Community Fund Drive Together, Making a Difference

2017 Campaign Timeframe

• October 1–October 31

• Timing of Donations:

o Gifts to the community: Payroll deduction pledges made during the 2017 campaign will be deducted starting in 2018 and end with the calendar year.

o Biweekly payroll deductions begin on January 3, 2018, and continue through December 2018. One-time donations are taken out of the February 14, 2018, paycheck.

o Gifts to the University of Minnesota: Credit card transactions are made immediately. Payroll deductions start within a few weeks and continue until cancelled.

o Donations made to a nonprofit that is not a member of one of the federations will be distributed to the nonprofit organization by Community Shares on April 30, 2018; July 30, 2018; October 31, 2018; and February 28, 2019.

Volunteer’s Role

The Community Fund Drive is the University’s annual giving campaign. It gives employees the opportunity to donate to a

campaign federation or other nonprofit through payroll deduction or personal check. Your role as a volunteer is to:

• Publicize the campaign

• Encourage your colleagues to participate

• Distribute campaign materials and hang posters

• Create engaging fundraising activities to make the campaign fun

Volunteer Checklist

• Set a campaign goal for your college or unit. Work to increase your participation from 2016 by 10%. You can find your

college or unit’s 2016 results at www.cfd.umn.edu/results.

• Hang campaign posters around your building and office.

• Send an email to your college/unit inviting them to give to the Community Fund Drive. You can find sample emails to

customize to your college/unit on the resources page at www.cfd.umn.edu/resources.

• Schedule a presenter from one of the federations to speak at an event or staff meeting. You can request a speaker by

completing the Request a Federation Speaker form found at www.cfd.umn.edu/resources.

• Hold a fundraising event such as a bake sale, chili cook-off, or ice cream social. See page 5 for more ideas.

• Remember to thank those who participate and help with the campaign!

• Submit pledges collected during your events. See page 6 for instructions.

Marketing and Events Communications and events create enthusiasm and inspire your colleagues to donate. The goal of any event is to raise money, so focus the activity on pledging. Have extra paper pledge forms or a laptop at your event so employees can pledge right there.

Take pictures of your events and send us copies! Send photos to Kari Nolan ([email protected]).

Talking Points for Communications and Events

• The Community Fund Drive is the University’s annual charitable giving campaign.

• Employees can donate by check or payroll deduction to any of the six partner federations, the University of Minnesota, or any other 501(c)3.

• The campaign federations represent the environment, food shelves, education, affordable housing, social justice, and community health.

• Giving through payroll deduction helps to ensure reliable funding for nonprofits and is a time- and cost-effective fundraising method. It also is a convenient way for employees to make a secure donation and allows them to make a larger donation by giving a little each paycheck.

• To donate go to www.cfd.umn.edu and click Donate Now.

Prizes

• Promote prizes to motivate colleagues to give. All employees who participate in the campaign will be entered to win a grand prize at the end of the campaign. Go to www.cfd.umn.edu and click Donate Now to make a donation through payroll deduction or to mark their participation in the campaign.

• A list of prizes for this year will be posted on the website starting October 1 at www.cfd.umn.edu under the results tab. • Winners for the grand prizes will be chosen on November 6. • All winners will be notified via email and posted online.

Communication Ideas

• Send email messages to your staff and faculty colleagues about why you and others in your unit give. Or share a story of someone helped by a CFD federation. Emails can be weekly and thank employees who have already donated. Sample email templates are available at www.cfd.umn.edu/resources.

• Place notes attached to candy on your co-workers’ desks, work areas, or in mailboxes with information about the Community Fund Drive. You can include a paper form if that’s more convenient for your colleagues.

• Use the customizable poster on the CFD resources website page to promote events.

• Connect with the communications team in your area to promote your events and goals through your college or unit’s e-newsletter and social media.

• Identify a faculty volunteer who can encourage other faculty to give.

• Hold a kickoff event in your department.

• Give paper donation forms to all faculty and staff.

• Look for ways to collaborate with other departments in your collegeor unit, or even partner to create a larger event.

• Put handprints on the wall saying, “I Gave!” with names of employees who have participated in the campaign.

• Visit each office and workstation in your college or unit and tell them personally about the Community Fund Drive and provide them with a pledge form. You can also offer to answer questions they might have about the online giving platform.

