Introduction The multicurrency sales functionality gives you the ability to sell in any currency other than your branch
currency. It allows you to specify a currency on the travel folder in which to charge the customer thus
allowing the documentation to be issued in the required customer currency. Any gains or losses caused
by fluctuation of currency exchange rates during the life cycle of a travel folder will be accounted for
and triggered at various stages within the booking process.
You will be able to choose between the accounting branch currency or the customer’s preferred
currency.
Notes:
▪ Please contact Dolphin Dynamics Support Team to have this module activated
▪ This functionality does not allow multi-currency accounting in Dolphin. You will still post transactions and account for them in your branch currency.
Activation In order to activate this functionality you need to contact Dolphin Dynamics and you might incur in additional fees.
Prerequisites Please follow the steps below in order to configure the system prior to using the multicurrency sales functionality.
Note: We suggest that all of the following configuration settings are activated for the administrator of
this functionality.
User Security Select Options > Access Profiles > Retrieve Security Profile for the staff members you want to use
the functionality. Select the relevant tab(s) as detailed below:
Financials Can Edit Receipt/Refund Exchange Rate With this check box selected, users are able to amend the
exchange rate for receipts and refunds within a multicurrency sales travel folder.
Folder
Can Change Customer Currency With this check box selected the customer currency box in a travel folder will be enabled and the user will be able to change the default currency of the folder.
If this check box is cleared the customer currency box will be disabled and the user will be unable to
change the default currency.
Note: In a travel folder, the customer currency field will be set to read-only as soon as a financial
transaction is issued (list to follow)

Access/Updates
Currencies With this check box selected the user is allowed to update the currencies table i.e. add,
edit or delete the currency codes and associated exchange rates through Search > Currencies from
the main menu.
If the check box is left clear, users will be able to view currencies in the table but will not able to add,
edit or delete currencies. See Currency Table for further information.
Select OK to save changes made to Security Profile(s).
Currency Table A list of loaded currency codes and exchange rates can be found by selecting: Search > Financial
Reference Data > Currencies.
To view a code, place your cursor in the currency code box, type in the code and press enter. If you
wish to view all the existing codes, press space + enter in the Currency Code box.

Name Description

Purchase Rate The purchase rate of exchange. i.e.: the rate of exchange you wish to
use on any purchase/buy prices
Sales Rate The sales rate of exchange. i.e: the rate of exchange you wish to use
on any sales/sell prices
Numeric Code Used for accounting purposes – refer to Dolphin Dynamics for further
information on this field.

sales are in a foreign currency
Select this check box to round the sell amount to the nearest whole

Each currency code intended for multicurrency sales must be configured with a purchase and sales rate and flagged as a customer currency.
The current Sales Rate of the folder’s customer currency will be used to convert the item pricing’s branch currency sales amounts into customer currency amounts. This will become the item exchange rate. The only exception will be newly created refund items (those created via the Tkt Refund or Seg Refund buttons). Refund items will inherit their exchange rate from the sales item they are linked to, rather than using the current sales exchange rate.
Note: When entering exchange rates, the rate should reflect the number of units of accounting
currency that equal 1 unit of foreign currency. For example, if GBP is the branch accounting currency and EUR is the foreign currency. The rate entered indicates that 0.86 GBP = 1 EUR.
Note: When an item is amended, the item exchange rate that was stamped against the item at time of
creation will be used to calculate its new customer currency sales amounts.
Note: If all pricings are deleted from an item and then a new pricing added, the current sales exchange
rate for the folder’s customer currency code will be used (rather than the item exchange rate that was stamped against the item at time of creation.
Note: If a folder’s customer currency is changed, any existing items (including refunds) will have their
sales amounts dynamically recalculated using the new customer currency code’s current sales exchange rate.
This includes the scenario where a branch sell currency folder becomes a multicurrency sales folder.
Branch Details Review these settings prior to using the functionality.
Select Options > Site Details > select the required branch > OK. Select the relevant tab(s) as detailed below:
General 1
Sum of Vendor Deposits When activated in Site Details, the sales exchange rate that was used when the folder customer deposit was first calculated will be captured and stored. This will be called the customer deposit exchange rate. This will initially be set to the sales exchange rate that was used when the folder’s customer deposit due amount was first calculated. But it will be updated to the current sales exchange rate each time a new item is added to the folder. The customer deposit exchange rate will be used to convert any updated branch currency deposit due amounts in the folder into customer currency deposit due amounts.
General 2 New Customer/Vendor Defaults
Default Customer Currency If this area is left blank a default customer currency will not be set in new client, company or agency profiles (the currency will default to the accounting currency of the branch).

