combinedwith the series of imagesgenerated by the protocols.

The details associated with items in the Tree area will be displayed in the Listarea of the window, as shown in the example.

The contents of the List area will change depending on the following:

• View that is currently being displayed in the Tree area (patient or study).

• Level of information that is currently selected in the Tree area (patient, study,or series).

In the List area, the following items can be displayed as they are processed:

• Number of films output during filming.

• Archiving progress, where a disk symbol indicates if part or all of a study orseries has been archived.

• Transfer to a DICOM server progress, where a disk and arrow symbolindicates if part or all of a study has been transferred.

The buttons in the List area, as shown in the example, can act as helpfulshortcuts for navigating to other Echelon MR System windows.

The button functions are described below.

If you left-click on this buttonin the List area… this window will open:

Series level Review Task window

When the Study View is selected, the Tree area will show one button for bothpatient and study level; however, the List area will display separate buttons forpatient level and study level.

Setting the List Area Columns

To change the columns displayed in the List area, left-click on the PropertySetting button on the Patient Directory toolbar.

The List Column Setting window will open. The settings displayed will depend onthe Patient Directory window tab that was selected when you opened thiswindow, as shown in the examples.

To select or deselect a property to be displayed, left-click on the box next to it.A check mark indicates that the property is selected and will be displayed; nocheck mark indicates that the property will not be displayed. You can also selector deselect a property name to be displayed using the Show and Hide buttons.

You can change the order in which the property will be displayed by selectingthe property and then left-clicking on the Move Up or Move Down button asapplicable.

Left-click on OK to save your choices in the system, or left-click on Cancel toclose the window without saving your changes.

Patient List Tab Menus

The menu bar at the top of the Patient Directory window provides access tovarious functions. The following sections describe the menus that are availablewhen the Patient List tab is selected.

Study Menu

You can change or access patient and study information using the Studydrop-down menu, as shown in the example.

The Study menu options are described below. When applicable, the correspond-ing toolbar buttons for options are shown.

Add Study—Opens the Correct Patient window, where studies can be addedusing the Protocol Selector button. This selection is only accessible when theinformation storage device is the Local Database and patient/study level or studylevel information is selected in the Tree area.

Register Patient—Opens the Patient Registration window, in which you canregister a new patient. (This selection is only accessible when the informationstorage device is the Local Database.)

Start Examination—Opens the Exam window. (This selection is onlyaccessible when the information storage device is the Local Database andpatient/study or study level information is selected in the Tree area.)

Exit—Closes the Patient Directory window.

Note:The Correct Patient window isdescribed in the “Edit Menu”section of this chapter. ThePatient Registration windowis explained in the “PatientRegistration Window” section ofthis chapter. The Exam windowis described in Chapter 5, “ExamWindow Scanning Functions.”

Edit Menu

You can change patient information and edit other functions using the Editdrop-down menu, as shown in the example.

You can perform the following functions.

Protect/Unprotect—This is a toggle selection to protect (or unprotect) selecteditems from deletion in the Local Database. A lock symbol is displayed in theProtect column of the List view to indicate that a selection is protected, asshown in the example.

When you select Unprotect, allow the system a few seconds to perform thisfunction. The lock symbol will disappear from the List area once the function hasbeen completed.

Property—Opens the Patient Information Properties window, as shown in theexample, where you can view a summary of information about the patient.

The tabs across the top of the Patient Information Properties window corre-spond to the levels that can be selected in the Tree view of the Patient Directorywindow. Information can be displayed as follows:

Before you can change any of the information on the Patient InformationProperties tabs, you must left-click on the check box that is labeled To changeproperties. This check box is located in the bottom left portion of the window,just below the Name column.

The Private Tag Info tab gives you access to DICOM private tag names andvalues, as shown in the example. This window is for viewing purposes only.You cannot make any changes to the display and will only have access to theCancel button.

To choose the information that will be displayed for each tab in the PatientInformation Properties window, left-click on the Settings button at the bottomof the window. The List Column Setting window will open, as shown in theexample.

From this window, you can select items to be displayed in the Patient InformationProperties window. To select or deselect a property to be displayed, left-click onthe box next to it. A check mark indicates that the property is selected and willbe displayed, and no check mark indicates that the property will not be displayed.You can also select or deselect a property name to be displayed using the Showand Hide buttons.

You can change the order in which the property will be displayed by selectingthe property and then left-clicking on the Move Up or Move Down button asapplicable.

Left-click on OK to save your choices in the system, or left-click on Cancel toclose the window without saving your choices.

The following additional functions are available on the Edit menu.

Delete—Deletes selected items. Items cannot be deleted if they are protected.An Image Deletion confirmation window will open, as shown in the example,asking you to confirm your choice.

Select All—Selects, or highlights, all items in the List area, as shown in theexample.

Note:The time it takes to select allitems will vary depending on theamount of data or number ofpatient studies.

Correct Patient—Opens the Correct Patient window, as shown in the example.This selection is accessible only when patient level information is selected in theTree area.

This window shows the information registered in the system for the patient. It issimilar to the Patient Registration window, except for the button choices at thebottom. To change patient information, enter the new information in this windowand left-click on the OK button.

If your site has purchased the optional Modality Worklist Management (MWM)feature, you can left-click on the MWM button to overwrite the patient informa-tion with information from your site’s HIS/RIS. The Modality Worklist Manage-ment feature is described later in this chapter.

Definition:HIS/RIS means HospitalInformation System/RadiologyInformation System.

Tip:You can also access the CorrectPatient window from the AddStudy selection on the Studymenu.

View Menu

From the Patient Directory window, you can use the View menu to changethe way information is displayed. You can also search for information. In mostcases, when you select a View menu option, the corresponding toolbar buttonwill be highlighted.

