STEP1: AUTOMATED PUBLISHING

With the Automated Publishing option particularly the demands of industrial enterprises are covered. These need to reproduce an abundance of product data and complex technical tables within a very short period of time in exten-sive catalogs, price lists and data sheets and create structured brochures and flyers.

Server-based Document Generation Only a very high level of automatic conversion will allow you to publish such documents on demand. During this process all data provided is exported fully automatically to previously prepared and programmed templates which dynamically generate the required number of pages, the desired page setup and the necessary table structures.

Any product or image database, for example, or even imported CSV or XML data may serve as data sources. The amount and structure of the data automatically determine the length and structure of the flow documents via the rules defined in the templates. Fonts, formatting, colors, outline strength, dimensioning and many additional options are dynamically and intelligently controlled via the template parameters.

Especially the structure of complex table structures, such as pivotal tables, is completed highly efficiently without manual help. The generated output formats are versatile. The end user can thus generate PDF, InDesign, Quark Xpress, Word, HTML and many more formats at the push of a button.

Block Building with the Web Client In addition to the requirement of generating catalog pages fully automatically from mass data, in many cases there is also the need to be able to easily generate advertising or semi-creative pages by individually selecting and assigning items from existing content. This should happen even for multipage documents in an effortless manner.

With the integrated Web Client, the “Block Building” Editor, page content from users can be added by means of a simple building block principle. It enables the “standardization of creativity”. The basis comprises the prepared mas-ter pages in accordance with the Corporate Design guidelines, which define where which kinds of content blocks are allowed to be placed on the page, i.e. flow texts, images, headings, and which default template is then used.

A master page (pre-structured page template for the Web Client) can generate several output pages (a first page with one or more overflow pages) depending on the assigned content, e.g. in the case of continuous tables.

The example of a master page shown above comprises a main large area, where the main image has to be placed. This area is surrounded by smaller blocks for descriptive text and item headers with alternate areas for image and text items at the bottom. The user can assign different items to each of these blocks. Whenever the user clicks on one of them, all the items from the database which are eligible to be assigned to that area are displayed. The user can then assign the favored one simply by drag and drop or double clicking on that particular item. The result can be checked immediately by means of a preview function.

All master pages provided for the publication are made available by means of a selec-tion tab and can be inspected here in a preview and selected for further processing.

Variables during Page Setup The user has even more options to individualize the content blocks via variables in the master pages. Variables can be defined for individual elements, areas or also for whole pages. For example, headings, emphasis or the number of columns in the case of tables can be varied in predefined templates.

Dynamic Publication and Static Page Support The dynamically filled pages from the Web Client and the flow pages generated automatically from the database can be arranged in the correct page order of a publication via drag and drop. Already fully laid out static PDF pages, such as ads or creative chapter openers can be placed via the file browser. They are managed, versioned and made avail-able via the integrated Production Media Asset Management (Production MAM).

Annotations and Proofing A Workflow Management System is integrated in the Production MAM to enable digital proofing processes and note functions on a PDF basis. All publications also run through a central web-based proofreading and approval process.

All collaborative processes can thus be performed completely digitally and transparently via the web browser without time-consuming media breaks. This simplifies the collaboration of different users, speeds up correction cycles and collaborative processes many times over making them controllable and audit proof. All proofs are cataloged clearly in a central location. This means that you have an overview of all processes at any time and have the ability to monitor and control them effectively.

STEP2A: CREATIVE OPTION

The Creative Option and the Marketing Management System are add-on modules which enable decentral global companies to integrate team members into a central platform. This happens via web browser – from various depart-ments, branch offices or foreign subsidiaries in addition to partners, agencies and many other participants in proof-reading, editing and approval in the case of company-wide print processes. Depending on the company requirements, there are two different options available for the free processing of print objects and their planning in a complex print publication.

Creative Option: Web-based Editing and Proofing of Original InDesign files

Customize Print Files via Internet With the CONTENTSERV InDesign Editor you are able to edit original InDesign files via an intuitive user interface in the web browser. Special software skills, the installation of Adobe® InDesign® as well as the fonts used on the local computer are not required. You edit texts, add images and objects and simply create new documents from master pages. All master data provided can be used easily in the layout files by dragging and dropping it on the predefined placeholders. The completed files, for example, can be exported into a printable PDF, JPG or EPS. Static pages gen-erated in this way are stored centrally in the integrated Media Asset Management System and can then be linked to the page planning of complex publications. Any changes to the files are imported automatically to the publication during this process. The whole system is based on the Adobe® InDesign® Server. This gives the user access to 150 of the most important InDesign functions, including style sheets, layers, footnotes, syllabication and book function.

Proofing of Print Data via the Web Browser Note and proofreading functions, which are directly applied to the InDesign documents, simplify collaboration in the editorial team. If a user is not authorized to make any changes to the content of a file himself, the user only opens the file in a proofing view. The user may now place notes, comments and suggestions for correction digitally on the document. These correction notes can be made by several proofreaders at the same time, in order to be collected and taken care of later by an appropriately authorized user or production artist. Each user’s tasks in this process and the extent of each user’s editing rights are defined by means of Workflow Management and dedicated Roles and Rights Management.

Work in Your Local InDesign Software with Centrally Managed Files With the help of the DTP Client Plug-in, creative professional users, such as agencies and freelancers, can work with the content made available by the central data repositories via their familiar local InDesign environment. Content and templates stored in the central system can be made directly available to the user via the InDesign Plug-in.