To populate this field enter the three-character currency code of the customer currency you would like to set as a default. Alternatively, use the lookup function to apply the required currency code. Once this has been set, the default customer currency code will appear in new customer profiles (client, company or agency) in Financials tab > Preferred Billing Currency.
Note: The selected currency code can only be used if it is listed as a customer currency. Please see
the section – Currency Table.
Receipt
Allow Branch Curr Trans in Foreign Curr Folders With this check box selected users will be able to issue receipts and refunds in the accounting currency of the branch or the preferred billing currency of the customer.
If this check box is left clear users will only be permitted to issue receipts and refunds in the preferred billing currency of the customer where this is configured in the travel folder or relevant customer profile (client, company or agency).
General 4 Misc
Restrict Cust Invoice To Folder Credit With this check box selected – where a customer currency code has been applied to a travel folder, Dolphin will not allow an invoice to be issued if its value in branch currency exceeds the credit amount available in customer currency. If a customer currency code has not been used the calculations are done in branch currency.
Notes:
▪ This setting is not recommended for use in a cash sales environment.
▪ Folder Credit is the unlinked amount of all receipts on the travel folder, plus any credit notes, less any refunds and invoices.
Decimal Places Shown On % For increased accuracy in currency conversion we suggest this is set to four decimal places.
Select OK to save changes.
Customer Profiles Customer Profiles is a collective term for the following types of profile in Dolphin:
▪ Client ▪ Company ▪ Agency
Search for the customer profile: enter the search criteria and click Retrieve. Alternatively, select Add to create a new customer profile.
Select the Financials Tab as detailed below:
Financials Tab Preferred Billing Currency Enter a customer currency code into this field to ensure that all travel folders using this customer profile have this customer currency code applied. Leave this field blank if you would like the profile to default to the accounting currency of the branch.
To populate this field, enter the three-letter IATA currency code of the required customer currency you would like to apply to this customer profile or use the lookup function.
Note: The currency code can only be used if it is listed as a customer currency. Please see the section
– Currency Table.

Currency in the Travel Folder Folder – Customer Profile Customer Auth Rcpt feature allows users to flag on a folder that the customer has authorised the travel company to take a payment on a certain date. The Cust Auth Rcpt checkbox should be ticked and the date and payment amounts should then be entered in the On and For field respectively. Any amounts entered into the For field will be treated as customer currency payment amounts when in a multicurrency sales folder.
Folder – Financial Summary A financial summary of the folder can be found at the bottom of the folder regardless of which tab the user is in. This summary is displayed in branch currency only, for branch and multicurrency sales folders. A currency code label of the branch currency is displayed in front of the summary, so that you can easily see which currency the Inv, Crd, Tot and Bal amounts are displayed in.
Folder - Pricing Tab Retrieve a travel folder and select the Pricing tab.
Notes:
• Branch Currency GBP (‘GBP’ will be replaced by the accounting currency code of your branch)
• Customer Currency EUR (‘EUR will be replaced by the applied customer currency code)
Customer Currency Tab This will be the default tab when a customer currency has been used on a travel folder. The values shown reflect the Sell, VAT (if applicable) and Payable values in the applied customer currency.
Note: Buy, commission and any associated VAT are hidden on this tab by design.
Branch Currency Tab The values shown reflect the pricing in the accounting currency of the branch.

Cust Currency This field displays the customer currency code from the customer profile which is in use on the travel folder. See Customer Profiles for details on how to populate this field.
It is possible to amend or apply a customer currency code to a travel folder after folder items have been added, however this field will be set to read-only as soon as a financial transaction is issued (by selecting the relevant button or completing financial assigning).
Note: Financial transactions are invoice, receipt, credit note, refund and cash sales (generated by financial assigning on the receipt).
Item – Price Tab When a customer currency code has been applied to a travel folder, the item tab will show pricings in both the accounting currency of the branch and the applied customer currency.
Note: Item is a generic term for any of the tabs found within Itinerary in a travel folder, including fees and discounts.
Branch Currency The values shown reflect the pricing in the accounting currency of the branch.
Customer Currency The values shown reflect the Sell, VAT (if applicable) and Payable values in the applied customer currency.