View menu options that display a check mark when selected, as shown in theexample, can be chosen in conjunction with other options. To deselect one ofthese options, such as Raw Data, Preview Image, and Thumbnails, left-click onit again and the check mark will be removed.

View menu pairs that display a dot symbol when selected include Tree View andSearch View, as well as Patient View and Study View, as shown in the example.For each of these pairs of options, one or the other is selected at all times. Byleft-clicking on one option to deselect it, the other option in the pair will beselected.

The View menu options are described below, along with the correspondingtoolbar buttons for these options.

Back—Returns to the previously selected item.

Forward—Functions as an “undo” button for the Back button; returns to theitem that was selected prior to using the Back button.

Up—Selects the next higher level in the Tree area.

Raw Data—Shows or hides the Raw Data symbol in the List area, as shown inthe example.

Tree View—Shows the Tree area and List area, as shown in the example.

Search View—Provides an area for performing searches, as shown in theexample.

To perform a search, enter any or all of the following items:

• Device or database to be searched

• Patient Name

• Patient ID

• Study Date (range of dates to search)

• Accession Number

• Anatomical Region

• Modality

Left-click on one of the following buttons in the search area as appropriate:

• Search—Starts the search. The search results will be displayed in theList area of the Patient Directory window.

• Stop—Ends the search.

• Clear—Deletes the current search information so that you can enterdifferent search information.

To close the search area and return to a default display, left-click on Tree Viewin the View menu.

Patient View—Displays the Tree area organized by patient name. TheTree area displays patient, study, and series levels. The List area displays thefollowing information when you are using the Patient View:

Preview Image—Displays a preview of the images in the bottom of theTree area, as shown in the example. To use this feature, first select the seriesyou would like to preview. (You may select from the patient, study, patient/study,or series levels.) Left-click on Preview Image in the View menu to display theimages. The preview area contains navigation tools to help you move through theimages.

Preview Image is a toggle function. To select or deselect a preview (add orremove a check mark), left-click on Preview Image in the View menu.

Thumbnails—Displays thumbnail images in the bottom of the List area, asshown in the example. To use this feature, select a series or image you wantto see. Left-click on Thumbnails in the View menu to display the images in thethumbnails area. If you change your selection in the Tree or List area, thethumbnail images will be updated and your new selection will be displayed.

Thumbnail images are numbered and correspond to the image numbers displayedabove them in the List area. If there are more than 20 images, a scrollbar isavailable on the right side of this area, which can be used to view the remainingimages.

Tip:The Thumbnails functionworks best when either:• Series level is selected in

the Tree area, or• Series or image level is

selected in the List area.

If you select a specific image or images in the List area, the correspondingthumbnail images will be framed in red, as shown in the example. If you select aspecific thumbnail or thumbnails, the image information will be highlighted in theList area.

Thumbnails is a toggle function. To select or deselect this function, left-click onThumbnails in the View menu.

You can display preview and thumbnail images for a selected series at the sametime. If you select a different series, you will change both the preview andthumbnail displays.

The following additional option is available on the View menu.

Refresh—Updates the information displayed in the window.

Note:When you view Preview imagesor Thumbnails, the name of theselected series you are viewingwill remain highlighted in theTree or List area.

Tasks Menu

The Tasks menu in the Patient Directory window is available when you aredisplaying the series level in the Tree or List area. This drop-down menucontains post-processing tasks, as shown in the example, which are describedin Chapter 8, “Post-Processing Functions.”

You can also display this menu by selecting the Post Processing button on thetoolbar.

Tools Menu

From the Patient Directory window, you can review images and transmit datausing the Tools drop-down menu, as shown in the example. The Tools menuoptions will vary depending on the view you are displaying in the Tree and Listareas.

The Viewer and Save menu selections are explained below. For an explanationof the Auto-MPPS Setting and Work Report Management selections, as shownin the example, refer to the “Modality Worklist Management Tab” section in thischapter.

Viewer—Opens the Review Task window, which is explained in detail in the“Review Task Window” section of Chapter 7, “Review and Filming Functions.”This Tools menu option is only available when your selection in the Tree and Listarea is at the series level.

Save—Allows you to send or commit data to various destinations. The data maybe selected in either the Tree or List area. Once Save is selected, the followingoptions are available on the drop-down menu:

• Send—Copies the selected data to a destination that can be selected from themenu, as shown in the example.

• Commit—Requests storage of study results in PACS (for DICOM stationsonly), and requests a response from PACS to confirm that images have beenreceived and archived.

• Send and Commit—Performs Send and Commit in one operation (for DICOMstations only).

Definition:PACS refers to Picture Archivingand Communications Systems.

• Send as Concealed Data—Copies the selected data to a destination selectedfrom a drop-down menu, as shown in the example. Remote Server and CD-RDrive are not available as destinations for concealed data.

Archiving, Writing, and Restoring Data

You can archive and restore data using a DVD-RAM, as well as write andrestore data using a CD-R, from the Patient Directory window under the PatientList tab.

Formatting and Initializing a New DVD-RAM

The medium used for archiving and restoring data is a two-sided DVD-RAMcartridge. A new DVD-RAM cartridge must be formatted and initialized beforeit can be used by following the steps below:

1. Insert a new DVD-RAM cartridge into the DVD drive, with the side to berecorded facing up.

2. Open the Patient Directory window.

3. Select the Patient List tab.

4. Right-click on the DVD-RAM Drive in the Tree area. Select Format fromthe drop-down menu, as shown in the example.

5. The Format window will open, as shown in the example. Type information inthe Volume Label field for your DVD-RAM cartridge.

6. Left-click on the Format button on the bottom of the window. A window willopen confirming that you want to format; select Yes. A progress bar willindicate that the DVD-RAM cartridge is being formatted.

