Terms for the Venues:
The banqueting venue hire includes set up in White, Tables & Chairs in white
linen.
Cocktail Reception or Ceremony venues will not bear any additional cost if they
are preceding the Banqueting at the same venue on the wedding day. (The hotel
staff will require approximately 2 hours to set up the venue for the banquet after
the ceremony or cocktail reception has concluded and guests have left the venue)
The outdoor venues are available for hire until 23:30. The music in all Outdoor
Venues can be played until 23:00. Music in Indoor Venues is available until late.

We offer the option for a cocktail reception to all couple’s here at the Asterias Beach hotel. A
cocktail reception is an informal setup where your guests will gather after your ceremony
whilst you are having your professional couple photography. You will join your guests here
afterward to cut your cake and toast yourselves!
Open Bar Packages:
As part of our high quality of service, we set up the cocktail reception venue exclusively for
the wedding party and assign private service for you and your guests. This private set up and
services are not a part of the all-inclusive formula of the hotel and are charged extra.

So you have read through our brochure and have made the exciting decision to join us in the
Asterias Beach Hotel for the best day of your lives. Please see the below step by step guide in
how to place you booking with us.
1. We kindly ask you to complete and return the booking form found on the last page of
this brochure. Try to include as much information as you can, even if it is estimated at
this early stage
2. Once we receive your completed form we will provide you with a quotation based on
the information you have provided us. Carefully review this information and we look
forward to receiving your confirmation
3. At this stage we advise going online at www.bookyourweddingday.com and book your
wedding date to receive an instant confirmation from the town hall.
To find the hotel choose Cyprus, Ayia Napa and Asterias Beach Hotel.
Alternatively, upon confirmation we will go ahead and request your chosen wedding
dates in order of preference with the town hall and await their response, we would
expect to receive confirmation of booking within 3 working days.
4. We will send you the booking confirmation and would request a non-refundable
deposit of €400 in order to secure your wedding date and ceremony time within our
calendar, of course we are at hand to advise you with the best times and venues to
suit your requirements
5. Once payment has been received it will be official, we imagine you will spend the
evening celebrating
6. We will continue to liaise with you to book and suggest details for your big day.

Your Wedding Coordinator
Here at the Asterias Beach Hotel we fully understand any worries or doubts you may have
when booking abroad. Many couples rely fully on our brochure and aren’t able to come and
visit the hotel prior to booking.
Worry not we are at hand 7 days a week for any questions you may have. We have everything
covered and invite you to join our facebook page regularly updated with pictures, special
offers and reviews. This will also allow you to chat with other upcoming and previous wedding
couples to offer advice on experiences.
If a question springs to mind at any time we can correspond via email or telephone and
promise to get back to you each time within 2 working days.
Upon deciding to book we will assist with the following;
o Request your chosen ceremony date and time with the registrar at the town hall
and request their services for your marriage on your wedding date.
o Arrange your declaration appointment with the town hall which will take place
prior to your wedding date, to prepare your wedding license with the
documentation required. We will also arrange the transportation to and from the
town hall on your behalf
o Prior to your arrival in Cyprus we offer you the chance to send your
documentation to us via email for us to check and confirm all is correct
o Advise accordingly with venue choices, banqueting menus entertainment etc, We
endeavour to provide what is best suited to you as a couple, bespoke packages can
be created for you uniquely. We will continue to update your quotation prior to
your arrival with each detail you continue to add so you are fully prepared before
you arrive
o Book and liase all additional suppliers you require and confirm timings with them
on your behalf, we aim to make your wedding day completely stress free and all
items will be arranged well in advance of your arrival here in Cyprus
o To meet with you upon your arrival to resort to finalise all details with you
o Finalise all of your requirements for your big day with all departments within the hotel
o Assist you on your big day with any requests you may have

