HERAA Meeting Minutes

December 14, 2008

In Attendance:

Marjorie Kettel, President

I. Shopping date for French Room Furniturea. Marjorie can fit 4 or 5 people in her car, as can Zomana, and those people

will bring samples back to the house members for approval (the first housemeeting is 01/25)

b. We will be meeting at the House on Wednesday 01/14 at 11 am. Plan is togo to Boston Interiors for sleeper sofa, and Jordans Furniture in Avon forentertainment unit. Walmart and Target were also listed as alternatives forthe entertainment unit.

c. Rebecca volunteered to email along the links to sofas she findsII. Stephanie is leaving! 12/22 is her last day in town but she will forward

along all the Treasurers records to the board. Shes still waiting on recordsfrom Betty.

III. Next HERAA Meetingsa. January 25, 11 amb. February 15, 11-1 meeting, 1-3 Valentines Day Tea

IV. Holiday Gift to the Housea. $150 given to Zomana for cups, glasses, Tupperware and baking supplies

requested by Rae.

V. Reports from Board membersa. Zomana

- Making a folder for the meeting minutes to be uploaded to the website- The Lifebook will also be uploaded for prospective applicants- The first few pages of the Redbook will also be uploaded for historical

information about the house. All personal contact information of alumswill be omitted.

b. Rebecca- Is making a list of alums by year for the website- Also making a request to put in the newsletter asking alums

permission to list their contact info- Will be sending Zomana a scannable version of the newsletter for the

website AND an email blast to go out early next week. The email will

also include a separate document for alums to make donations andupdate their contact info.

- There will also be a Save the Date announcement on the Websiteregarding the Valentines Day Tea

- Rebecca will be sending out the newsletter on Monday 12/15.c. Stephanie

- Will print out a copy of HERAAs financial records for all boardmembers. To be used for planning and allocating purposes.

- Currently, the only way we receive dues and donations is throughcheck. Stephanie has been looking for a reliable and secure onlinedonation site where alums can make donations directly to HERAA.She has suggested the Network for Good (www.networkforgood.org) anonprofit donations site. 4.75% of donations will be retained by thesite OR donors can pay a few extra dollars so the entire amount theywish the organization to receive will be retained.

Stephanie will set up a trial account and send the link to Boardmembers by the end of the week. Also, we will make clear to all alumsthat this is an optional, additional method of payment and that we willstill accept all checks or cash donations. The link will be posted on thewebsite with a disclaimer as soon as the account is set up.

d. Rachel- Rebecca, Marjorie and Rachel will meet on 01/09 at 1:15 to begin the

archiving process. Rachel will make sure that someone will beavailable to let us into the house at that time since most of the studentswill still be on break.

VI. Dining Room Stabilizationa. After a thorough inspection, Mr. Johnson concluded that several parts of

the table were missing or broken and it was causing the table to be offbalance. The table is currently stable but he will be bringing inreplacement pieces once he and Rae set up an appropriate date.

VII. Marjorie is measuring the smaller dining room table for new naughahideVIII. New business

a. Marjorie gave Rae a $200 check to buy a digital house camera. The giftwas a donation from Zomana. After checking with Consumer Report andStephanies suggestions, Rae will purchase the camera and notify theboard once the purchase is made. Eventually, she would like to get a smallphoto printer to replace the phased-out Polaroid process. She will alsomake sure to get an extended warranty on the camera and will investigateinsurance options.

b. A house member has donated her desktop computer to the House and Raewill be installing a digital archiving process for all photos and Housearchives.

c. Tax exempt forms were given to Rae and Zomana.d. Dick Steele is building shelves in the kitchen for storage purposes.e. Marjorie will be calling Dick Steele regarding several concerns Rae had

addressed with Kenn Douglass that have remained unanswered:- A bike rack-

Faulty burners on the stove- Broken outlet in the dining room- 4th floor windows, 3rd floor fireplaces leaking in storms- Broken kitchen chairs