7. Left-click on the Initialize button on the bottom left of the window. A windowwill open confirming that you want to initialize; select Yes. A progress barwill indicate that the DVD-RAM cartridge is being initialized. A “Mediainitialized” message will appear when this process is completed.

Archiving Data Using a DVD-RAM

Data that can be archived to a DVD-RAM cartridge is listed under the LocalDatabase heading in the Tree or List area. Before archiving data, insert thecartridge into the DVD drive with the side to be recorded facing up. You canthen use any one of the following three methods for archiving data:

Method 1—Left-click on the data from the Tree or List area and hold down themouse button. Drag-and-drop the data to the DVD-RAM Drive in the Tree area,as shown in the example.

OR

Method 2—In the Tree or List area, right-click on the data to be archived.Select Send and then select DVD-RAM Drive from the drop-down menus.

OR

Note:When data is dragged-and-dropped to a destination, it iscopied, not moved, to the newlocation.

Method 3—Select the data to be archived in the Tree or List area. Left-clickon the Tools menu. Select Save, then Send, and then DVD-RAM Drive from thedrop-down menus.

With each of these methods, the Job Queue button will be displayed at the end ofyour Launcher toolbar.

To check your progress, left-click on the button; it opens the Job Queue windowwith the Archive tab selected, as shown in the example. The Source listing forthe data that is being archived will be the Local Database, and the Destinationlisting for the data will be the DVD-RAM Drive.

When the Archive process is completed, the archived data will be listed underthe DVD-RAM Drive heading in the Tree or List area of the Patient Directorywindow. A DVD-RAM cartridge that already contains archived data may take alittle longer to display its content list after additional archiving jobs are performed.If that is the case, left-click on the Refresh button on the toolbar to update thedisplay of the listings on the DVD-RAM Drive.

Restoring Data From a DVD-RAM

Before restoring data, insert the DVD-RAM cartridge into the DVD drive withthe side containing data to be restored facing up. Data that can be restored tothe Local Database will be listed under the DVD-RAM Drive heading in theTree or List areas, as shown in the example.

You can then use any one of the following three methods for restoring data:

Method 1—Left-click on the data from the Tree or List area and hold down themouse button. Drag-and-drop this data from the DVD-RAM Drive to the LocalDatabase in the Tree area.

OR

Method 2—Right-click on the data to be restored from the Tree or List area todisplay a menu. Select Send and then Local Database from the drop-downmenus.

OR

Method 3—Select the data to be restored from the Tree or List area. Left-clickon the Tools menu. Select Save, then Send, and then Local Database from thedrop-down menus.

Note:If there are numerous listingsunder the Local Database,left-click on the – symbol next toLocal Database to compress thelistings. It should then be easierto locate the item to be restoredand use the drag-and-dropmethod.

With each of these methods, the Job Queue button (with a bright green circle)will be displayed at the end of your Launcher toolbar to indicate that a job is inprogress. To check your progress, left-click on the button; it opens the JobQueue window with the Archive tab selected. The Source listing for the databeing restored will be the DVD-RAM Drive and the Destination listing for thedata will be the Local Database.

When the Restore process is completed, the restored data will be listed under theLocal Database heading in the Tree or List area. To update the list displayed forthe Local Database, left-click on the Refresh button on the toolbar.

Writing to a CD-R

Data from the Local Database can be written to a CD-R for storage purposes.Multiple studies can be written to a single CD-R, but the studies must have thesame Patient Name and Patient ID number. Follow the steps below to write datato a CD-R disk:

1. Insert a CD-R disk into the DVD drive.

2. Use one of the following three methods to send data to the CD-R program:

Method 1—Left-click on the data in the Tree or List area and hold downthe mouse button. Drag-and-drop this data from the Local Database to theCD-R Drive in the Tree area.

OR

Method 2—Right-click on the data in the Tree or List area of the LocalDatabase. Select Send, and then select CD-R Drive from the drop-downmenus.

OR

Method 3—Select the data in the Tree or List area of the Local Database.Left-click on the Tools menu. Select Save, then Send, and then CD-R Drivefrom the drop-down menus.

3. The data will be loaded in preparation for writing to the CD-R. The CD-RDrive heading in the Tree area will include (Pending). Right-click on theCD-R Drive heading in the Tree area to display a menu, as shown in theexample. Select Write CD and writing to the CD-R will begin.

The Writing to CD window will open, as shown in the example; there youcan track the progress of the writing job. Writing is complete when theprogress bar reaches 100%.

Additional choices on the CD-R Drive right-click menu are as follows:

• Cancel Pending—Cancels loading data to the CD-R that is in the Pendingstage.

• Search—Opens the Search View (rather than the Tree View) for thePatient Directory window.

Note:The Write CD selection willremain grayed-out until all thedata is loaded and ready to bewritten to the CD-R. Largerstudies will require a longerloading time.

Note:A CD Viewer is included in theCD-R. Images that have beenwritten to the CD-R can beviewed using a personalcomputer.

Restoring Data From a CD-R

Data that can be restored to the Local Database is listed under the CD-R Driveheading in the Tree or List areas. Before restoring data, insert the CD-R diskinto the DVD drive. You can then use any one of the following three methods forrestoring data:

Method 1—Left-click on the data from the Tree or List area and hold down themouse button. Drag-and-drop this data from the CD-R Drive to the LocalDatabase in the Tree area.

OR

Method 2—Right-click on the data to be restored from the Tree or List area.Select Send and then Local Database from the drop-down menus, as shown inthe example.

Method 3—Select the data to be restored from the Tree or List area. Left-clickon the Tools menu. Select Save, then Send, and then Local Database from thedrop-down menus, as shown in the example.

When the restoring process is completed, the restored data will be listed underthe Local Database heading in the Tree or List area. To update the list displayedfor the Local Database, left-click on the Refresh button on the toolbar.

