Internal Process and Checklists Cont.

• The 20 school day time clock for process transcripts begins with the date of student enrollment.

• Student must be placed at the previous school grade level reached pending transcript analysis of Guidance Services. (FD Local and Administrators Reference Guide, pp. 182-186.)

• Registrar will annotate transcript requests on Transcript Audit Tracking (TAT) Form and also time stamp documents on date they are received at the campus.

• Initial intake is completed by counselor and documentation submitted to Guidance Services for Review. Preliminary transcript interpretation in posted as “DRAFT” in CCRP.

• Annotate Date of Student/Parent-Counselor Conference regarding Transcript Review and notification of grade-level placement in accordance with FD (Local).

• Advise parents to voice concerns or questions in accordance with FNG (Local). Approved EPISD form is provided by Area Superintendents’ Office.

International Student Transcript Checklist

Prior to the 1st school day for new student

1. ___ Date of Student Enrollment-(Registrar): ____/______/_____ (20 school day time clock begins)

2. ___ Date educational records (e.g. boletas, transcripts) are given to counselor-(Registrar): __/___/___

• Maintain documentation on attempts to receive transcripts from student, parent

and/or school-Transcript Audit Tracking form (TAT)

All documentation must be time stamped with date received on campus

• Notify counselor if no student records are made available

3. ___ Intake Process-(Counselor)

• Review transcript with student and parents

• Post a preliminary transcript interpretation on the CCRP draft (Counselor)

• Hand audit on EPISD Graduation Audit (Recommended, DAP or Minimum)

• Proceed to build a TEAMS schedule based on audit

4. ___ Counselor will confirm or adjust grade level placement on the New Student router form

(initial/date) and return to Registrar-make copy and keep on file (Counselor/Registrar)

5. ___ If necessary, grade level will be adjusted based on counselors recommendation (Registrar)
