HumanResources As has been discussed, I recommend the engagement of Kevin White, Essential HR Services,
to help us achieve the EBA goal of implementation by June 30. Proposal and costs contained after.
Greens Andrew Trelfo was given direction to have the greens in order by the 3/2/2012. This is not
the case. I suggest the Board discusses why that is, and a course of action. Andrew’s original direction letter contained after.
Haydn Bojkowski has had clarification given to him. This covers: o Whether he is employed as a bowlers o Leave and payment during representative events o Expectant standards of productivity and uniform
Haydn was issued with a letter and a copy has been sent to his parents as well as Andrew Trelfo.
EnergyEfficiencyGrantsandalternativeenergy As the Board is aware I have been closely monitoring the availability of grants for energy
efficiency upgrades. I have also put together a quite detailed alternative energy proposal (unfortunately not ready for the board yet). Of particular note recently:
o The Community Energy Efficiency Program (CEEP) has opened, and will accept applications until 23/03/2012. We are eligible to apply, if successful the fund will cover 50% up to $5million.
o The feasibility study arrived from the Cogeneration people, giving an indicative payback period (ROI) of approximately 4.5 years without grants (this is in line with my own calculations).
I recommended that we pursue the CEEP grant aggressively as it has the potential to reduce the payback period on cogeneration to approximately 2.5 years, and reduce our overall energy consumption by 50%. A significant amount of money in anyone’s term.
If approved can I request a small budget to enable costs in accurate quotation and any incidentals given the tight timeframe, suggest $3000.

NewSubClubs Both the Car Club and the Deep Sea fishing Club have fulfilled the requirements outlined. The Deep Sea Fishing Club is requesting to begin to draw down on their sponsored amount.
ExpensesReview The expenses review will be addressed in consultation with Bob. A number of items are
potentially sensitive, hence the discussion at a board level. One section of the expenses review requests the implementation of complementary drinks
delivered to the gaming floor for limited hours each day (this is NOT illegal). I would like to try this for a trial period of 6 months. This is very common in Sydney and has the potential in attracting more gaming patronage.
During this period I will gather data to present back to the Board at the end of 5 months.
PromotionalandHonourBoards The Rutherford Football Clubs promotional TV is up and will have a graphical surround
shortly, please see the graphic following. As the issue of Honour boards has been ongoing, if the Board sees fit I would like to propose
3 roof hung TV’s near the bowls office to be dedicated to Bowls Honour Boards. These would also be graphically enhanced through surrounds similar to the Football Club. Estimated CAPEX Cost $5,000.

Good Afternoon Mr Martin,
Thank you for your time on the 01 February 2012, and your detailed overview of your business. It was clear in discussion that you have multiple priorities regarding the Human Resources provisions of the business, and have penned a timeline in which to achieve these goals.
You have primarily highlighted the implementation of an Enterprise Agreement as an important first step in the process, and in discussion, we note the timeline will be very tight to be able to implement the process by the end of this financial year.
Your initial outcomes discussed were:
1. Inform and assist on the creation of an EBA 2. Assist with negotiation between staff/Union and Club 3. Assist with the implementation of the EBA
The outline is for approximately 7 site visits with Essential Hr Services assisting in each section of the agreement process. I will be required to deliver this support directly to yourself/the Board (if required). I note due to the location of the business, I would be required to deliver a full day of HR service to you on each of the site visit days.
It is envisaged that the Employee Agreement process will take approximately 6hrs of the site visit – as discussed, I am happy to assist in other HR matters for the other 2hrs per visit, where a skills audit may be undertaken, or any other HR services as per request. The hrs will be dictated by the depth of the negotiation process.
Therefore, I am happy to propose a daily rate of $800 (excl. GST) for each site visit (min. 7), invoiced separately, with a 14 day settlement. I do not consider this as an ongoing contract, and believe a week by week approach to each service provision will allow you the flexibility to achieve your goals.
All policies, procedures or processes built for Maitland City Bowls Sports and Recreation Club (the Club) will remain property of the Club – Essential HR Services will not retain interest in Intellectual property whilst delivering the onsite support.
I will provide my own hardware/internet whilst onsite, the Club will be required to provide copy/printing costs. Otherwise, a set fee can be discussed.