Media Recommendations

Only the media types provided by the manufacturers recommended below maybe used with the Echelon MR System.

CautionFailure to use the recommended media could result in data not being recorded orrecorded data not being read.

You must exercise care in the handling of all forms of media because an openshutter may allow dirt, dust, fingerprints, or scratches to reach the recordingsurface and adversely affect the recording and/or reading of data. Backup orduplicate media is recommended in case of system problems.

The DVD-RAM disk manufactured by Hitachi Maxell was the previouslyrecommended media; however, its production was discontinued as ofJanuary 2007. The Panasonic DVD-RAM is now the recommended media.These DVD-RAMs are compatible and share the same part number. TheHitachi Maxell disk can be used until it is out-of-stock.

Modality Worklist Management Tab

The Modality Worklist Management feature is a purchasable option for theEchelon MR System. If your site has purchased this option, the ModalityWorklist Management tab will appear on your Patient Directory window.

When you select the Modality Worklist Management tab, your window will beseparated into a Tree area and List area, as shown in the example. (It may takea few seconds for this tab to open, since the system will need to load informationfrom your site’s HIS/RIS.)

The Tree area will display your location’s HIS/RIS server or servers. When youleft-click on a HIS/RIS server to select it, the studies that have been registeredto that server will be displayed in the List area.

To choose the information that will be displayed in the List area of the ModalityWorklist Management tab, left-click on the Column Setting button on the toolbar,as shown in the example. See the “Setting the List Area Columns” section in thischapter for more information.

MWM menu

MWM Menu

Once you have selected a patient in the List area, you can access the MWMdrop-down menu, as shown in the example, to perform various functions.

The MWM menu options are described below. When applicable, the correspond-ing toolbar buttons for options are shown.

Save—Saves patient information to the Local Database registered to theHIS/RIS system.

Correct Patient—Opens the Correct Patient window. Refer to the “EditMenu” section of this chapter for more detailed information about this window.

Start Examination—The selected patient information is saved and displayed inthe Exam window. The Exam window is explained in detail in Chapter 5,“Exam Window Scanning Functions.”

Complete the areas of the window as follows:

Visible Servers—Select a HIS/RIS device by left-clicking on the check box.

Refresh—When selected, the system will automatically refresh the scheduledstudy information. Left-click on the check box to select it.

Polling Time—Select the time interval in which the system should refresh thescheduled study information.

Retrieve Worklists—Select either a number of days or a time frame forworklist retrieval as follows:

• For Next—Enter the number of days for which you would like to retrieveworklists, as shown in the example.

• From Date and To—Enter dates for the time frame during which you wouldlike to retrieve worklists, as shown in the example.

• That Matches—Type conditions that will restrict the patient information listthat will be displayed. If you complete these fields, the system will onlyretrieve information that matches the conditions you specify, which mayinclude:

– Patient Name

– Patient ID

– Requested Procedure ID

– Accession Number

If you do not specify any additional conditions, all information will be retrievedbased on the days or dates selected in the Retrieve Worklists area. When youhave finished, left-click on OK to save your changes and close the window.

Auto-Protocol Setting—Allows you to set the protocols that will automaticallybe loaded for an anatomical region based on the study information. Opens theAutomatic Protocol window, as shown in the example.

Left-click on the check box next to Enable Auto Protocol Settings to select thisfunction.

To add an automatic protocol for an anatomical region, follow these steps:

1. Left-click on an anatomical region to select it, and then left-click on theSet Protocol button, as shown in the example.

2. The Protocol Selector (Open) window will be displayed. This window isdescribed in detail in the “Patient Registration Window” section of thischapter. Double left-click on a selected protocol, or left-click on a protocol toselect it and then left-click on the Open button. The Protocol Selector(Open) window will close and the selected protocol will be listed in theProtocol Name (Anatomical Region) column of the Automatic Protocolwindow, as shown in the example for Head and Neck—Brain.

3. When you have completed your additions, left-click on OK on the AutomaticProtocol window to save your changes and close the window.

Tip:From the Automatic Protocolwindow, you can also add anautomatic protocol by usingeither of the followingprocedures:

• Double left-click on ananatomical region to openthe Protocol Selector (Open)window.

• Right-click on an anatomicalregion and then select SetProtocol from the menu thatis displayed.

To delete an automatic protocol for an anatomical region, follow the steps below:

1. Left-click on the protocol to select it, and then left-click on the ClearProtocol button, as shown in the example.

2. When you have completed your deletions, left-click on OK to save yourchanges and close the window.

The following additional menu options are available on the MWM menu.

Refresh—Retrieves the latest scheduled study information registered in theHIS/RIS system.

Exit—Closes the Patient Directory window.

Auto MPPS Setting and Work Report Management

The Auto MPPS Setting and Work Report Management options are accessibleon the Tools menu under the Patient List tab of the Patient Directory window.These options pertain to the Modality Worklist Management feature and areexplained in this section.

Auto-MPPS Setting—The Auto-MPPS Setting option on the Tools menu canbe accessed from any level in the Tree or List area. Selecting this menu optionwill open the Automatic MPPS Setting window, as shown in the example.

This window allows you to select the timing for the MPPS automatic transmis-sion of work report information. MPPS enables efficient radiology workflow andensures that imaging information is both accurate and complete.

Definition:MPPS refers to ModalityPerformed Procedure Step.This is a network transactioninitiated by the modality (MRimaging) equipment, usually atthe beginning and end of imageacquisitions. A work report issent to the HIS/RIS system tocommunicate what has beenperformed by the modalityequipment during theacquisition.

The Automatic MPPS Setting window provides the following options:

Auto MPPS—Left-click on the check box to select or deselect Auto MPPS.

