A Message from Praveen I’d like to formally welcome employees from the Aria campus into the IS&T family. Since the official announcement on July 6, I’ve had several opportunities to chat with you and look forward to getting to know you this year. I also want to congratulate the IS&T team at Abington on receiving the 2016 Most Wired Award for enhanced patient experience. This honor comes just weeks after we were named to the 2016 CIO 100 list — so with two large- scale awards in less than one month, I hope you recognize how much your hard work is getting noticed within the industry. Nice job! After visiting all three campuses in July, I am even more excited for us all to come together to do meaningful work in this new fiscal year. Together, we are so much stronger and can accomplish anything. Think about it — after two and a half years and a major shift in the health care industry, we have gone through an unprecedented amount of change: Our team has grown to nearly 700 people! We have pushed ourselves to bust silos and are making significant progress collaborating across teams. As we develop our new structure, that will be the only way to operate successfully. We are now consumer-focused, constantly looking at ways to thoughtfully make a difference for our patients, students and employees. Our position and reputation as part of the organization has greatly evolved from a reactive computer shop to a proactive partner in strategic planning and budget discussions. Our opinions as Subject Matter Experts are more valued and respected. As I’ve shared, I’m aware and very much understand the anxiety that comes along with change. But our survival and success will depend on how we react to it. Collectively, I am seeing us take an active role in the change, and in many ways, we are advancing beyond the change. Thank you. Employee Spotlight

Sherri Lewis (Strothers) Sherri recently joined Jefferson’s IS&T Project Management Office (PMO) to help assist with Epic@Jeff derivative projects. She helps proactively identify potential issues throughout all project phases and suggests mitigations to close potential gaps, reduce risks, and complete open tasks. Sherri is an outgoing, lively person, and her social skills have helped her collaborate with different departments to analyze current business processes and identify opportunities to increase clinical outcomes, quality of service, financial performance and operational efficiencies. Sherri came from Children’s Hospital of Philadelphia, where she worked as a consultant as part of their PMO. Prior to her time at CHOP she worked at Therakos, a company that provides machines for skin cancer patients. Sherri herself is a breast cancer survivor of 16 years and counting! In her free time, Sherri loves to go shopping, travel and make candles. She also recently got married, so be sure to look for her last name “Lewis” if you email her! You can find Sherri on the 6th floor of 833 Chestnut. Please stop by and say hello!

McNeill receives Integration

Management Office Facilitator

Recognition Award

As a result of her yearlong effort supporting the integration between Abington and Center City campuses, Kathy McNeill, Program Manager for the Office of the CIO, has been named recipient of a Facilitator Recognition Award from the organization’s

Integration Management Office.

The goal of the Abington-Jefferson integration was to make the sum of our combined enterprises greater than its parts, and Kathy was essential to that effort. She provided leadership, guidance and support to the work teams and helped them identify and implement more than 70 value

synergies. Congratulations Kathy!

complete major email/calendar

migration project

The Abington email and calendar migration project, which brings staff at Abington and Lansdale onboard with Jefferson’s Outlook email system, was successfully completed on time and on target by June 30 as planned. The project required substantial efforts from the combined teams at Center City, Abington and Lansdale. A total of 5,761 mailboxes, more than 250 distribution lists, and more than 40 resource rooms were migrated.

Dr. Jonathan Sternlieb, Chief Medical Information Officer at Abington, rounded at Lansdale and heard a variety of positive feedback from staff members there. IS&T team members also volunteered to be present in the various units, floors and offices to help users during the transition, demonstrating their commitment to seeing this migration project through. Colleen Saul, Sr. Director of Clinical Applications, thanked the team, “This was our first large collaborative project, and it is very impressive to have completed it together on time and on budget. This is a great demonstration of really being better together.”

Analytics and Reporting Team leverages data to

seize benefits of 340B drug pricing program

The 340B Drug Pricing Program from the U.S. Department of Health and Human Services requires drug manufacturers to provide outpatient medications to eligible health care organizations and covered entities at significantly reduced prices. In order to manage the program and maintain compliance, hospitals use software to manage and track all 340B activity. Vendors then require data feeds to verify claim eligibility and complete the processing. That’s where

the Analytics and Reporting Team comes into the picture.

The team recently helped pull and supply the needed information precisely according to requirements, earning them accolades from Jefferson’s vendor for “outstanding professionalism, ideas and project management” as well as a “thorough understanding of data and technology” and “team player” approach. Senior Business Intelligence analyst, Allison Esslinger led the project, developers Carolyn Mengel and Micky Tricocci extracted data, and Joe Neff helped automate the delivery of the data. As a result of their efforts, Jefferson will maximize its savings opportunities and reach

the highest state of compliance with 340B.

In today’s health care environment, where it is essential to stretch scarce Federal resources, reach more eligible patients and provide more comprehensive services, this accomplishment will make a real

difference in the bottom line and Jefferson’s ability to continue

providing the best care possible.

Successful Single Sign-On pilot demonstrates

new efficiencies for clinicians

New Single Sign-On (SSO) technology was successfully piloted in Surgery on the 5th floor of MOB in June. Pilot participants were excited to see how SSO will help simplify workflows, reducing the number of logins required every day by using “tap-to-login” badges. The pilot project required teamwork from several areas of IS&T as well as collaboration with clinical and managerial staff members in the pilot location. Thanks to everyone’s support, numerous moving parts including installation and training were brought together successfully. A few key benefits for Jefferson clinical staff will include:

Faster user logins.

Quick switching, allowing different users to take control of a patient record for easier documentation and streamlined handoffs.

Functionality with JeffChart, Allscripts, iSite and LifeImage prior to Wave 1 Go-Live.

Integration with Epic after Wave 1 Go-Live. Medical assistant Lashawn Brathwaite stated, “I think this is great. I have seen it in action from both sides – when I took my son to another hospital where they used it, and now today here at Jefferson.” Dr. Ernest Rosato, a Jefferson physician who assisted during the pilot project, echoed, “This is excellent! It’s really going to save us a lot of time.” SSO is now being implemented in select clinical areas prior to the Epic@Jeff Wave 1 Go-Live.

Operational Updates Update from the PMO

Epic Derivative Projects

The PMO is managing a total of 55 Epic Derivative Projects as part

of its overall portfolio. Good progress has been made, as seen here:

Following the successful adoption of Planview@Jeff are two significant enhancements that were identified to streamline the

process of requesting and provisioning project resources:

1. Project and resource managers can now use a single line item per role in the project plan to request and fill a resource

request for project work.

2. Standard templates have been developed to reflect specific

resource roles based on the type of project being executed.

The PMO has also released an Epic project task for all IS&T staff using Planview to track their efforts. This is in support of Epic work that is not considered KLO (Keeping the Lights On) or for which a specific Epic-related project has not been created in Planview. Details about how and when to use this new category have been

distributed to all resource managers.

Additional optimizations will be rolled out this quarter, including a workflow for Reno Projects, JIRA integration, and Planview@Jeff notifications and reminders. As we continue to use and refine the system, please email any comments, recommendations or questions

The PMO recently attended a team-building event at Escape the Room Philly, where they worked together to search for clues, solve puzzles, and ultimately find the key to unlock a door and “escape” within 60 minutes. The team completed the challenge in 56 minutes, 10 seconds. That result places them among the 20 percent of groups who have attempted and successfully made it out of the room in time.