Pricing Item Select Retrieve to view individual pricing descriptions and calculations on the item. Alternatively, select Add to create new pricing descriptions and calculations.
Form of Payment – Paid To Vendor Select the appropriate form of payment from the dropdown menu where the customer pays the vendor locally or in advance.
If Paid to Vendor is selected the customer currency tab will be hidden.
Note: If Paid to Vendor is selected, the related customer documentation will print the sales value based on either the accounting currency of the branch or vendor currency.
Vendor Currency
The wording on the tab is abbreviated to: Vend Curr and shows the vendor currency code (i.e. the value of the sale in the preferred currency of the vendor).
Notes:
• Vend Curr USD - ‘USD’ will be replaced by the vendor currency code.
• This tab is hidden if branch currency and vendor currency are the same.

Vend Curr This is the purchase rate of exchange as shown on the currency table. This field is only editable if you have been granted appropriate security settings. Please contact your Dolphin Administrator if you need further information on this section and refer to the Currency Table for further information on the rate of exchange.
Branch Currency
The wording on the tab is abbreviated to: Branch Curr and shows the branch currency code. This field will also be the vendor currency if relevant (where the branch currency and vendor currency codes are the same).

Fees and Discounts Fees and discounts are displayed in both the accounting currency of the branch and applied customer currency within the Details Tab of the Item (Fee or Discount)

Note: Fee has been used in the screenshots; however the same layout applies for discounts.
Customer Currency Pricings are displayed in the customer currency.

Note: The Total After Fee field is always greyed out and reflects total sell value after the fee has been applied in Branch currency.
Branch Currency Pricings are displayed in the branch currency.
Package Dialog In the folder click on Package for the Package Detail dialog to appear. It shows two tabs reflecting the Branch Currency and Customer Currency amounts.

Customer Documentation Financial and Non-financial, documentation and dialogs are designed to support branch, customer or both branch and customer currency amounts.
Note: Please refer to the Documents Setup manual for more information how to setup alternative documents type if you want to use them when issuing customer documentation for multicurrency sales folders.
Non-Financial Documentation The following documents belong to the non-financial documentation:
Cost Quote - Reflects customer currency code and amounts/values.
Itinerary - There is no identification of either branch or customer currency, as this type of document does not provide any pricing information.
Booking Confirmation - Reflects customer currency code and amounts/values.
Voucher – Reflects branch currency code and amounts/values.
Financial Documentation Financial Documentation includes:
• Invoice - Reflects customer currency code and amounts/values.
• Receipt - Reflects customer currency code and amounts/values. You can issue the receipt in a branch currency, if you have an appropriate security setting turned on.
• Credit Note - Reflects customer currency code and amounts/values.

Invoice When issuing an invoice, two tabs will be displayed – Transaction Detail and Financial Linking. Each tab displays the pricings in the customer and branch currency.
Transaction Exchange Rate This field shows the rate of exchange used in this invoice based on the average rate of exchange in all of the items included in the invoice. This field is read-only. It is not possible to alter the rate of exchange in the invoice.
Transaction Detail - Customer Currency
This will be the default tab to appear when an invoice is requested on a travel folder where a customer currency code has been used. Sell and any applicable VAT values appear in this tab.
Transaction Detail - Branch Currency
Select this tab to view the pricings in the branch currency. All pricing values appear in this tab.

Receipt When issuing a receipt, two or three tabs will be displayed depending on your receipting method – Transaction Detail, Financial Assigning (cash sales), Financial Linking (normal). Each tab displays the pricings in customer currency and branch currency.
Transaction Detail
Both customer and branch currencies are shown on the receipt window. The radio dial button indicates which currency this transaction is being processed in.
Transaction Exchange Rate This field is read-only and defaults to the folder customer currency’s current sales exchange rate. If you have been granted the appropriate security settings this field becomes editable.

Financial Linking This tab displays any unlinked financial transactions issued for this customer. Select the appropriate
Sel column(s) for the items you would like to complete financial linking for.
Customer Currency
Pricings are displayed in the customer currency.

Financial Assigning This tab displays any items and associated pricings which have not yet been fully assigned to cash sale
receipts in the folder. Select the appropriate Sel column(s) for the items you would like to complete
financial assigning on.
Customer Currency
Pricings are displayed in the customer currency.
Branch Currency
Pricings are displayed in the branch currency.