Send MPPS Timings—Select the timing for automatically sending work reportnotification to the HIS/RIS when a study is either in progress or complete.

• In Progress—This area allows you to determine when to notify the HIS/RISsystem that an exam is in the In Progress state. You must choose from one ofthe following:

– On Examination Window opening—Notification is given when the Examwindow is opened.

– On Starting of First Scan Task—Notification is given when the first scantask is started.

– On Starting any Task on Examination Window—Notification is given whenany task is started in the Exam window.

• Complete—This area allows you to determine when to notify the HIS/RISsystem that an exam has been completed. You must choose from one of thefollowing:

– On Examination Window closing after completing all tasks—Notification isgiven when all tasks are complete and the Exam window is closed.

– On Examination Window closing after completing all tasks and AutoArchiving—Notification is given when all tasks, including auto archiving,are complete and the Exam window is closed.

– On Examination Window closing after completing at least one task—Notification is given when at least one task is complete and theExam window is closed.

Work Report Management—This option on the Tools menu is available onlyfrom the study level or patient/study level in the Tree or List area of the PatientDirectory window. Selecting this option will open the Work Report Managementwindow, which is described in the next section.

Work Report Management Window

The Work Report Management window, as shown in the example, allows you toedit work reports for transmission to the HIS/RIS. A work report may includethe following information:

• Basic patient information (such as name and ID)

• Starting and ending times for a study

• Status of a study

• Worklist information

• Image series information

The features of the Work Report Management window are described below.

The Work Report Selection area displays a list of the work reports created forthe selected study. This area is shown in the example.

The following fields are displayed across the top of this area:

# (number)—Displays the work report number, which cannot be edited.

ID—Displays the work report ID number. This ID must be unique for the study;the system automatically enters this number when the work report is created.

StartDate—Displays the date on which a study is to be started. The dateshould be entered according to the format selected in the Window Settingwindow. If this field is empty when the In Progress status button is selected, thedate is entered automatically.

StartTime—Displays the time at which a study is started. If this field is emptywhen the In Progress status button is selected, the time is entered automatically.

EndDate—Displays the date on which a study is to end. The date should beentered according to the format selected in the Window Setting window. If thisfield is empty when the Completed or Discontinued status button is selected, thedate is entered automatically.

EndTime—Displays the time at which a study is ended. If this field is emptywhen the Completed or Discontinued status button is selected, the time isentered automatically.

Status—Displays the status of the work report, which cannot be edited here.(The status can be changed only by using the status buttons, which are describedbelow.) A study that is selected from the Modality Worklist Management tab ofthe Patient Directory window will be displayed in the Work Report Managementwindow as Scheduled. The Worklist information is the product of schedulingperformed within the HIS/RIS system.

Comments—Allows you to type comments for the selected work report.

The buttons at the right and bottom of the Work Report Selection area performthe following functions:

Create New—Creates a new work report entry for the study, which isdisplayed in the Work Report Selection area.

Delete—Deletes the selected work report entry from the Work ReportSelection area.

Advanced—Displays detailed information for the selected work report.

In Progress, Suspended, Completed, and Discontinued—When selected,each of these status buttons changes the status of the selected work report.

Note:For more information about theWindow Setting window, refer tothe “System Settings Windows”section of Chapter 9, “AdditionalLauncher Functions.”

Note:Work reports cannot be createdfor studies that are restored frommedia, and/or studies that arereceived by DICOM imagetransmission.

Note:The # (number) and Statusfields cannot be edited. Theremaining fields can be edited,depending on the status of thework report.

The HIS/RIS system is notified of work reports with In Progress, Completed,and Discontinued statuses. When selected, the status button names are displayedin the Status column in parentheses ( ) to indicate a pending status. Once awork report with a pending status is sent to the HIS/RIS, the parentheses areeliminated, indicating that the HIS/RIS system has been notified of the workreport’s status. The HIS/RIS does not receive transmitted work reports withSuspended or Scheduled statuses; therefore, these statuses will not be displayedin a pending state.

The Worklist Selection area displays worklists scheduled for a study, which canbe included in or excluded from a work report. The area is shown in theexample.

The features of this area are described below:

Worklist in Study—Displays all the worklists for the scheduled study.

Worklist in Report—Displays all the worklists that will be written in the workreport.

The buttons in the Worklist Selection area perform the following functions:

Include—Includes a worklist in a work report. To use this function, select aworklist in the Worklist in Study area, and then left-click on the Include button.Your selection will be written in the work report and displayed in the Worklist inReport area.

Exclude—Excludes a worklist from the work report. To use this function, selecta worklist in the Worklist in Report area and then left-click on the Excludebutton. Your selection will be removed from the work report.

Note:Worklists can be included inmultiple work reports. A checkmark next to a worklist indicatesthat it is included in more thanone work report.

The Series Selection area displays a list of the image series that result from theperformance of a study. The series can be included in or excluded from a workreport. The area is shown in the example.

The features of this area are described below:

Series in Study—Displays all the image series stored in the study.

Series in Report—Displays all the image series that will be included in thework report.

The buttons in the Series Selection area perform the following functions:

Include—Includes a series in a work report. To use this function, select a seriesin the Series in Study area, then left-click on the Include button. Your selectionwill be written in the work report and displayed in the Series in Report area.

Exclude—Excludes a series from the work report. To use this function, select aseries in the Series in Report area and then left-click on the Exclude button. Yourselection will be removed from the work report.

The buttons at the bottom of the Work Report Management window perform thefollowing functions:

Send—Saves the edited contents and transmits the work report to the HIS/RISsystem. The parentheses ( ) indicators of pending status will be eliminated. Amessage will appear in the window indicating if the work report was sentsuccessfully and the Work Report Management window will close.