Maitland City Bowls Sport and Recreation Club Board of Directors have reviewed your report as required. The Board of Directors accepts the reports and has resolved that all greens are to be reinstated to their previous high standards no later than Friday the 3rd of February 2012. This will mean that the greens must be flat and level, have full grass coverage, and be free of disease and insects and be “rolling” at an appropriate pennant level speed. 1. You are NOT employed as a bowler. You are employed as an apprentice greenkeeper. Being a bowler and an employee should not be confused, they are separate.
2. When any representative matches arise which require you to take time off work, you are required to submit a request to the CEO prior to any leave taken. The CEO will then decide on a case‐by‐case basis whether, 1) it is approved (generally shouldn’t be a problem), and 2) whether you are paid your normal wage during this time.
3. Your progress as a greenkeeper is always being monitored. As requested the CEO will require your academic results every 6 months. This will ensure that your skills are being developed as required.
Moreover, it is very important that you are putting in 100% effort into your role. At this point in time, I do not see this. On occasion, you seem to be “lost” and generally lazy. Your uniform, and the way you wear your uniform at times is less than ideal, and you are more interested in cutting and rolling greens than learning the wider scope of the role which includes, cleaning gutters, mowing lawns, weeding, maintenance, and general duties cleaning.

Therefore, you are required immediately to take corrective action to lift your productivity to a satisfactory level to both the Head Greenkeeper and Management. Should no improvement be witnessed in the short term, formal disciplinary action may take place, which could include warnings, restrictions on leave and ultimately could place your position here at Maitland City Bowls Sports and Recreation Club in jeopardy. FEBRUARY 2012 BOARD REOPRT Good afternoon Gentlemen
Having been on annual leave for the past 3 weeks I have not a great deal to tell you all, other than its good to be back and as you all know I only put in my last report just before I went on leave for the combined meeting you had at the end of January
Whilst I was away feedback was that Saturday night swing with Gold Cadillac went off very well and also Saturday night Trivia was well accepted. Since being back I have decided to take part in Hunter Valley Wedding Expo on Sunday 6th of May at the Maitland Town Hall exhibitors fee is $400.00 and I am sure it will pay for itself in bookings, which the last time was very good for us with 5 bookings, then on Sunday 9th September Maitland City will host the next Wedding Expo. Maitland City has proved to be the best in holding these Expos due to the facilities that we can provide for up to 65 Exhibitors, plus great exposure for our club Thank you

Motel Report Details: Motel is running fine. Holding occupancy very well. We have had another incident with teenagers climbing over the back boundary fence to enter the locked pool. Have gave the Police their photos & they are looking into it. Computer System. Our computer systems are outdated with programs that we are trying to run efficiently for the motel. Still running the same program for the last 10years & we need to progress with technology. These computers are getting extremely slow with operations. Front Desk program is an American based program that doesn’t handle GST component with invoicing & the date is backwards. We have been looking into new systems & programs to suit the motel needs. We have been looking at a new front desk program called SATIN SOFTWARE. (See attached pages for details) It covers all aspects of the motel that is required & has a full back up support service. Up until this stage we have not had to pay any monthly fee for the existing program unlike all other motel front desk programs. Satin Software is compatible with ARRA (Budget) booking systems. Costing wise there is no upfront costing, just a $215 per month fee (includes full back up support) Computer Hardware. We would require 2 new computer systems at the cost approx. $900 per unit. There will also be a fee for an IT person to backup old computers & to reinstall data on the new systems. We have already spoken to Richard Ryan (club IT person) about backup & transfer of data for the new machines. Said he could do this. Ian has full detail on the software if required. The Satin Front Office software product is developed and marketed byProgramania Software Pty Ltd, ACN 050 055 331, incorporated in 1990. Programania is currently based at Nowra in NSW, and sells the productthroughout Australia.
Product Background
The software is created using ‘Magic’, a state-of-the-art professional softwaredevelopment environment. Magic allows rapid development of new features, andprovides excellent support for safely managing program modifications. The endresult is a consistent and reliable system which can be adapted and extended tosuit new requirements.
Satin Front Office has been developed in Australia solely for Australian properties.Since the first installation in 1995, Satin has evolved over the years to become thebest system of its type for Australia. It is regularly updated and improved inresponse to suggestions and requests from customers.

The cost of this service is scaled on the size of the property. Based on theproperty size of 33 rooms, the monthly fees will be $ 215 including GST.While the property is a member of ARRA Accommodation Group we will deducta 25% group discount from this amount.

The ongoing fees may not be increased over time by more than the proportionalchange in the Sydney Consumer Price Index compounded over the same period,unless by mutual agreement.
These fees reflect the real costs of providing the services for which they arecharged. This ensures that the supplier will continue to exist to provide thenecessary ongoing support and maintenance for your systems. Since themaintenance is paid on an all-inclusive subscription basis, there will never be anyneed to discuss financial matters before attending to any technical problems whichmay arise and need immediate action. These fees are all-inclusive. There areno other fees nor charges.
The preferred method of payment for the monthly fees is via automatic directbank transfer. The deposit details for Programania are shown on each invoice.
Logistics
The site is required to provide accommodation and meals for the Satin Softwarestaff while they are attending your site by arrangement. All other costs of ongoing software support and maintenance activities arecovered by the monthly maintenance fees. There are no other fees nor charges.