Terms & Conditions
1. Upon your arrival at the hotel, a meeting will be arranged, with the hotel wedding coordinator to recheck and finalise all details of your wedding. The meeting should take place at least 48 hours prior to the wedding date.
2. Requested wedding dates will not be finalized until the date and time is confirmed by the municipality and the hotel.
3. The wedding ceremony must be followed by a reception meal at any of the hotel Venues. Hire fees for the various venues apply.
4. Upon confirmation of your wedding booking a €400 non-refundable deposit is required to secure your wedding date in our calendar (this includes bookings received online). This amount will be deducted from the final settlement. Once payment has been received it will be official.
5. In order to secure banqueting venues in advance a non-refundable deposit of €400 is required which will be deducted from the final settlement. We suggest booking venues well in advance to avoid any disappointment.
6. The remaining balance should be settled at least 48 hours prior to the wedding. Any extra charges of your event can be settled on the next day of the wedding.
7. Please provide provisional numbers at the time of booking. The final confirmation of the number of participants should be given 7 days prior to the event. This number should be no less than the 90% of the first quoted number. Otherwise, the hotel reserves the right to adjust quoted rates accordingly.
8. The final charge will be based on the final number provided with 5% deviation. For example if the final confirmed number is 100 people, the minimum amount of participants to be charged will be 95. The hotel will be obliged to prepare for 105 people. However, all participants over and above the final number will be charged.
9. The hotel reserves the right to agree a minimum number of guests to be charged for the cocktail reception or dinner at this time.
10. All legal documents required to marry in Cyprus are the responsibility of the wedding couple and all original documents must be brought with them to Cyprus. Page 42 contains the information of the required documents. For any queries or uncertainty regarding the required documents the wedding couple must contact the wedding coordinator prior to their arrival in Cyprus.
11. The hotel reserves the right to judge acceptable levels of noise or behavior of the clients and his guests. The client must ensure compliance with the hotel’s directions regarding noise and behavior. The hotel reserves the right to exclude or eject any person from the event or the hotel if it reasonably considers such person to be objectionable and to terminate the Contract and stop the event if necessary, without any liability for any refund or compensation, in order to prevent or terminate unacceptable noise or behavior.

12. The hotel reserves the right to substitute any product with that of an equivalent product
in terms of value if the original is not available.
13. The hotel reserves the right to relocate any function when necessary, for instance, in case of bad weather and the ceremony is held in an outdoor venue. In this case no refunds will be offered.
14. Guests are responsible for any loss or damages made to the Venue. In case of any damage, the guests will be charged accordingly by the hotel management.
15. The open bar or beverage package is valid for the duration of the wedding banquet or cocktail reception or until the timeframe agreed in writing between the hotel and the guests.
16. The non-residents entry package / All Inclusive packages can be purchased at the hotel reception upon arrival at the hotel. This package can be used at any all-inclusive outlet of the hotel during their hours of operations. All inclusive drinks or food are not served in any wedding banqueting or cocktail reception venue and are not allowed to be brought in.
17. All wedding guests attending a reception or dinner must purchase a beverage package/open bar.
18. External suppliers are NOT permitted to enter the hotel, specifically Photographers, Videographers, Florist, Hairdressers, Beauticians, Make-up Artists, Musicians or Entertainers.
19. All services required for the wedding day for example, wedding cake, flowers, beauty treatments, photography, videography and transports must be purchased from the hotel.
20. Food items that are not consumed on the wedding day are not the responsibility of the hotel and will not be kept for health & safety reasons. No storage facility can be provided.
21. This brochure relates specifically to 2018 – 2019. The management reserves the right to make changes at any time without prior notice.
In case of Breach of any of the above terms and conditions, the hotel reserves the right to cancel the whole event, without obligation to return the down payment.

Documentation Required for a Civil Wedding
The following ORIGINAL documents must be brought with you to Cyprus, preferably in your
hand luggage. The documents need to be either written in or translated into Greek or
English:
o VALID PASSPORTS with at least 3 months left to run after the date of travel.
o BIRTH CERTIFICATES long or short, original certified documents.
o STATUTORY DECLARATION (Also known as Sworn Affidavit or Certificate of No
Impediment) signed by a solicitor or notary public confirming your marital status, i.e.
divorced, widowed or single, and that you are free to marry. This document must be
dated, signed and stamped by the issuing solicitor or notary public. A business card
should also accompany this document. Such documents are only valid for 3 months
maximum prior to the date of the wedding ideally the document is best obtained
between 8 and 12 weeks prior to the wedding date. The couple must ensuretheir validity
at the time of application and on the actual wedding date.
o COPIES OF TWO WITNESSES’ PASSPORTS (copy of photo page). Witnesses can be provided
by the hotel if required.
o DECREE ABSOLUTE (in case of divorce).
o DEATH CERTIFICATE (in case of widow or widower).
o ADOPTION CERTIFICATE (in case of adoption).
o DEED POLL CERTIFICATE (in case of a change of name) – must be stamped by a solicitor.
o WRITTEN CONSENT to be submitted to the Marriage Officer on application, if either party
of the intended marriage is less than 18 years of age. This must be signed by the father of
such party or by the mother if the father is deceased or incapable of consenting, and
failing that, by the legal guardian of such party.
These requirements apply to British passport holders only. All other nationalities must
refer to their respective government agencies for accurate information regarding the
necessary paperwork.
The Civil Ceremony fee is fixed by the Ministry Of Interior and payment is required in cash
upon the declaration appointment with the couple. The Marriage License (€281.92) and
Registrar Fees (€200) are subject to change at any time in accordance with the law.
The Municipality is able to conduct civil ceremonies Monday- Friday between 11:00 and
16:00. For later ceremony times an additional fee will be applied. Saturdays are available
upon special request and with an additional fee. The above excludes any public holidays in
Cyprus.