Cancel—Closes the Work Report Management window without saving anyedits.

Save—Saves the edited contents and closes the Work Report Managementwindow.

Note:Image series cannot be writtenin multiple work reports. A checkmark indicates that an imageseries is included in a workreport.

Work reports can be transmitted automatically using the Automatic MPPSSetting window, as explained previously. To transfer work reports manually,follow the procedures below, starting from the Work Report Managementwindow.

To transmit notification to the HIS/RIS system that a study has been started:

1. Select a work report with a Scheduled status.

2. Left-click on the In Progress status button; the status field will change to (InProgress), as shown in the example.

3. Edit the work report, if necessary.

4. Left-click on the Send button to transmit the work report to the HIS/RISsystem.

To transmit notification to the HIS/RIS system that a study is in progress:

1. Select a work report with a (Completed) or (Discontinued) pending status.

2. Left-click on the In Progress status button; the status field will change to InProgress.

3. Edit the work report, if necessary.

2. Left-click on the Discontinued status button; the status field will change to(Discontinued).

3. Edit the work report, if necessary.

4. Left-click on the Send button to transmit the work report to the HIS/RISsystem. The study status will change to Discontinued (no longer pending).

To suspend, or temporarily stop, a work report:

1. Select a work report with a pending or In Progress status.

2. Left-click on the Suspended status button; the status field will change toSuspended.

3. If you need to change the status of the work report from Suspended to (InProgress) or (Discontinued), left-click on the appropriate status button.

Note:The Suspended status is nottransmitted to the HIS/RISsystem and, therefore, doesnot have a pending state.

Patient Registration Window

The Patient Registration window allows you to register a patient and specifystudy details before performing a study. To access the Patient Registrationwindow from the Launcher toolbar, left-click on the Patient RegistrationLauncher button.

The Patient Registration window will open, as shown in the example.

Completing the Patient Registration Window

Complete the Patient Registration window by typing information in the fields asdescribed in the following sections. Fields marked with asterisks are mandatoryand must be completed.

Patient Information

The top portion of the Patient Registration window contains Patient Informationfields, as shown in the example.

The following fields are required and must be completed:

Patient ID—Type the Patient ID number. If your system is set up to providean Automatic Patient ID, this information will automatically be displayed. (TheAutomatic Patient ID option is located under the Other Setting tab of the PatientRegistration Setting window and is explained in detail later in this chapter.)

Get from MWM—If your site has purchased the Modality Worklist Manage-ment option, you may be able to complete the Patient Registration window withinformation from your HIS/RIS system. Left-click on the Get from MWMbutton. A list of patients will be displayed in the Search Results window, asshown in the example. Select your patient from this list to automatically apply theinformation to the Patient Registration window.

Patient Name (Family, Given)—Type the name of the patient. “Family” namemeans the patient’s last name and “Given” name means the patient’s first name.

Sex—Select the sex of the patient.

Birth Date—Type the birth date of the patient.

Age—Displays the age of the patient. After you type the Birth Date, left-click inthe Age field; the system will calculate and display the Age.

Patient Weight—Type the weight of the patient.

The following fields are optional and so they may or may not appear in yourwindow. Complete the optional fields as follows:

Patient Height—Type the height of the patient.

Mother Birth Name—Type the birth name of the patient’s mother.

Medical Alerts—Type any cautions related to the patient.

Pregnancy Status—Select whether or not the patient is pregnant.

Other Patient ID—Type an ID if there is one used for other purposes.

Ethnic Group—Type the ethnic group of the patient.

Issuer Of Patient ID—Type the issuer of the Patient ID.

Patient Address—Type the address of the patient.

Military Rank—Type the military rank of the patient, if applicable.

Branch Of Service—Type the branch of service to which the patient belongs, ifapplicable.

Medical Record Locator—Type the medical record locator.

Country Of Residence—Type the country of residence of the patient.

Region Of Residence—Type the region of residence of the patient.

Study Information

The central portion of the Patient Registration window contains Study Informa-tion fields. Information about a study is contained under a numbered tab, asshown in the example. There can be multiple study tabs for each patient. Whena study tab is selected, the window opens with that tab’s study information. Forexample, to view information for Study-2, left-click on the Study-2 tab.

The buttons at the top of the Study Information area allow you to move betweentabs and work with tabs as follows:

Backward or Forward—Displays information for the study before or after thecurrently selected study.

New Tab—Creates a new tab to the right of the current study tab. The new tabwill remain selected and highlighted.

Delete Tab—Deletes the tab that is currently displayed.

Duplicate Study—Displays a new study tab and copies study information fromthe currently selected study tab into the new tab. The new study tab will notremain highlighted and the Study ID field will not be duplicated.

The following field in the Study Information area is required and must be com-pleted:

Study ID—Type the Study ID number. If your system is set up to provide anAutomatic Study ID, this information will automatically be displayed. (TheAutomatic Study ID option is located on the Other Setting tab of the PatientRegistration Setting window, which is described later in this chapter.)

The following fields in the Study Information area are optional and so they mayor may not appear in your window. Complete the optional fields as follows:

Accession Number—Type the accession number, which may be used forDICOM, PACS, or other functions.

Institution Name—Type the name of your institution or facility.

Study Description—Type any special description of the study.

Anatomical Region—Select the anatomical region from the drop-down lists.You can also left-click on the Anatomical Region button to access the Anatomi-cal Region List window, as shown in the example.

Left-click on the appropriate anatomical region to select it. The window willclose after your selection is made.

The Anatomical Region area then displays the selected Level 1/Level 2 names inthe field, as well as the appropriate anatomical region button. The followinganatomical region choices are available:

• Head and Neck—Brain, Pituitary, Internal Auditory Canal (IAC), Orbits,Sinus, Temporomandibular Joint (TMJ), Neck, Thyroid, Vascular.

