D8.1: MANAGEMENT TOOLS

I. INTRODUCTION

The website dedicated to the GreenPlay project is the main dissemination tool of the project. It has

been launched on the 29th of April 2015. It includes an open access (internet) for all kind of visitors

and a private area (intranet) dedicated to the consortium. The public section aims at communicating

the results to as many stakeholders as possible. The private section allows participants to

communication, exchange and up-load information and documents for the administrative, financial

and technical management and coordination of the project.

The address of the website is http://www.greenplay-project.eu

II. METHODOLOGY

EQY prepared the first specifications, identified the technical requirements for the hosting of the

website and purchased the domain. Each partner provided their public information i.e. their logo in

high quality and their public contact. EQY prepared the official logo in colour and black and white,

approved by the partners during the Kick-off meeting.

In order to ensure attractiveness and interactivity within the website, EQY asked the partners for

several images, selected according to their visual aspect within the graphic layout of the website.

The content has been written by EQY on the basis of the proposal, using the different information

the partners sent during proposal setting-up (especially organisation descriptions). Ikasplay

participated to the redaction in order to provide information on the game to be updated with project

outputs. Faimevi has provided the page regarding Vigo.

The website is entirely available in English and Spanish except for news and events all in English.

The GreenPlay website being the main dissemination tool of the project, it will be updated regularly

(publication of news, events, addition of information in the game tab, regarding the

demonstrators...). A statistic service will provide information on the number of visitors, the click per

page and the time spent on the website.

III. DELIVERABLE CONTENT

Public area

The public website contains the following sections:

1. Home page: This page displays the major information regarding the project. The sections “Project

overview“, “Consortium” and “The game” as well as the contact form are reachable directly from the

home page below the slide show. These information are mainly project static data (consortium

members, overview of the WP …). Only the game part will be updated once available.

2. Project Overview: a description of the project and overview of the work packages.

3. Consortium: this page contains a presentation of the partners.

4. The game: presentation of the purpose of a serious game, the pedagogical approach and the

GreenPlay approach.

5. Demonstration: presentation of the demonstrators and their environmental involvement. For now,

only the page regarding Vigo is available online. It will be completed with the prospection performed

in WP3.

6. Communication: This section displays the tools of communication i.e.:

- The news relevant to the project or inside the consortium (ex.: the KOM in Bidart),

- The events in the field of energy efficiency and smart cities/smart buildings where the

partners could present the project,

- The publications including newsletter every 6 months.

7. Contact form.

All the information displayed on the public website are available in English.

Private area

The private area of the public website has been implemented from the beginning of the project. It

will be used internally within the consortium as well as with the Project Officer in order to share

documents and information, ensuring fast and easy communication between all the participants.

Private logins and passwords have been provided to each person involved in the project within the

consortium and to the Project Officer.

The private area has been designed under ownCloud. OwnCloud is open source file sync and share

software. OwnCloud provides a safe, secure, and compliant file synchronisation and sharing solution

on servers that EQY control. Notifications to partners will be given when publishing new documents

on the cloud.

Using this solution, it is really easy for all partners to create folders and to share them only with the

members interested by the topic of the files.

From now, the private area is composed of the following sub-folders, all shared with all consortium

members and the Project Officer:

1. Contractual documents: consortium agreement and grant agreement with annexes.

2. Deliverables: organised by WPs and by deliverables.

3. Dissemination: official logo of the project to be used by the partners for communication, press

released ...

4. Meetings: Minutes of the meetings

5. Member lists with contacts

6. Reporting

7. Templates: communication (PPT, newsletter) and management (deliverable, minutes, timesheet...)

8. Working documents to enhance collaborative work.

IV. DISCUSSION AND CONCLUSIONS

The first developments have been realized according to the initial plan foreseen in the “Description

of the Action” and there is no major deviation to be reported at this stage.

The website is now perfectly usable by partners and stakeholders. The publication of new

information on greenplay-project.eu is an on-going process: the work will continue until the end of

the project.

The website maintenance will be ensured at least three years after the end of the project.
