PROCEDURE FOR FIRST TIME USERSAll lab coats (Legacy and PPE coats) must be tagged into our system if it is your first time.Step 1: Remove all items from the pockets and lapels, especially ALL PENS.Step 2: Fill out a repair tag with a wire tie. Print neatly and fill out all required fields:• PI First Name, PI Last Name, Department/Division, Laundry LocationMake sure the label on the repair tag filled out for your coat matches the location that is stated on the tag itself.Step 3: Attach the tag securely on the coat through the button hole, branded tag, or any other way you can make the tag not fall off your coat, preferably at the neck of the lab coat.Step 4: Log in your coats on the “Retapes” sheet. This helps us keep track of all the coats we currently have. Failure to do so may lead to a missing lab coat or a delayed return of your lab coat. Record any unique identifying information, including embroidery, coat brand, coat size, etc. Record the UCLA 6-digit number or the 12 digit Mission Linen barcode number if available.Step 5: Deposit the coat(s) in the bin labeled “RETAPES”.Step 6: You should expect your coat back within 2-3 weeks.

• Tagged coats will return with two new tags. One tag will be the Mission Linen tag (see image below) and the other tag will be a blank white tag.• Use the blank white tag to label the coat with the coat owner’s name or, if it is a shared coat, a generic naming system (e.g., Lee1, etc.). The Mission Linen barcode tag will only have the department code and the PI name, rather than the name of the individual coat’s owner.• Reminder – it will take 2 weeks for tagged coats to return to UCLA. If your coat does not return after two weeks, inquire with Mission Linen – [email protected]• If you contact this customer service address, be sure to include your name, email address, PI, department/division, style, gender of coat, coat ID number, and the date that you dropped your coat off.

PROCEDURE FOR BARCODED, SOILED LAB COATSMake sure the lab coat has a Mission Linen Supply bar code label and that the blank label has the lab worker’s name or other identification written with indelible ink.

Step 1: Remove all items from the pockets and lapels, especially pens. Step 2: Log in your coats on the “Soil Bin” sheet. Failure to do so may lead to a missing lab coat or a delayed return of your lab coat. Record any unique identifying information, including embroidery, coat brand, coat size, etc. Record the UCLA 6-digit number or the 12 digit Mission Linen barcode number if available.Step 3: Deposit the lab coat in the bin labeled “SOIL BIN”. Step 4: Your coat should return in 1 week. Step 5: If your coat does not return after one week, send an email to [email protected]. If you contact this customer service address, be sure to include your name, email address, PI, department/division, style, gender of coat, coat ID number, and the date that you dropped your coat off.REMEMBER: These instructions are ONLY for people who have already tagged their coats and logged into our system.

PROCEDURE FOR BARCODED LAB COATS THAT REQUIRE A CHANGE IN

THE DELIVERY LOCATION/DEPARTMENT/PIREMINDER: This process is specifically for coats that are already barcoded in the new system. Make sure the lab coat has a Mission Linen bar code and a blank white label.

Step 1: Remove all items from the pockets and lapels, especially pens. Step 2: Fill out a repair tag with a wire tie. Print neatly and fill out all required fields:• PI First Name• PI Last Name• Department/Division• Laundry LocationMake sure the label on the repair tag filled out for your coat matches the location where your coat is deposited. Step 3: Indicate on the repair tag in clearly printed writing that the coat requires retagging due to its owner changing labs or locations.Step 4: Attach the tag securely on the coat through the button hole, branded tag, or any other way you can make the tag not fall off your coat, preferably at the neck of the lab coat. Step 5: Log in your coats on the “Retapes” sheet. This helps us keep track of all the coats we currently have. Failure to do so may lead to a missing lab coat or a delayed return of your lab coat. Record any unique identifying information, including embroidery, coat brand, coat size, etc. Record the UCLA 6-digit number or the 12 digit Mission Linen barcode number if available.Step 6: Deposit the coat(s) in the bin labeled “RETAPES” Step 7: Expect your coat to be returned within 2 or 3 weeks.
