GENERAL REGISTRATION INFORMATIONIn preparation for your participation at Conclave 2021 – Myrtle Beach, please review the important registration details below.

There is no on-site registration at Conclave. Registration must be purchased in advance by JUNE 11, 2021. Conclave registration includes all plenary sessions, workshops, education sessions, corporate training/networking events, Sigma Marketplace, the Opening Ceremony, President’s Reception, Breakfast with the Candidates, the Miss Phi Beta Sigma Pageant, the International Step Show Competition, International Awards Luncheon, the Grand Orchid Ball, plus additional receptions and networking events. Please note that the Life Members and Brotherhood Luncheon and the Phi Beta Sigma Federal Credit Union Breakfast ARE NOT included in the registration fee. You may purchase these event tickets with your Conclave registration. Tickets will not be sold at the door.

RESERVING YOUR HOTELPhi Beta Sigma Fraternity members MUST first register for Conclave 2021 in order to reserve hotel rooms at the discounted Conclave rate. Once registration payment is complete, your registration confirmation will include the reservation link to participating room block hotels. Reservations can then be made in BluPrint. PAYMENT OPTIONSThe preferred method of registration fee payment is the BluPrint Database System. Cashier/bank checks, all major credit cards, and money orders are accepted. Purchase orders are not accepted. Please note that all credit card payments will be charged a 4% processing fee. Additionally, funds can be remitted from your Phi Beta Sigma Federal Credit Union (PBSFCU) account for registration payments. Please contact the PBSFCU. Your Conclave Registration Form MUST accompany the payment.

The cut off postmark date for all mail-in registrations is JUNE 11, 2021. Mail in registrations post-marked after June 11, 2021 ARE NOT guaranteed full registration kits and conference gifts, subject to pre-ordered stock.

REGISTRATIONMATERIALSAll Conclave materials will be available for pick-up beginning at 8:00 am on Tuesday, August 3 at the 2021 Conclave Registration Desk at the Myrtle Beach Convention Center. Pre-registered Brothers and guests MUST provide their Conclave 2021 Registration Confirmation and a government issued photo ID to receive your Conclave materials.

REGISTRATIONREFUND POLICYShould the current novel coronavirus pandemic no longer be a threat to the registrants of the Conclave 2021 in Myrtle Beach, SC we still have a cancellation policy that has always been in place and will continue with Conclave 2021 registrations. Attendees that must cancel their registration for reasons not related to the coronavirus will receive a refund of their/guest fees, minus the service fee $150.00; this covers the cost of the 2021 Conclave gift item. Non- coronavirus related registration refund requests must be received in writing at the international headquarters no later than MARCH 31, 2021.

COVID-19 REFUND POLICYOur concerns over all COVID-19 healthcare issues are certainly as magnified as yours; we care for each and every possible attendee at Conclave Myrtle Beach!! We do not want concerns about the possible need for reimbursement of registration fees to prevent you from taking advantage of our great registration rates. Should the current novel coronavirus pandemic continue, or a future COVID-19 outbreak make it inadvisable or impossible for you and your family to travel to Conclave 2021 in Myrtle Beach, you will receive a refund of your Conclave registration and guest registration fees, minus the cost of the 2021 Conclave gift item. COVID-19 related refund requests must be received in writing at the international headquarters no later than June 11, 2021.

We will refund your fees within a 30-day period of time. We experienced the same need to process registration refunds when Sigma had to cancel our Zeta Centennial 2.0 activities. We were able to refund fees within 30 days of cancelling that event.

REGISTRATIONTRANSFERRegistration may be transferred between financial members through JUNE 11, 2021. Current registration rates apply. Additional registration fees will be due from the transferee if the registration is transferred after a rate increase deadline. Guest registration may also be transfered under these terms. Written authorization must be received from both

the transferor and transferee before the transfer can be processed.

VOTING INFORMATIONConclave 2021 participants designated as the primary delegate and/or alternate delegate representing their respective chapter and other qualified voting members, must provide official confirmation of their eligibility status from the International Headquarters. Each delegate must complete the Delegate Certification Section on the Registration Form.

SPECIALNEEDSAll Plenary Sessions and meal functions will provide special seating for Brothers and guests with special needs.

• For mobility assistance throughout Conclave, registrants may rent wheelchairs or mobility scooters from numerous providers in Myrtle Beach. • Meals. For special meals (vegetarian, gluten-free), indicate requirements with your registration in the space provided. • Guest Room Accessibility. Be sure to notify your hotel of any accessibility requirements when making your hotel reservation. • Check the individual hotel website for individual hotel guest amenities.
