2. WHAT IS COUNSELING? COUNSELING IS A THERAPEUTIC PROCESS OF PROVIDING HELP AND SUPPORT TO PEOPLE TO FACE AND SAIL THROUGH DIFFICULT TIMES IN LIFE. IT HELPS PEOPLE TO SEE THINGS FROM A DIFFERENT VIEWPOINT AND ENCOURAGE THEM TO DRAFT THEIR ACTION PLAN. 3. WHEN ? Excessive Workload Absenteeism and Late Coming Lack of awareness of policies & procedures Performance Issues Slipping Deadlines Career Problems Lack of team spirit Inter personal relations with superiors & subordinates Problems in adjusting to organizational culture 4. WHY? Chalk down the career path Retaining Valuable Employees Effective Communication Growth for Employees Ensure transparent environment Put problems on the table for open evaluation and draft resolutions Clearly define expectations Ensure employee follow ethical standards, company rules, common culture etc. 5. HRs ROLE IN COUNSELING: Need for counseling can be identified by HR as well as supervisor. Listen to problems/Address Issues Provide Feedback and help counselee to see a different view point. HR discusses the issue with the relevant supervisor and continuously ask for feedback Discuss and agree a plan of action with supervisor. Schedule and jointly conduct the counseling session Conclude the counseling session with warning (if required) Follow-up the action plan and feedback to the supervisor 6. CONT- EVALUATIVE : Make judgments based on what you have heard and suggest answers INTERPRETATIVE: Interpret what you have heard without checking the accuracy of what you have heard 7. CONT- SUPPORTIVE : Offer general sympathy PROBING : Find out more information REFLECTIVE : Try to feed back your listeners perception of what has been said in order to check its accuracy. 8. EFFECTIVE EMPLOYEE COUSELING: 1.Listen and show confidence: Do not ignore the employee problems as trivial and listen to them. Believe in their abilities, show confidence in their work and tell them that the organisation has a lot of expectations from them. Such trust and confidence motivates the employees to resolve issues and perform better. 9. 2.Focus on the problem and not the person: However big or small the problem is, it is affecting performance and needs to be discussed. But remember the real culprit is the problem and not the person. So, instead of focusing on the employee, try to focus on understanding the problem. 10. 3.Give suggestions and solutions After understanding the problem, try to help the person solve it. Take the employees opinion about the ways the issue can be resolved. Analyse the various solutions and give suggestions. A discussion about the solutions may actually help you figure out and eliminate the pain point. 11. 4.Create an action plan: Some problems may warrant a series of tasks to be performed over a period of time to be resolved. Create action plans for yourself and the colleague. Clearly note down the actions that each party has to perform. Show active involvement to make the team member feel comfortable with your initiatives and motivate him/her to perform to the best of his/her abilities. 12. 5.Follow up: Follow up after regular intervals to see if the counseling has helped. It not only shows your genuine interest in the well being and performance of the team mate but also helps you identify gaps and other issues. Moreover, following up helps you evaluate the success of the action plan. 13. QUALITIES OF AN EFFECTIVE COUNSELOR Respectful Confidential Honest Attentive Listening Understanding Unhurried Warm Empathetic 14. COUNSELING ERRORS: Dominating the counseling session Giving unnecessary or inappropriate advice Not listening Projecting personal likes and dislikes. Rash Judgments Stereotypes Loss of Emotional control Absence of action plan & Improper follow up Neglecting privacy factor 15. BENEFITS OF COUNSELING: Decrease costs related to turnover, absenteeism Improvement in employee performance Increase in productivity Manage behaviuoral problems brought about by organizational change Helps in superior decision making Assist in understanding the situation more objectively Facilitates to look at the situations with a new perspective Motivates to search for alternate solutions to problems
