Baseline Project PlanI. Introduction
A. Project Overview
CITE Social Bridge aims to answer the needs of the department ofCollege of Information Technology and Engineering in disseminatinginformation. The project will provide an application that caters the interest of thestudents in social networking plus the functionalities of an announcementsystem that is used for academic purposes.
Since it is a medium-sized project and there are enough financial needs, itis considered possible. The project is expected to be implemented on March2012. The project manager and the customer expect the launching of theapplication by February 2012 for testing and reviewing purposes.
The group faces constraints in the project. Some of which are therestrictions on the access of the record of every student since it is a private
document. However, we are discussing the need of those data to thedepartment head and we are expecting to receive those as soon as possible.
B. Recommendation
Through intensive research, we found out that the department lackssubstantial announcement system. Since the existing system were donemanually, meaning to say, posting announcements on bulletin boards that arenot noticed by students, our group decided to have it through the internet sinceevery student in the department uses the internet every now and then. Manualdistribution of grades can now be omitted and do online in one web application
that is cached in a social networking site.

B. System Description
CITE Social Bridge is a social network that allows every individual in theCollege of Information Technology and Engineering to have a peer to peerconnection. They can basically do whatever they can do in a social networkplus the professors can distribute activities and lessons over the internet whenthere are suspensions of classes. They can also share their references and

videos to their students. The department administrators can post importantannouncements that will go straight to the students profile.
Input Information
After an eligible individual register to the departments office, he/she cannow use the system. The input of information to the system is simple. Everyonewho wants to upload something, the user will then use his/her account toupload. These files will then go to the designated folder given to the user. Otherinformation set by the user will be sent to the allocated row of our database forthat user.
When accessing these files, the system will go look through the folder ofthe user or the designated row of our database for that user and then displays itto the home page of other users if it passes the restrictions set by the systemand the user itself.
Tasks Performed
The system is responsible for multiple tasks that are simultaneouslyrequired by different users. The administrator and professor can announceimportant reminders and their resources to every lesson. The task of thesystem is to segregate those announcements so that only the target users canview the specific information. The system also provides a spreadsheet-likepage to every professor so that he/she can enter his/her students grades andmade it available only to that specific student so that there are no privacyissues.
The system also performs several tasks that a social network provides.These includes posting a status, uploading a photo or video, like for variouscontents, searching a user from the current user of the system, and privatemessaging.
Resultant Information
Based from the detailed description above, we expect that the system willwork as planned without complicated maintenance coming from theadministrator of the site. The data that is circulating the system itself will bechecked on the regular basis.

III. Feasibility Assessment
A. Economic Analysis
Economic feasibility study with details on on-time cost, reoccurring costs
and finical benefit shows that the system meets the standard requirements forfinancial funds that should be given in the project.In addition, tangible and intangible cost was also considered in realizing
the feasibility of the project.
B. Technical Analysis
The proposed system will use the scripting language called PHP withadditional scripts in flash and html since the former is flexible and is adaptableto any environment and the latter provides modern environment to the system.
Servers and hardware used in this project will last for several years when
it is properly handled.
C. Operational Analysis
The new system needs only one personnel to be the administrator of thesystem. The said personnel is responsible for updating and maintaining thesystem and is the one who is authorized to make announcements.
The operability of the system in view of an ordinary user is easy.Knowledgeability on some social networking sites is a big advantage becausebasically, every function in the whole system is more likely the same as thefunctionalities on other social network. Since the system caters InformationTechnology and Engineering department, we are sure that these people caneasily adapt to this environment.
D. Legal and Contractual
As soon as the system is absorbed by the customer, the group has theresponsibility to make necessary change to the system once they have foundout some glitches and violations to university rules and regulations.
The group will also develop the systems rules and regulations so thatthere is insurance that there will be no ethical and legal issues violated.
E. Political Analysis
Positive feedbacks are thrown into the system. Since social networkingsites are vital to the students, the department head thinks that it is a smart wayof bringing the students information at the same time, reaching out to everystudent in the department.

