Reimbursement of Conveyance Expenses - Officers, Executives & Managers. & Car Allowance in lieu of Company car to eligible managers
With effect from November 1, 2007, reimbursement of conveyance expenses will beas per one of the following Schemes.

SCHEME I
1. Fixed Conveyance allowance will be reimbursed through payroll only. This willcover expenses incurred on journey from Residence to place of work & back.

2. Please note as per amended Rule 2 BB of Income Tax Rules 1962, Conveyance Allowance upto Rs.800/- per month paid to the employees would be exemptedfrom Income Tax.
3. For local travel on Company's work, actual expenses incurred will be reimbursed.
SCHEME II
1. Prior sanction from HRAD through HRMS is necessary.
2. Vehicle must be registered in the name of the employee
3. Any local conveyance expenses incurred on bus/taxi/rickshaw etc. for office work,other than those incurred between residence and station/airport, while
proceeding/returning from tour, will not be reimbursed.
4. A. Reimbursement of Petrol Expenses:
Reimbursement will be done at the end of each month subject to submission oforiginal petrol bills to the Company as per his/her grade entitlement.
B. Reimbursement of Maintenance Expenses
I. The expenses to be reimbursed will include :
(a) Oil, Servicing
(b) Repairs including purchases of spare parts / accessories, batteries,tyres, changes of upholstery, tin works etc.
(b) Car parking, Car Cleaning expenses & Toll charges etc.,.
(c) Toll expenses incurred from residence to office and back.
(d) Insurance expenses incurred by Managers in grade M5-C to M5-Acan be claimed along with their vehicle maintenance.
II. The maintenance expenses reimbursement will be paid at the end of the eachmonth.
III. The account of each individual concerned will be finalised and adjusted
against the bills during each financial year of the Company. Any unavailed partof the expenses will lapse after 31st March each year and any amountclaimed/paid in excess should be refunded to the Company.
C.Driver's Salary:
If a manager engages a driver for short durations during a month, he should claim thereimbursement accordingly.

1. Driver's salary may be claimed/paid only on the last day of each month.
2. All Personal Drivers will wear proper dress and shoes (as done bycompany Drivers) for which Company would reimburse an amount upto Rs.3000/- (Rupees three thousand only) [i.e Rs.1800/- for uniforms &Rs.1200/- towards washing charges] per annum. This reimbursement is
applicable to Managers in grade M4-B and above.
3. Please note that you will be entitled to receive the driver salaryreimbursement only after submission of a letter intimating HR under copyto Finance & Accounts Dept., H.O / or branch office about the date ofengagement of driver with a copy of his driving licence.
4. The Reimbursement of Fuel Expenses / Vehicle Maintenance /
Driver’s Salary & Car Allowance would be subject to Income Tax
provis ions as may be applicable from tim e to time.
Conveyance under earlier scheme II-A / B as per our previous circular
No.HRAD/20018dated 14th March, 2006 is treated to be discontinued w.e.f. 1st November, 2007 and those who were getting fixed conveyance under scheme II-A & II-Btill 31st October, 2007 will be considered in Scheme – I of this conveyance scheme.
Applications for reimbursement of conveyance of Scooter / Motor Cycle / Car underscheme II-Aor II-B should be routed through Departmental Head who should forwardthe same to HRAD with his recommendations and justifications.
CAR ALLOWANCE
Those managers eligible for Company car but opted to use their own car for official purposes will be paid car allowance in lieu of Company car as per details shown under.
