ACF-001: Household Account Statement Filters to use with this report: Accounts 1. Each camp will have a customized household account statement. It will list the charges of each
camper and the household’s payments for a given season. This is often referred to as an invoice or
receipt.
2. You can run this report from the household account screen or from a camper charges screen by
clicking on the invoice button.
3. The Household Account Statement should be run as a batch by using filters under the accounts tab;
this will give you a complete picture of each household’s account activity by season.
Example of how to run the report:
Please note: The above example pulls households with balances. By removing Season Account
Balance you would get all invoices for every family in the given season.

CCF-100: Revenue Details by Accounting Category (Accrual Basis)
Filters to use with this report: Charges
1. This report is a summary of camper charges only, grouped by season and camp, and provides
totals for each category. Since there are no payments included in this report, it is ideal for those doing accrual based accounting.
2. For this report to make sense you want to make sure that every charge you have configured in the Season Builder Step 4 Fees, has an accounting category assigned to it. Categories can be anything you want them to be. For example, they can group a specific selection of charges under one name or even General Ledger Codes. You can even combine a specific name with a GL code as in: Pre Camp | 1-20-00-6555-00000.
3. If GL codes are important to your financial reporting, please talk to a member of our team about the best way to set them up.

Please note: You can only run this report with the charges filter. In the example above we are filtering for revenue as of June 30
th. There are many charge filters to help you narrow your search.

CCF-105: Revenue Details by Camp and Session (Accrual Basis)
Filters to use with this report: Charges
1. This report is a summary of camper charges only, broken down to show a sub-total of all season, camp, session, session option and camp option level charges.
2. This report will follow the same filters as the CCF-100. If you run them for the same time frame (i.e. with the same filters) they should give you the exact same totals. The obvious difference is that this report is summing up charges by camp, session, and session option whereas CCF-100 is giving you the sum of charges per accounting category.
3. One thing that you want to keep in mind is, any manually added charges should be properly assigned to a camp and/or session and/or session option should they belong to any of those. There might be instances where a charge is just a season level charge and it does not belong to any camp. This is where our CCF-150: Charges with No Camp by Season report can help you.

CCF-110: Revenue Details
Main filters to use with this report: Charges
Additional filters you could use with this report: People | Registration
1. The intent of this report is to give you an overview of your revenue per camper per selected season
or overall for all seasons. It provides every charge date with a description and the accounting
category it’s assigned to. It also shows the amount, the tax and the total amount per charge. It
groups all of those charges by person, and then it gives you a subtotal per person.
2. If you run this report and you select a certain charge session or charge camp and you notice that
some charges are missing, that could be due to the fact that the charges have been added manually
and a camp and/or session has not been assigned to the charge. To correct the issue, go to the
camper that you know is missing, find the charge, click on the EDIT button and assign the charge
correctly. There is also a report that can help you be proactive with the process called CCF-150:
Charges with No Camp by Season.
3. As a bonus, you could potentially use other filters in conjunction with the charges filters to single out
a specific group of people. Let’s say you want to see campers who have come for Session 1 and
who have a “Hat” as a charge description or an accounting category (depending on how you are
setup). You could use Registration “Session 2” filter and filter for Charge Season + Charge
description (or Accounting Category) “Hat”.

CCF-150: Charges with no Camp by Season

1. This is a utility report that will help to keep your data clean, correct and organized.
2. You might want to run this report by selecting a charge season. Usually you would run it without any
filters just to get a complete overview of every charge that is not assigned to a camp in every one of
your seasons.
3. This report helps you keep your accrual basis revenue reports correct.
4. When this report returns a list of charges, you will want to make sure that those charges are
supposed to be without any camp and/or session and/or session option. If you see a charge that is
listed here but you know that charge should belong to a camp, session or option, you would need to
find the camper in question, edit the charge and change the camp/session/option charge
assignment. You can do this easily by clicking on the charge EDIT button.

CCF-200: Daily Deposit Journal by Payment Method
1. This is our main payment summary report. You can only run it on by using payment related filters.
2. Depending on the filtering criteria you select, the report will show you a list of payments separated
by day and sorted by household.
3. The Daily Deposit Journal will show you Household name, the Season that the payment belongs to,
the payment description, the last four digits of the card number (if it’s a credit card payment), the
credit card type, the authorization code and the payment amount.
4. Depending on how the payment was allocated the report will also show which campers the payment
will be assigned to. If the payment is not allocated the summary table will simply show the label
“Allocated to Account”, and the payment amount. This means that the payment sits on the
household account.