Printed Materials

A postcard will be sent to all employees through campus mail the first week in October. Posters are available to hang in high-traffic areas. For additional materials, please complete the Request for Materials form found at cfd.umn.edu/resources.

Event Ideas

Request a Speaker

Invite a speaker from one of the federations or a federation nonprofit partner to talk about the impact of giving. The Federation Speaker Request form is available at www.cfd.umn.edu/resources.

Kickoff Breakfast or Lunch

Kick off your campaign with a staff breakfast or lunch and invite a federation representative to speak. Other ideas include:

• Chili cook-off and asking people to donate to enter or to eat

• Pancake breakfast

• Potluck luncheon

• Dessert cart

Pass the Flamingo

Find a large blow-up pink flamingo and put it in a co-worker’s office or cubicle. Once the person donates to the campaign, they can pass the flamingo on to another co-worker.

Candy Gram

Sell daisies or candy bars for your colleagues to send to other colleagues to show appreciation.

Wage Penny Wars

Each group places a large jar in a common area. Every penny counts as one point for your team, but silver coins count against your team (a nickel is -5 points, a quarter is -25, etc.). Teams win by putting the most pennies in their own jar while slowing down their competitors by putting nickels, dimes, and quarters in another team’s jar. The winners can be entered in a drawing or receive a prize. Volunteers need to submit the value of the change as a personal check to the Community Fund Drive.

Gift Baskets

Create a silent auction-style fundraiser by asking groups to create a “theme basket” for a fun activity, such as gardening, gourmet food, movie night, or spa experience. Hold a drawing to give away the baskets, or ask people to bid on them.

Rules and Guidelines

It’s important to be aware of state law and University of Minnesota policies regarding raffles, drawings, and bake sales. Please take a few minutes to review “Keeping Your Events Legal” and “Bake Sale Requirements” at www.cfd.umn.edu/resources.

Sending in Event Donations

Event donations should be submitted as checks to the organizations that will receive the donations. Cash donations will not be accepted. Submit your check along with the following information:

• University department name and title of event

• Volunteer name and contact information in case of questions or if a gift receipt is needed

• Names and emails or emplIDs of participants

• Amount enclosed

Send all of the above via campus mail to Payroll Services, WBOB, 1300 South 2nd Street, Suite 545, Campus Mail Code 7534. Participant information can also be sent directly to Nicole Salm at [email protected] in an Excel spreadsheet in order to be processed more quickly.

About Federations and Fundraising Helpful terms:

• Federations are umbrella organizations representing many nonprofit organizations or charitable agencies with similar missions.

• Agencies are the nonprofit members of the federations or charity partner organizations (e.g., Will Steger Foundation, Minnesota Coalition for Battered Women) that carry out the work and serve the needs of our community.

• Nonprofit Organization can be part of a federation (as an agency) or not. Community Fund Drive gifts can go to any 501(c)3 organization in the U.S.

• 501(c)3 Organization is the only type of nonprofit organization that can receive gifts from the Community Fund Drive. Other types of nonprofits are not eligible to receive funds through the campaign.

• Designations are gifts directed through the federations to a specific agency or charity.

• Write-in Donations/Other Donations are gifts to be designated to nonprofits or charities that are not affiliated with any of the Community Fund Drive federations.

Federation Administrative and Fundraising Expenses There are three types of fees from federations and nonprofits that could be associated with your donation:

• Administrative fee: All nonprofit organizations set aside a portion of the donations they receive for administrative costs. Visit your nonprofit organization's website to find their administrative fees.

• Pass-through fee: Donations made to a nonprofit organization that is a member of a federation may incur a fee to cover the cost of distributing your donation to that organization.

• Write-in fee: Donations made to a nonprofit organization that is not a member of a federation will incur a 7.5% fee to cover the cost of distributing your donation to that organization.

Review the Administrative Expenses Disclosure for more details.

Reports

Lead volunteers and those designated by their leads can access the online reporting dashboard for the eWay site, which processes donations to the “Community Federations” for this year’s Community Fund Drive. Lead volunteers will see a summary report for their individual college or unit with data down to the department level, including the number of eligible employees, number of responses and donors, total dollars donated, and average gift amount. The college or unit totals reported on the public Community Fund Drive website (www.cfd.umn.edu/) include both gifts for Community Federations (using eWay) and gifts for the University of Minnesota (through the foundation).
