Conference Plus At Deer Park Hall we like to think that every event we run is a memorable one but if you are looking for something extra special or trying to add a little more impact why not consider some of conference enhancers.

Choose from:

Conference Icebreakers ~ a selection of short activities designed to introduce delegates and get them into a receptive mood for the day’s events. Icebreakers usually only take about 15 minutes (dependent upon the number of delegates attending). One of our conference organisers can run the icebreaker for you or we will provide you with the necessary equipment for you to run them yourself and integrate them into the beginning of your presentation.

Icebreaker Activities are charged at an additional £20 + vat each

Conference Invigorators ~ a selection of short activities designed to re-energise your delegates and improve their concentration and retention of information after lunch when people usually hit a slump.

Studies have shown that by introducing delegates to a new environment and different stimuli for a short period of time they literally receive a ‘wake up call’ that puts them in a more receptive frame of mind for your sales pitch, training seminar or conference. We find they are most effective immediately after lunch – eliminating the ‘grave yard presentation slot’. The activities encourage team work, bonding and lateral thinking and generally create an atmosphere conducive to learning. They are also fun!

All this adds up to make a productive and memorable experience for you and your delegates.

Invigorators usually start with a few stretches to get the circulation flowing followed by one or more of the following activities and last for between 30 -40 minutes to fit in with your timetable. They include activities such as:

Your chosen lunch will be served to you in our lovely gardens enabling you to enjoy the spectacular views and providing a refreshing change of scenery.

Use of the pavilion for your board lunch is charged as a supplement of £50 +vat

Conference Catering Conference catering is very flexible and personally tailored menus can be pre-booked for any event, whatever you want we can cater for.

We also offer a selection of sandwich menus which are included in the day delegate rate. Salad menus and hot menus are also available for a small supplement. Please remember to inform us of any special dietary requirements, which we will be happy to cater for.

Good local produce and the freshest of ingredients are used wherever possible. Orange juice and water are also included in the day delegate package together with three tea & coffee breaks. Supplementary drinks and snacks can be provided on request.

For a small surcharge why not take advantage of our beautiful views and dine alfresco in our pavilion (only available for groups of 12 or less).

Hourly Rate £25.00 + vat ~boardroom only The Boardroom is available for hire by the hour, between the hours of 9.30am and 4.30pm ~ room only no equipment.

Tea & coffee can be ordered at a rate of £2 per person per serving.

At Deer Park Hall the buildings have been sympathetically restored using reclaimed materials and stone quarried on the hill, reducing maximise the use of natural daylight and use efficient heating systems to reduce fossil fuel consumption. The Conference Centre is located within the midst of our Organic Estate where we focus on natural farming methods. In front of the hall there is a pond /reed bed which has been built to help prevent flood alleviation in the local area. The food we serve is sourced as locally as possible using the freshest, high quality local organic ingredients wherever possible, with some of the produce coming from our own farm. In addition the Deer Park Hall Estate is involved with several local community projects to keep village life alive and help educate our children.

Being located in the centre of England Deer Park Hall is an ideal venue for national meetings, helping to keep travel miles to a minimum. For every 10 delegates that visit Deer Park Hall we will plant a tree on our beautiful estate in order to help offset your carbon footprint.

Air Pistols Great fun, but not as easy as John Wayne makes it look. £

Archery A traditional activity, very visual and competitive. £

Blindfold 4x4 Driving

This activity can only be described as challenging and exciting. The views are breathtaking but you won’t be able to see them as you’ll be blindfolded and relying on your team mates to guide you!! A great test of communication skills & trust building. £££

Clay Pigeon Shooting Enthusiastic instructors, sensible targets and low recoil cartridges are the ingredients for a really enjoyable activity. ££

Crossbows The attraction of this discipline is similar to archery, historic, competitive & visual, but does not require the same degree of strength. £

Falconry Participating Demonstrations make sure that guests are involved to the maximum. Unforgettable if it is the first time you have had a falcon or hawk land on your gloved hand. £

Gnat Shooting Shooting down Model Aeroplanes: The ultimate shooting fun. Shoot at aerobatic model aircraft, either make the pods explode or, with a bit of luck, actually shoot the plane out of the sky. £££

Hovercrafts Experience flying at ground level on a cushion of air, no license required to participate! ££

Laser Clay Shooting

A FULLY AUTOMATED SYSTEM PROVIDES AN authentic feel to this activity without the noise. Genuine de-activated shotguns, fire harmless infrared light at the flying modified reusable clays. Scores are automatically flashed up for all to see! ££