F. Schedules, Time Line and Resource Analysis
These are the expected time frames of the project:Project Planning completed by December 16, 2011Project Analysis and Documentation completed by January 13, 2012
Project Design and Coding completed by March 02, 2012Project Implementation completed by March 09, 2012Final Documentation and presentation completed by March 16, 2012The group hopes that the project will be finished ahead of time declared.
IV. Management Issues
A. Team Configuration and Management
Justin Charles Rodriguez Project Leader
As a project leader, Mr. Rodriguezs task is to lead the group on theproject. He will assist everyone in his group on their specific tasks assigned tothem. He will serve as the inter-communicator of the team to the customer. Hewill also arrange meetings with the customer and the group, ensures that theproject is properly documented and he will make sure that the output will beimplemented on time and as planned.
Nurhakim Salim System Analyst
As a system analyst, Mr. Salims task is to analyze the existing system inthe department. He will suggest what should be done to the proposed systemso that current issues regarding the existing system will be avoided in theproject. He has the vital part in coding and testing the project so that specificrequirements that he listed will be incorporated to the project.
Kevin Miranda Member
Mr. Miranda will act as an evaluator to the group. He will see that theproject goes on what has planned and assist the system analyst in his task. Hewill then be a visual and logical designer so that user-friendly environment willbe used in the system.
John Lester Yamat
Member
Mr. Yamat will lead the group into the process stage and help the projectmanager in his tasks. He will facilitate queries that arise within the group. Hewill also be the resource person of the group. He will recommend bestresources that should be used so that the project will become more feasible.

B. Communication Plan
Communication between Team and Customer
Since this is a developer-customer process, communication is very vital to
the creation of the project. From time to time, we will set meetings with thedepartment head to ensure that relevant issues will be tackled accordingly.
Communication between the Team and the Users
Users, students in the department specifically, are also a vital part of theproject. They will have to answer some survey forms so that we can hear theiropinions and views about the project.
Communication during the Implementation Phase
When the project is finished and implemented, the customer will thenevaluate the project. All queries formulated by the customer will then bereceived by Justin Charles Rodriguez and then will be forwarded to NurhakimSalim for them to make necessary actions about the queries.
C. Project Standards
The team will conduct a meeting to the department personnel to have adiscussion about the current systems glitches and how it will be avoided in theproposed system. We will also gather information to the personnel so that wecan consider their specifications also. Other issues regarding the project will bediscussed on the evaluation period.
D. Other Project Specific Topics
So far we do not have any other specific topics that are considered.

Project Description:
GoalThe project will provide a social network for the College of Information
Technology and Engineering. The purpose if the system is to provide an environmentthat will allow professors to share documents to their students, faster delivery ofannouncements to students, and to have a community communication to everyone.
Objectives- Provide easy access to students grades
- Maximize educational file-sharing- Minimize the funds allocated for printing announcements- Make every professor available to their students queries - To provide an environment wherein students and professors as well as the
administrators can socialize even when they not in the university.
Phases of WorkSeveral tasks were undertaken so that the project will be attained.In analysis phase, the group evaluates the current system enforced by the
department. They also gather feedbacks to the students and administrators about howthey feel about the system. The group also noted the requests of those interviewed so
that the group can give a system that grants their requests.The data gathered on the analysis phase was materialized into the design phase.They project the system as much as possible according to the facts collected. It is alsothe stage wherein the project was made until it is available for implementation.
In the implementation phase, the group will incorporate the design made to thesystem. This is also the phase wherein the application will be made entirely.

After the design has been materialized and transformed into an application, theproponents will then introduce it to the department. They will test the system if it meetsthe said requirements.
The last phase is the deployment. If the application meets the requirements ofthe department, then it will be made available to everyone. After the deployment, the
proponents will then update the system on a regular basis to ensure that the applicationis being able to maintain its functionality.

Problem StatementThe department is occupied with announcements that should be delivered to the
students. Since everyone is trying to do their job, posting announcements aresometimes accommodated the least and even if they are posted in the bulletin boards,most of the times they are ignored. Another problem is when there are suspension ofclasses and holidays that contributes on the delay of scheduled activities in professorscourse outline. Students are also faced with the possibility of missing lessons when theyare absent for a day. An integrated system should be introduced to minimize, if not
eliminated, these problems.
Project ObjectiveThe projects objective is to provide fast and accurate data coming from the
administrators and professors. It should also make file-sharing easy and one-on-onequery to every professors are at ease. Of course, due to privacy issues, it will alsoenforce strict security measures to ensure that the user is authenticated and data storedon the server are secured.
Business Benefits- Improved data sharing
The system will provide easy and convenient way of sharing information.Every type of information will be delivered to the target audience in a matter ofseconds.
- Improved utilization of manpower and financial resourcesSince the customer will have a computerized system, maintaining
announcements can be done by an individual in his/her free time. Since file sharingand announcements are done virtually, everyone will save money by not producinghard copies of the materials disseminated.

Recommendation
After the presentation, the panel suggested some revision to the application and
to the documentation to enhance the capacity of the project. These include the
following:
1. User validation in terms of the input for every field. The application will not grant
user account if the user fails to provide the information required in the registration
field.
2. The application must provide different objects in the registration form so that user
will have to type as little information as possible (e.g. drop-down text box for the
course, etc.)
3. The uploaded documents should have a delete button to minimize clogging in the
documents.
4. The group should add testing and deployment to the phases of work.
The said recommendations are considered when revising the application.