CCF-205: Payment Summary by Accounting Category (Cash Basis)
1. This is a payment summary report that shows how payment amounts have been allocated relative to
the accounting categories within a season.
2. This report first groups at the season level, then the camp level. Under each camp you will see a list
of accounting categories that have been assigned to that camp with the sum of all payments
allocated to each of those categories.
3. If you have categories that are not assigned to any camp, those will show up at the top of the
season grouping under the label “Not assigned to a camp”.
4. Any payments that are allocated to a charge without a category will show up at the top of the camp
groupings and will be marked as “Unassigned Accounting Category”.
5. A sum of all payments that are not allocated at all would show up as “Unassigned Accounting Category” under the section that is showing amounts that do not belong to any camp. (see the picture below)
Example of how to run the report:
A. Sum of payment amounts under “Unassigned Accounting Category” and “Not assigned to Camp” these payments
are not allocated at all.
B. Sum of payment amounts under “Unassigned Accounting Category” that belongs to a camp, those payments are
allocated but to the charges that do not have an accounting category assigned to them.

CCF-210: Payment Summary by Camp and Session (Cash Basis)
1. This is a payments summary report that shows how payment amounts have been allocated relative to
camps and sessions within a season.
2. This report will show you how much money you have received for every Season, Camp, Session and
Session Option.
3. Any money that has not been allocated will show up at the bottom of the report under the
“Unallocated payments and fees that do not belong to a camp”.
4. Any money that is allocated to fees that are at a season level and have not been assigned to any
camps will show up together with unallocated payments under “Unallocated payments and fees that
do not belong to a camp”.
5. This report respects the same filters as the CCF-205: Payment Summary by Accounting Category
report.
A. If you have fees that are not assigned to a camp, or if you have unallocated payments, they will show
at the bottom of the report as “Unallocated payments and fees not assigned to a camp”

CCF-250: Declined Payments
1. This is a very simple utility report. It will show you declined credit card payments you might have in
your system.
2. Run it without any filters, or narrow down your results by selecting a desired payment season or
dates.
CCF-260: Unallocated Payments
1. This is another utility report. It is designed to show you any payments that require allocation.
2. On this report you will see the original payment amount, and the amount that is not yet allocated. Sometimes an entire payment will be unallocated, other times only a portion of a payment will be unallocated.
3. If there is a payment in your system that requires allocation, that payment will be listed when you run this report.
4. If a household has allocated all their payments, and it turns out they have overpaid, the overpayment amounts will not appear on this report. Instead refer to the CCF-300: Household Balances report and look for households with negative balances.
5. Run this report without any filters, or narrow down your results by selecting a desired payment season.
CCF-300: Household Balances
1. This report being a household based (or account based) report is setup to work with the Account Season filters.
2. It is pre-set to show households who have some sort of a balance, positive or negative. It will not
show households with $0 balance.
3. As you might know, the CCF-260: Unallocated Payments report shows any households that have
payments which need to be allocated. In cases where a household has overpaid and there are no charges to which we can allocate our overpayment, those households will not show on the Unallocated Payments report. Therefore to find overpayments you can use this report and specify in your Accounts filter that you want to see Account Balance less than 0. This will give you a list of households that have a balance less than zero.

4. Reports you could /should use with this report: CCF-260: Unallocated Payments Report and maybe the CCF-310: Camper Balances report
5. You could use this report and the CCF-310: Camper Balances report to confirm that your balances
make sense. However the CCF-310: Camper Balances report depends largely on correct payment allocation.
6. When you run CCF-300: Household Balances to find households with overpayments, make sure you go to the listed accounts and confirm that the allocation is done correctly. Start by allocating a payment to a negative charge first. Once you do that and once the CCF-260: Unallocated Payments report is not showing you any payments then you are in a good spot to compare Camper Balances and Household balances. Of course for those two to be identical in their balance amounts, you also have to make sure that any overpayments are refunded to the families.
Example of how to run the report:
Please note: You can (should) run this report by selecting only Account Season, above example pulls
households with negative balances (better known as overpayments).
CCF-305: Household Balances (for calculating balances as at prior dates)
1. This report will give you a list of household balances as at prior dates. If today is September 20th
and you want to see what your household balances were on June 30
th, this is the report you want to use.
2. In order to provide that functionality we had to step away from the account filters and we had to start looking at the charges and payments seasons.
3. To run this report correctly please select “Charge Season with Charge Date” and “Payment Season with Payment Date”. You have to select both Charges and Payments filters for this report
to give you accurate results.

CCF-310: Camper Balances by Session
1. The intent of this report is to give you an overview of camper balances per selected season or overall for every season. It gives you a sum of charges, payments and balances broken down per season, camp, session, and options grouped on person. It then gives you a subtotal per person.
2. It’s a straightforward report that brings in charge information with allocations and balances. You run it by using the charges filter.
3. Prior to running this report, please run the CCF-260: Unallocated Payments report and make sure there are no payments that need to be allocated.
4. As an added measure of keeping your data straight, please follow the steps from section 4 of the CCF-300: Household Balances. Please run CCF-300: Household Balances to find households with overpayments, and make sure all those payments are allocated correctly. Payments should be allocated to negative charges first followed by all the positive charges.
5. As a bonus, you could potentially use other filters in conjunction with the charges filters to single out a specific group of people. Let’s say you want to see campers who have come for “Session 1” and who have balances on their account. You would use the Registration Filters to filter for “Session 1” and the charges filter to filter for Charge Season “Summer 2015”. Running the report like this will allow you to see account balances of people who are coming for “Session 1”. Please note these are not “Session 1” balances, this is overall account balances of people who are coming for “Session 1”.

