The Case

First Employee – Mark Tompson Second Employee – Jeff Gordon Head of Department – John Smith Director – Mac Dowell 1. Head of Department assigns one of his

employees to a business trip 2. Director has to approve the trip


Business Trip Request

Head of Department marks in Outlook calendar days of the business trip using context menu.


Using CIS panel Head of Department selects the first employee and the correspondent approver. Employees’ data are taken from SAP.

The Request Details


Employee Availability Check

The request is check against SAP calendar [of the first employee]. The first employee is on vacation.


Head of Department selects the second employee [available]. The request is sent to Director for approval.

Alternative Selection


Request Rejection

Director declines the request with the reason: “This employee is working in the other project”.


Head of Department receives email with notification about rejection and specified reason.

Second Attempt

The decision is made to cancel vacation of the first employee and send his to the important trip.


Approval Notification

The new request is approved by Director. Head of Department receives the correspondent notification.


Business Trip Notification

The first employee receives notification about upcoming business trip. Terms and destination information is displayed.


Outlook: Period Blocked

The correspondent period is blocked in the employee’s calendar.


SAP: Calendar Updated

The business trip details are reflected in SAP.


Request to Accounts Department

Automatic request to Accounts Department is generated. Accounting can issue the papers and authorize the trip.


Documents Templates

For convenience accounting documents are auto-generated based on templates: Order and Authority.


Request to HR Department

Automatic request to HR Department is generated. HR can do tickets and hotel booking.