Indoor Laser Shooting

Shoot with a pistol, shotgun or rifle. Experience target shooting or shoot prey such as pheasants, rodents, big game, ghosts & ghouls! The choice is endless. The game can be set according to ability so even the sharpest of shooters will be challenged. £

Quad Bikes & Pilot Buggies

Go trekking to the top of Bredon Hill and look out across the valley towards the Malvern Hills from 1000 feet up or test your skills and concentration powers on our woodland obstacle course. £££

Reverse Steer Mokes

Sounds simple, just turn the steering wheel the opposite way than you are used to. It will take all your powers of concentration and co-ordination, especially against the clock. £££

River Challenge Build your own raft or simply collect the necessary equipment by completing a series of challenges to make you river worthy and navigate your team to the finish post in an open canoe. £

Set Out Aims of Your Conference

Plan Conference Programme & Topics

Agree Speakers and presentation timings, content and running order

Agree budget and allocation of budget: venue hire, catering, speakers, handouts etc

Agree guest /delegate list and form of invitation

Remember to incorporate networking time and facilitators

Book your Venue

Agree access times and set-up times

Confirm arrival and departure time of delegates and that of support staff

Agree Rooms hired, facilities included and payment terms. Check room facilities; natural daylight, plug sockets etc

Check if internet access is available, download speeds and cost

Agree Room Layout including seating arrangement for speakers/ presenters

Agree Catering requirements, numbers, special dietary requirements and timings, including tea & coffee breaks

Agree rooms hired at venue – are you dining in the same or separate room? If separate how close are the rooms?

Is a hospitality desk required/available?

Check disabled facilities

Check ease of access to rooms – do conference organisers have easy access to rooms with equipment and presentation materials from car park?

Availability of car parking – is it on site? What distance from conference rooms? Is it free or chargeable?

Check toilet facilities, their number and proximity to conference rooms

Check Equipment required/available and hire rates, is there back up equipment available? Technical staff to help with set-up?

Conference Organisers Check List

Book your Speakers Agree fees and travel costs

Agree what extras are required; accommodation, transport, presentation equipment and handouts

Agree presentation format and style, duration, topic

Confirm if Speaker needs access to room for rehearsal prior to conference

Confirm if they require a microphone / audio visual equipment

Check terms of booking and cancellation policy

Invite your Delegates

remember to include:

A brief description of the conference and key topics, details of any keynote speakers and timings

Details of venue with address, postcode and contact details

Details of local transport links and accommodation

A reply/confirmation of attendance request

A request for any special dietary or access requirements or restrictions

Booking terms and conditions, cancellation policy and accepted method of payment if applicable

Invoices and vat receipts if payments are made for the event

Acknowledge delegate bookings and harvest information if required for delegate name badges and/or registration

Conference Organisers Check List

Prepare Conference Materials

Ensure the presentation works and all elements are in the same format and style

Book rehearsal time if necessary – where & when?

Prepare handouts and presentation packs and certification documents

Prepare Registration/Delegate Attendee check list

Prepare Name Badges and Tent Cards if required

Produce conference/workshop evaluation forms and agree method of distribution – at conference or sent out as a follow up?

Remember laptops, power cables, back up presentation on memory stick, phone, handouts, spare pens and paper

Remember to leave an out of office message behind with details of how delegates can contact you if there is an emergency or they’re late or lost

Brief conference venue if you wish them to handle these calls

Check travel times to venue to ensure you arrive in good time!

Any promotional gifts?

Provide useful tourist & travel information pack

From the North

Take M5 to junction 7 Take B4080 to Pershore/Evesham for 5 miles As you enter Pershore take first right

signposted to Upton (A4104) & Cheltenham (A435)

After 1 mile take left hand turn B4080 for Tewkesbury, Cheltenham, Eckington & Bredon

Continue for 2 miles driving through Eckington and take first left hand turn signposted to the Combertons & Deer Park Hall

Follow road for approx. 1 mile and then turn right at signs for Deer Park Business Centre & Deer Park Hall

From the South

Take M5 to junction 9 Take 3rd exit for Evesham A438 After 1 mile turn left at Aston Cross,

signposted to Bredon & Eckington A4079 leading into B4080

At Bredon, take dogleg left then right, signposted to Eckington

As you approach Eckington take right hand turn, for the Combertons

Follow road for 1 mile and then turn right at signs for Deer Park Business Centre & Deer Park Hall.

Continue up the road and turn right at the sign for Deer Park Hall

For easy single level access please use Courtyard Entrance for the Panelled Hall and Rear Entrance by Lambs Leap Lawn for Bredon Room
