The International Dam Safety Conference-2018 is being organised by jointly by Central

Water Commission, Kerala Water Resources Department, Kerala State Electricity Board,

National Institute of Technology , Calicut (NITC), College of Engineering, Trivandrum (CET)

during 23rd and 24th, January 2018 at Leela Raviz, Kovalam, preceeding by the NCDS meeting

on 22nd January 2018 at Hotel Udaya Samudra.

Quotations in prescribed format are invited from reputed Travel agencies for transportation

of around 400 delegates attending the conference at Leela Raviz, Kovalam, Thiruvanathapuram

and participants at Udaya Samudra, Kovalam as per travel plan attatched

Quotations can be downloaded from the website The last date for

submission of quotations is . The bids shall be

in the presence of the bidder's representative who choose to be present at the

office of the undersigned during the evaluation process.

Those who are meeting the eligibility criteria and are interested to organise the

transportation, subject to the terms and conditions may furnish their quotes in the prescribed

form enclosed herewith and with copies of other required documents indicated in the tender

document.

1. The bidder shall be a single agency having minimum financial turnover of Rs. 25 lacs

and above in a single year, during the last three years commencing from 2014-2015.

2. The bidder should have already organised at least three programs of similar nature

3. The bidder should have audited balance sheet for last 3 years.

The vehicles provided should be of new model and should not be older than three years.

The drivers should be cordial and well behaved with uniform.

All parking fees will be refunded later on production of the original receipt.

Necessary supervisors with placards should be made available at the airport.

Necessary inter state permit may be obtained prior to the trips.

The relevant documents/ details to be furnished along with the quotation.

The Registration, insurance , road tax and other statutory documents of the

vehicle and must be valid during the period of operation

1. The Agency shall not sub let whole or part of the work to any other agency.

2. The Agency shall execute, comply and organise the transportation of delegates , in

accordance with the contract to the complete satisfaction of the Department.

3. In case of default on the part of the agency in carrying out any order, department shall be

entitled to get the work done by any other persons and all expenses consequent thereon or

incidental thereto will be deducted by the department from money due to it. A penalty of

Rs 5000/- will also be imposed due to his default.

4. The decision of the Department in the matter arising out of this contract shall be final

and binding in regard to all matters relating to the contract.

5. All cases/proceedings relating to any dispute or claim arising out of or any case of

performance of this contract shall be falling in the court having jurisdiction in

Thiruvananthapuram.

6. In the event of the Agency committing breach of any of the above terms and conditions

or the services of the Agency being found to be unsatisfactory, the contract can be

terminated by the department. Even otherwise the department will have the right to

terminate the engagement of Agency.

7. The Department shall have right to issue addendum to tendered documents to clarify,

amend, modify supplement or delete any of the condition, clause or items stated therein.

Each addendum shall form a part of the original invitation to tender.

8. The successful bidder/contractor/agency will have to sign a contract agreement with the

authorised official of the Department on a Rs. 200/- non-judicial stamp paper. All the

terms and conditions, scope of work etc. contained in the tender documents shall form

part of the document.

9. The Department reserves the right to accept or reject tender without assigning any reason

thereof. No claim or complaint in this regard will be entertained by the Department.

10. The amount quoted should be inclusive of all the taxes, service charges, supervisory

charges and for all necessary arrangements at airport, railway station, accommodation

places for the smooth transportation of delegates.

Only application of agencies who fulfill the criteria mentioned above would be considered by

the department. Accepting the application for engagement by the department would not

guarantee the award of contract.