• Spine—C-Spine, T-Spine, L-Spine, Spine, Vascular.

• Upper Extremity—Shoulder, Elbow, Wrist, Hand, Upper Arm, Forearm,Vascular.

• Lower Extremity—Hip Joints, Knee, Ankle, Foot, Upper Leg, Lower Leg,Vascular.

• Chest—Chest, Cardiac, Breast, Vascular.

• Abdomen—Liver, Kidney, Vascular.

• Whole Body

Laterality—Select the laterality of the anatomical region from the followingoptions: NONE/Bilateral, LEFT, or RIGHT.

CautionYou cannot use this field to change the laterality on images after they have beenreconstructed. Changing the laterality can result in errors in diagnosis and/orinjury to the patient.

Protocol—Select the protocol to be used for the study by following the proce-dure below:

The “Look in” field displays the various levels associated with selecting aprotocol, and the List area of the window displays a list of the contents ofeach level, as described below.

3. Perform one of the following steps to display your chosen protocol in theProtocol field of the Patient Registration window:

• Double left-click on the desired protocol to select and load it.

• Left-click on the protocol to select it, then left-click on the Open button atthe bottom right corner of the window.

• Type the protocol name in the Protocol Name field at the bottom of thewindow, then left-click on the Open button.

To close the Protocol Selector (Open) window without saving any changes,left-click on the Cancel button.

There are three buttons that appear at the top of the Protocol Selector(Open) window: the Up button, List Configuration button, and Task Configu-ration button. These buttons function as follows:

• Up button—Left-click on this button to change the “Look in” field entry tothe next higher level.

• List Configuration button—Opens the Property Settings window, whereyou can select the columns to be displayed for the various levels in theProtocol Selector (Open) window, as shown in the example.

The following options are available in this window:

– Display Item—Use the drop-down menu to select the level to display.

– Property Text—Lists properties that can be displayed; left-click on thetext, then use the up and down arrow buttons on the left side of thewindow to change the location of the column of the displayed text.

– Visibility—When this is selected, text will be visible. Left-click on thecheck box to select or deselect this option.

When you have finished, left-click on the OK button. You can close theProperty Settings window by left-clicking on the X button in the top rightcorner of the window.

• Task Configuration button—Displays tasks and parameter information forthe selected protocol in the lower portion of the List area of the ProtocolSelector (Open) window. When selected, this button will be displayed witha white, or highlighted, background. This is a toggle function: to deselect it,left-click on the button again.

Patient Orientation—Select the orientation of the patient from the drop-downlists or by left-clicking on the Patient Orientation button, which will open thePatient Orientation List window, as shown in the example.

Left-click on the appropriate patient orientation to select it. The window closesonce your selection has been made. The following patient orientation choices areavailable: either Head First or Feet First, in the Supine, Prone, Right Decubitus,or Left Decubitus positions.

Department—Type the institution’s department name.

Physician(s) of Record—Type the name of the physician of record.

Radiologist—Type the name of the physician performing and/or interpreting thestudy.

Contrast—Type the name of the contrast agent.

Study Date—Type the study date.

Study Time—Type the study time.

Performing Physician—Type the name of the performing physician.

Ordering Physician—Type the name of the physician ordering the study.

Saving Patient Registration Information

When you have completed the fields on the Patient Registration window, you cansave the information by left-clicking on the appropriate button at the bottom ofthe window, as shown in the example.

Choose one of the following options:

Save—Saves the information to the Local Database and closes the PatientRegistration window.

Save & Next Registration—Saves the current patient registration informationto the Local Database. The Patient Registration window will remain open and allfields will be cleared. You can then register another patient.

Open ExamWindow—Saves the information to the Local Database and opensthe Exam window. You can then begin to perform the selected study.

Cancel—Closes the Patient Registration window without saving any informa-tion.

Patient Registration Setting Window

Optional fields can be added to and/or deleted from the Patient Registrationwindow using the Patient Registration Setting window. To access the PatientRegistration Setting window, left-click on the System Settings Launcher button.

A drop-down menu will be displayed. Left-click on the Patient RegistrationSetting option. The Patient Registration Setting window will open. The windowcontains tabbed areas where you can select the information to be included in thePatient Registration window, as described in the following sections.

Patient Information and Study Information Tabs

The Patient Information and Study Information tabs, as shown in the examples,allow you to select the information that will appear in the Patient Information andStudy Information areas of the Patient Registration window. Use the scroll barson the right side of the window to view all of the information available.

The information in these tabs is organized into the following columns:

Field Name—Lists the names of the fields that can be displayed in the PatientRegistration window.

Visible—Indicates if a field will be displayed, or visible, in the PatientRegistration window. To select a field to be displayed, left-click on the checkbox to place a check mark. To deselect a field, left-click on the check box againto remove the check mark. Boxes that are checked, but grayed-out, are thedefault (required) fields.

Order—Changes the display order in the Patient Registration window. The firstitem selected by left-clicking on it will change to 1 and appear first on the PatientRegistration window. The second item selected will change to 2 and appearsecond in the Patient Registration window, and so on.

Customize Values—Displays the word “Customize” next to fields that mayhave multiple entries. (Many of these fields are found under the Study Informa-tion tab: for example, Contrast or Radiologist.)

Left-click on the Customize button to open the Customize Values window, asshown in the example. From here, you can create customized values for thefield.

The List area on the left in the window displays the customized entries.

To add a customized entry, follow this procedure:

1. Type the name of the new entry in the text box, as shown in the example.

2. Left-click on the Add button. The entry will be added to the bottom of the listin the List area.

To remove a customized entry, follow this procedure:

1. Left-click on the entry to be removed from the List area.

2. Left-click on the Remove button. The entry will be removed from the Listarea.

To change the display order of the customized entries, follow this procedure:

1. Left-click on the entry to be moved.

2. Left-click on the up or down arrow buttons to change the display order ofthe customized entries.

When you have finished, left-click on the OK button.

