Creating a Windows Server Print Queue

Requirements:

1. Printer must be Shared

2. Download manufacturer print driver

3. TCP/IP address of Printer

TIP: The trick to successfully create a new Windows queue is to NOT select to query the

printer. Doing so, automatically adds the Windows Class 4 Print Driver and the WSD

printing port. Both not supported. You must be able to manually add the manufacturer’s

print driver and manually configure a TCP/IP port.

Step 1 - Download the manufacturer driver from their website.

Recommend using their universal print driver.

Step 2 – Add a Printer and select The Printer that I want isn’t listed

Step 3 – Add a printer using a TCP/IP address or hostname

Step 4 – Uncheck Query Printer and unselect Autodetect – select TCP/IP Device

Step 11 – Uncheck Enable Advanced Printing Features

Step 12 – Query printer for supported settings

Most drivers offer an Automatic Configuration option. When set it queries the physical printer to pull down the supported features such as, color, tray options.

TIP: When troubleshooting, if a color printer isn’t printing color this would be the first

option to check.

COMMON ISSUES

If querying the printer to automatically select a driver print jobs will fail in GoPrint

Querying the printer adds the Windows built-in Class Driver. This type 4 driver is not designed to be Shared preventing GoPrint from determining the page count

Secondly, it adds the MS WSD remote Print Queue Monitor. You will need to

change this by Adding the TCP Port of the printer using the Add Port button.

To remove the Class Driver and the Port you first MUST UNSHARE the printer. Any attempt to change the driver or port results in the follow operation not supported

message. This error is due to the Class driver being shared. You must unshare the driver and then make the changes.

The navigate to the Ports and add the printers TCP/IP port

Finally, when done adding the driver and changing the port navigate back to the

Sharing tab and Share the Printer! Note: you must share the printer so GoPrint can pick it up

If issues still occur, delete the new printer and start over making sure to follow the

directions for adding a Shared Queue.

Issue: Auto-Discarded Unsupported Print job format

determined, 0 pages is also displayed along with the error message.

Solution: Uncheck Enable Advanced Printing Features from the printer properties

Advanced Tab at the server level.

PUSHING PRINTERS TO CLIENT MACHINES Installing printers in a domain environment

Windows offers a number of methods to map network print shares to client machines: by

us of local group policy for “all users”, domain group policy, and login scripts. Environment: Windows 2008 Server and Windows 7 Professional clients.

Assumed Completed Tasks:

1. Print queues have been installed and shared on the GoPrint print server(s).

2. GoPrint print server and client machines have been joined to the Active Directory domain.

3. From the GoPrint print server, corresponding domain user OU’s or Group’s having

been Granted Print permissions to the shared queues.

Mapping Print Shares for “all users” with Domain Group Policy

Windows 2008 Domain Group Policy provides the ability to add GoPrint Shared print

queues for all users (or computers) who log in to a domain client machine.

1. From the Windows 2008 Active Directory

domain controller open Group Policy

Management.

2. Scroll down and select Group Policy Objects

• Right click and select New

• Name the new GPO (ex: Student GoPrint Printers)

• Press OK

3. Right-click the new GPO and

select Edit

4. Scroll down to User Configuration – Polices – Windows Settings – Deployed Printers

5. Select to add a GoPrint Shared Printer

• Select Browse to locate the GoPrint Printer server or enter the UNC path

• Once the printer is found, select Add

• Press OK

Windows Print Management and Domain Group Policy

Optionally, you can use Windows Print Managemet to deploy printers user Group Policy

but to save time it’s recommended you use Group Policy Management.

1. Install the Print Queues using the Add Printer Wizard

Do NOT user Print Management to Add printer and print drivers.

2. From the Windows 2008 GoPrint Print Server open Print Management.

3. Expand the Print Servers drop down menu and click the local print server to expand

its list of installed print queues.

4. Right-click a Printer and elect to Deploy Printers with Group Policy

Note: this is assumed a new domain group policy object was previously created

using the Domain Group Policy management tool.

8. Check the appropriate checkbox under “Deploy this printer connection to the

following:”

Installing Print Queues in a Windows Workgroup Environment

In a computer lab environment it’s common practice for public institutions to configure

their workstations in a peer to peer networking environment. Since domain account

authority isn’t used, typically a generic local user account is created and set to auto-login

at each workstation or the account provided to end-users.

Pre-installation Requirements

Windows sharing uses the SMB/CIFS protocol, which requires that users are granted Print

permissions to the print share. When connecting to a network print share, an

authentication credentials prompt appears asking for a valid user account with rights to

the share. This prompt can be avoided in a workgroup environment if the generic user

account and password are first created on the GoPrint Print Server. The result allows for

Windows pass-through authentication to occur therefore eliminating the authentication

prompt and direct access to the shared printer.

Step 1 - Create the Generic User Accounts on the GoPrint Server

Determine the naming convention used on the client workstations and write down all login

ID’s and passwords. For example: if each client workstation is set to have a unique

username and password login, such as user1, user2, and user3 then each one of these

accounts much also be created on the GoPrint print server using the SAME PASSWORD.

If only one generic account is in use across machines, then only one user account and

password must be created.

From the GoPrint server:

Right click My Computer >> Left click Manage >> Expand Local Users and Groups

Add the appropriate user(s) and password(s)

Step 2 - Grant the User Account print permission to each queue

Navigate to the list of printers installed on the GoPrint Print Server

Right click a selected printer to view its properties sheet

Select the Security tab

Ensure the Everyone group has Print

permissions

Step 3 – Adding the Printers to the Workstation Start Menu and select the RUN

Command and enter the network path to the GoPrint Print Server

Example: \\goprintprintserver

A connection to the GoPrint

print server is established and a listing of ALL Print shares displayed

Double-click the print queue to install

A warning box appears asking you to set up the printer locally before you can use it and

that the print drivers will be installed.

Select YES to add

The Printer will then be added to your list of available printers

Note: Optionally, the printers may be added using the steps outlined under

Option 2 – Mapping printers for “all users” using local group policy

Note: Typically used for computer imaging environments

Windows 7 Local Group policy provides the ability to add a network shared printer for all

users that login to the local machine. To do so:

1. From the Windows 7 machine, open Local Group Policy

2. Scroll down and expand:

Local Computer Policy\Computer Configuration\Windows Settings\Deployed Printers

3. Select Action and Deploy Printer

4. Elect to browse the network for

the desired shared printer or

type in the path:

\\servername\printerShareName

5. Click Add
