stationery catalogue has now been

rationalised from an unnecessarily high 8,500 items down to a core list of just 159. This means a significant savings

opportunity of £1.3m across the

North West region, and a projected figure of £5.8m

nationally.

Welcome to our Desktop Stationery Core Range Catalogue. When it comes to maximising your trust savings, less is definitely more.Our Customer Board identified that the stationery range was too large, too confusing and promoted an inefficient purchasing culture in the NHS. Did we really need 335 different types of ballpoint pens at varying prices?

In conjunction with the North West Procurement Development office and through customer feedback, an opportunity was identified to reduce the desktop stationery range from around 8,500 lines to just 159. This core range could deliver potential national savings to the NHS of £5.8m* (an average of 40%) based on trusts purchasing from it and will be available from October 2014.

Value for money

In addition to the range rationalisation exercise that has taken place, an eAuction has also been run, and will be run every six months, to further drive down prices to ensure this range always represents the best possible value.

Don’t forget – all our prices include delivery and VAT where applicable, plus electronic ordering and consolidated deliveries also enable back office savings.

Additional benefits

These 159 essential lines will make ordering simpler and easier. All items will be stocked in our warehouses to ensure the highest possible service levels for these products.

There’s also no need to tender when purchasing through our route – all our frameworks are procured in accordance with EU Public Procurement regulations.

* This is a potential national saving, which has been calculated using pricing and purchasing data from 01/02/13 to 31/01/14, and is based on the same volume of customer orders which were placed in that period, being placed in the next 12 months, and by comparing the pricing of the available159 lines to the pricing on the lines which were previously purchased, in that period, under the Framework Agreement.

FAQs1. When will the new core range be available? The new core range will be available to order from the 27th October 2014. The products previously listed in the NHS Supply Chain catalogue will be de-listed and we estimate stocks will no longer be available from around mid November 2014.

2. Will my trust realise a saving? Based on 2013 sales figures, there is a national savings potential to the NHS of £5.8m annually. The savings figures at an individual trust level will depend upon usage. Our account managers will be in contact to provide the trust level savings figure.

3. Are the new range prices fixed? We intend to run an eAuction on the core range products every six months to ensure that we can provide you with the most competitive prices. That’s why we have left prices out of this catalogue. You can find our pricing in the online catalogue.

4. I have decided to move to the new range – what do I need to do? Confirm the date you want to start to order the new range with your Account Manager. This is essential so we can ensure stock availability to meet your requirement . Your Account Manager will also need to know if you require support from NHS Supply Chain to change your internal systems and catalogues. If you use SOLO to place orders, all favourites lists and standing orders will need to be amended to the new codes and you may need to review your masking. If you order via a third party system you will need to ensure that the catalogue is refreshed to take account of the new codes on or around the 27th October 2014. We have produced a ‘How To Guide’ to support you through the change, which includes information on key systems including eDC.

5. I have decided not to move to the core range – what do I need to do? We ask that if you wish to opt out of the Stationery Core Range you also inform your Account Manager of this decision. We are supporting a DH initiative and it is expected that all customers will move over to the new range to maximise savings for the NHS. If the reason for your decision is a lack of availability of vital products in the core range, then please contact us so we can consider your requirements.

6. Can I still order my old products if I don’t want to move to the new core range? No – this initiative will remove the old products from sale. The 8,500 old products will remain visible on the NHS Supply Chain catalogue, but will not be available to purchase and will have a direct alternative of one, and only one, of the new Core Range.

7. Have the products been quality tested? The products have been quality tested by NHS Supply Chain and also some NHS trusts with no issues found. The products listed in the core range are all purchased in significant volume by NHS trusts already and are fit for everyday use.

8. I order using an external system – what do I need to do? You MUST ensure your system is refreshed on or just after the 27th October 2014, so that the new range will be visible and available to purchase. Our ‘How To Guide’ details what you need to do depending on the external system you use.

9. I order using SOLO - what do I need to do? Any desktop stationery related Standing Orders, Favourites and Masking will need to be updated to cover the new core range NPC’s. Our ‘How To Guide’ details what you need to do to make these updates.

10. I order using eDC - what do I need to do? eDC will require updating to replace old products with the new range items. Our ‘How To Guide’ details what you need to do to make these updates.

11. When should I start to change my systems? Changes should be made as soon as the new codes are live. This is due to take place on the 27th October 2014. After this date, all systems and orders should use the new core range codes.

12. When will my first delivery be? All core range products are stocked in our warehouse and will have a standard, ‘day 1 for day 3 delivery’ lead-time. Orders on the core range can be placed from Monday 27th October 2014.

13. Who can I call for support? As always, for all support requests, our Customer Services teams should be your first point of contact.

14. What do I do if I need a desktop stationery item that will no longer be available as part of the Core Range? Please raise this with your Account Manager, providing as much information as possible including; Item Description, Cost, Reason for usage and importantly, why the new core range does not meet your requirement . This gives valuable feedback to our buying team who can assess such feedback and determine whether an item can be made available going forward.