Other Setting Tab

The Other Setting tab on the Patient Registration window allows you to set upthe system to automatically assign Patient ID and/or Study ID numbers. It alsoallows you to select units of measurement for patient height and weight, asshown in the example.

Complete the information in the Automatic Patient ID area as follows:

Patient ID—Select one of the following options from the drop-down menu:

• Manual—The Patient ID will be typed by the user.

• Automatic—The Patient ID will be created automatically by the system.

If you select Automatic for Patient ID, the fields listed below will be accessible.Fields that you choose to include will appear in the Patient ID from left to right inthe order listed below:

Prefix String—To add a prefix to the Patient ID, type the text here.

Add Date—Adds the current date to the Patient ID. To add the date, left-clickon the check box to place a check mark. To remove the date, left-click on thecheck box again to remove the check mark. The date is displayed in theformat yyyymmdd.

Add -(Hyphen)—Adds a hyphen (-) to the Patient ID before the number(s).To add the hyphen, left-click on the check box to place a check mark there. Toremove the hyphen, left-click on the check box again to remove the check mark.

Zero Padding—Adds zeroes to the beginning of the Patient ID number. To addthe zeroes, left-click on the check box to place a check mark there. To removethe zeroes, left-click on the check box again to remove the check mark.

Number of digit—This option is available only when Zero Padding has beenselected. It indicates the position of the first actual digit in the Patient ID. Forexample, if the Number of digit is 3, the Patient ID will begin with two zeroesand the first digit will be in the third position, as in 001. You can type in a numberor left-click on the up or down arrow buttons to select a number.

The Preview field will display an example of your formatted Patient ID number.

The following is an example of how the system will automatically assign PatientIDs based on the settings you specify:

Advanced Setting Tab

The Advanced Setting tab in the Patient Registration Setting window, shown inthe example, allows you to determine how frequently the Patient Directory isupdated, or refreshed, with new information. The features of this window aredescribed below.

Polling Setting—Refers to the time frame in which the Patient Directory ispolled, or queried, for updated information. This area allows you to set up aschedule to automatically refresh the Patient Directory listing based on informa-tion from patient registrations that are saved to the Local Database. Completethis area as follows:

• Refresh—Left-click on the check box to select the option of automaticallyrefreshing the database.

• Refresh Time field—Enter a number, in seconds, to indicate how often therefresh action should occur.

When you have finished, left-click on the OK button.

If the Refresh option is not selected in the Advanced Setting tab, you can updatethe Local Database by left-clicking on the Refresh button located on the PatientDirectory window toolbar.

Rapid Registration

When an emergency study is required, you may not have the time or appropriateinformation to complete the Patient Registration window before starting anexam. For these cases, you can start an exam with minimal or no patient infor-mation using the Rapid Registration feature. Each patient whom you registerusing the Rapid Registration feature will be labeled “Emergency Patient” in thesystem.

Starting a New Exam

Left-click on the Rapid Registration Launcher button on the Launcher toolbar.

The Exam window and the Patient Orientation List window will open. Select thecorrect choice for Patient Orientation. You can then right-click on the ProtocolProperties area of the Exam window to display a menu that allows you to add aprotocol or task.

Using Preloaded Emergency Studies

Your site may want to set up standard studies that can be used for Rapid Regis-trations to save valuable time in emergency situations. You can use the RapidRegistration Setting window to create standard studies for various categories ofemergencies (such as “Emergency Brain”) and include the appropriate proto-cols. The Rapid Registration Setting window can be accessed through a menuoption of the Systems Settings Launcher button drop-down menu.

When standard emergency studies are preloaded in your system, you will haveaccess to a drop-down menu next to the Rapid Registration button. Left-click onthe down arrow to view a list of the emergency studies and select one to use forthe emergency patient.

This will open the Exam window and the Patient Orientation List window, whereyou can select the correct choice for Patient Orientation. You may not need toload a protocol for the patient, as it may already be loaded based on the emer-gency study you selected.

Followup Actions After Using Rapid Registration

After you use the Rapid Registration feature and complete scanning on anemergency patient, you must make sure that you properly update the patientinformation in the system. Until corrections are made, all patients are named“Emergency Patient,” so you may risk not being able to identify a patient’sinformation in the system later.

To update emergency patient information, follow the procedure below:

1. Close the patient Exam window and left-click on the Patient Directorybutton on the Launcher toolbar.

2. In the Patient Directory window, select the Patient List tab.

3. In the Tree or List area, select the “Emergency Patient” for whom you wantto update information. (Verify that you have the right patient by checking thedate, time, and examination details.)

4. Right-click on the selected patient, then select Correct Patient from themenu.

5. The Correct Patient window will open. Enter the correct Patient ID, PatientName, and other information.

6. Left-click on the OK button to save the corrected patient information in thedatabase.

If your system includes the Modality Worklist Management option, you candirectly overwrite rapid registration information with data from your site’sHIS/RIS. To do this, follow the procedure below:

1. Close the patient Exam window and left-click on the Patient Directorybutton on the Launcher toolbar.

2. In the Patient Directory window, select the Patient List tab.

3. In the List area, select the “Emergency Patient” that you want to update.(Verify that you have the right patient by checking the date, time, andexamination details.)

4. Right-click on the selected “Emergency Patient,” then select Correct Patientfrom the menu.

5. Left-click on the Get from MWM button. A list of patients who have data onthe HIS/RIS system will be displayed; select the patient’s name from the list.

6. Left-click on the OK button. This overwrites the “Emergency Patient”information with HIS/RIS information.
