MISSION STATEMENT

To promote interiors conducive to healing and science through the application of a consistent vocabulary of timeless and sophisticated materials, finishes, and visible design elements which evoke a sense of well-being for our patients, families and staff.

The NYP Furniture Guidelines is an assemblage of furniture that is intended to be safe, durable and consistent with our branded image of a destination hospital with a regional hospital system and extensive physician practice network.

GUIDELINE GOALS

• To determine furniture options that meet the operational and functional needs of NYP while fulfilling the unique program requirements for the variety of room types throughout the enterprise.

• To create a universal and scalable approach to furniture specification across all hospital campuses including the regionals and practice offices.

• To provide furniture options for highly functional, durable and aesthetically appropriate interior spaces.


INTRODUCTION

Evidence Based Design research has validated links between healthcare environs and a patient’s positive experience of their care with associated benefits to health outcomes. EBD studies have also demonstrated that improved job satisfaction and performance for providers and staff result from well-planned and well-furnished interiors.

In addition, studies indicate that furniture has a direct effect on how we experience the built environment due to the unique way we engage with the objects we encounter. Every day, public and staff perceptions of NYP institutional values are informed by furniture that is “in good repair or broken”, “made of quality or inferior materials”, and “clean or dirty”.

It is important to recognize that each year NYP commits significant financial resources and staff hours for furniture selection of both capital projects and “one for one” needed replacement.

The NYP Furniture Guidelines were created in response to these qualitative and quantifiable realities.

KEY ADVANTAGES

• Enhance patient and staff safety through the implementation of best ergonomic practices.

• Focus on NYP branding and the propagation of consistent interiors throughout the enterprise.

• Balances the need to respect strongly-held individual preferences by consistently applying institutional standards.

• Institutionalize a standard for NYP Interior Design.• Enhance cleaning and maintenance staff training as a

result of consistent furniture installations.• Efficient design process by specifying proven products,

with the potential of shortening project schedules.• Reduces furniture costs - through negotiated

purchasing agreements with vendors.• Greater project budget control by anticipating costs

related to interior projects.




GUIDELINE ORGANIZATION

The guidelines have been organized by “Furniture Type” groupings. 1.0 Seating 2.0 Tables 3.0 Workplace 4.0 Storage 5.0 Accessories Each “Furniture type” group has been populated by furniture recommendations which have been designated for specific “Room Types”. The selections are based upon operational needs and performance standards.

Any deviation from the standard will need to be reviewed and approved as part of the specific project’s Interior Design review.

TEAM GOALS• Meet the quality and aesthetic goals of NYP Senior Leadership• Document and deploy enterprise-wide guidelines for architectural materials and finishes • Support capital project teams achieve institutional design goals by design document reviews and materials and

finishes consultations • Support the F.A.C.E. program with interior design and furniture specification • Support the Direct Project and Facilities Service Requests(F.P.R.) program with interior design and furniture

specification when a design consultant is not engaged • Oversee the enterprise-wide art program through the curation of new pieces that meet Dr. Corwin’s vision for a

cohesive, contemporary and valuable collection

PROCESSInterior Design Guidelines The Guidelines are foundational to NYP’s consistent approach to interiors and include:• Materials and finishes with proven durability and enhanced lifecycle in order to maintain a State of Good Repair• Universal and scalable selections based upon project type and budget• Furniture selected for ease of maintenance, durability and appropriate ergonomic featuresTeam Responsibilities:• Research, document and deploy Interior Guidelines of Materials and Finishes and Furniture Guidelines • In-Service to NYP teams• Orientation of new architectural design consultants to the Guidelines program• Collaboration with NYP Procurement on furniture dealer issues and contracts• Collaboration on campus wide Master Paint Plan initiatives• Collaboration with other internal subject matter experts such as Epidemiology, Safety, Facilities Operations, EVS

on the Guidelines selections

CAPITAL PROJECTSAll projects other than infrastructure are reviewed by the team at each phase as a cross check for compliance to the Guidelines • Review of feasibility reports, SD, DD, CD and millwork shop drawings • Review of Materials and Finishes are managed through team meetings with the FDC PM and design team. • FF+E close-outs – the team is responsible for assessing that FF+E documentation meets the close-out requirements• On-going design support and documentation review of Major Capital • Recommends design consultant selections based upon project scope to FDC Directors• Responsible for the interior design integration of Regional Hospitals and Medical Group

F.A.C.E.Interior design services for all projects including patient room refurbishments and special projects at all campuses. Team responsibilities include:• Programming client needs• Space planning, floor plans• Selection of materials, finishes and furniture• Review of the architectural documentation provided by the F.A.C.E. team

FURNITURE, DIRECT PROJECTS AND FACILITIES PROJECT REQUESTS (F.P.R. program)Interior design services for all Direct and F.P.R. projects that have a design component. These projects can range in complexity from a simple task chair replacement to the design and specification of the Milstein lobby furniture package. Team responsibilities include:• Selection of materials and finishes for F.O. managed projects• Approximately $2M is spent year over year on these furniture purchases

ART PROGRAMOversee of the art selection process, responsibilities include:• Consistently apply Dr. Corwin’s vision for contemporary art purchases to grow the NYP collection.• Project liaison to Donors and Trustees, including design, art and signage review and approvals.• Recommend the art consultants that are in line with the project scope and budget.• Review selections to ensure alignment with Hospital’s vision for art in public spaces.• Review selections for alignment with budget.• Management of the - Art Inventory Tracking program.

