OUTSIDE FOOD AND BEVERAGE: The sale, service and consumption of alcoholic beverages are regulated by the State Alcoholic Beverage Control. The Hotel, as a licensee, is subject to regulations promulgated by the Kentucky Department of Alcoholic Beverage Control. Therefore, it is ILLEGAL to bring any alcoholic beverages on to this licensed premise. In addition, guests may not bring outside food or non-alcoholic beverage into the hotel facilities. See “From the Bar” menu for appropriate bartender fees.
DETAILED INFORMATION: Specific event details are to be submitted to your Crowne Meetings manager within 30 days of the event. Signed event orders are to be submitted within 2 weeks of the event. Guarantee numbers for meal functions are to be submitted within 72 business hours prior to the event. Example: If event is on a Monday, the guarantee will need to be submitted by the prior Wednesday. See contract or consult with your Crowne Meetings manager for any other timelines that relate to specific events.
PRICE: A 22% service charge and applicable sales tax will be applied to the food, beverage, audio visual equipment and miscellaneous expenses. All prices are subject to change.
TAX EXEMPT STATUS: If your group is tax exempt, we are required by the State of Kentucky to have a copy of your KENTUCKY exemption certification on file before the event.
PAYMENT: Payment types accepted: 1.) Credit established through the accounting office and an Accounts Receivable account assigned. 2.) Credit Card to be charged on file with authorization. 3.) 105% of payment of event in advance. All deposits are non-refundable.
CANCELLATION: See contract for applicable cancellation policy.
SET UP CHANGES: If a change from the original room set up is requested less than 48 hours prior to the day of the event, an appropriate labor charge will be added to the invoice.
ENTERTAINMENT POLICY: The Hotel reserves the right to review all forms of entertainment to be held on property. Entertainment must be compatible with the scope of the audience and age appropriate as it relates to profanity, lyrics, content, etc. The volume should be such that it not interfere with other hotel activities and guests. The Hotel reserves the right to cease and desist any inappropriate entertainment. NO Smoke or Fog machines may be used on property. Certificate of insurance must be provided for all entertainment services.
GUEST PROPERTY/DISPLAYS AND DECORATIONS: Any personal property brought onto the premise will be at the sole risk of the guest. The Hotel is not liable for any loss or damage to this property for any reason. In addition, the Hotel may request that the customer obtain and pay for bonded security personnel when valuable merchandise or exhibits are displayed or held overnight. Taping and/or tacking on the walls and doors are not permitted.
