Set up & breakdown stands

There are two sorts of stand packages. You either bring your own stand (a certified constructor will build this for you) or you use the standard booth provided by the organization. You already made this choice on the register form, please check if this is correct.

Own stand construction

• The renter/exhibitor of stand space is obliged to meet the quality standards of the organization regarding to own stand construction. Ask approval at the fair organization by sending a copy of a scale drawing with exact measurements to [email protected] before 15 February.

• Quality standard shall be understood to mean amongst other things that the renter/ exhibitor who uses ‘own stand construction’ may exclusively use professional quality stand construction.

• This stand construction should completely cover the rented space in as long as this space does not border an aisle of the fair.

• In doing so, the renter may not use the partitions of adjacent stands.

• The height of the stand has to be 2.50 m, if the exhibitor likes to built a higher stand, permission of the organization is obliged, contact [email protected] before 15 February.

• The renter/exhibitor can order internet, electricity, water and other services via the venue webshop, see chapter “Order materials & services”, be aware of the deadlines.

Set up/construction hours own stand construction

Thursday 4 Arpil 12.00-22.00* It is not allowed to start construction or unloading before 12.00. * from 20.00 alleys have to be free

Breakdown hours own stand construction Saturday 6 April 18.00-23.30* * When the stand is not dismateled befor 23.30 all the costs resulting will be charged on the exhibitor. This impleeds that the cost of the entire exhibition area will be passed.

Set up & breakdown stands

Standard booth package

If you have booked a standard booth, the package includes:

• Systembuilt stand walls 250 cm high, white. The booth will be build within the m2 you ordered. The inside measurement therefor will be smaller just a few centimeters.

• Booths wider than 4 meters will be secured with an extra roof girder. • Special textboard (white), lettering in black Helvetica Capital (7,5 cm) • Anthracite grey carpet, other colours possible at request. See email construction company

Brederode sent to you in week 12, • 1 kW electrical outlet, including use electricity and wall socket. The costs are € 10,- per m2 and we

be billed after the fair. Do not order electricity at the venue, you will be billed twice. • Lighting: 3 spots per 9m² • You cannot fix anything to the wall panels using nails, staples or screws. Please use doubled sided

tape (available at the information desk), poster buddies or use a special hook (available at the information desk).

• For the costs of € 82,50 per meter the stand constructor can print your artwork on the walls. For more information please contact Brederode Expo; +31 30 248 3082 or mail [email protected]

Use of energy and electricity Amsterdam RAI has taken on Expotech as electricity supplier. The stand will be supplied with electricity through the RAI network: 220V and 380V, 50 Hz. About the switch boxes of the stand connections of Expotech: for technical reasons it is sometimes necessary to connect more than one stand to one switch box, for instance to the switch box of the next stand. In this unlikely event, the participant is not allowed to switch the power of an adjacent stand on or off. Furthermore it is sometimes necessary to place the switch box in the stand. We hope you will understand this. Power is turned on one and a half hour before the opening of the fair and switched off half an hour after the closing of the fair. When using a refrigerator, security equipment or computer equipment, we advise you to arrange day- and night-power with the Expotech company. Please note: fair participants with ‘own stand construction’ can use the application form of the Expotech company for requesting power supplies.

Stand cleaning During the fair the exhibitor him/ herself is responsible for a clean stand. Daily cleaning of the stand should be arranged by the exhibitor. To keep you from paying extra costs, we would like to remind you that any goods, stand construction material or refuse left in the building or on the premises of Amsterdam RAI after the fair period, will be put into storage or will be thrown away as the RAI sees fit, at the risk and cost of the exhibitor.

How to enter hal 10 RAI Amsterdam

During setup During setup and breakdown periods RAI Amsterdam is only accessible with a valid setup and breakdown badge. Everyone who wishes to be granted access to the halls during these periods must pre-register online. Preferabily you do this before coming over to the RAI Amsterdam via the following link: Link to setup badge Personal protective equipment During the setup and breakdown periods people working in the exhibition halls, meeting rooms and lounges are obliged to wear safety shoes. During opening hours

During opening hours (08.00 – 18.00) you and your crew can enter hal 10 via entrance E, see map at chapter Parking, loading & Unloading. You do not need a ticket, you can just name the company and our security will show you the way.

Parking, loading & Unloading

During setup and breakdown

To reach hal 10 follow the signs P5a. There you can park & (un)load your car or truck. The parking attendant will guide you to the right spot. To enter the hal pleas read the chapter “How to enter hal 10 RAI Amsterdam”.

During opening hours The parking lots and parking garages are located directly next to the A10. From the parking areas you are able to acces the Convention Centre. We recommend parking at P1, P2, P3 & P4. Parking tickets will be provided at the information desk in entrance E.