REPORTS FOR ACCRUAL ACCOUNTING
For those organizations using accrual accounting, here are the reports most appropriate:
1. Revenue/Unearned Revenue (CCF-100 or CCF-105) – these reports will provide the camper
charges for the period of time required and this represents the revenue or perhaps unearned revenue for that period. Determining when to recognize the revenue should be based on the timing of the sessions and CCF-105 is best for that purpose because revenue is provided on a camp and session basis.
2. Receipts (CCF-200) – this report is ideal for providing the summary of money received in the period
specified – it is a summary of all payments.
3. Accounts Receivable Balance (CCF-305) – use the filters described above to calculate the
receivable balance as at a particular date. This serves as a good reconciliation report for the above 2.
REPORTS FOR CASH BASED ACCOUNTING
For those organizations using cash-basis accounting, the most appropriate report to use is CCF-200.
This Daily Deposit Journal report provides both the ability to reconcile your bank deposits and the
detailed accounting journal entry to book your revenue (the payments are summarized at the bottom into
their appropriate accounting categories). Please note that payment allocation is absolutely essential in
this case. In other words, all payments need to be allocated to the Camper Charges in order for the
accounting categories to be complete. Use CCF-260 to identify any unallocated payments.
Please note: We recommend entering new transactions, dated in the current period, rather than
manually adjusting older transactions. Adjusting older transactions can alter the financial results of prior
periods. Running cumulative financial reports will assist identifying any prior period changes.

CCR-100: 5 Day Attendance Sheet
Filters to use with this report: People | Registrations
This report generates a list of camper names, with five blank columns next to them – one for each
weekday. The names that appear on it depend only on the filters you selected before you run it.
It is intended to generate paper documents on which camp staff can take attendance records for a single
week.
Example of how to run the report:
Please note: The only thing that indicates what these children are attending is the Filter Criteria. You
should only run this report for ONE Session, or Session Option, or Camp Option or Cabin at a time.
Otherwise the report will be no indication of what any particular child is attending.

CCR-110: Camper Check-in-Sheet
Filters to use with this report: People | Registrations
1. This report is a summary of the information a camp generally needs to know when checking a
camper in.
2. The report is grouped by Session. All the campers who are attending the same Session will be
grouped together in the report.
3. “Session String” is a list of the short names of ALL sessions for which the camper is registered, so
you can see at a glance if they are scheduled to do anything else while at camp.
4. The three financial columns, “Charges”, “Payments” and “Balance” refer to the entire Season, not
just the one session. So even if a child shows up in more than one Session on this report, his

the Secondary Household if one exists. c) Emergency Contact information: Name, Relationship, and phone numbers. d) Registration information: Season, Year, Camp, Session, Session Option, Status (whether the
registration was cancelled or not). This section responds to the Registration filters, so you can exclude any irrelevant information e.g. last year’s seasons.
e) Financial Information: A list of all the camper’s Charges, with Date, Description, Amount, Total Paid, and Balance.

Need to print labels? Please read this: All of your Label reports should not be printed straight from the
browser. Browsers tamper with exact dimensions of the report and the print off will not fit to your label
template. Instead, save them as a PDF on your computer and print them from that file. Before you print

1. This report gives an overview of each staff member’s most important information. It is in a one page

2. The report contains the following information
a) Personal info: names, birthdate, SIN(SSN), home address, personal email address, photograph, and staff phone numbers
b) Basic school information: school name, school address. c) Season Information: Season name, workflow stage and status. d) Employment and logging: Period name, positions, and cabins with roles.
3. Some examples of what the Staff Profile does NOT include:
a) Any medical information b) Anything from the season custom application questions c) Any customizable fields, whether they are on the Household, Person or Season level

CCR-900: System: Online Printable Confirmation Filters to use with this report: People Registration
1. This is the report that generates the default online confirmation document, that your customers will
be able to download from your registration site upon completing a registration. However, you can also obtain it from the Standard Reports menu.
2. It comprises:
3. A header section, containing name, address and contact information for the parents
4. An emergency contacts section
5. A section for each camper, displaying:
a) A summary of all sessions and session options that the camper has been registered for
b) Any custom forms filled out and submitted for the camper.

Example of how to run the report:
To reproduce the online confirmation that an individual family has downloaded, for a single Season.
It is necessary to select both Season and Account Season, so that both the Registrations and
Charge/Payment sections will be correct.

This report is basically identical to CCR-300; the only real difference is that the camper’s Gender and
Date of Birth are not present on the form.
CCM-900: System: Online Printable Medical Form Filters to use with this report: People Registration
This report is basically identical to CCM-400, with one important difference: the actual text of the medical
waiver, defined by you in the Medical section of the office portal, is visible here. If you need a report
showing the entire text of the medical waiver plus the “I agree” checkbox, date and signature, use this
