IntroductionThe CMS3.0 is an open-source clinic management system project jointly implemented by the Hong Kong Medical Association (HKMA) and the Information and software Industry Association (ISIA), with the funding support from the Office of the Government Chief Information Officer (OGCIO) under the Sector-specific Programme (SSP) for the Medical and Health Sector, and was developed by the Mobigator Technology Group. Basic Work FlowBasic work flow

Appointment (optional) Create/reschedule appointment Call back to confirm the appointment.

Patient Arrival Search for patient record by name, ID, and phone number Create patient record for new patient Existing patient: verify and update information, if necessary Take vital sign, if necessary

Consultation Check vital signs, if necessary. Review previous episodes. Enter consultation notes. Enter prescription print drug labels or send prescription to pharmacy. Enter bill information. Upload attachments Create letters.

Dispensary Check dispensary queue or retrieve drug labels from printer. Pick drugs and labeling. Verify with pharmacist / doctor.

Payment Settle payment. Print receipt/invoice, if necessary

Basic Work Flow

PatientThe module provide the following functionality: Create new patient record The system provides a function to create a new patient record. It store patient's contact, next of kin, medical background, insurance and security information,etc. It also allow the user to link patient records in case of duplicated records.

Edit existing patient record The system supports modification of a patient record, any modification on the patient record are recorded in the audit trail. Search patient record The system support the search for patient records using: - Patient number - HKID or Passport ID - Name - Telephone

Patient Arrival Work Flow Search for patient record by name, ID, tel, address (building/floor/flat) or other fields Create a new patient if he/she is a new patient For the existing patient, verify the patient information and update information if necessary Take vital signs if necessary

Search Patient1. The patient search is available on every sections at the right-top corner.

2. The search result will be shown as a pop-up window.

Create new Patient1. Click "New Patient" under waiting queue.

2. Enter the necessary information in the popup window. Fields marked with "*" is the required fields. Note: You can enter only year in the DOB (Age) field if the patient does not have exact date of birth.

3. Click "Create" to create the patient record. After the patient record is created, it will show up in the

search result. You can either add to the waiting queue or make an appointment.

Waiting QueueThis module provides the functionality for the management of patient queuing process. It displays the real-time situation of the waiting list. The queue is a doctor-specific, e.g each doctor has his/her own waiting queue. It provide easy recording of patient arrival and adding to the appropriate waiting list. It also support the rearrangement and deletion of patients in a waiting list -- user can rearrange the patient order or assignment the patient to another doctor.

Add Patient to Waiting Queue1. Search the patient by name, patient no., telephone or address.

2. Click the icon

or use the Hotkey(Ctrl+Alt+Q) to add the patient to waiting queue

3. Choose the doctor(Assign To) and type the Remarks to remind the doctor.

4. Then the patient is listed on the Waiting Queue.

AppointmentThe module provides a calendar-style user interface for the appointment booking function. It allow flexible booking -- once appointment or recurring appointment. It allows re-scheduling of appointments and resource booking by drag and drop functions, and allows cancellation of booked appointments. It also provide callback list function for the confirmation of the appointments.

Create Appointment1. Click the Appointment on the menu to go to the Appointment page.

ConsultationThe system provides functions to support a doctor's workflow in the consultation room. Consultation Note - this module provides functions to store SOAP notes and diagnosis code. Billing - this provide provide functions to record itemized charges for each patient encounter.

Prescription - this module provides functions to support a doctor's work flow in drug prescriptions. it also storing and retrieving of all prescription histories for doctor's reference. This module displays the drug allergy information throughout the whole prescription process. Vital sign - this module provide the function to entet and view vital signs. Attachment - this module provide functions for editing, storing, retrieving and printing attachments.It also allow send the attachment through email.

Consulation Work FlowThis is common process for the consultation, but it is not a must process. Clinic can configure to fit their own process. Check vital signs, if necessary. Review previous episodes by date or Dx. Enter consultation notes. Enter prescription print drug labels or send prescription to pharmacy. Enter bill information. Create letters.

- Save the current consultation note as template. It will save the S.O.A.P and Diagnosis information 1.2. Select a consultation template

InventoryThis module provides drug inventory control functions, including: Create purchase request - create new purchase request to supplier. Drug delivery - stock-in management. Inventory management - Check stock and low inventory item. Inventory reconciliation - Update the stock of the inventory item.

InventoryPage *Inventory Item Function Setup the inventory item list of the system, e.g.drugs(master drug list and clinic drug list) and device. InventoryItem New / Edit Field Description Registration # Registration number of the item Clnic Durg # Product Name Product Name (Chinese) Label Name The name to be printed on the label. If not set, will use Product Name by default Label Name The name to be printed on the label. 11.10 Backup And Restore

1. Backup - Click "Create a New Backup" to create a new backup. - Click "Yes" to confirm the backup process if you wish to continue.

- Input a password and select a backup type for the backup. The password will be required for the restore process. Full Backup - Backup all the files and database (Recommend) Differential Backup - Store the difference between the current data and the previous full backup

2. Restore - Click "All" to restore both system file and database - Click "System File" to restore the system file only - Click "Database" to restore the database only.

3. In this interface, you can view your backups

11.11.1.2 Restore During restoring, the CMS 3.0 server will NOT be functional To restore a full backup, you can select a record with file type - "Full" To restore a differential backup, you need to restore a full backup first and then restore the differential backup There are two types of data you can restore - Files and database. Restore files 1. Press in the backup record row

11.12 Label Printing Setting1. Change the paper size in the printer setting of control panel 1.1. Go to Control Panel -> Printers and Faxes