Furniture You will receive an e-mail from Brederode (stand constructor) with the login information for the webshop 4 march. From then you can place orders in their web shop for furniture and carpet. Internet, electricity own stands, cleaning and others At the web shop of RAI Exhibitor Services you can places orders for:

- Internet (wifi or cabled internet in different MB’s) - Cleaning stand - Electricity for ‘own stand construction’. In case of the standard booth; Do not order electricity in the

Rigging or suspension points The venue works with a preferred supplier and specialist for al matters of rigging and suspension points. Order this service directly via the following form: Link order form rigging

Parking & parking tickets During the fair you can park at P1,P2, P3 & P4. To find out about the exact opening times, please see the parking garage/ parking area where you wish to park your car. However, in general, these are opened from 06:00 until about midnight. Your registration includes, depending on the number of square meters of your stand, a number of parking tickets. You can collect these tickets at the information desk at Entrance E.

Lunch & drinks vouchers Your registration includes, depending on the number of square meters of your stand, a number of lunch and drinking vouchers, which you can pick up at the information stand at the fair. The drinking vouchers can be used at the different catering areas on the fair floor, the lunch vouchers can be used in the special exhibitor’s restaurant outside the RAI Complex (a 4 minute walk from entrance E). You can collect your vouchers (and extra lunch and drinking vouchers) at the information desk at entrance E.

Lunch exhibitors Your lunch will be provided at restaurant ‘Vandaag’. A four minute walk from entrance E. Signs will show you the way. The restaurant is open between 12.00 and 14.30 hours, only for exhibitors. Bring the lunch voucher!

Catering The catering during de fair will be exclusively in hands of RAI Catering Services. Their guidelines do not allow for you to bring your own food and drinks into the building.

Waist & garbage Due to legislation in this field, Amsterdam RAI is obliged to separate all the waist left at the venue. Exhibitors are responsible to arrange the removal of waist created by the exhibitor:

- In case you would like to arrange this through Amsterdam RAI, you can order extra ICOVA-refuse skips for your stand in the RAI web shop. At the fair you will also be able to order 240 liters refuse bags; these are meant for smaller amounts and the bags may not contain any chemical refuse. To ensure good logistics, no other refuse skips other than the RAI-ICOVA ones, will be allowed into the building.

- You can also take the waist with you - For the waist/refuse which the exhibitor leaves behind, the RAI will send an invoice to the exhibitor

for an environmental contribution.

Order materials & services

Target group signs On the registration form you have indicated in which target groups your organization has an interest. Exhibitors with ‘standard stand construction’ will receive a target group sign at their stand on which visitors can see at a single glance in which study profiles your organization has an interest. Exhibitors with ‘own stand construction’ can, by mutual agreement, have this sign placed at a recognizable place in the stand. The different colored bags which visitors carry, will enable you to recognize your target group. If you would like to make changes, please send an email to [email protected] before 14 March.

Transport of goods to and from the venue Amsterdam RAI To arrange transport and logistics of your materials to the venue Amsterdam RAI, contact Schenker International at [email protected] or +31 20-5492790. Any costs made for this will be charged to the exhibitor. Never send goods directly to the Amsterdam RAI. It is not permitted to leave goods directly with the RAI project manager or the event manager. The goods will not be accepted by the Amsterdam RAI or its staff and can get lost.

Flyering/sampling & acquisition You are obliged to hand out flyers or samples only in or directly in front of your stand unit. Also other acquisition activities can only manifest in or directly in front of the stand. The sound level of an audio-visual presentation may not exceed 65 decibel measured from a distance of 1 meter from the source of the sound. In case an exhibitor does not comply with the permitted level, the organization reserves the right approach the exhibitor about this and if necessary to remove or disconnect the equipment.

Floorplan fair and stand/booth number Around 15 March you will receive the floorplan of the fair and your stand/booth number. The up to date map is also to be found on www.carrièrebeurs.nl.

Insurance & stand surveillance Exhibitors are responsible for costs and risks of stands, stand material, stand design and wrapping material present in the Amsterdam RAI building. Exhibitors are obliged to insure their stand, stand construction, stand design and wrapping material against any legal liability as well as against damage, theft and the like, for the duration of the fair and the duration of the construction and dismantling periods. The registration form of the De Nationale Carrièrebeurs or The International Master Congress for renting square meters in one of the areas of the Amsterdam RAI does not relieve the exhibitor from his/ her duty to insure him/herself thoroughly. Amsterdam RAI and Memory Events B.V. can not be held liable for any damage. Amsterdam RAI therefore advises participants to use the insurance possibilities specifically designed for expositions, by AON Group Programs.