Furniture Selection Criteria




BEHAVIORAL HEALTH FURNITURE

• Is not included in the Furniture Guidelines.• Furniture for this application must be reviewed

by the Behavioral Health Steering Committee and submitted to OMH through the NYP Regulatory Department for final approval.

DURABILITY AND CLEAN-ABILITY

General Upholstery Selection• High performance coated upholstery (Wyzenbeek

+100K)• NYP coated upholstery test - the printed pattern must

show no visible degradation for at least 20 scratches to the surface.

• Moisture barrier on the seat cushion in patient and staff areas.

• Selection of medium color values and printed patterns in consideration of a longer in-service lifecyle.

• All upholstery must be bleach cleanable as per NYP EVS protocols.

• Within a department, prefer chairs are upholstered in the same upholstery color and pattern to prevent mis-matched furniture when the seating inevitably migrates.

Non-clinical Areas• High performance upholsteries (Wyzenbeek +75K)• Coated upholstery on seats and backs.• Woven textiles allowed in executive offices only.• Utilize medium color values and printed patterns in

consideration of a longer in service lifecyle.• All upholstery must be bleach cleanable as per NYP

EVS protocols.

Tables• Tables in patient areas are to have Solid Surface tops

(Corian).• Options for tables in staff areas - Solid Surface tops if

budget permits, or high pressure laminate with 3mm or urethane edging.


ERGONOMIC CONSIDERATIONS

• The furniture in the Guidelines has been selected in consideration of ergonomic best practices; however the specifier is responsible to select appropriate furniture for application.

• Prefer task seating with arms unless clearances are too limited to accommodate.

• Seat heights are to be appropriate for specific chair programmatic requirements.

FLAMMABILITY

• Furniture for any non-sprinklered project at an NYP facility regardless of location, building type or size, must follow the CA 133 standard for upholstered furniture including the testing of both the upholstery and the chair. The project schedule and furniture budget should account for this requirement.

• For projects in sprinklered space, the upholstery is to be Class A or CA 117.

• DOH projects require appropriate flame spread documentation be included in project documentation.

FURNITURE BUDGETS

• The furniture dealer will provide budgets for all project phases from feasibility through DD based on current NYP Guidelines.

• The specifier should allow two weeks for the dealer to issue the budget depending on the complexity of the project.




INFECTION CONTROL

Use of Wood and Wood Veneer Furniture• In order to lessen the chance for surface

contamination in patient facing areas, all exposed furniture components must be assembled of

non-porous materials such as solid surface (Corian), or metal. The use of wood arm chairs or tables is no longer acceptable in patient care areas. Wood furniture is to be limited to non clinical areas.

Upholsteries• In patient areas only coated upholsteries are to be

specified such as impermeable vinyl.• Polyurethanes have been subject to recurring failures

of puddling and de-laminating, therefore will only be approved on a case by case review with a record of the seating manufacturer’s warranty.

• All upholsteries are to be bleach cleanable as per NYP EVS protocols.

• Non-coated upholsteries or textiles permitted in executive areas only.

Anti-microbial Treatment• As per NYP Epidemiology, anti-microbial treatment

effectiveness has yet to be proven as a benefit therefore, it is not a furniture specification requirement.

INTEGRATED TECHNOLOGY

• Power and USB connection is provided at either specific docking stations or on the wall. Lounge/reception furniture is not to be powered.

• Conference room tables or community tables in public spaces can be wired for power and data provided that the tables are not movable.

• Extension power cords are a fire hazard and are never to be used.

SEATING - LOUNGE AND RECEPTION AREAS

• Furniture should be selected in consideration of the programmatic usage, for example: pediatric, geriatric, bariatric, infusion. Each may have a unique functional requirement.

• Provide seating appropriate for bariatric usage as defined in FGI.

• Provide floor space for wheelchairs, walkers, hip chairs and strollers as required by the department space program.

• Three-seat sofas are not permitted unless the seats are divided by arms.

• All lounge furniture in public areas to have open arms and a crumb cleanout.

• Preference for lounge furniture in public areas to be ganged / tandem or individual pieces heavy enough to discourage migration

SEATING - PATIENT

• Furniture should be selected in consideration of the project program for a specific patient population: pediatric, geriatric, bariatric, etc.

• Patient seat height is to be at a minimum 18” in order to reduce falls.

• Moisture barrier on seat.• Review option of adding department name label on in-patient unit seating to limit chair migration.• Patient chairs must have arms, with non-porous arm

caps, preferably Corian.• Foot rests are not permitted unless specifically

approved for a project.

SUBSTITUTIONS

• Substitutions to the Guidelines selections will be reviewed by the Design, Project Strategy and Innovation team as part of design review process. The Facilities Design and Construction Project Manager will coordinate the evaluation process. Any non-standard components or modifications will require a mock-up prior to approval.
