INTRODUCTION

Document Purpose

This document outlines the new features and changes in ConnX V5.2 SP1.

Audience

This document is intended for existing clients with ConnX V5.2.

Background

This release includes changes made since ConnX Version 5.2.02930 (20180312). Please

refer to the Release Notes provided with that release for a complete list of changes.

1.0 CONNX BASE ESP SYSTEM (ALL CLIENTS)

1.1 General

1.1.1 Email Address Field Validation

Email address fields are now validated to only allow a proper email address format to be

entered on the following pages e.g. [email protected] :

My Details > Personal Details;

My Team > Workflow Forms > Request to Create Employee Record;

HR Admin > Manage New Employees; and

HR Admin > Manage Employee Changes.

1.1.2 Login

The ‘Accounts are deactivated after number of days from last login’ setting under Admin

> Settings > Password Security, now works as expected. If a user’s account has been

disabled due to inactivity, they can now login immediately after their account is

reactivated.

1.1.3 Departments Filter

We've updated the Department filter on all pages so that the dropdown list is consistent.

1.1.4 Prompt to Apply Filter

Due to the larger volume of data, some pages now prompt you to set the filter criteria

when you open the page to avoid unnecessary wait times. These pages include:

1.2 My Details

1.2.1 Work Schedule

My Details > Work Schedule

For any part-day leave application showing on the work schedule, you can now see the

associated leave colour.

1.2.2 Employee Notes

My Details > Employee Notes

Employees can only make changes to the Employee Notes that they create for

themselves, and not the notes that are created by other users.



1.2.3 Emergency Contacts

My Details > Emergency Contacts

Fixed an error that occurred when some users would try to add an emergency contact

into the grid filters and then select the Add button.

1.2.4 Workflow Approval Inbox

My Details > Messages and Approval > Workflow Approval Inbox

For approvers wanting to manually perform an annual leave projection on the approval

page, the default annual leave projection date is now automatically set to the last date

of any future leave for the employee, instead of the last day of the current leave

application.

When using goal agreement, through the Performance Review module, and an employee

denies one of their own goals, they no longer receive a notification saying the goal has

been denied.

1.2.5 Payment Summary

My Details > Pay Details > Payment Summaries

If ConnX holds a PDF Payment Summary and the document cannot be decrypted and

displayed, ConnX now shows a message stating the document cannot be displayed.

ConnX will no longer revert to displaying a HTML version of the Payment Summary.

1.3 My Team

1.3.1 Employee Notes

My Team > List Employees > Employee Notes

Corrected an issue so that managers can see Employee Notes for their direct reports

where the employee note was created by another user.

1.3.2 Documents

My Team > List Employee > Personal > Documents



You can now properly scroll the grid or use the paging options when you have more

than 100 documents in the grid.

1.3.3 Work Schedule


When printing the Work Schedule, the legend now correctly appears above the grid.

Resolved a display issue when editing an employee’s shift where the

Leave Override Factor was shown as Leave Override Hours.

If a work pattern contains start and finish times, those times are now always shown in the

Work Pattern window.

1.3.4 Trigger Task Set

My Team > Workflow Tasks > Trigger Task Set

Only the tasks that are relevant for the specific employee are shown on the grid when

the employee is selected in the filter. That is, if you have departmental tasks or positional

tasks that are not relevant, then they will not show for the selected employee.

1.4 HR Admin

1.4.1 Transaction Export

HR Admin > Perform Export



The number of employees’ transactions to be exported is shown clearly on the screen.

For clients with Timecards/Award Interpretation, the process of opening the Export

Transactions page and creating the export file has been sped up.

ConnX will show the success message once the transaction export process has complete.

1.4.2 Work Pattern Groups

HR Admin > Work Patterns

When adding a work pattern with start and finish times to a work pattern group (or re-

ordering work patterns within a work pattern group) and the starting day of the work

pattern is not a Monday, the system validation which joins the work patterns was

generating an overlap error. This has now been corrected to operate as expected.



1.4.3 Generic Payroll Import

When using the Generic Payroll Import for your pay advices, you can now use

punctuation within values (e.g., amounts of pay can be $2,340.00) as long as you use

double quotation marks around that value in the import csv file.

