A large property management company with 75 re-

mote offices, 3 regional offices and a large corporate

office had begun to implement a cost saving cloud

compu�ng strategic ini�a�ve. An objec�ve of this larg-

er ini�a�ve was to migrate as many applica�ons as

possible to So�ware as a Service [SaaS] applica�ons.

The company had successfully done this with an invoice

processing and electronic vendor payment applica�ons

in the past.

USPS was originally brought in by the company’s CFO

to nego�ate a volume purchase agreement but a�er a

USPS consultant gave an MPS presenta�on to the exec-

u�ve team, MPS was quickly integrated into their stra-

tegic ini�a�ve.

engagement by US Print Supplies

over a 3 week period revealed some alarming results

to the management team.

• The standard devia�on of the cost of toner be-

tween offices varied by almost 50%.

• Thirty percent of offices were using inefficient and

costly inkjet technology.

• Forty percent of offices reported a printer reliabil-

ity problem.

• There were 17 different vendors supplying print

related supplies and services company wide.

USPS performed a rapid hardware audit, developed a

print op�miza�on plan and redeployed prin�ng devic-

es where appropriate. Mul�func�on devices replaced

high CPP (Cost Per Page) printers and the total num-

ber of devices were reduced.

USPS integrated into the exis�ng centralized procure-

ment system and a uniform online toner catalog was

introduced to all offices. With some so�ware customi-

za�on, costs were allocated to appropriate profit cen-

ters and an electronic payment process was imple-

mented.

Implementa�on of an MPS program was not the origi-

nal objec�ve but with the assistance of USPS, the com-

pany implemented an effec�ve MPS program which

achieved significant results:

1. Enterprise wide expense control of prin�ng

2. Reduc�on of help desk FTE’s

3. Reduc�on of the number of in-house applica�ons

4. Print device consolida�on

Now at any point in �me this company has complete

knowledge and control of their print environment.