Forex Variation Fee If there is a discrepancy between the currency amounts of the item at time of linking / assigning the
receipt with regards to the branch currency and the receipt/refund, the system will automatically add a
Forex variation fee to level out the discrepancy. This fee is labeled F_X, this is a special fee that cannot
be added to a folder manually.
Note: Please note that this F_X fee and the adjustment receipt will also be created if the currency has been configured to round sell amounts and the rounding took place within the transaction.
The system will always keep the customer currency constant as this is the amount that was quoted to
the customer – it is the branch currency amount that will fluctuate.

The system will also create a special receipt with a reason code F_X which will automatically resolve
any over / under differences.

Credit Note When issuing a credit note, two tabs will be displayed – Transaction Detail and Financial Linking. Each tab displays the pricings in the customer and branch currency.
Transaction Exchange Rate This field shows the rate of exchange used on this credit note, based on the average rate of exchange on all of the items included on the credit note. This field is read-only. It is not possible to alter the rate of exchange on the credit note.

This will be the default tab to appear when a credit note is requested on a travel folder where a customer currency code has been used. Sell and any applicable VAT values appear in this tab.

Both customer and branch currencies are shown on the refund window. The Refund In radio button indicates which currency this transaction is being processed in.
When issuing a refund, you need to update the This Refund amount in either branch or customer currency. The BMM will then automatically calculate the equivalent amount in the other currency, using the refund transaction exchange rate.
Package Dialogs. The folder’s Package Pricing displays folder sales amounts in accounting currency of your branch.

Reservation Module Bookings In the reservation module Travel Folder page it is also possible to select the customer currency from the Currency dropdown. The currencies shown in this list are those flagged as Customer Currency in the booking management module currency table.
It is possible to change the customer currency in the shopping cart as well:
Reconciliation Dialog Customer Payment Reconciliation Dialog Search Parameters Search Parameters Tab within the Customer Payment reconciliation dialog offers two sections related to the Transaction Value. One is for the Branch Currency, and the other one for Customer Currency. These From and To fields allow you to search for receipts/refunds by branch and customer currency values.

Transaction Currency is an optional lookup field which allows you to filter the customer payment reconciliation searches by the customer currency code of a receipt/refund. You can either type in a currency code or use the lookup feature to select a currency code from the Currency Search Results dialog.
You can also enter any currency code into this field, regardless of whether it is configured as a customer currency.
Results Tab
The following columns (B) or (C) in their heading are present in the results table to indicate that the data in those columns relate to either the branch or customer currency:

• It is only possible to select the Customer radio button when all transactions in the grid were issued in the same customer currency.

You can recalculate the branch currency due amount based on the customer currency balance due amount converted using current exchange rate by clicking the ‘Update GBP Amounts’ button within the pricing tab of a folder.
The Customer currency (USD) amount remains the same; however the Branch currency (GBP) amount is updated (as per screenshot above).
The system also recalculates the outstanding amount to charge for the rate of exchange variation and
adds a F_X fee automatically to allow for this surcharge.

It is possible to update the folder on a regular basis throughout the history of the folder to ensure that
the correct rate of exchange is being applied and fee is added each time.
Notes:
• If you do not want the Exchange rate fees to apply, it is possible to delete the fees which will revert the original price to the branch currency amount.
• The Exchange rate fees will not be included on any client documentation.
Reports to support Multicurrency Sales
Functionality Customer Facing Reports Customer Facing Reports can be accessed via Standard or Advanced Reports from the main menu and belong to Type 2 of the Reports.
Any sales amounts in these reports will always be customer currency sales amounts.
Customer Statement Report automatically groups transactions by customer currency. A total is
displayed per currency group within a customer as well as per customer.

Customer Financial Reports The following Customer Financial Reports display all existing amounts in customer currency as well
as branch currency.
• Receipts And Refunds Report

Transactions are grouped by customer currency code, with totals per subgroup displayed.
The grand total is displayed in branch currency only.
Receipts and Refunds report By Folder displays all existing amounts in customer currency only.
Financial Transactions Reports and Folder Invoice/Difference Report always display sales amounts (i.e.
Sell, Sell VAT, Split Commission & Split Commission VAT amounts) in customer currency rather than
branch currency. All other amounts are displayed in branch currency. The column headers for all
amount columns in these reports include the currency code.

Statistics Reports
Item report By product can be used to track down the amount of gain/loss generated over the specific
time period due to the rate of exchange fluctuation.
It is possible to extract the variation amounts by running the report based on the product code F_X or
receipts / refunds created with reason code F_X.