1.4.4 New Starter

HR Admin > Manage New Employees

If your system is configured to generate temporary passwords when activating user

accounts, and you select the Activate Account checkbox when Submitting a Manage New

Employee form, the new employee MUST have a unique email address. The user account

will NOT be activated if the employee’s email account is found on another employee’s

record in your system.

1.5 Admin

1.5.1 User Accounts

Admin > User Accounts

Several user interface changes have been made to the buttons on this screen, including:

Moving the Activate Accounts button to the top of the screen

Only showing Active, Deactivate and Reset Password buttons for relevant users

(ie don’t show the Deactivate button if the user account is currently deactivated).

The Update Users button has been renamed as Save

Success, Waring and Error messages have been updated to be more meaningful

If your setting to generate a temporary password is Yes, when Activating Accounts or

resetting passwords, the action will not be carried out if the user’s email address is not

unique. A list of accounts that share the same email address is now displayed on the

page.



Fields relating to the Item Register Administrator now remain visible when updating a

user. Previously, they would be incorrectly hidden in some cases until the screen was

refreshed.

1.5.2 Bulk User Account Activation

Admin > User Accounts - Activate

Several user interface changes have been made to this screen, including:

Providing a numbered guide to the process of events

Changing the layout of the email template area to be more effective

Updating the Success, Waring and Error messages to be more meaningful

When Activating Accounts, a user account will not be activated if

they do not an email account; or

the employees’ email account is also found on another employee’s record.

In these situations, you will see a message advising which accounts where not activated

and a list of account names which share the same email address.

1.5.3 Payroll Databases

Admin > Payroll Databases

The following fields have been extended to 255 characters so you can add longer file

paths as necessary:

Export File for Transaction;

Export File for Employees;

Import File for Transactions; and

Import File for Pay Advices.

If you are using the Generic Import Interface, then you will now only have one setting for

Pay Advices relating to the header background colour, other settings relating to pay

advices for Generic Import didn’t take effect and have been removed.



1.5.4 Email Settings

Admin > Settings > Email

ConnX now always uses the System Messages From email address to send the email.

This is to correct an issue when using SMTP Authentication which prevented some system

messages from being sent because it was trying to send from the employee’s email

account which was not the authenticated account set up in the system.

SMTP Authentication is now available for emails that are sent through the Recruitment

module.

1.5.5 Export Interfaces

Admin > Settings > Interfaces - Export

If an export interface process fails for some reason, it no longer immediately attempts

to export again. Instead it waits until the next scheduled time to perform the export.

1.5.6 Upload Settings

Admin > Settings > Uploads

If using the Store in Database method for Employee Documents (this is the

recommended setting), the SQL Password is now masked for privacy.

1.5.7 Process Scheduler

Admin > Settings > Automated Process Scheduler

If you change the configuration of an automated process from Daily to Recurring, it now

starts immediately after the change.

1.5.8 User Defined Fields

Admin > Settings > User Defined Fields

Setting an Active To date for user defined fields on Employee Additional Information

is now working as expected and hiding the field after that date.



When using a User Defined Field on a page throughout ConnX, the on screen validation

messages have been updated to provide more detailed information to the user. For

example, if the user defined field is a numeric field, it will tell the user if they attempt to

enter text (not numbers) into the field.

1.5.9 Error Log

The ConnX Version has been added to the grid to assist checking repeatability of errors

after upgrades.



2.0 CONNX MODULES

2.1 Award Interpretation

Clockings manually entered on the timecard or imported via csv file are processed

through the award engine much more quickly.

Resolved an error that occurred when a max period rule was triggered at exactly the

same time as a leave application commenced.

2.1.1 Timecard Entry

Timesheets > Timecard Entry

Further speed improvements have been made, including:

The page now loads more quickly.

It is now faster to edit, save, and delete clockings.

Timecards are now submitted for approval more quickly.

The Process All Clockings button has been removed so that Employees are not tempted

to use it and put an extra load on the system. Process Clocking can still be selected for

an individual employee on the timecard.