The InDesign DTP Client displays all templates and data available on the server in panels. From there they can be simply dragged and dropped

onto the layout.

This enables, for example, individual pages or creative flyers to be put to-gether in InDesign on the basis of central data simply via drag and drop. After editing and layout adjustment in the local InDesign Client, it is then stored in the MAM. From here the data can then be inserted in the web-based page planning or also run through a correction workflow via the system afterwards. In the meantime, the DTP Client tracks all changes of the user transparently und shows them clearly in a job list. A selective synchronization of the local changes with the central data source on the server is made possible via the DTP Client. The version history of the document can also be stored in der MAM database.

STEP 2B) MARKETING MANAGEMENT SYSTEM

Completely Web-based Marketing and Publication Management We recommend the Marketing Management System if the focus is on extensive publication processes involving the shared responsibility of many people: Pages and content are to be planned, coordinated, preassembled, laid out, corrected and accepted in a project framework.

This already includes the tools of the Creative Option. In addition, a powerful page-planning cockpit now comes with the Publication Manager. The already bare bone version of the Media Asset Management included in the Crea-tive Option is provided with the full functional range, so that it not only supports static pages but also a full-blown Media Asset Management for corporate and product images. An additional Catalog Data Manager enables complete integration and referencing of all product information directly in the Publication Manager. The Workflow Manage-ment comprehensively controls all areas, ensures consistent compliance with all processes and the coordination of the corresponding tasks among distributed teams and persons.

Publication Manager With the Publication Manager you coordinate, control and monitor the creation of complex multipage publications in clearly visualized page planning. This includes the planning right down to the finished product. All centrally supplied content and templates can be coordinated from here and included in the page planning. Placeholder pages can be planned right from the beginning for content still to be created. The pages can be filled little by little until they are complete. The integrated Workflow Management efficiently controls all coordination, communication, correction and production processes.

The page planning gives you an overview of the status and the information on every single page of your print range. Where is material still missing? Who has to complete which task by when and how far has the publication already progressed? Each person involved will be informed of his/her next work step via the workflow. Depending on the level of authority, these steps may involve the simple adding of correction notes up to the detailed editing of content or even the customization of master files. In this way, you can even control and steer complex print campaigns direct-ly to the publication date.

A clean tree structure organizes all publications and their integral parts. Different page types e.g. flow based, static, editorial and page templates, e.g. half page and full page can be used. Many different attachments with information on briefings or documentation can be added to each page. Page ranges with flexible color assignment are possible just as automatic or manual page numbering.

Any dynamic or static pages can be visualized via the Publication Manager. Their creation, editing or correction can be controlled directly via the corresponding tools.

Depending on the master being used, pages can be generated for a particular product area either fully automatically or semi-automatically at the push of a button. A freely designed InDesign page can be opened directly in the InDesign Editor and edited or corrections and annotations added to it. A master template can be opened in the Web Client and filled with existing product content. Content from the Media Asset Management and the Catalog Data Manager can also be simply assigned by drag and drop to the Adobe® InDesign® -based page template. Alternatively, pages as well as whole ranges can be moved to another position. Even every single product placed on a page can be opened in the Catalog Data Manager and customized. All changes become visible immediately in the page planning.

Many manual processes are restricted and thus error sources are eliminated as far as possible. Unnecessary correc-tion phases and time loss are done away with completely through the switching to different interfaces. Each modifi-cation is carried out directly via the central platform whatever the medium in question.

STEP 3: SELF SERVICE OPTION

The third expansion stage in Enterprise Publishing comprises a web-based Brand Management System, the Brand Keeper. National and international branch offices, franchisees and retailer networks are provided with all templates, advertising material, current product information and images, campaigns and suggestions for the implementation of advertising campaigns via this central web platform by means of a web-based portal interface. In this way, it is en-sured that your branding remains consistent.

Brand Management with the Brand Keeper Your local staff and commercial partners create individualized and localized marketing material themselves via a personalized work area (e.g. flyers, ads, business cards, posters, promotional articles, POS prints) from templates where the Corporate Design has been strictly applied. Users are navigated through the self-explanatory system and can already call up the first campaign parts after only a few minutes without outside help. Users can manage their own advertising campaigns centrally and order them as required. This enables the production of individualized adver-tising material, which meets the highest demands with little work and without specialized knowledge.

With the optionally connected Marketing Services the end user is even in the position to efficiently promote the previously created advertising material in no time at all. Depending on the services available, the end user can send the services to and book them directly with the respective provider portal without having to leave his/her desktop.

Web-based Marketing Building Blocks All templates for the Brand Keeper are managed and made available via the Production MAM system. The files created in Adobe® InDesign® can be configured in the system as master documents and grouped into campaigns. With the help of the template editor, you define the processing rules for a master layout. For every single text or image frame you define whether the content is allowed to be edited and by which users. In addition, the editing is performed either via a strict form-based interface or freely in the InDesign Editor. Via format templates you define which fonts and styles are allowed to be used, how much text can be placed, which images are available for selec-tion, as well as where and in which size they are allowed to be placed.

In the Brand Keeper, the users work with dependent versions of the master templates provided. Central layout changes to the master are thus exported to all generated versions. Additional central templates can be uploaded and provided at any time in the portal. A cleverly devised rights concept and graphical workflows ensure that every user is allowed to look at, create, check or approve content for the publication depending on the user’s rights profile and assignment of tasks.