2.2 Business Intelligence

2.2.1 BI Users

Reports > Report Users

The BI Users license details are now refreshed immediately when a new BI user is added

or removed.



2.3 ConnXCareers

2.3.1 Styling of Buttons

The font size can now be customised via CSS for all buttons and other parts of

ConnXCareers.

2.4 Learning & Education

2.4.1 Scheduling Facilitators

Facilitators can now be assigned to more than one session on the same day as long as

those sessions do not overlap.

2.4.2 Notifications

Updated the course confirmation message to employees to include the updated menu

navigation in ConnX.

2.5 Mobile

2.5.1 Personal Details

Corrected a display issue when tapping on a phone number, you will now always open

the phone dialler.

2.5.2 Leave Applications

ConnX Mobile now forces the user to select a relationship when they submit an

application for a leave reason where this information is mandatory.

2.5.3 Policies and Procedures

The custom name entered for "Policies and Procedures" now displays on ConnX Mobile.



2.6 Onboard Centre

No substantial changes have been made to this module.

2.7 Performance Reviews

2.7.1 Goal Scoring

Performance > Current Reviews

When reviewing goals as part of your performance review, and you have configured

ConnX to use both goal answers and goal score, the goal score is now mandatory if the

goal answer is mandatory. Previously, the goal score was not following the same rules as

the goal answer field.

2.8 Recruitment

2.8.1 Applications

Recruitment > Applications

Applicant Checklist items can now be marked as complete on the Applicant page.

Made a change so that users can download and open email message files that are

attached to an application.

2.8.2 Vacancies

Recruitment > Vacancies

The Advertising & Agency budget values are now updated after any changes are made

to these details.

When creating a new vacancy and you are prompted to retrieve the Role and Position

details, the Responsibilities are now correctly importing from the selected Role.



The Generate Code button in the Agency section of the Advertising and Agency tab

remains visible when you are adding one or more Agencies for a vacancy.

The SEEK Salary Ranges pop-up now shows a message that states the “Salary range is

only span a maximum of 2 bands”.

The Advertising Date on the Details tab, Advertising & Agencies tab and the Noticboard

sections are now intuitive. The date entered on the Details tab will flow through to the

Advertising & Agencies and Noticboard pages on initial setup. The Advertising Date on

the Details tab will be updated to the earliest advertised date entered on these other

pages if it is amended.

2.8.3 Vacancy Offer

Recruitment > Vacancies > Vacancy Offer

Resolved a display issue where the grid was not shown clearly in the Firefox browser.

2.8.4 Media

Recruitment > Media

Recruitment Administrators can now edit and/or delete previously added SEEK API

Template Item Names.



2.9 Reports Manager

2.9.1 Reports Administration

Reports > Report Administration

For the Learning & Education Module, the Educator checkbox in the Setup security

section now works as expected to display all records in the report that the Educator can

see via the ConnX pages.

2.10 Role Positions Skills

2.10.1 Roles

Company Info > Roles & Positions > Roles

On the Role Details page, only users with access to the Recruitment module can now

see the Score, Roadblock, Indicator, and Use for Screening fields.

After reinstating an abolished role, the abolished date is now removed.

2.11 Timesheets


2.12 WHS

2.12.1 WHS and ConnX Mobile

An email notification is now triggered when submitting a WHS incident via ConnX Mobile.

This now works consistently with submitting via the desktop.



Fixed an error that occurred when a WHS incident was rejected if that incident was

created in ConnX Mobile.

Changed the WH&S Report Incident location selectors so that they are easier to see and

select on a mobile device.



2.12.2 Lessons Learnt

WHS > Lessons Learnt

Corrected the Location filter so that it can be applied to Lessons Learnt.

2.13 Workflow Forms

2.13.1 Submit Confirmation Message

My Team > Workflow Forms

Made a change so that the mandatory field alerts are shown before any customised

Submit Confirmation Message.

2.13.2 Distribution Notifications/Emails

My Details > Messages and Approvals > Message Inbox

Updated the subject line for all notifications so that it more clearly shows when what

action is required. Eg. a request has been submitted, changed, approved, denied, or

when the request has been withdrawn.
